Billing document question

Hi,
I have a billing question. Will item number (VBRP-POSNR) on the billing invoice have a different value than Reference item number (VBRP-VGPOS) ?

Nidhish,
It CAN be different. VBRP- VGPOS is basically the item number on the referenced document (delivery or invoice)- VBRP_ VGBEl.
In the copy control setting for your invoice document the "Copy item number" checkbox controls this behavior.

    In most scenarios yes.
    You create a billing document and it generates a invoice number. You can also say billing invoice number.
    Hope you are taking about the billing & invoice in your system. The invoice number in the bill from your vendor will not be found in VF03 in your system.

  • Issue in Transfer of Billing document to GTS

    Hi Experts,
    I have a question on the transfer of billing documents and the creation of customs declaration. All the documents are struck in the ECC queue and not transferred automatically to GTS system. The problem is that when I manually push them in SM58 it is procesing immediately but the program RSARFCEX is not picking the entries and posting them. Also there are lots of errored entried in the SM58 for this destination.

    This issue is resolved. This was due to the large error entries in the SM58 for the specific destination. We have reorganised the trfc queues and now it works perfectly.

  • Number Range (series) for Billing Document (F2) and Excise Invoice

    Hi All,
    I want to know how the number ranges / number series is defined for billing documents (F2) and excise invoice, for India business scenario.
    In India, the excise invoice is given to the customer so that he can the excise duty/ cenvat. This invoice acts as the Tax invoice (having all pricing elements apart from excise duty) against which customer outstanding is considered. That is, the payment due will be tracked against this Tax (excise) invoice.
    But in SAP, the accounts posting is done (customer a/c debited) when we creaate and post the billing document (type F2). Hence, the outstanding amount is tracked against the billing document created. This billing doc/invoice will have all the pricing components like price, discount, freight, etc apart from excise duty.
    The excise invoice is created separately....with ref to the above billing doc....for posting the excise duty.
    If the number ranges for billing document and excise invoice are different then it is difficult to trace the outstanding amount from a particular customer on the basis of excise invoice created in the system.
    Can somebody provide inputs/solution on this?

    My question is not how to define number range for billing doc and excise invoice? i mean what procedure / tcode to be used for the same?
    My question is whether we need to define same number range for Billing doc (F2) as well as Excise Invoice.
    For example: number range 1000 to 1999  --- same for F2 and excise invoice....
    Lets say billing doc 1000 is created. Further, when we create excise invoice w.r.t. this billing doc....the excise invoice created will also need to be 1000. ....so that we can identify that against this excise invoice, we need to collect the payment from customer.
    If the number ranges for billing doc and excise invoice are different, then it is difficult for the user to trace the outstanding payment .....because genarally the excise is treated as Tax invoice by companies in India ...(so that the customer can claim the excise duty....when he purchases the goods from the company).
    Whereas the customer account is hit when the billing doc is posted .....hence i feel, we need to keep the same number range for billing doc and exice invoice.
    Hope the question/scenario is clear now.
    I would appreciate the inputs on the above, from the consultants/experts who have worked on SAP implementation projects in India.

  • While releasing billing document to accounting getting error message

    Hi Friends,
    I have created new condition type -YES7 and assigned to pricing procedure YDE10K ,I am releasing billing document to accounting but while releasing to accounting document I am getting error messages as "Assign condition type YES7 in CO-PA"
    if i double cilck this messages I am getting below descriptions.
    Assign condition type YES7 in CO-PA
    Message no. KE 391
    Diagnosis
    The system tried to transfer billing data to Profitability Analysis. However, an error was found in the assignment of condition types to CO-PA value fields. No entry has been made in the assignment table for condition type YES7.
    System Response
    The billing data cannot be posted to CO-PA if there is no entry as this would lead to differences between CO-PA and Financial Accounting. This is because this condition type posts to a G/L account (S400160).
    Procedure
    In CO-PA Customizing, make an assignment for condition type YES7 in operating concern EU01 under "Actual postings -> SD interface -> Assign value fields".
    so please let me know how to rectify this issue.

  • Error while releasing billing document to accounting

    Hi,
    I have an issue in the Sales order cycle.
    I have created a sales order and completed all stages till the creation of a billing document. However when i try to release this document to accounting, it creates an error,
    "Incorrect doc.no.: 520000007. Select document number between 0090000044 and 0090999999".
    Kindly note that 520000007 is the billing document number.
    Please advise.

    Hi,
    I presume your billing document number range is defined between 0090000044 and 0090999999. You can check it via FBN1 transaction. You should either assign the right number or change the number range for the document type in question.

  • Incomplete Foreign Trade Data in Billing document....

    Experts,
    I am using a scenario which is order related billing and the item cat is TAP....while processing(Saving) the billing document I am getting an error nessage saying foreign trade data is incomplete.....I got couple of question regarding this...
    1)Since its a domestic sales where end customer belongs to the same country of the Company code why is it foreign trade data is required?
    2)Where the incompletion procedure is maintained?.....I have gone through VI29 & VI49 there are no entries exists.....
    3)what kind of solution is available for this scenario?.......

    1)Since its a domestic sales where end customer belongs to the same country of the Company code why is it foreign trade data is required?
    system will not check for the company code country instead it will check for the customer country & plant country. if it differs then only export data determination will come  into the picture. as you said its order related billing. check the copy control settings from order - billing.
    Determine export data.
    Note: check the address maintained in Plant.  Plant data may not changed when copying from other plant.
    2)Where the incompletion procedure is maintained?.....I have gone through VI29 & VI49 there are no entries exists.....
    this incompletion procedure generally assigned to country. as you are not dispatching . this doesnt have any impact.
    3)what kind of solution is available for this scenario?.......
    check for the default settings to determine export data, in case of export sales only . Tx:VI95.

  • Return Order creation referanace to billing document.

    Hi , Experts,
                   I have one issue regarding return process , Pls do the needful ASAP.
    My question : I have created one direct sales order , After thet i have created PGI & billing , But after created billing document , I want to take return taht goods, So i had created return for same sales order quantity, & also created credit memo. But my problem is, that system allow me futher create return sales order with referance to billing document no. At a return order creation time system only give warning message - (There are already returns for item 000010: 2 EA)
    & allow to save return document no. But i want to erroe message after take return all billing quantity. Can any body suggest me, what is the customizing require for this,

                     Here no any error message, My problem is that , why all line item comes in delivery, B'cause i had already deliver 5 line item out of 10 item, Here system take delivered line item with 0 quantity, I don't want that delivered  line item at a time in delivery,

  • Creation of DMR and CMR from the archived billing document in EHP3 system

    Hi all
    I read somewhere that one of the functionality in EHP3 is we can create sales document like debit memo request and credit memo request from the archived billing document. I am working on EHP3 system only but i am not able to create the sales document. the system throws an error that billing document doesnt exist
    If any one of you have worked on such functionality kindly suggest me why its not happening here also let me know Is ther any customization required for the execution of this functionality in spro.

    I suggest you open that question in an SD forum together with the support package you run and if you have an industry solution or any business function sets activated or not.

  • CRM 7.0 Billing Document from Sales Order - Direct Billing BP

    Hi Gurus
    I have configured the SAP CRM standalone system as per SAP CRM 7.0 Help on the topic of Sales Orders and Transaction related billing.
    Created a copy of Transaction TABO as my Sales Order Transaction
    Created a copy of Item Category TANB as my Sales Item Category
    Set-up Item Category Determination based on my new Trans Type & Item Category
    Defined a Billing Unit
    In Billing defined "Transaction Related Billing After Completion" with CRM Billing for Billing Relevance
    In Billing used the F2 Invoice Billing Type
    In Billing Created a copy of TAN "Standard Item" as my Billing Item Category
    In Billing linked the New Trans Type, Item Cat & Billing Item Cat together
    Created my Product with relevant Pricing Conditions
    For my BP for the Sales Order to be created against checked the "Direct Billing" Checkbox in Tx BP in Sales Area Data
    When I create a Sales Order in the Web UI i select my BP.
    At item level I select my Product and the Quantity 1.
    I save the Transaction...No Billing Document created
    I set the Transaction Status  to "In Progress" and save ...No Billing Document created
    I set the Transaction Status  to "Completed" and save ...No Billing Document created
    When I try to create a Billing Document as a follow-up Transaction I get the following error.
    Diagnosis
    No billing document could be created for one or more of the following reasons:
    The order has an error.
    The order items are not relevant for billing.
    Delivery-related billing is required for the order items, and a delivery has not yet taken place.
    The order has been rejected, therefore, no items can be billed.
    The billing due list item for the order is blocked or incomplete.
    I suspect the Order Items are not relevant for Billing.
    How do I resolve this.

  • Billing Document is Created with reference to Cancelled Sales Document

    Hi Experts!!
    Please Help me.. I'm so confused why does the system allows creation of billing document with reference to a cancelled sales document.
    Settings:
    We use document type (ZRAS-Repairs/Service) for service order and use billing document (ZFR-Invoice Repair).
    I have already assigned reason for rejection for each line item, but still I can create billing document with reference to that SO.

    Go to OVAG, this is where we maintain reasons for rejection
    IMG > Sales & Distribution > Sales > Sales Documents > Sales Document Item > Define Reasons for Rejection
    Select your reason for rejection and put a check under the column "BIC", this means that your items will not be relevant for billing..

  • SD billing document (transfer between plants) error in document splitting

    Dear Gurus.
    I have the following scenario.
    New GL activated
    Zero balance on Profit Center.
    SD billing document is created after the shipping of material (internal transfer) between 2 plants belonging to the same company code.
    I have several user exits activated and they are not well documented if activated.
    Case1.
    The billing document is usually created with materials populated with the same Profit Center.
    In Tr VF01/VF02 the function: Release for Accounting is executed and no accounting document is created (OK cause they belong to the same company code), this function is just closing the cycle of the billing document to set the status as completed.
    Case2.
    Billing document containing several materials with more than one Profit Center
    During the execution of the function: Release for accounting the following error is gotten: Position 1 is not populated with Profit Center - apparently caused by the splitting rule - financial document creation -  the status of the billing document is not set to Completed, is kept as opened.
    As I commented In case 1 I do not have any accounting document (no error message)
    Doubt 1
    Is it possible that the splitting rule is being checked even though no accounting document is created (remember billing in a scenario of material transfer between plants belonging to the same company code)?
    Apparently in case 1 I do not have any error cause the splitting rule is deriving the profit center in a passive basis: Inheritance.
    In the other way, in case 2 the splitting rule is trying to derive the profit center in an active basis. In my configuration I actually do not have any configuration for the combination of transaction, variant, position to be derived, position basis.
    Doubt 2.
    Is this the standard behavior of SAP?
    Could this be caused by a user exit not identified?

    It would be possible, I suppose.  You could generate Idocs from the SD system (or an interface file) and import that info into the FICA system.  Of course the FICA system could not know about the sales order etc - so limited research abilities would exist. 
    For the second question, that would only function in a single system scenario, and yes the SD document flow would reflect its clearing status in FICA.

  • Billing Document Releasing Problem with COPA

    Hi,
    While releasing the billing document,it is not releasing to accounting and giving the below error log.
    Error Message number -KE/AD713
    Note:
    In the below error log it is saying that to activate the +/- sign in KE4I.But for some billing documents it didnot give any error like below.Why it is asking only for this billing document? Kindly help me.
    Diagnosis
        When condition "ZSCM" (application "V") was transferred to the value field "VV139" in operating concern "AFCO" in Profitability Analysis, the following became apparent:
    1.The condition can take both positive and negative   values
    2.The flag "Transfer values with +/- signs" has not be set in Customizing for value field assignment.
        Inconsistencies in the data could occur as a consequence.
    System Response
        It is not possible to post the document in Profitability Analysis.
    Procedure
        Set the flag "Transfer values with +/- signs" for the condition "ZSCM".
        You should set the flag "Transfer values with +/- signs"  selectively for individual conditions if:
    1.  The conditions can take both negative and positive values (for example, in the case of conditions that describe a transfer price surcharge or a loss deduction).
    2.  The conditions appear several times in a billing document and thus cause a debit posting as well as a credit posting (this is the case, for example, when creating or cancelling reserves).
    By activating the flag "Transfer values with +/- signs", you balance the positive and negative values in a
    condition. You can thereby guarantee that the sum of the negative and positive condition values is displayed as the correct total value in the value field assigned to the condition.
    Caution when in the production system!
        If you have already used condition "ZSCM" to post data in the production system, then the sign in
        Profitability Analysis may differ from the previous sign as a result of the flag "Transfer values with +/-
        signs" having been activated. See the F1 Help documentation on the field "Transfer values with +/-
        signs" or the OSS note 52849. If deviating signs occur, it makes sense to move condition "ZSCM" to a new value field! Contact your system adviser or SAP.

    The answer resides within your question itself.
    Where you have assigned your condition type in log i.e., ZSCM, make sure that you have ticked +/- tick
    IMG ==> Profitability Analysis ==> Flows of Actual Values ==> Transfer of Incoming Sales Orders
    Assign Value Fields
    Where you will find +/- check box. Make sure that you have checked the same.
    Note: That the indicator transfer +/- is not used to compare the different use of plus or minus signs between FI or SD and CO-PA. If you activate the indicator, only the positive and negative values for the condition in question will be balanced. This guarantees that the sum of the negative and positive condition values are displayed as a correct total value in the value field assigned to that condition.
    Tip: In order to perform transfer conditions from the billing documents the same definitions must be established for the vlaue fields in Profitability Analysis and both pricing and condition types must be defined in SD.
    Please also read SAP note 52849 in this regard.

  • Number Range-Billing document -Urgent

    Dear SAP Guru,
    Case1
    When I create credit or debit note (first I create credit/debit request then Credit/debit note) with reference to existing billing documents I do not see any error & getting correct number range for credit/debit note.
    Case 2
    But when I try create the credit & debit note with refernece to existing billing document & modify the incoterm in credit/debit memo request & then, when I try to create debit/ credit note & save the document system is not generating correct number range for credit/debit note.
    However the credit/debit note document type is same in both the cases 1 & 2
    I am not able to understand when I am changing the Incoterm only,  how this is effecting number range of document?
    How I can rectify this issue? Please help me.

    Just a thought: when you change the incoterms, maybe the system considers the docs in question as new CR/DR docs and hence assigning a different no. range? since I blv, the CR/DR have to be created with ref to the original invoice doc and changing incoterms might mean newly created documents? plz check..
