BPM and Change Management Process

Hi,
We have a requirement to automate the change management process. Typical functionality needed is - input the change required, assign priority, organise risk assessment, change approvals, change implementation, send automatic emails to managers etc.
Is BPM a best fit to this kind of Change Management Process?

It's a good question and I hope this helps.
My short answer is that "it depends...".
Yes, an Oracle BPM process will let your users enter the change required, assign priority, define the change approvals, and send automatically send emails to managers.
Not saying that this is the case here, but sometimes people confuse an application with what BPM does with a process.  Ask yourself if your candidate process for BPM has one or more of these characteristics:
Workflow - are there multiple people involved in the editing and approvals over some period of time?
Documentation - as work flows through the process, will you need to gather requirements / documents and associate these with the instance?
Seamless integration - are there systems and or databases involved that you need to integrate into the process?
Efficiency - do you want to ensure that your process continues to flow and escalates when a work item sits too long in someone's queue?
Governance - do you need to have an audit trail of the various people who were involved as a work item instance (a change approval in your case) flowed through the process?
Compliance - do you need to have the change management instances go through a process in a consistent and well documented manner?
Visibility - do you need to gather key performance indicators as instances flow through the process and do managers need to track these in business activity monitoring reports?

    Is it possible within the Change Management process to get the status field to pick up Approved?
    At the moment it seems to realise when its been completed or declined/failed but other then that always seems to sit as In Progress.
    I have added the approved to the list but it doesnt seem to have married the two up?

    You must add a custom status (ex. Approved) - read first part of
    this - and create a workflow that triggers on a review activity being completed. That workflow must then update the status of the CR. Workflows out-of-the-box can only apply changes to properties within itself, ie. on the review activity. I think the easiest
    is to use orchestrator and create a runbook (disregarding best practice) with a monitor object activity -> get related object (CR) -> update object (CR).
    Another approach is to create a view based on a type projection that shows the status of the review activity. You will have to do some custom xml editation to achive this. You can either try yourself (i wrote something
    here), or use a tool for it:

  • CRMD_ORDER: how to set default values for Requester and Change Manager

    Hello Folks,
    how do I set default values in TA crmd_order?
    I drew my organizational hierarchy using TAs bp and ppoma_crm.
    When a new Change Request (e. g. SDHF) is created, I want the four roles (Requester, Change Manager, IT Operator and Developer) to be set automatically, not manually.
    Both Requester (= Key User) and Change Manager are derivable. I did not find anything in SPRO neither in the OSS neither here.
    Points will be rewarded as a matter of course!

    look for Define Access Sequence & Define Partner Determination Procedure in SPRO and read the IMG Activity Documentation. You can find it in the Service Desk config, but it works for the other transaction types too.
    Basically, you create Access Sequences where you tell the Partner Determination Procedure where to look for the values for the Partner Function fields.
    The Access Sequence can use lots of sources for the information, including your org structure.

  • Transport and Change Management

    Hello,
    We need to modify our MDM structure (add fields and tables). We would like to avoid unloading the repository. Can we do that in our test environment and move to Production only the structure while keeping the data in Prod.
    What is the Transport and Change Management patch? Is this what we need?

    Hello,
    This is not possible, as there is no support for Transport and Change management. You will always need some down-time in production. But there are some strategies to reduce the down-time.
    (1) You could use the Java ADMIN API to create a batch-script that performs the required repository modifications. Once you validate it works, unload your repository, run your program and load the repository again.
    (2) Create a "slave" repository and re-direct your production users to that repository. Unload your production repository and make all changes. Once done, reload that repository and switch back. Remember that this will only help to keep a "look-up" only version of the production repository...

  • Integration of new BPM (NWDS EHP1) and Solution Manager process graphics

    Hi Experts,
    we are trying to use Solution Manager for our client's process documentation. Now, Solution Manager generates a graphic which unfortunately is almost unusable (no lanes, no transaction link, just visio-like graphic). Even the old ASAP 4.6C graphic tool was better and more interactive.
    On the other hand the new BPM in NW Developer Studio EHP1 Composition Environment seems to provide a perfect graphical tool for process modeling and documentation.
    Does anybody know if there is a (future?) possibility to integrate these two tools?
    As an alternative, does anybody have an idea how to get better Solution Manager process graphics?

    I also digged a little into this topic since I was wondering about the different modeling techniques SAP currently provides and how they will be integrated in the future.

It looks like in NW BPM 7.2 (planned for end of the year) there will be a "read-only" integration with SolMan processes while in the future there will be a bidirectional integration which means that BPM can import SolMan processes, enhance them and again export the models to SolMan. This is a great step further to the Common Process Layer SAP is referring in the [BPM Roadmap document|https://www.sdn.sap.com/irj/scn/index?rid=/library/uuid/003cf0a1-e8fa-2a10-7db5-ba245a663d9f&overridelayout=true].

  • Versioning of BPMN Process Models and Change Management

    Hi all,
    Can any of you please provide insight on how can we do the following change management activities?
    1. Version Control of BPMN Models synchronized with the change management activities
    2. In the Help documentation, two roles called Improvement Manager and Modeler were mentioned. How do we define their roles in the Administration? In User Management I see only one function privilege "Change Management" and both Improvement Manager and Modeller will have this privilege. Than how they are distinguished in their roles?
    3. Does it also support a work flow and notification mechanism?

    I'd just like to add some quick points that you need to consider:
    Implicit version control is not supported in the current release (10.1.3.4) but it will be supported in Release 11 (upcoming release). There are some workarounds/alternatives like attributes (Status, Since/on, Released on, Released by, Release) and external version control system combined with the XML import/export functionality (Re: Control Version
    The Change Management can be used to describe upcoming modeling tasks within the Business Process Architect. This implicates changes from IT, adding new objects, adjustments of models or control flow, etc... Especially it is suitable to document suggestions for future model improvements.
    "Does it also support a work flow and notification mechanism?"I think this might be a governance topic that has to be created on your own.

  • Change Management process for Report Painter tool...

    Hi everyone,
    I am curious to see what process is used out in the industry to allow report painter reports to be defined and executed in production.  Do users define their reports in DEV and use the STMS or the export/import feature or do they create them directly in the PROD environment?  I personnally think it should be created in DEV and promoted to the remaining servers within the landscape for proper change and release management. 
    Do any of your technical resource monitor and look at reports before they are moved to another environment or do you allow your systems analyst or even end users to create their own report without any monitoring by technical resources?  How stable is report painter and is there any major performance issue while defining any type of reports?
    Any comments are welcomed and appreciated.

    In vast majority of project I have been participated, the report painter was in responsibility of the consultants and not the users. Usually, these reports were created in test system and then exported, via standard export/import functionalities, to production.
    Of course, one can create those reports directly in production (though, without creating a transaction code for them - this will involve CR), but I'd recommend to stick to 'first TEST, then PROD' model. This would put some order in the reports directories, as the creation of a new report will be controlled.
    Since, these reports based on totals tables, no performance problems are anticipated.

  • Software Configuration and Change Management for ABAP

    Hi all,
    we developed an ABAP application with about 10 developers and shipped it to Customer A.
    Then we do corrections and enhancements for a new Customer B. But then Customer A finds bugs in his shipped version, which is not the current version on our development system.
    Now a lot of time is wasted debugging the current version and finding out why the bug is there in the shipped version A but not in the current version.
    So its difficult and timeconsuming to manage those different versions of the same application for different customers.
    This effort increases with each new customer dramatically.
    The ABAP workbench only knows linear versioning of single ABAP objects like report, function module or class.
    Now the question:
    Is there a standard transaction or external ABAP software that supports such a Software Configuration & Change Managment, i.e. allows tagging, branching, maintaining multiple development branches, allows running transactions and reports of older revisions, etc. like so many non-SAP/ABAP SCCMs like CVS, Bitkeeper, Subversion or Monotone do in the OpenSource world?
    I found one called Conigma from Galileo Group, but am wondering if there are others, or whether there is someone having used such a tool.

    In ABAP world, there is supposed to be one development environment for one production system.
    The transport of changes follow the path
    DEV --> QAS --> Production.
    One golden rule is while making any changes to a program in  Development, ensure that the version is compatible with production and QAS.
    If there is a change request already open for the development object then that earlier change request should be finished first and the changes should get transported to QAS and production.
    It seems you are trying to handle two production systems using one development system. That will surely bring some serious fun
    Though, if you have no other option then keep the record of versions applicable to your different customers.
    Later retrieve the version according to the customer before making any changes.

  • BPM 11g changes to process aren't getting deployed

    I'm having trouble seeing changes I make to the process model in BPM 11g. For instance, if I add a new activity or change data associations/mapping in the activity and re-deploy, it doesn't take effect.
    I've tried doing a clean all, make all, and undeploy all project artifacts (undeploy project composite from soa-server and undeploy UI ear file) before deploying. I don't see the changes unless I restart the soa-server.
    Any suggestions? Is this a bug?

    There's definitely some issues with deploying changes. We've found that if there are BPEL processes in you BPM process and you make changes, you'll need to bounce the SOA server too, to see the changes. Also, some people are experiencing instability issues when you keep increasing the version number. You get to about 4 or 5 versions, and it stops locks up the SOA server. I've found un-deploying and then do a fresh deploy seems to be the best way to make changes for now. I believe engineering is aware of this problem and is working on fixing it.

  • Change Management Process for SAP Queries

    Our company has recently implemented SAP.  We are having some struggles with agreeing on a process for developing queries in SQ01.  Our functional specialists currently have to create a query in DEV200 then download to DEV100 to create a transport. 
    Is this the general practice?  It seems very strange and way too cumbersome considering SAP Query was designed for quick access to data.  As for security the tables are already protected by the roles assigned to the users and the queries are assigned to User Groups within the query.
    It also seems that HR uses the queries for all kinds of data searching so access to SQ01 to create a quick query in PRD seems appropriate.

    I have seen some companies severly restrict query writing and usage because queries, if not written well, can seriously degrade system performance.
    A potential rationale for your company's approach could be to test the query's efficacy and resulting system performance when a query is run.  However, this kind of test won't be very accurate unless you do frequent refreshes of your production system.
    I have been with some companies who do write queries in PRD, but the ability to write queries is limited to a very few number of people and they wind up becoming strictly query writers which somewhat defeats the purpose.
    A lot of the answer to how your company should approach query writing is going to depend on your landscape, who has access to write queries, and if that access is to information that crosses all functions or is limited to a smaller set of data.
    If your company has always had information dissemination controlled by IT, i.e. users have historically had to go to a central group to get a report, then there will be cultural changes needed as well as training if the user population should write queries directly in PRD.

  • Clustering 3500 and changing management VLAN

    I have a cluster of 3 3500XL switches. All have the latest rev of IOS. The cluster is fine when on default vlan. When I change the managment VLAN to VLAN 9 using "cluster management vlan 9" the 2 member switches fail to change to vlan 9 and the cluster breaks. THANKS

    Hi,
    The Reusable BPMN process (also referred to as Callable subprocess) and the Call Activity to call this reusable subprocess are not supported in this version but will be supported in a subsequent patch post the 11gR1 release. You need to use Service Tasks to invoke BPEL as well as BPMN processes exposed as a Service. You need to choose the "Async" or "Sync" template for the BPMN process to be exposed as a Service. We will get a sample out to you via the Beta site.
