Avoid email on task assignment

I do NOT want an email to be sent when a task is created and assigned. Is it possible to do so from SPD using 2013 WFM?

According to your post, my understanding is that you wanted to avoid email on task assignment
It is impossible to prevent sending email on task assignment.
By design in SharePoint, when you create a task in the workflow, it wll send an email to the Assigned To.

  • Task Assignment to Ggroup - Group Members Not Getting Email

    I have a process with an approval activity with initial user selection set to a group rather than a specific user. I want all selected users to receive an email notification that a new task awaits them. When I assign to a specific user, the custom email template is sent to the user. When I assign to a group, the group members don't get the task assignment email.
    How do I change that so that group members will receive email notification of task assignment?

    One possible solution:
    You can use our Group Lookup component to get a comma-separated list of the emails of the members of the group. Then, in the step before the User>assignTask step, send the group an email. The only problem is that you won't be able to embed a link directly to the task, because the task doesn't exist yet.

  • Reminder email notification and task assignment notification from humantask

    Hi All ,
    We have developed a 3 level approval SOA composite which sends the 1st level approval to a Manager and once Manager approves the request, the approval task is assigned to a 2nd level approver role(Group) for approval and after the approval from 2nd level approver group , the approval task is assigned to a 3rd level approver group .
    After the request is submitted and the task is assigned to Manager for approval. Manager receives a task assignment notification (defined in the notification tab of the .task) and a reminder notification is fired after X hours of the task assignment. The issue is, the assignment notification and reminder notification are same, is it possible to send different notification on task assignment and a different notification on reminder.

    The default email solutions in planning are using workflow or task lists, though the task lists are based on due dates.
    If you wanted a solution where an email is sent out when a task list is complete, then one route could be to have a business rule attached to a task list and then the business rule uses a custom CDF to send out email notication.
    If you are interested in sending emails from business rules then I did write a blog on the subject a while back.

    Can any ways I can accumulate all the 10 tasks assigned to user xyz,
    and send him 1 email containing all tasks info to the users.
    2nd- Can I send a email to every users- with their Pending tasks of last week-in 1 email.

    I would first decide if that is worthwhile. My experience is that very quickly canned emails like that get treated as spam and sent straight to the bin.
    It is useful info, but when thrown at people, it is rarely received well!

    Hi Ratan,
    It is not clear from your question whether you are trying to trigger the email notification for the task or the lead, but it doesn't matter. You'll need to write a WF for the Lead/Task and trigger it when a new record is created and then in actions select the email notification.

  • Claim Task: User claiming the task gets an email that task was claimed

    When a user claims a task from the group queue an email is sent that the task was claimed to the user that claimed the task...
    This notification is only nessecary when a task if forwarded by a collegaue. The person that gets the task then knows he personally should take action.
    In AdminUI the group task assignment notification setting is switched off as we use a generic email process to inform all group members about a new task. The regular Task Assignment notifiction is switched on and in the Workbench we configured the component to use a custom email template that contains more process variables than those that are availble in the AdminUI.
    I want to get rid of the email that is sent to the user informing that the task was claimed when the user was the one that claimed the task themselves.
    Any sugesstions?

  • Approval Workflow Task assigned behaviour

    I have a strange issue that has started recently. On a approval workflow, if the users do not add anyone to the cc line on the task assignment, there is only one email generated to notify the recipient of the task . However, if they put someone on the
    cc line as well, a email will get generated for each person on the cc list that will also include all the other recipients. So there are 3-4 emails being generated.  What could cause this and how can I fix it?

    Let verify the following:
    Whether you mean that when you add people to the cc line, several emails will be sent to the same recipient. if it is, perhaps your cc object 
    is a group contains the recipient.
    Whether your approval workflow created with SharePoint Designer 2010 platform. Maybe
    the following checkbox is enabled "For each group entered, assign a task to every member of that group" in the workflow.

  • Task assignment adapter - dynamic route to either group or user

    I have configured an approval process in design console and I want to be able to dynamically route the approval request to either the target user manager OR a group. I have written logic/code to automatically determine what group or user to route the request to and also to set the key type to either user or group depending on my logic conditions.
    This code is executed in a task assignment adapter and set the values for the key type and key depending on the logic.
    i.e. the key type would be "user" and key would be the user key for the target user manager, if my logic determines it should be routed to a manager
    OR
    the key type would be "group" and key would be the group key for the approval group, if my logic determines it should be routed to a group
    HOWEVER MY PROBLEM is with assigning the adapter to a process task. I am thinking I would need to have two entries in the Assignment tab of the process task. The first entry has the default rule and I assigned the target type to "group" and include my adapter here.
    How do I go about assigning the second entry for target type "user"? Since "Default" is the only rule option and I am not able to use it twice.
    I tried to create a rule in the Rule Definition form and create a Task Assignment rule that might do something to check if a task is assigned to "user", so that I can have this as my second rule in the Assignment tab of the process task and if it is true, it would call my adapter that would return the key for the target user's manager.
    I DO NOT KNOW what conditions to set in the Rule Element window for the Task Assignment rule. Can someone tell me what to do here OR provide me with a better alternative.

    I have a follow-up question though........ I created a process adapter to send notifications to either the target user manager or members of the group that is the approval is routed to.
    I have a notification process task as part of my approval process and in its Integration tab, I added my process adapter that sends notifications.
    The code for the adapter uses the same logic I described in my original question to determine if the approval is being routed to a user of group. If it is routed to a group, the notification adapter identifies members of the group and sends email to them, this part works fine.
    However the problem is when the logic determines it should be routed to the target user's manager. One of the variables of this notification process adapter is username of the target user. Using that username, my code determines who the manager, gets the manager's email address and sends the email. Problem with this is that when mapping variables for process adapters in the Integration tab, in the Map To field, it does not give you the option of mapping to Request Target User, which would have provided me with user attributes of the target user such as the user name. It provides option for the Requester, but my reality is that the Requester is not always the Target User.
    Any suggestions for fixing this would be greatly appreciated.

  • Task Assignment Notifications

    I have a LiveCycle implementation which currently hosts one workflow. We have the "Send an email to the user for new task assignments" check box selected and have specified an email subject and message within the "Task Assignments" section of the "Email Settings" within the LiveCycle administrator. The problem is that now we wish to add another workflow which would require a different email notification on task assignment. My question is how we can make the task assignment notifications process specific? Unfortunately I don't see any property in the Assign Task workflow item in which I can specifiy a notification message - so I appear to only have this one system wide notification message which, as I mentioned above, has already been tailored for one workflow.

    In Livecycle ES, the product only provides standard e-mail message templates that can be configured using the LiveCycle Admin Console
    for task assignment and reminders.
    In LiveCycle ES Update 1, we have provided the ability to configure these messages on a task/process basis.
    I presume you are still running LiveCycle ES and hence you will need to upgrade to LiveCycle ES Update 1 for this functionality. There are work-arounds in LiveCycle ES leveraging task assignment events however this would require some customization.

  • Is this normal? "There are currently no approval tasks assigned to you."

    Our site owners encounter the following situation:
     - We are using sites based on "Publishing site with workflow" template.
     - We have used Owners (Permission Level=Full Control) for site managers  and Visitors (Permission Level=Read) for everyone on domain. We also did not add usernames directly, but instead used an AD group (which was added to the SharePoint Owners group).
     - There is currently no users in Approvers (Permission Level=Approve) group.
    In this situation when someone from Owners grope creates a page and clicks Submit, he sees Approve and Reject buttons. However he is not able to Approve either Reject and gets "There are currently no approval tasks assigned to you".
    I have added the AD group we have used for Owners to Approvers group, the site manages still were not able to Approve (with same error message).
    The situation finally got fixed after I have added a user directly with his username to the SP Approvers group. Adding any user directly with his/her username fixes this partially: then the task is indeed created, but someone from Owner group (that was not
    in Approvers group when task was created) still can not approve by clicking on Approve button, but he can take over the Task from Task List and then approve...
    To my knowledge all this happened because there was indeed no approval task created (that is what actually error indicates). But still I am little bit confused about 2 things:
     - Why someone with Full Control permission can not approve/reject a page (in the end that is just an item from the list with a workflow activated on it)
     - Why there were no task created (I would expect that if there is no one in Approvers group, the tasks would be created for other users with Approve permissions, for example through Full Control right; also situation when there was an AD group is strange,
    why not to create a task assigned to that AD group).
    Just wondering about other thoughts on this behaviour.

    Hi Tofig,
    As you rightly said, this behaviour is by design. 
    As far as I understand, the owners need not be given the approver permission considering them to be mostly from technical background.  They may not necessarily be good at content authoring and design and keeping them away from the approver group may
    avoid any language related goof-ups (punctuations, grammatical errors etc.)
    On the other hand, if they are good at content authoring, the site owners can be included in the Approver group, to avoid getting this message.  This message also goes away once any of the user under Approver group, approves the changes.

    No, you can filter tasks assign to group in which you belong to using Content Search Web Part. Because there is no Query variable for current user group in SharePoint 2013 Search Query. You can have a look at the article:

    You will need 2 workflows, for this to achieve, on tasks list.
    On item Created event only(WF1)
    On item Updated event only(WF2)
    At first create a list called “Task Tracking” with two columns (1.Title  
    and  2. Assigned To  Field )
    In WF1 just create an item in a list (Task Tracking) where
    Title:                              current item
     (tasks)  ->  ID
    Assigned To Field :     current item
     (tasks) -> Assigned to
    This stores task ID and person’s name to whom a task is assigned.
    In WF2 insert if condition (any value equals value)
    IF current item (tasks) -> assigned to not equals (task tracking -> Assigned To Field
    where title (task tracking) = current item (tasks) -> ID )
    Then send an email
    Then Update item in task tracking (Assigned To Field = current item (tasks) -> Assigned To
    where  title (task tracking)  = current item(tasks) -> ID ).
    Note: This step will store the new value of a user to whom the task is reassigned in “task tracking” list.
    Then Stop the workflow
    Else
    Stop the workflow

    I have found a hotfix against the same error messages, though it applies to Windows Vista and Windows Server 2008, I am not sure if it will work on your machine.

    I created a custom task list, where I  have many tasks assigned to users (I had tasks assigned to me as well). I created a view as "My tasks "and having a filter as Assigned To is equal to [Me]. When I do that my view fails to show the
    tasks assigned to me. This happens same with the Sharepoints 'My Tasks' view as well. I tested by creating some test tasks under my name and when I selected 'My Tasks' view no tasks are getting displayed.

    According to your post, my understanding is that you wanted to display the tasks assigned the current logged in user.
    In my environment, if I used the System Account, My Task view didn’t display any tasks.
    However , if I used other users except the System Account, My Task view could display current user tasks correctly.
    I recommend to use other accounts except System Account to log in site. Then everything will work well.

    I need help about notifications in tasks. There are some statuses in task(assigned,outcome updated etc.) but i can't see acquired or released states. These are covered in ASSIGNED state but always same mail goes when a task is assigned to a group and acquired by a user(this confuses customer). How can i manage these? Is there a way?
