Credit memo/invoice (PRD) vs subsequent cr/dr (Stock acc)

hi,
GR - qty 20080 value 3950
IR - qty 20080 value 3950
after vendor invoice is posted, there is a credit memo and invoice, both with reference to the same PO.
1 if credit memo qty 20080 (same qty) value 1000, system will credit prd 1000?
2 in point 1, only value impacted. if i use subsequent credit, system will credit stock account 1000?
3 if invoice qty 20080 (same qty) value 1000, system will debit prd 1000?
4 if point 3 only value impacted, if i use subsequent debit, system will debit stock account 1000?

see credit memo is posted when value and qty both changes. now u r posting a credit memo of qty 20080 means u are revering the whole invoice of qty 20080 and value 3950. so for the above scenario the value will be 3950 not 1000.
my AP dept is posting as what my point 1 question. which is why i am asking here. i agree with your explanation but i do not understand why my AP dept can credit PRD 1000.

No the GR/Ir accout is not same as stock account. stock account is one which gives u total stock value for a perticular material. this account is attached to valuation class and valuation class is attached to material master accounting view so see the total stock value for u organization u have see the value of this stock account.
whereas GR/IR account acts as clearing account means when u do gr it is credited and when u do invoice against gr it is debited so that value becomes 0. it acts as intermitiate account between stock account and vendor accounts.
During GR stock acc + ve
                 GR/IR acc  -ve
During Invoice  Vendor account - ve
                         GR/Ir acc           + ve
3) if GRC and stock account different, how can directly update stock account without changing the GRC account?
this happens in case where GR is done first and then invoice. So when u do invoice and if there is some difference in price of material from the price with is used during GR then the difference amount is loaded ( increase or decrese ) from stock account so that proper value is loaded on material.

    i have been seeking advice with regard to this area. I am happy that i am getting clearer.
    i would like to have verification on 6 points below if my understanding is correct.

    invoice is posted then vendor come back with correction.
    1) if i create credit memo NOT with reference to PO then the treatment is not similar to subsequent credit?
    2) if i create invoice NOT with reference to PO then the treatment is not similar to subsequent debit?

    Hello Eliana,
    Its unclear in your thread, how you are going to do it.
    For creating an invoice / credit memo, you have to refer either a PO/schduling agreement / delivery note (migo).
    In all the cases, it will get linked with the PO - MIGO.
    What you have to understand is the functionality and the posting that will happen.
    If you select
    Invoice / credit memo - GR/IR clearing account and vendor account
    Subsequent credit/debit - Stock account and vendor account
    The difference in posting has its own significance. It will affect the MAP if your material price control is V.
    If qty and value variance is there, use the functionality invoice/credit memo.
    If only price variation - use subsequent credit/debit.

    We have difference in prices when we create a return credit memo.
    We have scale price and for 500 product the scale price is 92 rs. the basic price is 112.
    We have created an order for 500 items where 92 rs has piced and in the invoce for 500 92 rs has picked, even in the return sale sorder for 4 items 92 has picked but
                      but when we checked the return credit invoice the price has taken as 112. which is the basic price.

    Invoice to return sales order --- D is maintained.
    Return Delivery to return invoice --- G is maintained
    So may i know what should i change.
    can you please explain me the difference between D AND G
    The return sales order has been created with refrence to the invoice, the return sales order has taken the price from scale which is correct but only the return invoice has taken the basic price instead of scales
    please answer me as soon as possible

    Hi.
    A Credit Memo can be considered the opposite of a Standard Invoice. It can be due to severeal reasons like, for example, when you claim to your supllier that the price for a certain good or service was higher than the agreed he can send you a Credit Memo in the amount of the price difference. You have recorded the Invoice (let's say $100) for the wrong price and now you will record the CM (let's say $10) for a negative amount being that the sum of the two documents correspond to the correct purchase you have done.
    This way, the table AP_INVOICE_PAYMENTS_ALL records the CM with a negative amount allowing you to pay the two documents (the positive invoice and the negative CM) for the net amount.
    About the journals entries:
    Invoice
    DR Cost $100
    CR Liabilty $100
    CM
    DR Liability $10
    CR Cost $10
    Payment
    DR Liability $90
    CR Bank $90

    It is possible to block (show alert message) when I make credit memo in MIR7 with the same reference number and purchase number?
    In standard invoice this transaction show me message if in system exists already the same number reference. In this type duplicate is checking but in credit memo type not.

    I am not clear with the question u wrote?? In the sense if i am going to do a duplicate  Credit Memo with same  number in the referenece field, it showz a alert msg, saying XXXX document has the same reference number u mean ????

  • Credit Memo - Invoice VAT and Credit Memo VAT differs

    I have a scenario where the invoice generated had 16% VAT.  In July, VAT was changed to 18%.  When generating a crdit memo request for an old invoice... the header and item conditions tab showed 16% VAT.  When credit memo request is released and save, and it transferred to biling, i get VAT at 18%.
    I tried to change the billing date and bill doc creation date in Credit memo request...to June.. prior ot VAT increase date.   but i am still getting current 18% VAT.
    Does anyone know where i can maintain or have the effective date maintained for the correct VAT?  I am using CRM billing.

    When billing, i am not able to change settings.. as the fields were greyed out.
    I am not too familiar with CRM billing .. but in ECC .. we use the Date Service Rendered.  this date would take the correct VAT effective date.  
    When i go to the item overview, all the fields have been greyed out.   and i am not able to change any fields.  is there somewhere in the settings that i could make the Pricing date and Date Serv. Rendered   editable in the credit memo

  • Credit Memo Invoice - Configurable Material

    I have a sales order with configurable material and the appropriate invoice.
    Sales Order has type "credit memo request" and the invoice is a "_credit memo_".
    It is not possible to release the document to Accounting/COPA.
    Error message is "Error reading the material cost estimate for sales order xxxx".
    What can I do to proceed? Which Customizing settings are necessary? Because it is correct, that there is no material cost estimate because the material is calculated while creating the sales order.

    Please check whether u have configured any costing key with setting for reading the cost estimate of the material.
    As you said, the cost estimate of the material doesnt come in your scenario, there should not be any configuration in copa to read the cost estimate(thru costing key)

  • Credit Memo Invoice Reference for EDI (Inbound)

    Hello,
    When posting Credit Memos with EDI, SAP is not checking the invoice reference in IDOC segment E1EDK02 QUALF 009 to match the credit memo for vendor invoice that is already posted in the system.
    Is there a note or config that needs to be done to invoke the reference number checking for Credit Memos?
    We are on ECC 5.0 using INVOIC02.
    Any help would be greatly appreciated.

    No , if only value changes, you have to use subsequent credit / debit. Credit memo is used to reduce the vendor liability with change in qty.
    Credit memo is done in case of material to be returned to vendor. When you post a credit memo, the postings are reversed from the GR/Ir clearing account and the vendor account. But when you post a subsequent credit/debit the postings will be to the stock account and the vendor account.
    The account postings for a subsequent debit/credit depend on the quantity that the subsequent debit/credit applies to:
    If the quantity of the subsequent debit/credit is smaller than or the same as the quantity delivered, the system tries to post the subsequent debit/credit to the stock account. If the material is valuated with a standard price or if there is insufficient stock coverage for the quantity to be debited or credited, the amount is posted to a price difference account.
    If the quantity of the subsequent debit/credit is larger than the quantity delivered, the system distributes the relevant amount proportionally. The part of the subsequent debit/credit that does not have a goods receipt is posted to the GR/IR clearing account. The remaining amount is posted to the stock account u2013 or in the case of standard price control or insufficient stock coverage u2013 to a price difference account.

    No, if you create one more invoice, the qty invoiced will be increased by the qty you mention in the invoice.
    ie if you have posted an invoice for 100 qty @ 10 per qty and again if you try to post the difference amount of 250 for total 100qty, system will update the invoice qty as 200, and it is wrong.
    You have to use subsequent credit/debit.
    So the thumb rule is that, if only value changes after Invoice verification, use subsequent credit/ debit and if there is qty and value changes, use credit memo / invoice.

    I've been implementing FM module. The problem I get is that when I try to post credit memo invoice, this does not update my assigned funds, while it should (at least that's logical for me). The system should reduce assigned and commitments/actual and increase my available funds for a specified funds center and commitment item.
    Is it correct what the system does?

    Kindly verify if below 4 points are correct.
    after invoice posted, if i do credit memo reference to the same PO,
    1) qty remained the same 20080 and value is less, say 1000, this 1000 is posted to credit prd?
    2) if qty say, 1000 and value 1000 also, double entry will be hitting GRC?
    after invoice posted, if i do invoice reference to the same PO,
    3) qty remained the same 20080 and value is less, say 1000, this 1000 is posted to debit prd?

    I believe you have to look at both the Header and Item tables.
    In table RBKP there is a field Invoice where X = invoice and no entry indicates a credit.
    To determine if you are dealing with a normal invoice/credit or a subsequent debit/credit you then have to go to table RSEG and there is a Subsequent debit/credit field.
    Invoice    Subs deb/cred
    X                                      = invoice
    X                      X             = subsequent debit
                            X              = credit
    X                      X             = subsequent credit

    Dear Anis,
    Subsequent Debits/Credits are used in cases where the quantity is in the original invoice is to remain the same.
    Example:
    PO 10 - $10
    GR 10 - $10
    LIV 10 - $11 (Logistics Invoice Verification)
    The vendor invoice is more than that in the Purchase Order. In order to correct, the Vendor may send in another invoice for the Increased amount or a credit memo for the reduce amount.
    If you approve of the price increase, post the subsequent invoice received as a Subsequent Debit Invoice.
    If it is a credit memo that has been received for reducing $1 of invoice price, then post the credit memo as Subsequent Credit.
    This would retain the quantity but reduce the amount.
    Subsequent Debit/Credit is for the case when the credit is not for the full amount eg. if the Vendor decided to credit & only the $1 overcharged.
    Credit memo is for the credit of the full amount and value.

    This regarding Create A/P Invoice for an item with value 1000. Correspondingly create a A/P Credit memo for the same bill with 800 value. if you see journal entry the difference amount is tracking in Exp. And Inv. Variance Acct. if it is single of warehouse.
    My scenario is GL account set by warehouse. And in our project there are six different warehouses.
    Above scenario happens in all six different warehouses, can you guide me where to set Exp. And Inv. Variance Acct. in the warehouse accounting.

    What is your valuation method.is it standard or moving average?
    if it is moving average A/P credit memo will create a journal crediting the stock and debiting the vendor in case of stock item.
    incase of noninventory expense gets credit and vendor gets debit.

    How do you apply a partial part of a Credit Memo on a Customers Account to an invoice he owes which is smaller than the Credit Memo? Example: the Credit Memo is for $10,000 and the invoice is for $2,000.

    When you clear an invoice that is smaller than the value of credit memo it will result in a credit residual.
    Use F-32
    select both items (invoice and credit memo)
    Click on residual items tab
    Double click on the white space under residual item column against the credit memo and it will result in the difference amount(credit memo - invoice)
    Then post it
