Automate Clear and Lock Data

Hi,
we have 2 process:
- a manual Clear Data process that runs on 3rd working day of every month at 7am;
- a manual process to lock all entities after consolidation at the end of the month.
what's the best way to make both automatic?
It's possible with Taskflows, Rules Functions, Calculation Manager or ODI process?

Automated Locks are dangerous from what I've seen. Simply because there's always the possibility of someone running a consolidation late in the month(somehow Managment always needs to book one last entry). A lock and consolidation running at the same time can produce some weird results.
From the sounds of what you're describing, couldn't you just load the SAP data on a replace? Is there really a need to Clear it before you Load? The only situation I can come up with where there would be a difference would be if you hit entities on day 1 that you didn't hit on day 2, but that seems rare and unusual.
On a seperate note regarding the loading of NoData, are you guys saying you can use a .dat file to load a NODATA value? I've never tried it(might have to later) but that seems interesting.

    I have some difficulties to customize STS and to lock data with the “Approve” status:
    With a bottom-up organization, a low level (User A) sends for approval to his superior (User B), then the superior approves. Then the data are normally locked for User A.
    But User A has always the possibility to click on the button “Open planning” and key-in/save data on the input form. And I don’t understand what is wrong.
    I hope my explanation is clear and sufficient.

    According the OSS note, my user has only the authorization R_STS_PT and it’s a bottom-up session. But I must use Header selections for the planning session? I have done some tests with this option and it wasn’t conclusive. At this moment I have no restriction/value in the option Define Header Chars for planning session.
    And I don’t understand the sdn topic link. There is no relation with my problem?

  • Automatic clearing and manual clearing

                I have created incoming invoice through SD. Then i did incoming payment through F-28. Even though customer was not cleared.  after doing F-13 Customer has been cleared. How can we know whether there is need to run f-13?? In some company codes there is need and some company codes no need.Is there any config setting for this ? if so where is it?

    In OB74 you are specifying the rules for Automatic clearing. so when you do automatic clearing in f.13 for a customer SAP system will check the criteria 1 you mentioned in the rules. Only the documents which match the criteria are selected for clearing. Suppose if there is no document satisfying criteria 1 then system checks Criteria 2 you mentioned in OB74 for Customer documents.
    Criteria or the rule that you specified is matched against the customer documents.
    U mentioned that some invoices are not clearing. this may  be because criteria you have specified is "Assignment". If there is no common data in the assignment field between documents then those documents will not be cleared.
    For example in Assignment filed if you specify for one document "1000" and if there is no other document with the same assignment field then your document will not be cleared.

    if it's not there, please consider it in next beta or official build. I always use that settings feature in pc web browsers. it's a little bit pain everytime i ended browsing, i must go through setting and manually clear the data. heheh. thank you.

    instead of just removing the whole history like private browsing do, i just want to remove browsing/download history and form&search. i didn't want to remove cookies and active logins, heheh. thank you

  • Automatic clearing and post the difference

    Hello,
    I want to clear debit and credit line items of an account with same value in their assignment field, and then post the difference amount (there is no limit to the difference) to another account.
    How to achieve this?

    Hi Balla
    if you want to clear vendor account then go to the transaction code F-44 select the vendor account number-activate line item which you want you to clear- if you find any difference then you can- press charge off and transfer this amount to the desired GL account- simulate-save.
    if you want to clear the GL account- go to F-03 and do the same steps.

  • Approve data and lock data

    Hello all
    I have two units in a project that are taking part in the planning scenario.
    The first unit enters the data, and the second checks the data.
    I want that after thr first unit enters the data, and saves it, it cannot change it until the second unit approve the data.
    I dont want to use the STS application.
    Can anyone give me a tip how to do it?

    Hi,
    Depends on how you decide to store this status (which will  just be an indicator). Lets say it is a masterdata table where you keep an attribute called status. When the first unit presses submit, change this indicator to some predefined value, say '1'. The fox should run each time they try to save data and it should reach the proper status and throw an error if the status is '1'. The same record can be modified using a function by the second unit as required.

  • Error when using automatic clearing (F.13)with foreign currency valuation.

    below is our problem, please suggest us a solution
    We are experiencing a problem when running the automatic clearing in SAP. Somehow, the system seems to clear (with no reason) open items created with the revaluation of foreign currency.
    Let's say that we run the valuation of open items in foreign currency for December 31, and we run the program to post the reverse entry as of  January 1 of the next year. As a result of this valuation, the system calculates a loss of 10 euros. Therefore, it posts a document with a debit entry of 10 into the Loss account, and a credit of 10 in to account where the valuation was carried out. This document has a posting date of December 31. The batch program also creates the reversing entry, this time a credit entry into the Loss account, and a debit into the original account.
    If now, we try to run the automatic clearing (F,13) on December 31 for those accounts, the system will create (automatically) a document on December 31, similar to the reversing entry that the valuation created, clearing at the same time, the first document that the valuation originally created.
    The final result then is that the valuation makes a posting, and we end up having two reversing entries. Does it make sense?
    In our scenario in the system P70, for MX10, we have a foreign currency valuation run on December 31st, which posted the document numbers:
    1)  5100004579/2008, for a total of  0 euros, and 240,483.17 MXN. Credit to account 11081108 Finavigate cash receipt bank collect.CMG MXN.Debit to account 18601000 Losses f.foreign curr.valuation on financial trans
    2) In the same batch, the system also books a reversing entry (doc 5100000042/2009) with posting date 01.01.2009 with exactly the same opposite entries as in the previous document.
    3) After this, we run the automatic clearing with posting date 31.12.2008, and now, the system creates automatically the document 5000003236/2008, which clear the original document, 5100004579.
    The final result, as you can see, it's out of balance, there is an additional document that we need to reverse.

    To my knowledge you get do two things:
    1. In F.13 transaction don't include both the GL accounts where the Dr. and Cr. posting from the valuation run have taken place. With this the system won't find the matching entry.
    2. If you want to use all the GL accounts in F.13, then check the clearing procedure configuration and make suitable changes.
    With the info provided, this is the only thing I can suggest.

  • Automatic clearing not happening while doing invoice cancellation

    Hi All,
    When I reverse a billing document [normal invoice], the accounting document which gets generated is not getting cleared with the previous accounting document. The accounting document type in both original and reversal is u2018DDu2019. I have also checked the reversing document type settings in OBA7.
    The above scenario is working fine with one company code [ABC], but with other company code [XYZ] the auto-clearing of accounting documents is not happening. The sales document types in both the cases are same.
    On further analysis, I found that the reversal accounting document is having posting key 11(credit memo) instead of 12(Reverse invoice), but in other company code[ABC] the posting key is appearing correctly in the reversal accounting document i.e. posting key as 12.
    Can you please confirm if this happening due to incorrect posting key? Also kindly suggest how this can be corrected?

    Diagnosis
        The system cannot clear billing documents and cancellation documents
        because, for example individual item updating is deactivated.
    System Response
        The billing document can be created.
    Procedure
        The FI documents are cleared manually
    of curse, this message only occurs in company 1500, and in the other company 2000, the reverse billing can automatic clearing,  and have nothing message occurs.

  • Recipts with Clearance method by Automatic clearing are not cleared

    Hi,
    I have a receipt class with a clearance method 'By Automatic Clearing' and have the 'Clearing days' in the Remitance bank set to '1' day. When the receipts are remitted I am expecting them to be auto cleared after 1 day. But the receipts remain in the Remitted status. The receipts are getting clear only when i run the 'Automatic Clearing program' manually. Is this an expected functionality or am I missing any setups. Would appriciate a quick response.

  • Payment via FPY1 and  a lock for automatic clearing

    I would like to lock a debit item for automatic clearing but let it be paid via FPY1.
    When trying to lock it using the posting lock it can't be paid via FPY1.

    CA/A/r a/p--basic function--open item management --clearing control--define specification for clearing types --define defaults for account maintenance
    click on the clearing type (03,04) and go to selection criteria define  for clearing category and the concerned main/sub , tick the NC column , this will exclude the particular main sub from clearing .
                                                               similarly for  account  maintenance during invoicing go to
    sap utilities --- invoicing ---invoice processing --item selection in invoicing --item selection in account maintenance for the clearing type , click on item selection for account maintenance , for the main/sub, mark OISEL ="9" 

  • Text symbol for automatic insertion of file and page data

    In Visio I have a footer on my wireframe pages that includes text symbols referencing data about the file (document name, last edited) and also the number of the page. These symbols automatically update as the data changes. I can do something similar in InDesign and Word.
    I cannot seem to find a way to do this in Fireworks. Perhaps I just don't know what the feature is called?

    Apologies, but you weren't particularly clear on the problems you were having in your prior post, so I was just making sure you actually found the shapes.
    You didn't ask about customizing the shapes either. If you had, we might have been able to save you the time. Auto shapes have very specific editable on-canvas features. The rest is controlled under the hood by JavaScript. It's quite likely that - had you opened the JS file - you could have made some of those edits. That's the cool thing about these shapes. You CAN change things.
    I don't pretend to be a JS guru, but when I opened the JSF file, I was able to find the variables for changing font color, size, fill color and whether the text automatically expands to fill the box, in few minutes.
    On the canvas, I can use the Subselection tool to change the width of the box and its fill, as well as the size of the text block.  I can use the customize command for the shape itself to place each piece of information on a separate line.Will you get a warning message when you resize the rectangle? Yes, because you are altering the base parameters of an object controlled by JS. Does it have a negative impact on  the shape? No.
    As for autonumbering of Pages, I isaid that this is an automatic feature in FW. You have no control over it in the current version and as I said, I do not beleive the numbering is carried over to a PDF. Beside each page name you will see a 2 digit number - that is what I was referring to.
    If you do not manually name your pages, FW will also name them onthe sequence in which they were created, Page 1, Page 2 etc. FW will NOT change that name if you change the order of the pages; it sill only update the sequence number.
    As you said yourself, you are new to Fireworks. Don't throw in the towel because of one negative experience, which could have been resolved with more knowledge of the software, or additional questions in the forum. And remember that Fireworks is not just a wireframing tool; it is also a design tool.

  • Payment terms and Due date field gets emptied after residual clearing

    There is advance of Rs.50000 in Vendor ledger and Invoice of Rs.200000 (with payment term - G019)
    I cleared these two line items (residual clearing). One new line item got created of Rs.150000. When i saw that line item, i saw that there payment term field and due date field got emptied. My requirement is that the original payment term entered in initial invoice document (of Rs.200000) should automatically get populated in new line item of Rs.150000.
    How to fulfill this requirement?

    I wanted to ask one more thing. Same way when i do partial clearing (not residual), is it possible to populate the invoice's due date in advance line item. One link is that my invoice reference gets populated advance line item. So i want due date (not payment term) also to get populated in advance line item.

  • Reference document no and automatic clearing

    Dear All,
    The desired clearing variant of my client is Current invoice + FIFO
    So lets say i have 3 open invoices in customers account as follows :
    Due date 22 June 2010 Amount 1000
    Due date 22 July 2010 Amount 2000
    Due date 22 August 2010 Amount 1500
    Then a payment of 2000 should clear the 22 Aug invoice by 1500 and 500 of the 22 June invoice
    To achieve this My client is invoicing customers with the billing document number as the 'reference document' no. When we recieve payments(from check lot) the payments have the reference document no of the invoice against which the payment was made(which is usually the current invoice). When payments are processed   by payment lot, it clears the current invoice since it finds a matching ref doc. However, it posts a credit open for the remaining amount(500 in this case) since the ref doc of payment is different from the ref doc of any open item left. Can we prevent this? Can the system ignore the ref doc and clear items as per the clearing variant?
    One solution was to use automatic clearing to clear remaining amount. However, one big problem with automatic clearing is that if you group open items by any characteristic then clearing variant treats the credit open as a separate group. So it makes different groups of credit open and of open invoices and since it cant find both of these in any single group therefore no clearing takes place.
    If this question seems too complicated then please feel free to ask details. Your help would be highly appreciated

    Thanks for your reponses.
    Now the problem is that if i put reference number in the payment then payment lot would only select those open item for clearing which have the same ref doc as the payment. So what will happen is that it will only clear the current invoice. It DOES NOT go to step 2 of clearing variant. It simply leaves a credit open.
    What i would like is that the clearing variant goes to step 2 and clears items on a due date basis even if the ref doc of these open invoices do not match the ref doc of the payment
