Cost settlement

Hi Team,
my client is giving some PRT to contractors for their use and charging them. if any breakdown haapened, charge to contractor. Now we are alos debiting to contractor , what ever cost incurred at the time of Maintenance of machine, should this cost be settled on cost center.
Is it logical.
how should i go with this scenario.

Hi
see there are two different scenarios one is you are lending PRT to contractors for which you are charging & if equipments are under breakdown you are charging to contractors
but what if equipment is down due to material procurment prblem from your own company then how will you charge to contractors
this is not logical

• Cost settlement only for assets that have been paid

Dear all,
i need to do, at the end of the month, the cost settlement from wbs to asset only for the the part of asset that have been paid.
I don' t know how to do this using standard sap funcionalities.
Theonly way that we think to use is:
- setlle of the entire wbs
- transfer posting (FI) from asset to wbs of the part that have not been paid.
Some of you can help me?
thanks
Elena

Hello friend,
Because I do not understand your requirement to capitalize from AuC to final asset only only those costs for goods/service that have been paid - I would like to give warning that you may not have the requirement correct.
This would not be your fault, but the fault of the accounting users giving you the requirement is my guess.
Receiving against PO may be MIGO, and then posting the vendor's invoice later on when it's received, is MIRO usually.
The actual payment to the vendor is a subsequent posting known as a check cut. The accounting for a check cut does not create the AuC value, nor does it meet any accounting requirement for capitalization.
The accounting requirement for capitalization in almost all countries would be MIGO. Because we have posted the receipt of goods or services, we now owe a vendor somewhere. The liability will be in your non-specific vendor account, GR/IR which stands for Good Received/Invoice Received. MIRO clears out the amount from your GR/IR account, moving it to your reconciling account in the g/l for a specific vendor sub-ledger account. The check cut then removes specific liability from reconciling account, and removes cash from g/l cash account.
Recognizing that we owe the cost of the goods receipt MIGO, it is already fair and required to capitalize the costs to final assets and commence depreciation expense (assumption you have placed the capital fixed assets into service).
So, neither MIRO nor check cut should delay your capitalization from AuC to final completed assets unless your requirement is different that SAP basic scenario. Regards

• Shipment Cost settlement to multiple vendors

Hi team,
When we are calculating shipment cost, with reference to outbound shipments, we have to get the multiple vendors like freight cost settlement to one vendor and insurance will be to the other vendor.
How do we need to map this requirement? We are using SD route.
Regards
Venkat Ramana

Hi Venkat,
If different service agents exist in the shipment cost documents, a
corresponding number of condition lines (with value 0) must be
specified in the purchase order item. These can always belong to the
same condition type (in schema 'Manual') or also to different
condition types (not 'Manual'):
a) Manual condition lines: If the condition type in the schema of
the purchase order is marked as 'manual', the condition type must
be created (with value 0) in the purchase order item before the
goods receipt. If delivery costs are expected from different
service agents, several non-valuated entries must be generated
for this condition type. If more condition lines exist than
required, these are then no longer taken into account. If
condition lines are missing, the last service agents are not
settled.
- Advantage: You only have to define one condition type for the
delivery costs.
- Disadvantage: Each purchase order must be processed manually
before the goods receipt.
b) Automatic condition lines: If the condition lines are to be
generated automatically for the delivery costs (the condition
type is not flagged as 'Manual' in the schema), the schema must
have enough condition types to settle several service agents. If
more condition lines exist than required, these are then no
longer taken into account. If condition lines are missing, the
last service agents are not settled.
- Advantage: The goods receipt can be carried out without manual
preparation beforehand in the purchase order.
- Disadvantage: You must define identical condition types with different names.

• Cost Settlement in PM module

Dear All,
While carrying out cost settlement for an order, there is an error comming up "Complete Allocation Structure 'ZP' "
Which say while settlement either the cost element of the component is incorrect or if it is correct then change in the settlement rule.
how can we solve this query ?

HI,
Contact your FICO consultant to check the allocation structure.
There might be a problem with cost element and the allocation structure.

• Outbound delivery deletion with shipment cost settled.

Dears
I have one question about how to delete one outbound delivery which has one shipment document inside.
Scenarios like:
we do normal sales order -> outbound delivery -> Picking -> Loading -> PGI -> invoice. and also from outbound delivery to shipment document and shipment cost settled. that means everything is done.
But next month, the customer said they do not need such goods, they want to return all and take money back. so we need to cancel billing , PGI , and warehouse transactions. as you know , the previous month already been closed. we could not cancel shipment cost settlement . actually, we do not need to cancel it because the shipment is done by 3rd party partner. we need pay the transportation cost.
the problem, is when I use VL02n to delete outbound delivery item, it is not allowed because in document flow, there is one shipment document could not be deleted. but this outbound delivery status is OPEN, it always books some items which we will never delivery.
is there one can help me about how to delete outbound delivery or how to close it to avoid stock booking ( ATP)?
thanks
jerry W.

hello Jürgen L
thanks for your answer. I fully agree with you. it is just our business user ( specially from warehouse) want to make process simple, so then use this way to cancel billing and PGI, then delete delivery lines. I will push them to use standard process .
thanks again.
best regards,
jerry W.

• Periodic cost settlement for production order

Hello All,
Please explain me can we do Periodic cost settlement for production order in discrete manufacturing. If yes, how?
Thanks & Regards,
Alok Tiwari

WIP entry gets passed to accounts if the order is not in DLV or TECO status.
or else variance gets calculated.
Two GLs which gets hit are
Change in stock a/c Dr.
To Inventory Price Difference a/c Cr. or vice versa......

• Cost settlement & yield against the inspection Sample....

Hi there,
I gotta a query related to the cost settlement against the sample drawn for inspection.
Suppose that as per the sample drawing procedure configured for the material for 1000 bars let 1 bars is to be used for the inspection .
Now if that bar cannot be used further then how the cost is settled against the Production order for the inspected bar as during the order confirmation the value entered will be 1000 bars only & bar is consumed in QC...
Second thing is that if the requirement is of 1000 bars then the actual yield is
999 bars..... how the variance is taken care of so that there is no shortage of the material ...........
Thanks
Kaushik

HI,
in the PM order check the settlement parameters. In the allocation structure assigned to the PM order are "assignments" defined. Each assignments contain a "source" (=a number of cost elements) and a "settlement cost element" used for settlement document. Its also possible to settle primary cost element based (means without changing the original cost element during settlement).

• Material Ledger : Actual Cost settlement to Consumption Accounts

Dear CO Experts,
We are aware that when we run CKMLCP, all variances (in the Price Diff GL Account) due to Material Prices flutuation, diff in Standard & Actual Cost of Production, etc. would finally get settled to Consumption or Stock Account in its appropriate ratios.
Consumption Acount GL is a Cost Element with Cost Category as 1.
There can be cases, when there are diferences in Production Order, due to fluctuations in Prices or Actual consumption is more than standard consumption.
When a Production Order is settled the difference is posted to Price Diff Account.
When a Material Ledger (Actual Costing) is executed, Price Diff Account is targetted to be Zero. The Price Diff is then splitted in Stock & Consumtion Account in its appropriate ratios.
Main Question :
Since, Consumption Acount GL is a Cost Element with Cost Category as 1, what shall be the CO Account Assignment Object, when the ML value is settled to Consumption Accounts.

hi merchant..
1. Price diff between stnd and act is initially goes to PRD a/c through OBYC setting at the time of GR/Invoiceing/Issue if mat is set as S&3.
2. In case of mat set as V&2 idially there should not be any diff but may arise some small amount due to "no or less stock qty" at the time of invoicing.
3. When CKMLCP is run these price diff & order settlement diff splitted to cons and stock as you mentioned.
Now your question :
" Since, Consumption Acount GL is a Cost Element with Cost Category as 1, what shall be the CO Account Assignment Object, when the ML value is settled to Consumption Accounts"
Cons GL is cost element cat 1 for capturing mat mov for Issues to orders/cost centres, oth co obj for primary posting at stnd price.
Now at the time of CKMLCP run you revaluate the materials and price diff are splitted to cons & stock and goes to mat to calculate act cost (stnd +/- prd).
I think this will give you some light on your issue.

Are we settling out Maintenance Cost to profit Center directly or somewhere else.

Yes, you can settle a Profit Segment.
Have a look at the Settlement Profile assigned to your order type (IMG: Maintain Settlement Profiles).

• Shippment cost settlement - reg.

Hi,
I created shipment cost number (Using Tcode VI01) based on the shipment number created. Then we tried to settle the shipment cost by clicking the Transfer button in the Settlement tab in the Tcode VI02.
But while settling system is checking for the Service PO availability. We have created the service PO also. But we don't know where to assign this Service PO to appear in the shipment cost number.
Thanks
Mani.R

Dear Mani,
Normally After checking the Transfer check system will create the Service PO automatically based on the IMG settings.
You can see the Service PO Number in the Service procurement tab (Adjusent to Settlement tab) in the field Purchasing Doc.
I don't think you can assign service PO Manually in the shipment cost document.
I hope this will help you,
Regards,
Murali.

• Service cost settlement on AUC

Hi Experts,
We have a scenario where we've an Order type PM06 for performing some Improvements projects/Changes into existing process. The settlement of this order type happens on the AUC and finally to fixed asset.
Now if user want to execute some changes through external vendor's service, how this service cost will be settled to AUC (since this order type is settling to AUC) and finally converted as 'Asset' ?
Seeking your valuable advise...Thx in advance

Forgot to mention the other thing.
Internal Labor cost can't be settled to AuC or Fixed Asset. Only Primary Cost Element costs can be settled to AuC or Fixed Asset.
So, you need to define Source Structure & Allocation Structure. While doing the TECO of PM Order, based on Actual Cost or other conditions (Business Decision on settlement), user has to select the appropriate Source Structure & Receiver in Settlement rule.
Refer below thread.

• Problems in project cost settlement

We have large projects . While running CJ88 total cost is not settled in one run . we need to run cj88 2-3 times then total cost is settled. Some times even after running 2-3 times we find some unsettled cost. What can be possible reasons.

Even with CJ8G, you can settle one by one.
Moreover, you can run this background which will take less time compare to CJ88
There is not mandatory that you have to select many in CJ8G.
Select one project and run, it will help you in time consumption
Thanks

• Planned Delivery Cost Settlement (MDRC)

Hi All,
I tired so many ways to settle planned delivery costs through MDRC since ERS don't settle the delivery costs. I keep getting "No values for this selection" msg. I made sure I fill in the correct information at the intial screen.
What am I doing wrong?
Thanks!

Hi Duke
I still unable to see MDRC tcode anywhere....
i have not understood ur query also, if u want to settle planned delivery cost it will be captured at the time of GR to freight clearing account.
The stock account is debited with the planned delivery costs at goods receipt and the system makes the offsetting posting to a freight clearing account. This posting is then cleared by an offsetting entry to the vendor account at invoice receipt.

• Work Order - Cost Settlement (Urgent)

Hi All,
I would like to know where i can check the costs, after doing MB31 or CO11. I suspect the way the work order flow has been setup in incorrect, as the work order is supposed to generate a purchase requisition, which is to be converted to a PO. But at the moment i just see a number in the requisition column of operations page of the work order. But no p-req's are seen in MD04 output.
I checked in MB51, i find a 101 movement for the sub-assembly work order, but the cost column is 0. Await inputs.
Vivek

Dear Vivek
1. Tick the sub-contracting box in Routing (to ensure the system generates sub-con purch reqn during MRP run & then i convert it to sub-con PO) ---> This will not create Subcontracting PR during MRP run. This will create PR during Production order release or that particular operation is released.
2. In the above case, after the let us first operation if you are sending it to contractor then there will be any entry in Inventory management as it is not material subcontracting it is only SERVICE subcontracting i.e. this particular operation is subcontracted. This procedure is followed when contactor is working with in your company premises.
3. The procedure you are talking about in you serial no 1 to 4 is the material subcontract...the procedure is as below
Let us say you have a final product C.
C needs B
B need s A
A needs raw material X and Y
In the above case
C and B is having routing
In A material master MRP2 view....enter special procurement key as subcontacting(in STD sap the key is 30), procurement key = F
A has a BOM having items X and Y.No routing for A
When youn run MRP
System will create Pl order for C and B, SUBCONTACTING PR to A and PR to x and Y
After you procure X and Y, You can convert PR of A to PO.
Then you will send the material i.e. issue the material to subcontractor through 541 and special stock O.
This stock you case see in MMBE with special stock O.
Once you receive the material A, when you do GR, the materials are issued to A and A will be inventarised with mov type 101.
The cost of serve and the cost of raw material is booked to cost center entered in subcontracting PO.
The cost of this will be settled to production order later.
I hope it is clear.

• Issue with Cost Settlement through CJ88

Dear All,
I have maintained "Total Values check" in budget profile under time frame and "overall check" under availability control.
When i am creating service orders then availability control is working properly. But when i am trying to do settlement using cj88 then system is not allowing me to do settlement. It is giving message that budget is exceeded.Even though i have sufficient budget.
Can someone tell me why Availability control is behaving differently? How can i settle costs?I need to settle costs of the project against asset account and all WBS costs should get settled against parent WBS. I had maintained settlement rule for the same.
Regards,
Kamal

Gentlemen,
The solution is temporary as activating/de-activating availability control each time is not viable at the time of settlement run....check the following;
1. If the settlement cost element is a secondary cost element and flasgged as 21 (Internal Settlement).
2. Check the accounting documents after the settlement transaction is posted and look for the sender & reciever cost element.
3. Else request you to kindly explain your chart of account structure only to find out if the settlement reciever cost element is part of COGS (Cost of Goods Sold) cost element group.
4. If the date of creating service entry sheet is beyond the fiscal year as you have suggested that you have activiated both the indicators (Overall & Annual Values) i.e. if date of creation of service order and date of confirmation of service entry sheet.
Hope this is useful
