Clearing date and Posting Date of a clearing document

Hi,
We have seen some cases in our system in which the clearing date and
clearing posting date of a document is older than the creation date of
the document.
Please guide me: Should the above describe case be happened or allowed
to be happened?
Can we stop these kind of postings?

Please try to pass the following values
SELECTIONCONTROL structure:
  CLEARED_ITEMS = space
  OPEN_ITEMS = X
  STATISTICAL_ITEMS = space
  KEY_DATE = 20091016 (today yyyymmdd)
MAINSELECTIONS structure:
  SELE = 0000
  BUSPARTNER = BP number
  CONT_ACCT   = contract account number
  CONTRACT = contract number
  At least either BP, CA or contract number must be passed in this structure.
The BAPI will return in BALANCEITEMS the selected relevant items (for example, disregarding what happened after the key date)

    While clearing a G/L manually using F-03, the clearing date is entered in the selection screen.
    The clearing document which is posted is posted with the posting date same as the clearing date mentioned in the selection screen of F-03.
    In what situations can the posting date of a G/l clearing document be different from the clearing date?

    Hi,
    The Clearing Date in F-03 is actually the Posting date, so in this case the posting date will be same as clearing date. But a clearing document can also be created when you reverse a FI document, in this case the Reversal document will have a clearing date different than posting date.   • FBL5N - cleared document display by 'Open at key date'

    We are on ECC 6.0 and have recently upgraded from SP9 to SP15 in Financials. The users are saying that the report S_ALR_87012198 (which works the same way as FBL5N transaction) is now displaying the cleared documents differently.
    For example, we have the following documents:
    - invoice (RV) with posting date 11/01/09 and clearing date 11/20/09;
    - payment (DZ) with posting date = clearing date = 11/20/09.
    When the users run the transaction or report for Cleared Documents by using Clearing Date 11/20/09, both documents are displayed. However, when the users run the transaction for Cleared Documents by using 'Open at Key Date' 11/20/09 then only invoice (RV) is displayed.
    The documentation suggests that 'open at key date' should include items that are open before or on the 'key date'. Also our users are saying that it used to display both documents with 'Open at Key Date' before the service pack upgrade, but, unfortunately, we're unable to verify this.
    Could someone with lower version please verify how 'open at key date' option works for cleared documents? And is there any documentation that explains this?

    Thanks for your reply. Just to clarify - there are two 'Open at key date' fields in FBL5N. First field pertains to the 'Open documents' radio-button and second field - to the Cleared documents radio-button. When the users choose 'Cleared documents' and fill in the second 'Open at key date' field, they expect to see the items that are currently closed, but that were open on the specified key date. And SAP does, indeed, display them, just in a rather strange manner (it seems that DZ document is never "open", according to the screen's logic).
    It seems that we'll need to write to SAP for clarification, but I was hoping that someone could at least verify whether this, in fact, has anything to do with the support packs.

  • EBS upload didnot clear line items and post to Main Account

    Hi
    We are on ECC 6.0. Our user as usual uploaded the EBS (she was doing this for last 6 months). Every time all line items from the  Check Issued Clearing account used to get cleared and posted to Main Bank Account and the checks were encashed.
    August EBS was loaded in Sept 3rd. This time all 2000 odd checks are still lying in Check Issued Clearing account itself. Transfer to Main Bank account didnot take place.
    Due to this the Checks are not updated with the Encashed Date and all checks are still shown as Outstanding.
    What could be the reason for this?

    There is no change to the customization and the bank file format (BAI) also remains the same.

    Is there a way I can delete the bank statement upload buffer and reload the EBS?

    i hope your issue would have got resolved, but below is my take on the issue.
    please check the external transaction code given by bank in the bank statement. I believe the bank would have changed the external trannsaction code that is the reason, FF-5 could not clear your check items, as system was looking for the external transaction code and internal postings rules, which probably were not matching.

  • Clearing Document Date do not follow the define clearing date in F-03.

    Clearing Document Date do not follow the define clearing date  BKPF-BUDAT in F-03.
    My user received the unpresented check statement from the bank on 31 Dec 2010. As 1 Jan 2011 is holiday and he came back to the office on 5 jan 2011. He post manual upload (Debit : Bank Outgoing and Credit : Unpresented Cheque) posting date 31.12.2010 (period 12/2010 and 01/2011 still open) . Hence the next step (same date on 5 Jan 2011) is to clear the Bank outgoing using F-03. He put 31.12.2010 as his Clearing date BKPF-BUDAT but when the system post the clearing date is 04/01/2011.

    But i can recall for the EBS bank statement upload into a previous fiscal year, ie, 31.12.2010.  I had to close the current fiscal year temporarily.
    See what happens in your system when it tries to clear with F-03.  Though as mentioned re-check as F-03 will default to the system date --- today.

    We are implementing EDI invoice using BAPI_INCOMINGINVOICE_SAVE and MRBP (background engine).
    We would like the posting date be set at the date when the invoice is posted. At the present time the posting date is set at the date when the invoice document is created from the EDI file.
    We tried substitution rules (OBBH) but the field posting date (BUDAT) is not available for substitution.
    We also plan to run a daily job which change the posting date of the planned and erroneous document (RBSTAT = 1 or 3) to the current date. But we do not find any BAPI which do it properly. As a result we plan to change the posting date directly in RBKP. Do you think this operation is safe and will not generate inconsistencies?
    Or do you have any idea to solve our problem?

  • F.13 Clearing Documents contain no data

    Hi,
    I have carried out F.13 transaction to clear some customer accounts.
    However, the system displays that it has created a few clearing documents in the output.
    But when i see the document postings, i see no data in the documents. It says List is empty.
    Can anyone please clarify why the sysem is posting the null documents with the document numbers.

    Yes, It may wonder you when you display the cleared document and it has no line items generated because balance of both the item is zero...
    For example.....
    Debit entry in customer is Rs 1000 and it cleared by a creadit entry in the same customer of Rs 1000 so system will not generate any line item while clearing because both are knocked off...
    Do not worry, nothing has gone wrong....its correct behaviour of the standard system..

    Please follow this process.
    Only specify fields that should be changed
    Select these fields by entering an X in the checkboxes
    Enter a U in the UPDATEFLAG field
    Always specify key fields when changing the data, including in the checkboxes
    The configuration is an exception here. If this needs to be changed, you need to complete it again fully.
    Maintain quantities and dates in the schedule line data.
    1. Minimum entry:
    You must enter the order number in the SALESDOCUMENT structure.
    You must always enter key fields for changes.
    You must always specify the update indicator in the ORDER_HEADER_INX.
    2. Commit control:
    The BAPI does not run a database Commit, which means that the application must trigger the Commit so that the changes are read to the database. To do this, use the BAPI_TRANSACTION_COMMIT BAPI.

  • FA-retirement-Asset value date and posting date are not in same fisc year

    I would like to post retirement in the new fiscal year but with asset value date in the previous year so that NBV is calculated correctly. It is not possible neither in ABAON nor in ABAVN with any transaction type.
    I always get message 'Asset value date and posting date are not in same fiscal year'.
    Is there any way how to handle this?

    Hi,
    I have tried this but the settings of our Depr keys works in the way. That if you use asset value date in the new month it will calculate depreciation for the whole month.
    This means if I retire with asset value date 31.12.2008 - NBV will be calculated as at 31.12.2008.
    If I retire with asset value date 1.1.2008 - NBV will be calculated as at 31.1.2009.

    Hi,
    To transfer one asset to another asset within a company code can be done through ABUMN only.
    While doing this transfer you have enter the document date, posting date, and value date for the transaction, but all these dates should be in same fiscal year only.
    In your case you must have been entered the dates for asset value date and posting date , and these two dates are in diff financial years.
    Please make sure that both the dates are in same FY.

  • GR document and posting date issue for initial stock upload are overidden

    Hi all
    Loading initial stock into the system using standard idoc message type MBGMCR and basic type MBGMCR02.
    We are trying to post the intial stock upload with posting and document dates in past with this idoc. The Idoc is accepted with these dates but while posting the system is overiding these dates and posting the document with system date. Any clue as to what is happening?

    I am aware about the posting being possible till the last period.
    But the system over-riding the posting and document dates in the IDoc even if I chose previos day's date in the current period. The dates in the IDoc are correct to be in the past. The IDoc is accepted by the system with the document and posting dates in the past.
    But dates in the document after posting are system dates. Very unsual. Please let me know the reasons.

    <b>GL Account:</b> This field contains the number of the G/L account to which the transaction figures are updated.we use One gl account for Salaries in an Orgn, and for expenses one GL like that.
    <b>Document Date</b>: The document date is the date on which the original document was issued.
    <b>Posting date:</b>Date which is used when entering the document in Financial Accounting or Controlling
    The fiscal year and the period for which an update of the accounts specified in the document or cost elements is made, are derived from the posting date.
    When entering documents, the system checks whether the posting date entered is allowed by means of the posting period permitted.
    The posting date can differ from both the entry date (day of entry into the system) and the document date (day of creation of the original document).
    <b>Posting Key:</b>The posting key describes the type of transaction which is entered in a line item.
    For every posting key, you specify properties which control the entry of the line item or are noted in the line item itself.
    The most important properties which are derived from the posting key are:
    The account type
    The allocation to the debits or credits side
    The possible or necessary specifications which are to be entered in the line item.
    <b>DocType:</b>The document type classifies the accounting documents. It is stored in the document header.
    Attributes that control the entry of the document, or which are themselves noted in the document, are defined for each document type. In particular, the number range assigned to the associated documents is defined on the basis of the document type.

    It is not advisable to change the document date and posting date. Instead, try to reverse the document and post the correct one.
