Approval on MasterData Creation

Is there any way to have Approval procedure on the creation of Master Data like Item And BP .

Approval procedures are only supported for documents.  For Master Data you probably have to look at some other way to work this.
I always recommend that only select users need to given authorization to create Master Data so that they know what they are doing.

    Hi,
    I am not able to set release group.  An error message is flashed saying -
    We can set only one release class for overall release and another single class for non-overall release.  Is this right for PO ?
    If yes, then the issue is that the current release class has 4 charac's whereas i want to define values only for 2 charac's - is this possible - meaning i will be keeping the value as blank for other 2 charac's - will the system will consider those charac's as non-relevant ( as i intend to do) or will it take it as blank BECAUSE
    If it is picked up as blank then it will create a problem.
    Can anyone help on this.

  • Approval of role creation

    Hi All
    I need to create a WET for role creation, this is simple But I need to incorporate approval of the creation of the new MX_ROLE entry. I can only find documentation/guides on how to implement approval of role and privilege assignment. Does anyone know if it is possible to setup approval on creation on a new entry?

    I have tried to implement the MX_INACTIVE solution. Now it is not possible to see the role on the "Adminstrate"-tab, and there is an approval task on the "To do"-tab. When I click this task, details on the role are displayed properly, but when I try to process the request by clicking the "Show request"-button (button name translated from Danish, it might be translated differently...) I get an error: "Access denied".
    I have set correct approver on the approval task, and I was able to process approval requests, before I set the role to inactive.
    On the approval task, I have checked the "Use inactive entries" checkbox.
    Does anyone have an idea what could be wrong?

    I would like to create workflow to approve Material Master creation as below:
    When Material is created -> Check & Approval (Yes) -> Material is active
                           -> Check & Approval (No)   -> Material is inactive
    How can I do that?

    Before designing the workflow, you need to find what is the business object and what is the event which gets triggered when material master is created... you can do that using event trace....
    1. SWELS - switch on trace
    2. Create material
    3. SWEL - check trace to find which event is fired
    This will give you business object name..
    Now start building workflow using SWDD... Go thru basic steps for designing workflow...

  • Approval workflow for creation of organization

    Hi,
    I need to configure an approval workflow for the creation of organization. When the admin tries to create a new org, the approval should go to a admin group. The org should get created only once approval is done. I have configured an approval workflow for the Xellerate Organization resource object. I have created an unconditional task where the assignment tab has the admin group. When I test it, the org gets created without going through the approval process. Could someone please tell me what am I missing?

    You'll have to raise request for Dummy Organization. It's Order for Organization so will not appear for user.
    I am not sure the full flow/complete requirement of your.
    APMU, you want approval while creating Organization into OIM.
    This is not possible OOTb when you create ORg in OIM.
    You'll create 1 dummy Org
    1 Dummy RO "OFO".
    Attach one Object Form with this RO.
    Raise request for Dummy Org and Give the name of Org on the object form for which you want approval.
    In the provisioning workflow, use OIM API to create Org into OIM.
    Done !!!

  • Check while replacing approver in SC creation

    Hello expert,
    Whenever user replaces default approver using replace button in shopping cart creation, is there any badi exit through which i can validate the new user. I have already implemented BADI "BBP_CHNG_AGNT_GET".
    This badi gets triggered when user clicks on find button. Sometimes user directly hit the replace button instead of find and then replace.

    unfortunately there is no badi available for the customers , but srm has a few standard checks bulit in to validate the user entered

    I am unable to approve purchase order.
    I created hierarchy and did all the mandatory setup in Approval Hierarchy like Approval group, Approval Assignment, employee creation and assignment, fill hierarchy program etc.
    But once the approver approve the PO, the status becomes Incomplete.
    I tried alot but failed.
    So, request to all please help me in this issue.

    have you chekced the document type set and see whether or not self approval is allowed? Is the workflow creating the PO properly, ie is there any information missing?

  • Could not able to send email notification through approval workflow

    Hi,
    I am trying to send an email notification to the requester and approver on request creation and when the approver approves the request then an email should get triggered to the request with approve/reject outcome. All the SOA configuration has been done and also able to send test email through SOA console but could not able to send email through SOA composite.
    For configuring an email notification, I am using notification tab in ApprovalTask, but still problem is not resolved.
    Please help me in resolving the issue.

    Also check whether any firewall issue is there which is preventing OIM to contact the email server in sending out emails. Check the logs if there are any issues.
    Also check this system property 'RequestNotificationLevel'. This property indicates whether or not notification is sent to the requester and beneficiary when a request is created or the request status is changed. If the value is 0 for this system property, make it 1.
    I was facing a similar type of issue due to two reasons:
    1. System property
    2. Firewall
    Check both of them and try again.

    Do we have a cube in business content which can calculate end to end Procurement to payment cycle.The Process consists of PR creation,PR approval,RFQ,PO creation,PO approval,payment.
    I need to calculate the time for each phase and then the total time.
    Where will I get PO or PR approval details?In which cube or DSO ?

    We are currently using the Value Limit Single Step Approval for Shopping Carts successfully. This is followed by 0 step approval for the creation of the PO. We have a scenario whereby we will need to apply this same single step value limit approval type logic to determine the agent for PO approval (if PO subsequently changed). We have an implementation of the BADI BBP_WFL_APPROV_BADI available - but looking for efficient methods of agent determination as per the value limit cart approval.
    Looking to see what everybody thinks as to the best way to go about this??

    It is normally easy enough to use the existing organisation structure. The problem is finding out how to use it. If you want to use limits, then where would you find those limits?
    There's disadvantages to every approach, but here's an idea from one solution I created: The approver is found using a Job (HR object type C), where I check the organisation structure until I find a person who has such a job. Starting from a given person (could be your purchaser or whatever) I first checked that person's organisation unit, then all "sibling" organisation units, before I climbed up one level and perfomed the same check there. It took a bit of programming, but the customer was very happy that no additional maintenance of master data was required.

    Once your GRC system is configured. You have to follow the following steps:
    1. Create system connector
    2. Define Master User Source
    3. Upload text & authorization objects. (Follow the AC53 Configuration guide to download these files from backend)
    4. Now as Frank has suggested you have to convert the downloaded Apporava files to .txt files. There are 9 .txt files you have to create:

  • Impact of deleting 'Prod Cat' from extended attributes on the SC approval

    I have one question regarding 'Product Categories' in extended attributes.
    We have defined 'Product Categories' as extended attributes at the company level.
    The users are able to create SC with the Product Categories which are assigned as Ext attributes of the company.
    We wanted to remove one product category from the extended attributes of the company, because we did not want the users to create SC for that product category anymore.
    However, the users had already created SC using that Product category and the SC are in approval process.
    I want to know that if we remove that product category from the extended attributes, will it affect the existing SC (under approval process) which were created using that product category.
    Will there be a problem in SC approval & SRM PO creation, if that product category is removed.

    Hello Ruchika,
    As written by Sanjeev, i don't think it will impact flow process for SC or PO.
    But, to be sure, make some tests on your development environment:
    - create a SC with Product Category to test,
    - delete this Product Category from tab "Extended attributes",
    - approve/reject the SC,
    - when SC approval WF is over, try with a Purchaser from Purchasing Group having responsability for this Product Category to modify PO (if authorized by user profil or customizing),
    - order the PO,
    - approve/refuse the PO,
    - make modifications on PO approved (if authorized by user profil or customizing).
    Nevetheless, in case of SC rejection, check if SC creator can delete the SC: maybe not due to Product Category deletion.

    On working to EXtended Classic Scenario, I am configuring one step approval workflow for Confirmation (good receipt)  in SRM 7.0
    I have standard customisation for Confirmation and activated below object for one-step approval :

                                             (one-step approval)
    When I am creating a Confirmation with respect to PO in portal,  It is showing Approval Pending  but  It is not going to Manager for approval. While  creation of shopping cart (one step approval) is working fine and SC is going to same Manager for approval.
    Kindly suggest me, what else required for it.

  • SCs split into multiple POs, duplicate POs and PO items in reverse c/ to SC

    Hi,
      We are on SRM Server 550 SP10 ECS. We are facing the following situations intermittently in Prod. We are unable to simulate the same situation in Dev or Q environment. Again this does not happen for every SC it happens atleast once or twice in a day with a volume of few hundred shopping carts.
    1) SC gets split into as many POs as SC Items. Let us say SC has 4 items, each item is created in one PO so we will have 4 POs w/ one item per PO in this example.
    2) PO gets duplicated. Let us say SC has two items. Then two POs are created with identical SC items referencing the same SC
    3) PO items are either jumbled or reversed in comparison to SC. Let us say in a SC you have 3 items in SC then the PO will contain items in say 3 ,2 , 1 order or 2, 3 1 order.
    These POs are automaticaly created after Approval (no sourcing cockpit). The vendor, Purchasing Org, Document Type etc is same for all items in SC.
    Anothe question: Once the approval of the SC happens in Workflow, the PO is automatically created via BAPI? or some job? Can anybody clarify the process that takes place from the Approval to PO creation (assuming the SC does not go to SOCO).

    Which R/3 and SRM support pqack versions are you using ?
    Following is the criteria which is used to split POs
    For Backend Purchase Orders
    Company Code
    Purchasing Org
    Purchasing Group
    Document Type
    Vendor
    Subtype (Direct/Hierarchy)
    FI Logical System
    Logical System from where an External Requirement comes
    For Local Purchase Orders additional criteria is used to split POs:
    Delivery Address (for higher releases)
    Procument Card Number
    Procurement Card Company
    Please Check the Implementation of BADI BBP_SC_TRANSFER_BE (Method GROUP_PO) for any Customer Added Splitting Criteria. Please look at SAP documenatation of the Business Add-In BBP_SC_TRANSFER_BE, its Method GROUP_RQ and GROUP_PO. You can use to overwrite the standard and group SC items based on custom rules to create split the PO or RQ in EBP.
    P.S. As soon as the purchaser assigns different SOS in the SC, you'll have different POs created.
    Meanwhile, please go through the following pointers / SAP OSS Notes as well ->

    You order a shopping cart with couple of items with same data (such as vendor etc). One of the item is a direct material. When you order the cart, the PO split criteria is creating multiple POs instead of a single PO.

    I have a query , two sap user ids say A and B .i am sending mails to sap inbox for both the users A and B . A user is receiving mails in documents but B is not receiving any documents ...in workflow log the step executed succesfully..
    when i checked the settings of both users try to send sample mails from both users . for A it is working fine but for B mails are going to the default id maintained in SU01 tcode ..
    compared the settings of both users but i am not getting correctly ..try to suggest me where actually to check the settings of both the users to find the solution..

    My requirement is three level approval of product creation(article) , completely custom screen,table,business object and workflow template .
    When a product is created i am triggering the workflow  by using 'create' event(custom), and created two more events approve and reject which acts as  terminating events for the approval task . two outcomes are came from task one from approve and one from reject ..here inside task i am using asynchronous method to call the screen ..
    when approved goes to second level and so on when rejects intimation should go to below approvers ..
    here every thing is working fine but for user B when ever the approve or reject event triggers it is getting error in event receiver mail is getting to his sap office mail .
