Applicant to Employee

Guys
An applicant in HRMS gets hired as Employee once he accepts the offer but this requires one day to be elapsed.
Suppose an applicant is entered in the system on 9th August , he can be made employee not before 10th August....
Can someone explain the logic of keeping this 24 hour window ??

The issue of date tracking has been explained. But, just to explain in a bit more detail, the logic is that on one day the applicant accepts the offer and on that day his APPLICATION records are end-dated. On the NEXT day, he becomes and EMPLOYEE and an EX-APPLICANT. That can't happen on the same day.
In real life, I guess it would be unusual to accept an offer and begin work on the same day!

    Hi Srini Duraisamy,
    I've gone through your question and found solutions to it.
    Question 1:
    Answer: In PA30 there's an Infotype EE's Applicant No. IT0139. If you choose display or change on this infotype, it will inform you that no data is saved in this infotype but infact there is. All you need to do is to create the record, when you create this infotype, you will find the employee's applicant no already in this infotype. Just save it.
    Question 2:
    Answer: It's like two procedures for doing the same thing, if you perform action for Hire an Applicant, you will find just 1 field and 2 further selections where as PBA7 report facilitates you with more selection criterions.

  • How to hire applicant as employee

    This may sound simple but I am struggling a little bit.
    ( Unfortunately working as a tech support guy means very limited knowledge of functional steps.)
    I have created an applicant (on a test system) and trying to hire that person as employee, how do I do that in 11.5.10.2 in UK HRMS?
    Please suggest.
    Additional info: When I go to the applicant screen, his details are greyed out, cant make any changes :-(

    Hi,
    If you have created Applicant record today only (effective date) you would be able to hire the applicant from tomorrow ondards only.
    So if thi is the case. Please navigate to UK HRMS Manager --> People --> Enater and maintain --> Search the applicant
    Change the effective date to (4th may) --> Now click on the Action(right upper corner on the screen) and selce Hire Applicant --> Save the work.
    P:- to hire applicant as an employee applicant status should be Accepted, if this is not the case. Please change the status of the applicant to Accepted. Follows the navigation : UK HRMS Manger --> people --> Enter and maintain --> Search Applicant --> Click Other --> Application --> change the status to Accepted.
    Let me know if you face any issue.

  • Pass by Screens during Transfer the Applicant to Employee

    Dear Gurus;
    While transferring the Applicant's master data from the applicant's database to the employee's one the Icons "Next" or "Previous" are dimmed is there a way to make them appear?

    In PB40 run the action prepare for hiring... Only applicants with overall status 2(To be hired) can be transferd to PA.
    Use the hire applicant action in PA40.

  • How to change person type 'Applicant.Employee' to 'Employee'?

    we created one record with person type "Applicant" and later hired him by selecting "Create Employment" option.
    Now the person type is "Employee.Applicant"
    Can you please tell me how to change this person type to "Employee"?
    Since most of our reports are designed to pick up only "Employee" and not other person types

    I wish you luck, but I am not sure that will work either. Changing a person type is not necessarily the same as changing some other person attribute, such as a middle name. Person type changes tend to happen by virtue of a specific business process, eg. hire applicant, terminate employee etc - these are all distinct processes that do a whole host of other back-end stuff, and the person type change just reflects what has been done. I think you can change a person type to another of the same fundamental type (e.g. 'Emp1' to 'Emp2', where they both have a system person type of EMP) but that's about it. The whole multiple person type thing has been around for a while now, and is needed for the Trading Community Architecture, so is not likely to take kindly to being changed in the manner you are hoping to do. In any case, what happens when you've made your change, and then something else comes along and changes it to some other combination?
    If it were me, I'd bite the bullet and change the reports. Thereafter, any further changes to the employee's record(s) will not affect them.

  • Query on Applicant Actions

    We are implementing both Recruitment & PA modules for the customer. In the Recruitment module, the customer wishes to enter the applicant data into the system only after the initial shortlisting. What are the typical infotypes that are included in the infogroup for Applicant action? As far as I see, Persoal Data, Addresses, Qualification, Previous Employment are the important ones. Are there any more?
    Also, when the applicant is converted to an employee (thru Hiring action), these infotypes should not appear in PA40. How is this integration acheived? Through which integration switch?

    May be, I did not explain my query properly. The customer wishes to enter some basic information about the applicant in the Recruitment module. The information typically available at the stage of recruitment are Personal Data (name, address, DOB), Previous Employment Details (like earlier companies, where he worked, along with the duration & designation etc.). Also, when the customer wishes to "Offer" the job to the applicant (if he is selected), they can enter the organizational Assignment data like, position, personnel area/subarea & employee group/subgroup. My first query is, how is  this data entered into the system? Which transaction code? Also, how do we set up the Action (infogroup etc.)? Is it through Applicant Actions?
    Now, if the "Offered" applicant joins the company, then the available applicant info should be transferred to the PA module, so that he becomes "Hired" now. During this process, the applicant, who becomes an employee now, should be assigned a personnel number (internally or externally, depending on the configuration). Also, the user provides the Joining Date. How is this transfer done?
    Once "Applicant to Employee"  transfer is done, should I use PA30 to update the remaining infotypes configured in the Hiring Action?

    Link photo to personnel number
    Transaction code OAAD
    Click on the Create – Store and Assign button. Enter Business Object PREL and Document Type HRICOLFOTO. Click on create(F8).
    Enter the Personnel Number of the employee you want to link the photo to. Choose also the infotype that you wish the photo to be displayed on (not sure how relevant this is. It works if you use 0002 but should also work if left blank. Suspect is only relevant if you wanted to store different photos for different infotypes)
    Click on Continue.
    Enter the path and filename of the photo. The dropdown will allow you to navigate to the appropriate directory.
    SAP will notify you that the Stored document is created successfully and you end up with something like:
    If you get an error 401 to do with missing authorisations, then try and redo the above step. It often only happens the first time you try and load the photo.

  • Correcting employee type?

    I am not a functional guy.
    An employee was rehired on 19-May-2008, but somehow her effective start date only shows as 1-June-2008. And thar influences her leave accrual. Now my question is: how can i change the effective start date back to 19-may-2008.
    Also if i do date tracking the employee only show as employee on 1 june 2008 even though she was hired on 19-may-2008. In the period 19-may-2008 to 31-june-2008 she shows as applicant. ex-employee

    You can correct hire date from People/Maintain Employees>
    Find& Select Employee from People by Name,
    Press Actions and Select Update Start Date.

  • Apps Adapter error while creating hire_applicant

    Hi,
    I tried to create a Oracle Apps adater which converts applicant to employee using HR_APPLICANT_API.HIRE_APPLICANT.But in the design time itself it is showing error "Error while writing WSDL file Exception :the wrapper procedure HR_APPLICANT_API$HIRE_APPLICA could not be found in APPS...".
    Same i created for HR_EMPLOYEE_API.CREATE_EMPLOYEE and is working fine.
    For this whether we need and pach or not?

    The error indicates that something possibly went wrong when the wizard tried to create the wrapper for the API using JPublisher. Select the option to overwrite the existing package (if it exists) and try again.

  • HR-AUTHORIZATION PB10

    Hi all,
    This is regarding authorization issue I am raising this question.
    We are in the implementation of SAP-HR module to our client.Please find my client requirement as follows.
    In transaction pb10(initial entry of basic data),I need to restrict the user through personal area wise.
    Also if an applicant has been applied for a post to particular branch,he should not be able to apply for otherbranches
    For ex:if x person has applied for 1 personal area(branch),after some days he is trying to apply other personal area(branch),by this time the recruiter should be able to find the applicant status by clicking on the former applicant/former employee icon which was provided in PB10 t-code.
    I have restricted 1 recruiter to IN03 and other recruiter to IN08(personal area).If some x person has applied for IN03(for which he has applied earlier).The recriuter in IN03 is able to find that the applicant is former applicant.But in case of the recruiter for IN08 he is not able to find that the applicant is former applicant.
    Please suggest me in this regard and also provide the links for BASIS/HR-AUTHORIZATIONS ,so that I can go through them.

  • PBA7 runtime error LOAD_PROGRAM_NOT_FOUND

    i am trying transfer applicant to employee by using PBA7 but when transfer infotype 0021 family there's error load program not found and with dump :
    ABAP runtime errors    LOAD_PROGRAM_NOT_FOUND
           Occurred on     21.04.2014 at 11:52:27
    Program "MP031800 " not found.
    What happened?
    There are various possibilities:
    program library.
    The current ABAP/4 program "????????????????????????????????????????" had to be
    terminated because
    one of the statements could not be executed.
    This is probably due to an error in the ABAP/4 program.
    or
    Error in the SAP Basis system
    ABAP/4 processor detected an internal system error.
    The current ABAP program "????????????????????????????????????????" had to be
    terminated because the ABAP
    processor discovered an invalid system state.
    MP031800 is SAP standard program for indonesian family infotype, should i create MP031800 module pool ?
    what should i do ?

    Rama, there might be some other error.
    As the option is already available in standard, check all your entries & configs once again, because dynamic action will make it more complicated.

  • Migrating Third Party Data into E-Recruiting

    Hello,
    We are begining to look into migrating data from our old applicant tracking system into our currentE-Recruiting 6.0 SP10 system.  The old applcant tracking system is called Personic and uses Oracle as it DB.  We are considering doing this project in-house.  Is there anyone who has done such a project that might have some ideas on a good place to start?

    Hello Ryan,
    I think it will get difficult for you to find someone who ever did this. Usually the data of recruitment application is ranked this low that companies do not migrate the data. The cost / output relation is often considered as no effecient. When e-recruiting is your first real online recruiting application it is no problem to have all applicants entering their data. Only if you already have an real online tool (here i am not sure about Personic) it might be a bad public relation if applicants have to enter all data again. Even the customers changing from SAP recruiting (PA-RC) to e-recruiting (PA-ER) avoit migration.
    Some are outfading the old system meaning they set a date where they publish all new requisition through the e-recruiting. All old positions are run in the old system till completed all new one use the new system. This is no real problem as e-recruiting is no payroll where having 2 half payment runs would be a real issue.
    Others try to change in a low hiring period and move only some necessary applicants. This is then done by some interns / datatypists who just hack all data in. This is cheaper than running a large migration project.
    If you really decide for migrating whatever the reasons are you start like in every data migration project. You take the Personic data model and the e-recruiting data model and you map the data. Decide which data can be moved directly, which data needs transformation and which data might be excluded from migration as it does not fit the data model.
    When you have done this you can start thinking about technics. A first entry point for this might be the ALE Inbound for SAP HR Master data to create internal applicants for employees as this doing something similar it maps the SAP HR masterdata model to the e-recruiting one.
    Of course you should already have a high knowledge of the e-recruiting datamodel at this point (probably derived from the data mapping activities).
    To be honest I am not really sure if you will be happy with this entry point as the code is quite confusing but I cannot imagine another one. You have also take in account that e-recruiting uses a complete different programming model than the other PA components - PA does not use ABAP OO and does not use other components to store data. So knowledge from HR will not help very much. I'd probably take a SE80 and just write 3 or 4 reports from the scratch.
    If you have some more detailed questions just ask. In general it would be very helpful to have a rough idea of how much data we talk.
