Audit in SharePoint Record Center

Hi All,
As per the process Audit Guys have to perform audit every 3 month in order to make sure that all the records are safe. I am wondering how Audit Guys can make sure that all the records are there in record center and all are safe. Record Center has 10 GB of
records, how audit guys can make sure that all the records do exist in record center.

They could check every single one.
Or they could check a random sample of documents they expect to see and confirm they are still present.
They could store a list of documents that are present at each audit then check that there are only additions at the next audit.

    In a record center's document/record library, I'm not able to link word document properties with sharepoint item attributes using "Quick Parts" as I can with Document Libraries.
    Could this be because of a separate issue with how the Record Center handles properties?

    We have found this issue. We can reproduced this issue as the followings:
    Create a Team site, create a document library
    In the library, create a column called Test1, then upload a document to the library
    Open the document with office app. In the Quick Parts->Document property, we can find the name of the custom column Test1
    Create a Record Center, create a custom column Test2 in Record library, then upload a document to the library
    Open the document with office app. In the Quick Parts->Document property, we can not find the name of the custom column Test2
    Then create a new library in the Record Center, and create a column for the library. Do a same test, the result is same with the result in Record library.

    What could be the reason?

    Hi,
    The Records Center requires the ability to set up email routing feature. The issue might occur App pool account didn't have proper permission to add a contact to active directory for the email enabled list.
    To narrow down the issue, please perform the steps below to delegate full control of Organization to admin account and test the issue again:
    a. Right click on the Organization and select "Delegate Control". Click Next and then Add.
    b. Enter the account that will be using on the Central Admin site and then select OK.
    c.  Select Next and then select the "Create a custom task to delegate" radio button. Select Next.
    d.  Make sure the "This folder, existing objects in this folder, and creation of new objects in this folder" radio  
    button is selected.  Select Next.
    e.  In the Permissions section select the "Create all Child Objects" and the "Delete all Child Objects" options boxes.  
    Click next and then finish

  • "Error in the application" while creating Records Center

    I get "Error in Application" error every time I try to create Record Center. The error is the same for every Web App in the farm. Can I please know what all are the pre-requisites for successful creation of Record Center?

  • Forms Library Not Working Correctly in Records Center

    Greetings,
    I have a scenario where I have created a form library in a records center.  This form library has the same InfoPath form published to it as is in the primary collaborative site.  In the collaborative site, based on certain conditions, a workflow
    moves the form entry to the records center; all of this work correctly.
    However, the entry in the form library is recognized as a plain XML file, this can be seen by the file type icon.  When I click on the item I want it to open using the InfoPath form.  Is there something special I need to do to make this work?

    Based on your description, my understanding is that when you use workflow to move the form entry from collaborative site to the records center, you can't open the items in the records center using the InfoPath form.
    Could you please offer how do you use workflow to move the form entry from collaborative site to the records center?

    You said "When I click on the item I want it to open using the InfoPath form". if the items look like the following, Then you can open the items using the InfoPath form.
    I have done a test in my SharePoint, I create two new form library with the same infopath form template.
    then I create a workflow "Create List Item" action to move the form entry from the first form library to the second form library. Then I can open the items from the second form library using the InfoPath form.

    I use the Submit File action in SharePoint Designer to move the file.
    To be able to reproduce my same issue, you would need to provision your records center in a different site collection.
    I have the same InfoPath form published to the form library in the records center and have created the correct link to open the form; using formserver.aspx?XmlLocation=...  However, I still can't get the item (in the records center) to open.

  • Assets Library in Record Center

    Hi,
    I am creating an Assets Library in Record Center Site Collection and the library got created, but it is showing some weird behavior.
    The Images uploaded there appear as an icon, the thumbnail preview is not getting extracted.
    The Default column values are not getting extracted (such as picture size and all)
    The "WIC" metadata values  are also not getting extracted.
    But if I create the same library in other site collections (not using Record Center template) its working fine. 
    Can Anyone Please tell me what am i missing or is it a default behavior of SharePoint.

    So finally I found the Issue and the resolution.
    The issue is that the site created on the "Record Center" template doesn't have the "ParserEnabled" property enabled by itself. So we need to enable for the site and it works perfectly.
    Here is the powershell script to achieve the same:
    $web=Get-SPweb "<Site Collection Url>"
    $web.ParserEnabled=$true
    $web.Update()
    Hope this helps someone facing same issue.

  • Including comments entered from Document Library to Records Center Record Library

    We are currently sending documents from a SharePoint 2010 site to a Records Center.
    We are using the Collect Signatures workflow, and edited this default workflow in SharePoint Designer to then send the document to a Records Center when both signatures have been applied.
    Everything is working well, but we'd like to enter comments @ the originating document library...which we can do now...and have those comments get sent over to the Records Center as well when the document is signed by both people.
    Are we able to do this?  ...have comments entered in the Document Library show up in the Records Center Records Library?

    If your settings are configured as below,
    The site collection Record Declaration Settings are set to "Block Edit and Delete"
    The Record Library is set to "Automatically declare items as records when they are added to this list."
    The Drop Off Library Record Declaration Setting is set to site collection default: Do not allow the manual declaration of records;
    then the item(e.g. Test.xlsx) routed from "Drop Off Library" will be declared as a record in this Record Library, which is inherited from site collection setting "Block Edit and Delete" and auto declare on library option is enabled, then
    this "Test.xlsx" item will be read-only as record and it can not be edited and deleted by design. 
    From the following error message you provided, it seems you secondly upload the Test.xlsx file in "Drop Off Library", then this time the "Content Organizer" will route
    this second Test.xlsx file to the Record Library again, however it cannot update a read-only item with the same name for Test.xlsx previously existed in the Record Library.
    "Unexpected Routing Engine: File DropOffLibrary/Test.xlsx could not be routed to /sites/records/Records/101-01 in site http://records/sites/records : This item cannot be updated because it is locked as read-only."
    If above is the case, for resolving this issue, you can use the following two methods:
    1. Use the option "<label for="ctl00_PlaceHolderMain_versioningSection_appendUniqueCharsRadioButton">Append unique characters to the end of duplicate filenames</label>" for "Content Organizer" settings.
    2. Or use the option "<label for="ctl00_PlaceHolderMain_recordBehaviorSection_recordBlockDeleteRadioButton">Block Delete</label>" for site collection "Record Declaration" Settings.

  • Record Center Archival Strategy/Best Practise

    I am familiar with record center but I would like some guidance on how to do some of the things.
    Scenario : We have 4 site collections, 2 site collections are containing team sites which are built for different departments and one site collection is project site collection which contains sites for on going project and last site collection is for record
    center. There are different content types associated with each of libraries in above sites.
    -- From the team sites in those two site collections, only few documents from document libraries need to be archived (Here I would like to know, should I create a separate library in record center for each library in source site -- in this approach record
    center will have numerous libraries or just create one library for each team site and archive all documents in it -- this approach has drawback of finding document)
    Same way for project site collection where once project is ended they would like to archive all libraries : should I archive each separate library or archive all project libraries for that project into one library on record site.

  • Lifetime of document[ record] in a record center

    hi all,
     would like to know for how many days/ months/years we can keep document as a  record in the record center site collection.
     i have configured the record center and  providing a link to record center to view the  document.now, as per the design will i be able to access the   same document[record] after  few months/years.

    Hi Prasad,
    If a document has been declared as a record in a record center, it will be a record until you undeclared it as a record.
    However, the documents may not always be stored in the place where you add them.
    It depends on the Content Organization Rules and Retention Policies set on the records or documents.
    If such rules or policies have been created, actions will be operated on the records or documents such as moving them to another place.
    You can check the Content Organization rules by going to Site settings > Content Organization rules.
    You can check the Retention Policy by going to Library settings > Information management policy settings.

  • Need to move documents from Record center to file share

    I am trying to figure out how can I manage moving the documents from record center to file share. I want to move the older documents that are taking lot of space from record center in to some kind of file share. There are thousands of old documents that

    Assuming you have permissions to the Record Center this is basically as easy as opening up the Library in Explorer view and doing a Drag and Drop Move.  But you should be aware that you'll lose all the metadata when you do it.  I suspect what
    you really want is to move the documents to lower cost storage but retain the metadata and the connection to the records center.  To do that you would need to look at something like StoragePoint from Metalogix.  There's nothing built-in to SharePoint
    that provides that kind of functionality.

  • Padlock sign is not appearing before Record in Record Center Template

    Hi All,
    I am facing quite a strange problem.
    In SharePoint 2010 Record Center Template Site whenever i declare a document as a Record OR Hold the document "padlock" sign is not appearing before the Record.
    Although in case of Team Suite Template whenever declare a Record using In place Record management OR Hold the document "padlock" sign appears.
    Is it OOB beahvior OR am i missing some settings???

    This is true in my virtual machine as well. I am able to edit data and meta data in documents that are on hold. This is because holds add meta data to documents and
    prevent document deletion but do not necessarily prevent editing.
    If you would like to prevent users for editing a document you will need to edit user permissions on that document itself; which can be done in the document drop down
    under 'Manage Permissions' in the Records Center library.

  • UIL issues when trying to send to cross-farm record center.

    We have two sharepoint 2010 farms. Both are patched to SP2 Decemer CU
    Farm A is heavily used and has all the collaboration items (propject offices, ect..)
    Farm B is only for special applications and hosts the record center.
    When we try to submit sites from farm A to Farm B's record center, it fails. It's failing due to users not existing in Farm B's UIL.. These users have never authenticated to it. Some of the users generating the errors have left and their
    active directory accounts are now disabled.
    From reading, I've gathered that users get stored in the User Information List only when they access the site for the first time. And that user accounts
    who are inactive in AD get flagged in the UIL as beign deactivated.
    How would I manage the above scenario?
    We want records moved from Farm A to Farm B to be the same..  That  it keeps all users permissions as-is in Farm B.. (Even those user accounts that have left and those who have never authenticated in FARM B) 
    Is the solution to
    copy over Farm A's site collection's UIL to the other farm (farm B) and then the other farm's record center will accept the  data (if so, how can this be achieved)?
    I also read that
    Metalogix ControlPoint could possibly help us with this? 
    Any guidance would be greatly appreciated.

    Thank you for your response. I guess this problem is not seen often as not many people have attempted to submit sites cross farm using the record center functionality of SP2010.

    I doubt our business would go for creating dummy AD accounts.. So if anyone has seen and resolved this issue some other way (If it's Microsoft supported.. I'm thinking along the

    Hi, I am trying to implement custom hold order / send to in sharepoint 2010 to send files in to holds / record center.
    I am at the last step where I am trying submit the metadata using soap call- submit file

    Please try to disable the loop back check, compare the result:
    In Registry Editor, locate and then click the following registry key: HKEY_LOCAL_MACHINE\SYSTEM\CurrentControlSet\Control\Lsa
    Right-click Lsa, point to New, and then click DWORD Value.
    Type DisableLoopbackCheck, and then press ENTER.
    Right-click DisableLoopbackCheck, and then click Modify.
    In the Value data box, type 1, and then click OK.
    Quit Registry Editor, and then restart your computer.

  • Move documents to records center when workflow is completed

    I use SharePoint 2013.  In my Library, my document goes through a workflow. As soon as the workflow (developed on 2013 wf platform) is done, the document needs to be send to the Records Centre automatically. How can I do that?
    Retention Stage property (In information policy) only cater for:  Time Period = Created / Modified / Declare Record.  How can I check for wf status = Completed and then move the document to Records Centre?

  • Can't delete a Site Collection from SharePoint admin center completely

    Hi All
    I'm using Office365. And I wanted to delete a Site Collection from SharePoint admin center.
    But at first, I couldn't delete it from there. So I opened the Site and delete it from the Site setting successfully.
    Then I went back to SharePoint admin center to check it was deleted or not completely.
    But the Site Collection was still on the Site Collections list.....
    Things I did are
    1. IE -> Tools->Internet Options-> In General Tab click on Delete in browsing history section and check all options and again click on delete.
    2. Close and re-open the browser and sign back in
    I wanna make free server resource to create new Site Collection.
    Does anyone know how to delete a Site Collection completely?
