Vendor creation and approval workflow

some consultants told us that there's eForm functionality delivered with ECC that enable the end users to submit new vendor create application through eForm (I am not sure if he meant using IE for forms in SAPmail) and routed in SAP to create Vendor Master Record if appoved. I have never heared of such WS or eForms existed in delivered ECC? In SRM yes, and we do need to hire some WF consultant to create such application right? Hope WF and MM gurus can shed some light here, thanks.

Thanks, this article doesn't mention if the WF is delivered or not (I know it can be made by WF consultant); if it is delivered then what is the WS code? and place in standard IMG to activate it?

  • Completion and approval workflows in line item based SC approval scenario

    Hi SRM experts,
    We are on SRM 7 ECS , support pack SAPKIBKV08
    We are designing line item based SC approval workflow. We also have completion workflow. i.e after requester creates a shopping cart, it goes to buyer as per completion workflow( if the SC does not have price , vendor or has a free text)  , and then after the completion workflow, it goes to main SC approval workflow.
    My questions are :
    1. If a requester creates 2 line items in SC , and 1 line item does not have price/vendor/or material , whereas 2nd line item has price/vendor/ and material , can we send onlt the 1st line item  to completion workflow and not send the 2nd line item in the completion workflow but directly to SC approval workflow  ?  OR we have to send the entire cart to the completion workflow ?
    2. After the completion and the approval workflow , if line item 1 is approved, can it create a PO , whereas the 2nd line be still in approval . i.e  do all the cart items need to be approved before creating POs or as and when individual line items get approved , they can create thier own POs

    Which workflow are you using - application or process contrlled workflow?
    Assuming you are using process-controlled workflow - I will answer following questions -
    1. Can offline approval be used for item based shopping cart approval workflow?
    - Yes, it can be used !
    2. Can different line items be sent by mail to different mail boxes?
    Yes
    3. Will 1 manager see all the 10 line items OR only the 1 line item for which he is responsible?
    1 manager can 'see' all the items but he can only approve or reject the item that he is suppose to act on. All other item will be grayed out. However, this behaviour is configuarable !
    4. If he will get only line for which he is responsible , and once he clicks on approve , will this approval apply to his line item only , OR it will apply to all the 10 line items ?

  • PO not created automatically after creation and approval of SC

    Hi all,
    We are using SRM7.0 Extended Classic Scenario.
    We are able to create Shopping Cart successfully.
    For items where a source of supply is not supplied, the Shopping Cart goes through the approval process and then into the sourcing Cockpit.
    But for the other Shopping Carts, PO is not getting created automatically after the approval of SC.
    Any ideas/suggestions on this issue would be highly helpful.

    Can you check this configuration in Sourcing  for particular PCat?
    *Automatic requirement grouping; sourcing for items without assigned*
    source of supply:
    Then run the report BBP_SC_TRANSFER_GROUPED which will  automatically group requirements together for
    the creation of a PO.
    And,  If the requirement does not have a source of supply, it appears in the work list of the sourcing application for manual assignment. Once you have assigned a source of supply, you can submit the requirement to the report.

    I have created an xml form template and
    I have to integrate with Approval process ..
    My requirement is something like this ....
    After the content created using the xmlform template by the content generator(role).
    It should go to the Approver(role) action_inbox for approvalthen once Approver  approves the content should be copied from the original folder to a predefined folder.
    Actually I trying to implement repository service,
    With in which I am registering with
    StatemanagementEvent.PUBLISH
    Yet I am not sure whether I am doing correct or not
    Can anyone Please guide me how to achieve this

    I am using the xmlform template to generate the many contents. say I have generated
    three content from a xmlform template
    One content has to move to folderA
    second content has to move to folderB
    third content has to move to folderC
    for this move action ... I am planning to implement repository service where I will capture the Approved Event( Right now I do not know which event is triggered.. I am searching for that.. if you know please let me know )
    then after getting the which resource( rather in my case the xml file ). I have to move/copy this xml file to a designated folder..
    this is actually my requirement

  • Issue in vendor creation workflow...

    Hi,
    I am trying to upload data from a XLS file for vendor master and thru workflow a notification goes to 3 people who need to fill in the accounting, purchasing and logistics data and the finally the approver will approve it and vendor will be created.
    It so happens that when the accounting person tries to enter the accounting data, for the standard acct group YBST, he is forced to enter the withholding tax code. This is not happening when the same vendor is created manually thru XK01.
    Now this vendor is created for a company code and that does not need to have any withholding tax code.
    We tried a couple of config where for the company code this field was suppressed. This suppression was effective when I tried to create the vendor manually, i.e. I did not see this field and vendor was created. But again, when I tried thru workflow, it failed, and an error message was shown saying " Withholding tax code is mandatory for acct group YBST'.
    Any tips on what could be wrong ? any more config settings to be done ? anything on the workflow front that can be analysed ? Pl advise.

    Resolved. Looks like there was a custom code that had made the tax code mandatory !! I removed it. Thanks.

  • Changing "Check Shopping Cart" screen and Completion workflow

    Hi,
    Below i describe a) the current process, b) the required changes, and c) my questions.
    Though it is also about workflows i still thought this was the best place to post the thread.
    Current process:
    In the process "free text order" i choose Go Shopping >> Shop >> Describe Requirement. I fill in details and complete the next steps.
    Now the Completion workflow (WS14000044) has started.
    So if I now look on my homepage in SRM i have an approval item which reads:
       Approval
       You can approve or reject shopping carts and read your e-mails relating to the procurement transaction
       You have
       -  1 Workflow Entries in Inbox
       -  0 Unread Documents in Inbox
    So i open the list and find one item: Complete shopping cart of mr X.. Now i click on the item and it takes me to "Check Shopping Cart"
    At the bottom of the screen is one button: "Change"
    Requirements:
    1)  add two buttons to this screen. One button is "Reject", to reject the shoppping cart directly. The second button "Mail Requester" to send the shopping cart back to the requester and also sends a mail via outlook to inform the requester that this has happened and requesting more information.
    2)  these buttons should then influence the behaviour of the Completion Workflow. In this workflow (WS14000044) the task Completion (TS14007947) currently has one activated outcome. From my two buttons i would need two more outcomes that allow me to model the other actions that i need i.e. the rejection outcome and the back-to-requester/send-mail outcome.    
    Questions:
    1)  is it allowed/possible to add the buttons to the existing screens. Or do i need to create a custom screen and call that instead of the standard screen?
    2)  is it allowed/possible to modify the completion workflow as described? Or do i need to copy and then modify?
    3)  How could i make the buttons to interact with the workflow? The only thing i can think of is to create a Z-bus object of the object Form and to modify so that it show my expected outcomes.
    4)  any helpful links to sdn posts of blogs or otherwise on how to go about to create the necessary changes.

    Hi Robert,
    Again, before technical solutioning, we need to step back and understand the business process and functions of each role (e.g., Buyer, Financial Approver) in the completion and approval workflow.
    Here's my understanding of the as-is (correct me if I am wrong). You are using One-Step Spending Limit WF (10000276) for financial approval. This is done by a Financial Approver (I am guessing, the line manager). The Buyer is not part of the process. Now, you want to introduce free-text requisitioning, and, consequently, you want to introduce the Buyer role into the workflow process - to complete the free-text lines (e.g. with vendor, price).
    Based on above scenario, I believe your initial solution was not incorrect - introduce Completion WF (14000044) for the completion task, while keeping 10000276 for financial approval.
    Now the business wants the Buyer to play a more active role in the process. They want to be able to Reject (the whole cart?) and Inquire (send the cart back to requester with questions). In my mind, it may still be possible to explore keeping the original design with Completion WF without modifying it, and still achieve the business needs. You can explore different ways of doing that: delete SC items instead of Rejecting, add Approval Comments to inquire, etc.
    Alternatively, you can replace all your workflows with one - WS14000133 "Spending limit, n-step,
    dynamic approvers (BAdI)". Here, you can determine your approvers flexibly via a BAdI implementation. For example:
    1. If Total Amount =< Spending Limit of Purchaser, then no approval agents - auto-approve SC.
    2. If Total Amount > Spending Limit of Purchaser AND there're no free-text lines, then determine Financial Approver.
    3. If Total Amount > Spending Limit of Purchaser AND there're incomplete free-text lines, then determine Buyer; once free-text lines completed - then Financial Approver.
    WS14000133 also has back-and-forth functionality which you can use for the inquiries. WS14000133 provides the most flexibilty, but it also involves more effort to implement. Read up on WS14000133 at help.sap.com.
    Bottom line - I would focus on evaluating these two standard options: 14000044 with 10000276, or 14000133. You may need to do some pros/cons, cost/benefit analysis. But I see no need to modify or copy SAP templates in your case.

  • BDC for vendor creation

    I've created a BCD program for vendor creation and I just realized that I now need to use multiple street address fields.  When I run the XK01 transaction in SAP directly I can access those field by clicking on the more fields button and expanding the screen.  When I use the BDC recorder function, the more fields button isn't available.  Has anyone else experienced this and found a solution?

                                         I have a scenario here.In my project  vendor is created through a portal.On submit button from portal the workflow is to be triggered.I have to design the workflow process.So can you please guide me through what all should i consider while i design this workflow?

    The corresponding BO related with the vendor creation or changing is LFA1 but this Business object doeanot have any events that are related to Create and Change , so try to create a ZLFA1 and add you own events or make use of delegation concept where you will create a delegation for LFA1.
    For your first isssue
    Start workflow after vendor creation or modification
    EXIT_SAPMF02K_001 Vendors: User Exit for Checks prior to Saving is the user exit where in you can call the workflow when ever you change or create , because this user exit will trigger when ever you try to save the vendor. so i think you can make use of this user exit
    For your second Issue
    Check whether approver are maintained in Org structure through standard FMu2019s.
    Make use of SWI_GET_USERS_OF_ORG_UNIT this fucntion mdoule to get the user of the ORG unit
    or you can create a Rule(for determining the agents dynamically) to find the approvers.

  • Approval workflow for creation of organization

    Hi,
    I need to configure an approval workflow for the creation of organization. When the admin tries to create a new org, the approval should go to a admin group. The org should get created only once approval is done. I have configured an approval workflow for the Xellerate Organization resource object. I have created an unconditional task where the assignment tab has the admin group. When I test it, the org gets created without going through the approval process. Could someone please tell me what am I missing?

    You'll have to raise request for Dummy Organization. It's Order for Organization so will not appear for user.
    I am not sure the full flow/complete requirement of your.
    APMU, you want approval while creating Organization into OIM.
    This is not possible OOTb when you create ORg in OIM.
    You'll create 1 dummy Org
    1 Dummy RO "OFO".
    Attach one Object Form with this RO.
    Raise request for Dummy Org and Give the name of Org on the object form for which you want approval.
    In the provisioning workflow, use OIM API to create Org into OIM.
    Done !!!

  • Vendor Creation Via OAWD using workflow

    Hi,
    We are currently using SAP Archvelink for attaching vendor invoices to FI docuemnt via FB60 and MIRO using a basic workflow function
    We want to be able to use the same process ie OAWD to be able to initiate the process of creating a vendor via XK01. The user woudl receive an authorised vendor creation PDF form that they woudl then attach to the vendor when cretaing
    I have tried to configure a new document type and have assigned to object type LFA1 in transaction SOA0. However, when I try to maintain the workflow parameters to link to transaction code XK01 in transaction OACA I get the following message
    Parameter TRANSACTIONCODE does not exist for method CREATE of object type LFA1
    I dont know what to do (or if it is possible) to enable the "CREATE" method for object type LFA1

    After some more trial and error, the error was caused by a user. After the user was removed from the list (user list was based on a query using a specific role), the workflow worked correctly.

  • Alerts to Approver on PO creation & to vendor on PO approval

    Requirement is to send the alerts to the approver on PO creation and on approval - the alert should be sent to the vendor.

    I am not able to set release group.  An error message is flashed saying -
    We can set only one release class for overall release and another single class for non-overall release.  Is this right for PO ?
    If yes, then the issue is that the current release class has 4 charac's whereas i want to define values only for 2 charac's - is this possible - meaning i will be keeping the value as blank for other 2 charac's - will the system will consider those charac's as non-relevant ( as i intend to do) or will it take it as blank BECAUSE
    If it is picked up as blank then it will create a problem.
    Can anyone help on this.

    But I am not creating a custom workflow in designer as Laura has mentioned. I am instead trying to create a new Out of the box Approval Workflow and I get the error mentioned above.
    As it works in other environment, I tried figuring out the possible differences which can lead to this error.
    Today I found one difference which is there are no form Templates within Infopath Configurations in Central Admin. Now I am trying to figure out what makes this form templates to be added to the template gallery.
