Content Server - number of documents stored.

Hello,
I am not sure if this is the correct forum, however, does anyone know how I can count the number of documents that are stored in a MAXDB / SAP Content server database? I don't think it can be done at the database level.

Go to SE38 and Run this report DMS_KPRO_CHECK1.
The report determines the following data:
Originals in content server without a reference in the SAP system (KPro)
Originals in the SAP system (KPRO) without a reference in the content server
Data (LOIOS) in KPro without a reference in document management
Data (LOIOS) in document management without a reference in KPro
May be this will help you.Also check Documentation in that report and try to apply logic.

    Dear All;
    l have the following requirement for Content Server;
    - Generate the PR/PO form via print program.                         
    -Approver's signature will be display accordingly by the approval level.               EG:  1st level approver 'A' have been approved. Signature of approver 'A' will be display on the generated PR/PO form.                                        - Convert the generated form into PDF format.                         -To attach the supporting document via Generic Object Services (GOS).               -To store the PDF form & attached documents into Archived Link content server with URL address returned.     
    -An notification mail will send to respective approver based on release strategy configuration.     
    Basically it is Workflow integrate with Content Server.  There are few thing for me to do here:
    1. Store the PO/PR document into Content Server
    2. Run the workflow and view the attachement and add new attachement to Content Server from the Workflow process.
    3. Return the URL address to the user for the document that saved into Content Server
    l'm trying to do the first requirement now.
    The user will create the PR in tcode ME52N and PO in tcode ME22N, they can create the attachement and view the attachement, and the attachement are stored in the ECC6 database.
    l have installed the Content Server 6.40 with Filesystem (not the MaxDB) cause user do not want to buy the MaxDB license.
    The Content server 6.4 installation is completed, l can configure the CSDMIN in ECC6,
    In OAC0, l have created the Content Repository=ZA,
    Document Area = ARCHIVELINK
    Storage type = 04 HTTP Content server
    Version=0046
    Http Server = 10.120.0.10
    Port Number = 1090
    HTTP Script= ContentServer/ContentServer.dll
    Transfer drctry =
    10.100.0.10\cm\exdir   /# \cm\exdir is a directory in Content Server. #/
    the physical directory created in the Content Server as
    10.120.0.10\cm\za
    In OAC2, l have created a new Document type=ZCS, the document class=PDF
    In OAC3, l have created the following:
    Object Type= BUS2012, Document Type= ZCS, Link=X, Cont.Rep.ID=ZA, Link=TOA01, Rentention=99
    Object Type= BUS2105, Document Type= ZCS, Link=X, Cont.Rep.ID=ZA, Link=TOA01, Rentention=99
    (Honestly, l'm not quite sure the BUS2012 will work, it created by functional team, which l'm sure it actually represent the business object for PO and PR)
    With these, l think the linkage between business object and logical archive is established, but when l saved the attachement in ME22N and ME52N, the document still save into ECC6 Database, not the Content Server, because in the /cm/za directory in the Content server still empty.
    Anyone please advise any documentation/steps do store the document in Content Server from PO/PR and with returned URL to the users.

    Thanks for the information, l manage to store document actually.
    l used the OAAD to test to stored, once it is working, then l can use the option 'Store business document" ME23N and ME52N transaction code.
    One question here l would like to check:
    The WorkFlow team said that the Generic Object Service (GOS) - "Create Attachement" option in ME23N can actually store the document to Content Server instead of store into R3 Database.  He claimed some Basis have done it before, can anyone clarify if it is true?
    In OAC0, l have ZB Content Repository, set the "Storage Type = 04 HTTP Content Server" in order to save the document to Content Server.  The Document Area=Archive Link.
    With these setting l can only use the "Store Business Document" option to store the document to Content Server, not the "Create Attachement".
    l try to change the Document Area with different option like DMS, BDS etc but l can't get the Content Rep ID for ZB in OAC3 to link the Object Type?
    Anyone can help?

  • Using a single Content server for DMS and also for Archive link documents

    Hi,
    We have Planned for a single content server for managing the documents in DMS, parallelly as DMS Standard SAP objects are not available for all SAP transactions, i have proposed for making use of SAP Archivelink funtionality to maintain the documentations where Std SAP DMS does not provide a Solution.
    so here the question is
    can a single content server be used as a content repository for Both DMS and archivelink,
    can any one having done this pls state if it is possible to create different or Many Content repositories for DMS, Archive link in the same server,
    is this a virtual creation or can we assign each repository a specific storage space which it should not exceed.

    -- Through the ArchiveLink docuemnt Management interface, an SAP sytem can use various content servers as storage media. similarly, one contnent server can be used by multiple SAP systems.
    -- A Content server always has a single database assigned to it. A database can therefore be used by only one content server.
    -- A databse is split into as many repositories as necessary. The design of the repository is mapped in the SAP system.A repository contains documents.
    Depending on your requirements,(if u have limited documents or with low requirements)  you can use the same content server for both DMS and Archivelink.
    The number of documents stored on the content server is limited only by the size of the database.
    Its better to have an external content server for archiving purpose, if your database size is increasing. Since the archiving systems storage is not dependent on the database.

  • Document stores in both SAP database and Content Server

    Hi,
    We don't want to store doc. in SAP database and chose to use content server. We have KPro checked in configuration also.
    Our basis team has created a content repository ZP that points to the content server, in the document area.. they enter "ARCHLINK" instead of DMS. So they told me to create doc. and pick this new ZP to store the doc. But we I created a doc. in CV01N, went to check in the original, the new repository ZP is not on the list of choice to pick from. So I cannot store the doc. in that new content repository.
    Our basis team told me that if we use DMS in the document area, the doc. stores in both SAP database and Content Server. We don't want to have doc. stores in SAP database that's why we have content server.
    How can I create DMS and store in content server only (not SAP database) ?

    Hi Samantha,
    While check-in activity are you able to choose the new content repository i.e. ZP?
    If not then use t-code OAC0 and while creating the repository check whether the certificate is activated by basis or not .
    If not then you need to activate the certificate for the new repositoty in CSADMIN then only it will appear in the list while "check-in" the dcouments.
    Please check for the same. Also check the t-code OACT , this new repository is shown or not.

  • Role of MaxDb in SAP content server

    Hello experts,
    We have already gone through the content server documents.
    We are not yet clear with role of MaxDb database in SAP content sever.
    Is it prerequisite to install MaxDb for SAP content server?(eventhough documents has to be store in file system)
    We Want to perform document archiving, for this reason we want to store documents in File system.
    So in this scenario where will be the meta data stored?

    You can check the installation guide, you can install Content server without maxdb on a separate server and it will use the storage (File system) of that server to store the documents.
    As far as I know, the meta data is stored on the file system(if Maxdb not used) or on Maxdb and the header is stored on the SAP side.

    Is it possible to crawl section(s) of Content Server so that it mirrors the folder structure of the content server section, creates documents for all File Content Items and maps the security of the content items to documents?

    Hi,
    According to your post, my understanding is that you got error when communicating to the server.
    This happens when crawler is not able to connect to the server. Make sure server name is correct. Couple of steps to troubleshoot it
    You should be able to ping the server from the server having crawl component. Make sure there is an entry for the server in the host file under c:\Windows\System32\drivers\etc folder.
              Ping <servername>
          2.  You should be able to connect to the server using telnet command
    Telnet< servername> <port number>

    If the issue still exists, you can delete the old search application and recreate from the beginning.
    You can also reset the index and do a full crawl after.

    Hi Everybody,
         Does anybody have an idea on how the Metadata in KM can be moved to Content server ?
        What configuration steps to be done both from KM and Content server?
         And once metadata is moved to content server how the documents can be accessed in KM from this migrated metadata(Documents,content) In content server?

    Please refer to SAPNote "900571".
    There is no specific way to move metadata into content server all CM Modes DBFS, FSDB metadata is always stored into Portal DB and I don't have much Idea for DB Mode....
    If you want to store KM files into content server than its possible using DBFS & FSDB Mode but not possible to migrate metadata into content server

    Hi,
    are you sure that it's 1 day. The default value should be 2 hours. I remember that I couldn't find how to change this default value. There is a FM SCMS_URL_SIGN which signs URL for content server. You can see there that it has an option to set expiration to any value or set duration. The default duration is hard coded to 2 hours. I quickly checked some of FMs which call SCMS_URL_SIGN and it looks like nobody sets up these two optional parameters. You can try to use enhancement framework to modify behavior of this FM.

The SAP Content Server ist provided by development of technology and is to be used cross application for any SAP applications. He is to be installed on a separate system. Typical content is training material and documentation from Knowledge Warehouse or technical drawings originating from mySAP PLM Document Management System.
    Kpro n wledge Provider (KPro) is a generic document management infractructure,KPro is the standard document management infrastructure of the SAP Web Application Server, formerly known as the Basis system. KPro offers a wide range of document management functions, such as check-in, check-out, logical hyperlinks, and versioning. The fundamental concepts of KPro are protected by US Patent 6,134,552.

    I want to modify the content/file of the Oracle UCM server. Do we have any Oracle UCM/IPM's webservice for this?
    For example, content server has a document/file which named as "a.doc". I want to replace this file with "b.doc" without altering any of the meta data.

  • Setting content server for storing PPM documents

    Hi Folks,
    We have followed the steps outlined the PPM config doc for setting up the content server (pages 117). Summary of the steps are shown below. (We are on PPM5.0)
    Creating a Content Server Entry
    1. In Customizing for SAP NetWeaver under Application Server Basis Services
    Knowledge Provider Content Management Service Define Content
    Repositories , choose Content Repository Display/Change .
    2. Choose Content Repository Create .
    3. Enter a name and a description for the content server.
    4. Enter CFF in the Document Area field and HTTP in the Storage Type field.
    Creating a Storage Category for a Repository
    1. In Customizing for SAP NetWeaver under Application Server Basis Services
    Knowledge Provider Content Management Service Define Content Categories
    , choose New entries.
    2. Enter a name and description, and then enter CFF in the Document Area field.
    3. Enter the name of the newly-created content repository in the Content Repository
    field.
    Setting the new Content Server as the Default Storage Category
    1. Choose transaction DMWB.
    2. Choose model area CFF in the tree.
    3. Navigate to PHIO-classes, node CFF_VERSION_V.
    4. Change the standard attribute STORAGE_CATEGORY from CFFCONTENT to the
    category you have defined above.
    5. Repeat this for node CFF_ADD_FILES_V and for CFF_VERS in node
    CFF_VERSION_V.
    After doing the above steps I did the following tests.
    1. Tried to access documents stored at the portfolio item level before doing the above content server config. I was able to access the documents which leads me to believe that files are still getting stored in the DB.
    2. Checked the table CFF_CONT before and after storing a 1kb file and the number of entries increased by 2, which again leads me to believe the file is not stored in the content server.
    Appreciate any input on whether we have followed the correct steps and if there is a better way check if files are actually being stored in the content server.

    I didn't same steps as you explain in your first post but it isn't working.
    Why didn't it work for you when you posted your 1st post, and now is is working? Is there some installation or Add-on that we need you have? Is there any Basis system parameters that we need to put?

    We have to do the following post install activities to connect to Content server from DMS.
    On SAP Systems (ECC) using CSADMIN t-code we have done the following post installation steps to check whether  Content Server is reachable from SAP system.
    When use hit CSADMIN option on the screen
    Here we need to uncheck the Check Signature check box as we are not using certificates.
    Here we need to give HTTP server (Content Server ) info like host name and the port number service is(1090) running.
    2.  Using OAC0 t-code create Repository on SAP system (ECC)
    Then from here Hit  CS ADMIN to create rep on Content Server.

    I have questions regarding the Content Server and need your expierence and recommendation. Where do you store documents on the Content Server? Are you using the standard SAP-DB, which can be installed together with the Content Server, or are you using the File-System? What are the advantages and disadvantages?
    What do I have to do to store the documents in the File System? Is there an documentation?

    Hello Tobias,
    Storage on the filesystem has the advantage to use existing clustering raiding and hierachial storeage systems for storage and you dont have to implement those features in the database. The advantage would be documents can be found indepentendlly from the ERP-Sysem.
    DB Advantages
    All data (documents, folders, and metadata) is stored in the database.
    Database is much better suited than file system to the administration of large amounts of data
    Databese is limited to size 64 TB, then additional database needs to be installed 
    If there is a large number of write requests in your CM usage scenario, set up the CM repository in database mode. Since all documents are stored in the database, this avoids unintentional external manipulation of the data.
    Another advantage of storing all data in the database is that the procedure for data backup and restore is easy since only the database needs to be backed up
    File System Advantages
    This is faster than the database option if you have large documents since there is no database data streaming. This also enables the size of the database to be controlled more easily since documents are stored in the file system.
    File systems are not transactional, so this has restrictions and affects performance. If read and write operations take place for one document in the file system at the same time, these operations have to be coordinated by the repository manager. This happens by recording both write accesses and read accesses in the database. This affects performance.
    Metadata (for example, locks or custom properties) can be lost if you edit or manipulate documents or folders directly in the file system. Only administrators should work in the file system, and they should only carry out mass operations such as copy and delete
    For a scenario with write accesses, cannot ensure consistent data backup and restore. This is because changes to the folder structure in the file system could be made in the time between the two actions. This would lead to inconsistent data following the restore process. Consistent data backup and restore can therefore be ensured only if read accesses alone are taking place
    There are CM repository managers can be set up in various modes i.e Persistence Mode to save the documents  as follows:
    1) DB Mode All data is stored in the database
    2) DBFS Mode Metadata and folders are stored in the database, but documents are stored in the file system
    3) FSDB Mode Folders and documents are stored in the file system, but metadata is stored in the database.
    If you wish to change the settings you can do it but with some restrictions which follows as:change of the persistence mode is possible only from the DB mode to the DBFS mode. Changing from DB to FSDB, from FSDB to DB/DBFS, or from DBFS to DB/FSDB is not possible.
    To change the mode if you wish with above restrictions
    1.      Make sure that enough free disk space is available to migrate the content from the database to the file system.
    2.      Change the configuration of the CM repository manager. In the Root Directory parameter, specify the path to the file system that the documents from the database are to be stored under. Change the entry in the Persistence Mode parameter from DB to DBFS.
    3.      Restart the application server.
    4.      Run the CM Store: Content Crawler report

  • Error on update of document stored in content server

    Error on update of document stored in content server
    On a regular basis (but not reproducible) we find that after updating a document, it is deleted from content server (or at least it cannot be retrieved).  These problems have only been experienced since we switched to using content server as our storage repository, as opposed to R/3.
    We create and maintain documents through a bespoke transaction, which calls standard SAP functions BDS_BUSINESSDOCUMENT_CREA_TAB and cl_bds_document_set=>update_with_table.
    Whilst the errored documents are listed in the BDS via transaction OAOR (business document navigator), an error is received when you try to display it (in our case an MS-Word error indicating file/pathname invalid). 
    We are satisfied that file/pathname are valid and find that this occurs occasionally when a document has been updated.  It appears that the document has been deleted. 
    This bespoke transaction has been running successfully for almost two years, and these problems have only been experienced after switching to content server as a storage repository (as opposed to R3 previously).  Has anyone else experienced these problems? 
    We are running :
    R/3 Enterprise 620,
    SAP HTTP Content Server Version 6.30 Patch 13
    SAPDB version 7.3.0.54

    To check the connectivity between your content server and Workstation and SAP Server.
    Pls goto the command prompt of your workstation
    give the command like this example.
    C:\>Ping 117.123.45.201
    you will get the reply from the server. here 117.123.45.201 is your content server IP.
    If you are getting the reply then it means that your contentserver and workstation are connected propely.
    Like that pls check the connectivity between your systems.
    Pls check the hosts file of your systems also.
    If the hosts file entry is not maintained, you can check-out file from content server but you cannot check-in the original.
    Pls let me know what kind of error Message you are getting?
    From where you are trying to check-in the Original? From the DIR screen or from CAD Desktop screen?
