Auto release of Invoicing plan item when milestone actual date is entered

Hi all,
I wonder if anyone can help me on this.  I have configured the system to automatically release an invoicing plan in a PO once the milestone attached to that invoicing plan is confirmed in the project by entering the actual date.  For some reason though, when trying to enter the invoice for this item in MIRO, the amount from the invoicing plan is not copied.  The amount only gets copied if you enter the PO in change mode after confirmation of milestone, display the invoice plan for each item then save before exitting.  It is only after this that the block on the item is removed.  Is this supposed to be so?  I would have thought immediately after confirmation of milestone by indication of actual date, the block on the invoicing plan will be immediately be removed so the invoice can immediately copy the amounts from the PO?  Any ideas how to achieve this?  (GR is not a part of the process).

  • Activity milestone actual date replacing schedule date

    Hi,
    The last few years we have been using activity milestones. These milestones are offset from the early start date of the activity. We manually add the actual date and the schedule date would remain the same. We recently added some hot packs and now when the user puts in the actual date it also replaces the schedule date with the actual date. Reading throught some of the OSS notes it sounds like this is the way it works and the way it was working before the hot packs may have been wrong. I was just wondering if anyone really knows how the milestone schedule date and actual dates are suppose to work. We prefer that the schedule date remains the schedule date and not revert to the actual date. Any info would be appreciated.

    SAP stated that once the actual date is input then the schedule date would change to the actual date. They said this is how it is suppose to work but if we wanted to leave the sched date alone then there was a note we could put in the system. We did this and it works like we want.

    Creating an Invoicing Plan  
    The following procedure describes how to create an invoicing plan with the pre-Enjoy ordering transactions (ME21, ME22, ME23).
    The procedure described is also applicable u2013 with certain restrictions u2013 to the Enjoy purchase order (ME21N, ME22N, ME23N).
    If you are using the Enjoy purchase order, you will find:
    ·         The Invoicing Plan button and the indicators for GR-based invoice verification (GR-Based IV), service-based invoice verification (Srv.-Based IV), evaluated receipt settlement (ERS), and invoice receipt (Inv. Receipt) among the item details on the Invoice tab page.
    ·         The account assignment among the item details on the Account Assignment tab page
    ·         The Goods Receipt and GR Non-Valuatedindicators among the item details on the Delivery tab page
    Prerequisites
    Vendor Master Record
    Before you can use the invoicing plan with automatic settlement, the Evaluated Receipt Settlement Delivery indicator must be set on the Purchasing Data screen in the vendor master record.
    (If you wish to enter invoicing dates manually, this is not necessary.)
    Purchase Order
    ●     We recommend using a framework order (that is a purchase order with a validity period and a reason for rejection). The invoicing plan can adopt the validity period specified in the PO header.
    ●     PO items for which you wish to use an invoicing plan must have account assignment irrespective of whether a material with a master record, a material described by a short text, or an external service is involved.
    ●     The GR/IR control facility must be set up in such a way that no goods receipt (or, in the case of services, no service entry) is expected - only an incoming invoice. If you wish to have automatic settlement, you must also set the Evaluated Receipt Settlement indicator.
    If you nevertheless wish to allow service entry sheets for the item (e.g. for information purposes only), you must set the GR Non-Val. indicator.
    Customizing
    Under Purchase Order à Invoicing Plan in Customizing for Purchasing, you can maintain data such as the desired invoicing plan types, date categories, and date descriptions.
    Procedure
           1.      Create a purchase order with account assignment (framework order).
    Click  to access the item overview (or the overview of service lines if you chose item category D for services).
           2.      Enter the desired material or service, the quantity, and the price.
           3.      Select the desired item and click  Account Assignments to access the account assignment screen. Enter the account assignment for this item.
           4.      Click  to access the item detail screen. Check that the GR/IR control indicators are set correctly on the item detail screen.
    ○     The GR and GR-Based Invoice Verification or Service-Based Invoice Verification indicators must not be set.
    ○     IR must be set.
    ○     You must set ERS if you wish to have Evaluated Receipt Settlement.
    ○     If you wish to have service entry sheets purely for information, for example, allow non-valuated goods receipt (i.e. select the GR Non-Val and GR indicators).
           5.      Choose Item ® Invoicing Plan. A window appears, in which the invoicing plan types predefined in Customizing are suggested. Choose the desired invoicing plan type and click  Continue.
    You can use the following invoicing plan types:
    ○     Periodic Invoicing Plan
    ■      You use the periodic invoicing plan if the total value of the PO item is to be invoiced in each period.
    ■      The system creates the invoicing dates automatically on the basis of the settings in Customizing.
    ■      The invoicing date and the amount to be invoiced are shown for each settlement period (e.g. month). In the case of the periodic invoicing plan, the amount represents the total value of the PO item.
    ■      You can change the suggested dates and block individual dates for automatic invoicing if necessary.
    ■      You can enter the start and end dates for the invoicing plan.
    ■      With the Dates from and Dates to fields, you can determine that an invoicing plan does not contain invoicing dates extending over the entire validity period of the purchase order but only for a certain period within that validity period. (E.g. within a validity period from 1.1. to 12.31, only dates within the period 1.1. to 06.30.)
    ■      With the Horizon field, you control how far into the future dates can be created. If you enter a date rule that adds six months to the current date here, invoicing dates will be created for just half a year in advance in each case.
    The system automatically creates new dates if you change the invoicing plan or when you invoke the transaction for Updating Periodic Invoicing Plans. See Generating Further Invoicing Plan Dates
    ■      The In Advance indicator allows you to specify whether the invoice is to be created with regard to a prior or subsequent period. (E.g. at the beginning of February, either in advance for the month of February or in arrears for the month of January).
    ■      In addition, fields with information on the existing invoicing plan are displayed (e.g. the calendar upon which the date determination process is based).
    ○     Partial Invoicing Plan
    ■      You use the partial invoicing plan if the total value of the PO item is to be invoiced in several partial amounts.
    ■      You get an empty date overview in which you can manually enter the desired dates.
    ■      If you work with a reference invoicing plan, the system automatically generates dates in accordance with the reference plan.
    You have the following options:
    ●      You create a reference invoicing plan in Customizing for the invoicing plan type.
    ●      You enter an existing invoicing plan as reference plan directly in the invoicing plan for the PO item.
    ■      You can flag a date in field B (Billing/Invoicing Rule) as follows:
    ●      As a down payment (percentage or value)
    ●      As an invoicing date (percentage or value)
    ●      As a final invoice
           6.      Click  to return to the item overview.
           7.      Click  to save the purchase order item with the invoicing plan.
    You can then start the automatic invoice creation process during invoice verification.
    For more information, refer to the section Settlement of Amounts Due Under Invoicing Plans.
    Once assigned to an item, the invoicing plan type (e.g. partial invoicing plan) cannot be changed. If you wish to assign a different invoicing plan type, you must delete the item and create a new one.
    Generating Further Invoicing Plan Dates  
    If you have assigned a periodic invoicing plan to a PO item but have not initially defined invoicing dates covering the entire validity period of the purchase order, you can generate further dates in due course.
    You have created a PO item with a periodic invoicing plan for a certain planned procurement. The purchase order is valid from 1.1. to 12.31. When creating the invoicing plan, you specified one invoicing date per month for the first half of the year. You have not yet planned any dates for the second half of the year because you do not wish information from the invoicing plan to be passed on to purchase order commitments at this stage, for example.
    By mid-June, it is clear that the PO is to proceed as envisaged, and you therefore wish to schedule invoicing dates for the remainder of its validity period.
    Procedure
    To schedule further invoicing dates, proceed as follows:
    Choose Purchase order ® Follow-on functions ® Period. invoicing plan
    Specify the purchase orders for which invoicing dates are to be generated in the invoicing plan and perform the function.
    A log can be created if desired.
    Result
    The system adds further dates on the basis of information such as the validity period or horizon from Customizing, the purchase order, and the invoicing plan.

  • Invoice Planning FPLT table

    Hi Friends
    We are planning to use invoice planning functionality. I have set up everything for invoice plan and able to generete invoice through MRIS . Once invoice are created the invoice status in invoice plan(FPLT-FKSAF) tab of the purchase order refelects completed(C)  but if i look at the table FPLT it shows A ( Not yet processed ) . I am querying FPLT table for an report
    Can you please advice me why there is inconsistency in the  table data ?

    Please check notes:
       456398     Invoicing plan: Status 'C' for not settled date
       175516     Update of database table FPLT
    The system determinates the state of an line item of an invoicing plan
    dynamically when you process the plan over a transaction (for example
    ME21N, MRIS).
    When you use the invoicing plan, the values are determined dynamically
    from the purchase order history. Database table FPLT is not updated. As
    a consequence, different entries can occur in field FKSAF in table FPLT
    and in the purchase order. The content of this field is only filled by
    chance in the database table depending on the transaction/event from
    which the invoicing plan is stored (changing, creating ...)
    The consequence of that behaviour is that you cannot use the field
    billing status (FPLT-FKSAF) for other reporting and analysis function.

  • Not working Billing Block functionality for Invoicing Plan

    Hi Experts,
    I am using Invoicing plan functionality to purchase materials by using Milestones from Network of Project System. The system is allowing to post Vendor Invoice (MIRO) without removing of Billing Block of Invoicing Plan from PO and the system should give error message because of non removal of Billing block.
    The following configuration was done in Invoicing Plan of PS.
    1. Assigned Date Category to Invoicing Plan Type (30)
    2. Assignment of Invoicing Plan Type to Network Profile
    The following configuration was done in Invoicing Plan of MM.
    1. Assigned default date category to Partial Invoicing Plan type
    2. Maintained Date category to Invoicing Plan type
    3. Assigned Date proposal category to Invoicing Plan Type
    4. Maintained Date Proposal to Invoicing Plan Type
    What are the changes needs to do in configuration or transaction to prevent to post vendor Invoice because of nonremoval of Billing block from Invoicing Plan?
    Please give me the solution.

    Hi Rao
    You need to have the invoicing plan done in Project System (PS) under the project with Milestones and save the plan. On dong this, the system would generate a 'Reference Number'. This can be seen when you again go to the invoicing plan.
    Use this reference number in the MM invoicing plan to link the PS & MM plans. This would create a block automatically in MM which can be lifted only on confirmation of the appropriate Milestone in PS.

  • Price Change in Framework Order for services, with Invoicing Plan

    Hi All,
    I create a F.O for a single item with Acct assignment"K" and Item Cat"D". The FO has two service masters with a common cost centre, with different tax codes. E.g.One with N2(19%) and the other with V0(0%). This FO is created with a periodic Invoicing plan.
    When I run MRIS for the first month, the invoice is posted with the correct values.For the second month when I change the prices randomly for the services at the service level, the invoice is posted with wrong values.
    But when I change the prices proportionately,e.g. for Serv1. from 100 to 200,300,400.. and for Serv.2. from 10 to 20,30,40.. respectively, the Invoices are calculated correctly.
    Could you please reply the reason for such a system behaviour and also the possible solution or the OSS notes for this issue. I am working in version 4.7.

    Hi Steve,
    1) The invoice is calculated at a random value and I couldn't make out the proportions.
    2) Yes, the invoicing plan is Periodic with the Invoicing date as the last day of the month.The order is valid for 2 years(01.01.2007 TO 31.12.2009) and therefore in the invoicing plan of the PO, there will be invoices till 31.12.2009 with the Invoice Block. At the end of everymonth, the block will be removed for processing the Invoice(MRIS).During this time, if there is any change in the prices, we can change it and remove the Invoice Block and save the PO. Here when we change the prices randomly and execute the MRIS, it is throwing wrong values(i.e.the tax calculated is wrong)

  • MRIS- invoice plan settlement error

    I have created invoice plan using the standard SAP supplied periodic invoicing plan. When I go to tx MRIS and enter  Co code, plant, vendor, purch doc and then in document selection 3( I have tried 1, 2 and 3) but I get an error " no document selected" I also have created output for Invoice with co code combination
    What am I missing? Need help

    Hi,
    If you are not going to send the payments automaticaly via ERS, then you must post the invoices normally via MIRO with reference to that PO. the system will then check the value and the dates on the invoice plan to see if the invoice should be cleared for payment or blocked.
    MRIS is only used if you want to settle the payments without entering an invoice (i.e. automatically as the oayment dates fall due)

    In RMS13.1.1, during creation of an item without any demo data, and entering all the required inputs on the item master & itemsupp form. When we click on “Retail by Zone” the following error message got displayed “Exchange rates does not exist” on the Item Retail Price by Zone window form.

    What you can do is open the Form's fmb code in Forms Developer IDE, or switch on session level or database level SQL_TRACE to see the SQL statements that the Form is firing to the database. (Find the tracefile in the udump folder). Replaying the SQL statements from the SQL trace file in e.g. SQL*Developer may lead to a cursor or block that e.g. does not return any rows. You may need to replace bind variables' placeholders (:a1 etc.) found in the trace file with the relevant business values for your items, zones, etc.

  • Release Strategy Problem with Invoicing Plan

    Hi ,
    I am using Invoicing Plan for my framework orders at client side.But the release is getting activated at line item level and not at the total invoice level while i am creating a PO.
    Eg. If the PO total value is 1000 Rs and the individal line item is 500 Rs then release is getting activated at 500 Rs and Not at 1000 Rs where as i want the release to be get activated at 1000 Rs.That is the total of all line items in PO.

  • Auto unblock/release of Invoice for framework rder

    Hi All,
    I've a scenario in which the FO (Frame work) order has been created for limit of 500$,
    And invoice is posted for 700$, it is obvious that under tolerance key (Order price unit variance- IR before GR) it will block the invoice, and has to be released in MRBR,
    Let say if I increase the FO limit now to 1000$, will it going to be released automatically? from MRBR.
    or still ineed to release it manually,
    If it can be released manually kindly let me know the steps to follow...

    It can be auto released only in the following case:
    Original PO - 500$
    When you have the IR for 1000$..
    case 1:
    You make the changes in the PO and give price as 1000$...
    Or...
    Case 2.. make the subsequent credit in the mean time for 500$..
    So after this when you visit the MRBR tcode, system will auto release it...and the reasons becomes invalid over a time period...

  • Milestone Invoicing Plan Issue

    Hi All,
    We have successfully  configured Milestone Invoicing Plan Scenario, but are facing one issue. We were successfully able to transfer PS invoicing plan to PO. After milestone is confirmed when we go to check PO in DISPLAY mode, block is still there. If we just switch to CHANGE mode in PO without doing anything else, the block disappears. Hence the functionality appears to be working but we have to switch to change mode and save PO once.Please let us know if anyone faced this issue earlier and what was the resolution.

  • ISU-Installment Plan item in Invoice

    Hi,
    We are rolling out installment plan and were able to create the standard installment plan.
    The present Invoice has 3 heads i.e. 1)Current month amount, 2) Outstanding and Net Amount Due (Total of 1& 2)
    The business requirement is to add the installment plan items into this, i.e. 1) Current month amount, 2) Outstanding, 3) Installment plan item and Net Amount Due (Total of 1,2& 3)
    The dates of installment plan (say 3rd Aug) and Invoice due date (Say 30th Aug) will always be varied.
    Is there any way to add the installment plan item into the Net Amount Due
    Additional info:
    -Invoicing is always monthly
    -There is no Charges/interest/taxes involved
    -Its ok if the customer pays on 30th for Installment item due on 3rd (again since Charges/interest/taxes are not involved)
    -The customer can pay only the Invoice Net amount due (no option to edit this amount when he pays) which is driving this requirement.

    Hello,
    Installment plans are treated as short plans where in which the overdue outstanding amount is divided into 'N of items thus reducing the burden of the customer. Say if you have £100 Inv. You have agreed to collect the amount in 2 installments. You create Inst plan for £50 each using FPR1.
    Now if the customer is on Direct Debit, the above amount would be collected  when you run the Payment run using FPY1, Generate DME file and send to bank.

    Hi Experts,
    Could you please help to me regarding this issue.
    I need to change  End date of billing plan/invoice plan  in sales order item  of  "billing plan" Tab.( FPLA-ERDAT) for all line items. It is not a one sales order,more than 1000 sales orders.
    How can i change those end date of billing plan for all line litems and all sales orders ( i have input file with sales orders, items, dates.)

  • Billing Plan items invoicing full Net Value

    Milestone Bill Plan with 3 different billing dates and amounts (totalling the full net value)
    Example info:
    Sales Order Total Net Value = $100
    Bill Plan dates / Amounts
    07/11/2007    $20
    08/11/2007    $50
    09/11/2007    $30
    When I run VF04 and look at any of the individual Billing documents, each one of them is for the full $100 amount. Each one should be for the respective amount ($20, $50, $30 respectively)
    Any ideas what config I am missing here ?
