Cost allocation based on time sheet

Hi,
I have a scenario to capture employees working time based on different projects/  sales order/  Internal services etc., and their cost has to be assigned to respective costcenters based on their actual (no.of hours) effort.
For Eg: If an employee works for 3 different projects in a day, his actual effort (2 hours in project#1, 3hours for Project#2, 3 hours for project#3) has to be assigned to respective costcenters.
Please help to address this scenario.

Hi,
I think without CATS, you can not maintain the details Project wise.
Also You should have the PS module to identify tasks, and the hours against that, then the WBS elements, for each WBS element there will be cost center assigned.
So when you are booking the time sheets through cats, you will mention WBS element and hours.
This is the process.
Try this process, You can create different Attendance types and book your attendance manually for each attendance type and generate TWT, and at some point of time these attendances, or TWT or at Payroll processing you need to assign different cost centers to the different attendances, or TWT or WT.
And if you follow the above procedure, you need to give time consttraint accordingly to 2001 IT.

    Hello,
    In Table CATSDB seen we the results from time entry. The fields Send cost center and receiver cost center. An employee has an standard costcenter as masterdata. When this person works a couple of hours on a cost center that differs from his standard (master data), he giving in the cost center were he works on. Every thing is ok in ESS.
    In MSS in the team viewer this person belongs to a team. Bij the approval of time sheets he displays standard (master data) and the u2018differentu2019 cost center. This situation we want to avoid. The u2018differentu2019 cost center is somebody else his responsilibility.
    I try something with Cost center responsility. Can someone help me?

                    I have the same requirement where i have to default the Sending cost center and Actiivty type from infotype 315  in the CAT2 sending cost center and activity , but in the cats profile defaults section i have kept the Cost Center and acitivyt type checboxes being checked , still iam not getting the values of the 0315, please could you let me know how to default the values in cat2.

  • Cost Allocation based on receiving cost center

    Hi All,
    I have a uniqure requirement. I have 1 producing cost center A and i have two main cost centers Z1 & Z2. I use KB21N for activity allocation and i use sending cost center A and receiving cost center Z1 for 100 hours and Z2 for 200 hours at $2 per hour for activity type labor. The entry posted is credit cost center A and debit cost center Z1 & Z2. At month end i end up over/under absorption of $5000 in cost center A, and i need to allocate this over/under absorption of $5000 to cost center Z1 and Z2 based on the actual consumption from cost center A. This can be done easily, based on the secondary cost element cost of the activity type, BUT the catch is cost center Z1 & Z2 also get costs for the labor cost element from other cost center too. For example cost center Z1 as labor cost element of $500 in total out which it has $200 from cost center A and rest from other cost centers, if i allocate the over/under absorption of $5000 based on the total $ values on the secondar cost element, it takes the total of labor cost element for allocation, that is $500 for basis of allocation. SKF also does
    How can we address this issue, can it be done apart from assessment? Please let me know

  • Sender Cost center based allocation

    Hi All,
    This is unique scenario as per my knowledge.
    Actually we have same cost centers present in two (rather more) different buildings in the company. And as per cost center design each building has been created as a cost center. And the building costs are getting allocated based on SQM (square meters) as SKF.
    Problem: In KP46 where we enter the SKF, we can enter one total value for one cost center. So in SKF if I enter one total value (for all buildings) in the cost center then from all cost centers it will take more than its proportionate share of costs.
    <b>Can you help me in solving this issue?</b>
    I have already ruled out following options:
    1. Creation of multiple SKFs
    2. Creation of individual cost centers per building.
    Because we may have 40-50 buildings in the design. And that will increase the data maintenance efforts many times.

    Hi,
    no this is not causing the issue. It means that after the first internal allocation cycle  run, the results are checked and if there are senders that still have values a second internal allocation cycle is porcessed (based on the results of the first one), this goes on and on till every sender is (nearly) allocated to zero (or the sender % it should be).
    But again: Try to eliminate sending/receiving values within 1 segment for the same CO-object (cost center) to avoid situations like the one you've described.

  • Operation cost and time sheet booking

    In my current project we have SAP PP and SAP HR too.
    My production order is against WBS, I am issuing materials and confirming operations in CO11N to capture material cost and operation cost. then i am doing GR of finished goods and then order settlement and then goods issue ( of finished goods) to project to post the cost to project. Also in HR, time sheet booking is done in CAT2. This will lead to double cost posting to project i.e. once thru PP and then thru HR.
    How to avoid this??

    I am not sure how you have defined your std value parameters in the Routing.
    in the Production order we are trying to capture the cost incurred to the order, these hours are for Product costing purpose need not  be used for Salaries.
    in CAT2 we are trying to post only the manual labour hrs for the Project. thses hrs for Salary wage settlement purpose.

  • Common cost allocation to assets in service at different times

    Hi,
    My client constructs large assets that typically go into service over a period of several months. They track some asset costs on tasks assigned to a grouping level of specific assets, while other "general" costs are coded to a task assigned to a grouping level of "Common costs". The problem is that when one of the assets gets placed into service, all of the "common" costs get allocated to that assets. This is resulting in disproportionately larger asset costs for the first one placed in service and a smaller share of those costs allocated to the last asset placed into service.
    What is the best method to get these general-type costs to allocate proportionately across all the assets even though they are placed in service across several different months?

    The problem of equal prorating the common costs is that task may still incur costs after the first asset has been placed in service. The other assets will also incur additional costs.
    You may consider holding the common cost till the end of the entire project. That task should not be assigned to common cost, but instead assigned it to a separate asset, with quantity of 100 units. When project is completed and all other assets are placed in service go and interface the "common" asset lines to FA.
    In Mass Addition split that last asset into separate N assets, where N is the number of real assets generated from that project. Now add the cost of the last "common" assets to the other assets already in FA.

  • Time sheet, rates, date dependent

    I am trying to figure out the best database design for the following;
    I have individuals (stored in Agents table) that enter their billing or time worked each day for different projects. Now we have different rates that we pay based on the person and what
    the project is. And we also have to account for individuals getting pay cuts or raises over time. So....
    I have the following tables;
      Agents - table of each person
      Projects - table of all projects we work
      Rates - table with AgentID, ProjectID, StartDate, EndDate, Rate
      Billing - table with Date, AgentID, ProjectID
    So my current implementation a billing entry must be made by an agent, and I have to create a join to the rates table based on AgentID, ProjectID, and Date between StartDate and EndDate.
    This just seems incredibly ugly and all the billing data can be easily changed if a change were made to the rates. I'm assuming most time sheets calculate the total rate and store it in the table so it never changes unless someone specifically goes back to
    update the data? I'm just wondering if there is a better method for tracking this sort of data. Thanks

    Based on your current database structure 
    Agent -   Unique record for each person
    Project - Unique record for each project
    Rates -   Unique record for agent and project
    Billing -   Unique record for agent and project
    So basically, you don't need billing table if you are fine with change in billing rate in the middle of any project.  
    But if you have to track the Employee cost per project then you might have to keep an entry in Billing table with billing start date, billing end date and active flag (kind of
    SCD type 2).
    Just a random thought again, you can also have a rate table only and make a new row every time rate is changed or billing is changed. but remember, if rate is changed then you must change the rate of existing employee in that current project (i.e. new row
    for all those employee also)

    hello ppl i am doing a project on time sheet which includes a link between HR and PS....
    It would be nice if anyone  can explain me how is the master cost center and the sub cost centers are linked???
    cost center is created using a TC KS01 right.. is there any way we can link the sbu cost center to the master one???? because in project system we have a cost center for each activity. so at a time a person is assigned to more than one cost center how can this be done????
    i dono if this is a relevant question... plz correct me if i am wrong...

    For the purpose of project cost allocation you will have to use HR infotype 0315 - Time sheet defaults.
    You will have to update the sender cost centre to which you would want to post the project cost. The employees would be able to enter activity / network relevant to the sender costcentre only.
    The org.assignment costcentre is not very relevant to the project cost allocation. Ideally when any changes happen in the organisational assignment of an employee, the sender cost centre is also changed through activating dynamic actions. In other words, the master cost centre (In 0001 - organisational assignment) and sender cost centre is 0315 - timesheet defaults should be the same

    How do you reserve a cost allocation that has been approved already. e.g. a consultant puts in more hours and they get approved adn be sent for costing and only to pick up that they have allocated wrong costs, how do you reserve it.

    Hi,
    Budget = Actuals work in a scenario when the planned costs occur during a specific period of the Fiscal Year but you want to accrue the cost in all the Periods and Plan for those costs. For example, Annual Incentives paid to the Employees. In an organization if the incentive is paid during July then either the entire cost can be planned during July or the cost can be acrrued over the full year. Normally the costs are accrued for the entire year to avoid disproportionate costs between the periods.
    To do this you need to do the following;
    Say you Plan for 36500 USD for a Cost Center as incentive Cost for year 2010 and the planned costs are distributed according to the number of days for each period. So, your plan costs for Jan is 3100, Feb - 2800, Mar - 3100 and so on. You plan the cost on a Accrual Cost Element of Category 04. During Month-End you run the accruals and the actual costs are posted to the Cost Center with a corresponding credit to a common cost center that you may specify. You will have to move the accrued amount from the common cost center to FI accruals (Balance Sheet Account). As a result you see the costs of 3100 USD in Jan for the said cost center and your Plan and Actual values are equal. Finally when the actual costs are posted during July, you post them in FI to the common cost center and distribute the difference to all the cost centers using allocation methods based on the accrued amounts.

  • Activity type in time sheet

    Hi all,
    In PS we donu2019t capture any cost. In such case, While entering timesheet, the system through an error message, to enter sender Activity type and it is not allowing to enter timesheet.
    Now, what should be done to skip entering activity type and enter timesheet without entering activity type?
    I guess it is controlled through work center, by not maintaining costing tab, but the system does not allow to save the work center without entering the cost center under costing tab.
    Please suggest, in entering time sheet without activity type

    Go to --> SPRO --> Cross Application Components --> Time Sheet --> Settings for all User Interfaces --> Time Recording --> Choose Fields -->Data Entry section --> Activity types
    Double click and in reference to data entry profiles we can restrict the entry for the activity type whether it is required / Display / Hide / Input.
    Check and confirm whether the problem is solved

  • Time sheet uploading from Non SAp to SAP R/3.

    Hi,
              I am trying to upload the time sheets from Non SAp to SAP with the datails like the sales oreder for which the employee worked, time spent ect.
              While uploading this from Excel to R/3 using se38, I am gettig an error saying "Enter sender activty also".
              I have checked if the activity type is checked in the CATS data entry profile, it is selected in the defaults.
             I have cheked in KP26, for the year we have given the planned activity also.
             In KSPI, I have run the price alculation for all the cost center with the activity type.
             I have seen the validity periods of the cost centers, activity typs are in line with 2010.
              I am able to upload the time sheets for a few employees and for a few it asks for the "Sender activity type".
              Please assist me, its very urent.

    For employees where you are facing this error, please check if Time Sheet defaults - IT0315 is maintained, and if not maintain it.

    But for the same employee if i am booking the Efforts through R/3 (CAT2 Transaction) not getting the error. Successfully able to release the efforts it is storing in CATSDB.

  • Key figures in Cost elemnt based report

    Dear All,
    I have created a Cost Element based Report for the Project using report painter. In this same report, I want to pull a key figure(the key figure is 'remaining forecast planned costs") which is coming from cost forecasting report (Report 12CTC1 from transaction CJE0).
    The issue is this 'key figure' is not available for report made in report group 6P3(report group for cost element based report). Is there anyway I can pull this particular key figure in my report.

    Also if you're using HR data, the employee data is time dependent, so that for each employee number there are any number of records. This may be causing the aggregate reporting condition that you mentioned. In BW it's important to recognize that the master data also can play a role in how many records are returned. The infoprovider is not the only source of additional records. For example:
    Employee has three records in the time range.
    Salary infoprovider has only one.
    Results will contain THREE records, one for each employee record, all with the same salary record. On an aggregate basis, the salary results will be multiplied by three.
    Time dependent master data can be a source of much confusion. For some HR reporting, I have created a 'most current' employee master data record that is not time dependent, and is loaded daily. I then use that for data models such as salary or other separate infoproviders.
