BP Information in a Mail Merge Spreadsheet Format

Hi Guys,
I need to run a report that I can export to excel that will allow me to export BP details (ie name and address) in a format that will allow me to mail merge the addresses into a Word Document for a mailing campaign.
I have looked through the standard B1 reports/queries and cant find anything there. As I am a little bit dumb regarding the query generator I would be very grateful if anyone has done this previously, if they could post the queries details.

Hi Sean,
You can achive it without using query, just follow the following steps.
Open Business Partenr master screen.
In find mode put * in code and click on find
then click on form setting
Select the fields you want to export to excel
click ok
again use find, you will find all the fields in find list, now use export to excel button

    I'm glad you got it to work. I did mention converting the top row to a header row. It's a common error & the solution isn't at all clear. Here's what I wrote some time ago:
    You need to designate a row as a header row in the Numbers table. Imported spreadsheets don't mark the first row as a header row. If the top row does contain the labels, hover the cursor over the row number, click the down-facing arrow that appears & choose convert to header row. If you don't have a row with labels to convert, add a header row using the Table menu or click the icon (middle icon) in the format bar then type in the labels.

  • Mail Merge for Word - Limitations?

    I have been searching for information on the Mail Merge for Word in the help files and tutorials. I am trying to verify the limitations, such as
    Can Lotus Notes be used to send the email? (I am 90% sure we have to use Outlook, however I would like to clarify)
    How many emails can you send?
    Are there any other limitations I should be aware of?

    I have confirmed on the Lotus Notes question.
    I installed the Mail Merge for Word Template on a machine that only had Lotus Notes as an email client. When I choose to send an email, it gave only the option to "Merge to Document".
    So The answer would be that Outlook is required to send emails with Mail Merge for Word.

    I've tried both creating the table using Thunderbird, as well as creating the table in Word first and the problem is the same. I've reinstalled and updated both the mail merge add on and Thunderbird.

    If you do not need all the excel specific items you can just write it to a spreadsheet using the write to spreadsheet file vi's.
    If you want to go the excel route you will have to use active x. you can see a lot of examples on the excel board under the breakpoint forum. please post a sample of how you want your data to look and I can maybe help explain what options you have. and also oyu do not necesarily need the report generation toolkit.

    For the mergefield number format, you could add a numeric picture switch to the field. To do this:
    • select the field;
    • press Shift-F9 to reveal the field coding. It should look something like {MERGEFIELD MyData};
    • edit the field so that you get {MERGEFIELD MyData \# 00','00','00','000};
    • position the cursor anywhere in this field and press F9 to update it;
    • run your mailmerge.
    Note: If you need to handle numbers that have only the 34,56,789 or the 56,789 or even just 789, you'll need to test the underlying values via an IF field and output the results with a different switch for each case.

    Thanks for your response. I do believe I have the information needed for each form on a separate line in Excel. There is a first name, middle name, last name, city, and zip column. And field is entered on a different line for all the information. I'm really stuck.

  • Mail merge using PDF file and Excel spreadsheet

    How do I mail merge an existing PDF file (the template) with a 50-record text file exported from Excel to create 50 PDFs? I am using Adobe Acrobat XI. I could not find anything under TOOLS | FORMS that would allow me to do a mail merge. I was able to import the text file but it only produced one record.
    Since this is a pre-designed legal document, I do not want to recreate the PDF file in MS Word, then perform the mail merge in Word to PDF.
    From my online research it seems I will be forced to purchase an Acrobat plugin to perform this simple task.
    Am I simply overlooking something?

  • How do you mail merge in the new pages?

    I have a pages document that I merge with an informational spreadsheet for real estate brochures in our office. However, I can't find a mail merge option anywhere in the newest version of pages. Does anyone know a way around this?

    Sadly, you can't.  One of many features removed.
    Apple is now directing users to still use Pages 4.3, which is in am iWork folder within your Applications folder.

  • Mail Merge goes wrong on multiple merge

    Hi all,
    I am using Adobe Acrobat Pro 9.1.0 and Office 2007.
    I have converted an existing pdf file into Word format and moved things around so that it resembles the original pdf, and then inserted fields to merge from an Excel file.
    Everything works perfectly if I just click on 'Create PDF' in the Acrobat ribbon menu.
    However, if I select Mail Merge in the Acrobat Ribbon, then it is shifting things around so that it is a mess. It is not only the merge fields that have shifted, but other parts of the information as well.
    I have attached the two examples with the Test being the straight-forward Create PDF and the Merge being the mail merge.
    Any ideas?

    Hi Gary,
    What's the data order in the source data? If it's in the first order you mentioned above, I think it will come out with that data order when you run a mail merge.
    We can only sort and filter the data with ascending and descending order, see:

    I'm working on a script that automates account creation and notification for our students. I've completed a significant chunk of the script and have it successfully creating AD accounts and e-mailing students their credentials to access our system from
    a batch job that runs nightly. I want to add an additional part that will create a document using a Microsoft word template that is associated with a CSV file that the script will be populating each day it runs. The goal is to create a mail merged PDF that
    I can give to our admissions folks that has all the pertinent information for students to login. They will put these documents in their admissions packets or hand them to new students so they can login to the student system. I think I'm almost there as
    I can get word to create a PDF of the template. The only problem is I have no idea how to get it to execute the mail merge so that the pdf contains the actual data I need it to. Currently all I end up with is an export of the template itself in PDF
    format.
    I'm sure the problem with this is that I'm having trouble calling the .net functions for Word via powershell. Online I see various documents on how to do this with vb.net however Powershell instructions seem to not exist. I'm sure the actions are quite similar
    but I need some help. Here is the section of the code I have currently:

    Not quite sure about that command line thing. I looked all through the support doc you posted and see nothing mentioning executing a mail merge via the command line. Is there something else i'm missing here? Can it be done with a macro?
    Like I posted.  As how to do a mail merge in the Word forum.  You can run a macro from the command line or you can trigger the merge from a startup macro.   The macros will reside in a template which will be specified on the command line
    alone with the new document name and location.
    You can create the macro in a minute with the macro recorder.

  • Mail merge

    I have created ( using Acrobat 9 pro extended) a pdf form that I can partially complete from data that I hold with the rest of the data being completed by the recipient as an interactive pdf form sent by email.
    I can pick up my data (Excel 2007 spreadsheet) using the mail merge in the create pdf forms in Word 2007, but all this does is create a series of pdf files and I don't fancy adding all the neccessary fields in excess of 30 forms.
    I cannot find anything within the help files that covers my situation. It must exist as I can't be the first person to want to be able to do this. Can someone point me in the right direction please

    I don't know how much clearer I can be, but I'll try.
    I have a form which is divided into 3 parts.
    Part 1 contains 'standing data' such as name, address, etc. This information is held on an Excel 2007 spreadsheet.
    Parts 2 & 3 contain data that is entered by the recipient.
    The form is returned to me for me to process.
    Until now this form (and an accompanying letter) have been prepared using Word mail-merge and forwarded by post.
    I know wish to use email to distribute the form.
    I know how to prepare parts 2 & 3, but am at a total loss to getting the information from the Excel spreadsheet into the pdf form.
    I can to a mail merge within word and produce an pdf form with the part 1 info, but this, of course, has no pdf fields. So I'm left with 30+ pages for me to enter pdf fields. This is a task I am not prepared to undertake.
    A friend suggested using Java, but the version of Acrobat I have (9 pro extended) seems to have dropped any mention of Java.

  • Mail merge issue

    Mail merge document has 4 decimal places when I click on the text box.  The value was moved from a spreadsheet.  Both documents have the format set to 2 decimal places.  Why is it showing 4 when I click on the textbox?

    That's the way formatting works. It doesn't change the actual field value, just what gets displayed in the field. If you want to change the field value, you'd could use a custom validate script, e.g.,
    // Round value to two decimal places

  • Mail Merge using HTML Office 2010 Service Pack 2 doesn't send

    I have a user who sends out mailings several times a week using a Microsoft Word Mailmerge.
    He recently had his physical PC upgraded and we gave him a computer with a fresh install of the same programs he had before.
    When the mail merge is accessed everything seems to work fine (selecting the excel list of addresses to send to, specifying the recipient list, and going to send the mail merge we select the e-mail address column as the To list and the format as HTML and
    select Send)
    Once the send button is pressed it shows the working mouse pointer icon temporarily and then nothing.
    I check outlook to see if the E-mails sent and there are none listed.
    This same process works on another user's computer just fine and will send out the e-mails.
    I have attempted the below troubleshooting steps:
    I verified that all updates/service packs are installed.
    I verified that the AV is listed as "Valid".
    I disabled the AV during a test send and it still did not work.
    I verified all the settings on both workstations to see if there are any differences and I was unable to find any.
    I rebuilt the Outlook Profile.
    I uninstalled and re-installed MS Outlook.
    I checked to ensure Outlook was the default e-mail program in Default Programs.
    I checked to see  that Word is the default HTML program in internet option settings.
    I checked to see if there was a 64 bit registry key in place that could cause problems and there has never been any 64 bit MS Office applications installed and so I did not find any.
    Plain Text mailmerge works with one caveat.
    I get an Outlook pop-up stating "A program is tryign to access e-mail address information stored in outlook. If this is unexpected, click Deny and verify your antivirus software is up-to-date. For more information about e-mail safety and how you might
    be able to avoid getting this warning click Help" (this pop-up happens for each message that is being sent so a 50 person mailmerge asks 50 times)
    And it shows a box where I can select Allow access for a specific time frame (10 minutes or less) and then 3 buttins "Allow" "Deny" and "Help"
    Clicking help bring me to MS Office help menu that didn't explain anything close to the problem I was having and did not "HELP"
    This is beginning to frustrate the user and I am running out of ideas to fix the problem. My next step was going to be attempt to re-install the OS at this point.
    Anyone have any ideas?

    The Mail Merge was created using a different computer/user.
    I have not attempted to create another mail merge from his account; I will try this and get back.
    I have compared the options/settings from that and another user as I stated above.
    Which registry keys would I import? I don't want to go importing keys and have it break something else.
    They are not any add-ins on either PC that are different from each other; and as I stated above I have tried starting it in safe mode.
    Anti-Virus is up to date; Also I even disabled the Anti-Virus to see if that changed anything, and it did not.
    I will try creating a new mail-merge to see if somehow it creates a settings somewhere that will allow it.

    There are a variety of tools in Acrobat, especially for programmers, but nothing I'd really call a mail merge - nothing like the feature in Word.
    However, you really aren't in the right place for advice. Try an Acrobat forum, CreatePDF is a web service for people without Acrobat. I recommend you include the address (URL) of the web page where it talks about this feature, it could mean several things.

  • Mail merge ('09) is giving spurious results

    I am trying to do what should have been a fairly simple mail merge function, but it is producing weird results.  I am doing date calculations in Numbers, and using that for producing a document with different date elements (all are in the spreadsheet).  The formulas are working correctly, and the cells contain the correct information, but when I do the mail merge, Pages picks up data from different cells.  I can even change the target cells, and it still picks up the same data.
    Here is a portion of the Numbers data.
    The first entry (B2) is entered as a date.  The rest are all calculated using date functions.  The pattern is: Date, Month Name, Day Date.  Then repeat for the next day, etc.
    And, here is what it produced, with the target cell name preceding the merged data.  The text in blue worked correctly.  Once I created a text box, and put merge fields inside it, though, it started falling apart.  As you can see, the data did not match the cell data associated with the column name.  I then tried using the same data outside of the text box, and it was again spurious.  It seems that using a text box messes it up.  What I am using this on is very graphically oriented, and I hate to think of the challenge of not using text boxes and lining up graphic elements with underlying text… ugh….
    After spending a full day on this simple project, I gave up and went to Word.  I exported my Numbers data as an Excel spreadsheet, and it merged beautifully on a test run.  So, I reformatted all my documents (with a lot of images, which is part of why I wanted to use Pages). After spending another day getting it laid out in Word, I did the final merge.  Success!  It looked beautiful.  I cut the documents to the size I needed, only to find out it had resized them!  Back to Pages, which I prefer.  I can't get past the spurious results.  I've tried reloading Pages and the documents, but it doesn't work.  I have a number of templates in Pages that I need to use for this function, and I hate to think of finding a different program and redoing all of them.
    I am using iWork 09.  My Pages is version 4.3, and my OS is 10.7.5. 
    Any ideas?

    Oh, one other quirky thing happened.  In the text box I entered "mon1" for the starting date.  When I highlighted it, and added it as a Merge Field, it immediately changed the text to "mo1n".  I tried to correct it, but it changed it every time.  I have had that happen a number of times with other merge fields.  The "n" shows up after the date in the merged document, suggesting that the Merge Field was "mo1".  However, in my list of Merge Fields, it shows as "mon1".
