CRM Outlook client based groupware integration

Hello ,
I am trying to set up client based integration between CRM and outlook ,
I've installed groupware integration software on my computer , I defined necessary settings in CRM calendar properties in Outlook.
Once I am trying to start synchronization ( from CRM side) I got error message :
"The current version of software components installed on your PC(3.039) us lower that minimally required one (3.040).Would you like to update it now?"
I press "yes"  and go through update installation wizard. Once completed I press "Synchronize" again" and I get the same error message.

Hello,
The problem is that when you say "yes" to upgrade you would expect the system to download the newest version from the internet. Unfortunately this is not correct, the system just grabs the file from the CRM server itself. In other words, if you don't download the newest version from the internet and upload it to the CRM server it won't work.
Check OSS note 1311110 how to put the newest sync version on the CRM server. After this you can redo the actions you described previously.

    We are trying to activate a new Client Profile wiithin Client Based Groupware Integration. We are receiving an error message that 
    "Multiple profiles not allowed for same role, country, language combination."
    We believe we are receiving this message because there was an incomplete profile already saved in this table. We can not move forward without completing that record, however it is not editable for us.
    Has anyone run into this problem before? Any ideas how we can move forward? I would appreciate any information anyone is able to provide.

    I have one idea If you want to do this for your future records then you should create a specific transaction type meant only for GWI and assign it to groupware spro settings and that transaction type should not be used from SAP CRM WebUI. In this way all the appointment/task created in Outlook have that special TType and can be differentiated from others. Will that be of any use ?

  • Client Based Groupware Integration, task transfer problem

    Hi,
    I am using client based groupware integration on our 7.0 CRM system. But when I synchronize with outlook, owner of outlook task is not maintained on the CRM task document. On the CRM task, owner partner function is '00000022'. Which partner determination procedure I should use? And which access sequence is the true one?

    we struggle with the same topic. First of all we implemented GW Version 8.013, which brought some positive results - compared to 8.010
    Still we weren't able to to assign the GWI profile to our business role (we assigned the role, but didn't get the expected results)

    Hi Neha and David,
    David, you are right ... you have to be employee responsible for a contact to be synched from SAP CRM to Outlook.
    Additionally information:
    - if more than one user wants to synchronize a contact from CRM to Outlook use the assignment block "relationships" and add a new relationship "has the employee responsible" and add yourself.
    - in transaction "GWIPROFILE" there's a GWI profile parameter called "DownloadContactsFromCRM" with three possible values: "Owned contact", "Contacts of Account" and "Both".
    If you set this parameter to "Owned contact" only the contacts of CRM with the relationship "has the employee responsible" are synched to Outlook.
    If you set it to "Contacts of Account", all contacts of an account with the relationship "has the employee responsible" are synched to Outlook.
    If you set it to "Both", you need to add the relationship to either the account or the contact to get it synched to Outlook. This is useful if you have several small accounts (only few contacts in the account) where you want to synch all contacts, so add the relationship to the account.
    And you have several big accounts (with many contacts) where you want to select the contacts to be synched by adding the relatiopnship to the corresponding contacts and not to the account itself.
    In our environment, we did set it to "Both" so we have the most flexible options which contacts have to be synched and which not.
    I hope this information is a bit helpful.
    By the way: we initialize the synchronization manually to have full control.

    I have the Active X settings how you say.
    I'm using Lotus Notes 8.5
    I checked the customizing, and we have the Settings for Client-Based Synchronization
    DEFAULT_APPT_PROC_TYPE = Z000
    DEFAULT_APPT_TEXTTYPE = A002
    The transaction type Z000 is a copy the 0000.
    When I create a activity in SAP CRM and press the  synchronization button, the system creates a activity at the lotus notes. But when I create a activity in lotus notes, the system doesn't create the activity at the SAP CRM.

  • Client-based groupware integration - how to recognize inital system

    Our sales stuff creates new appointments in both, in CRM calendar - if they are able to be online and in their Outlook calendar if they are offline. With the synchronizing process both calendars will be adjusted.
    Due to some problems we have with the synch procedure, it would be very helpful to know if an appoint ment was initially created within CRM or within Outlook calendar. After synchronization the complete information is available on both sides and so within the appointment the intial system is not recognizable.
    Is there any place (table, log file) where I can identify the source system for specific appointments?
    Currently we have installed groupware client version 10.29.05 on our notebooks.

    we want to distribute the active x control for outlook via softwaredistribution, but we do not know how to fill the parameters as we do not know them.
    Does anybody have some information according this topic.

    the issue could as well be related to duplicate entries in Outlook. In this case the sync will fail because it does not know which version of a single record to update. Alternatively you might use OL 2007 and don´t have CDO installed. If the sync works when starting form the CRM UI the logon data (in the client settings under outlook) might be incorrect.
    Bob,
    as of today automatic sync is not supported. you can do this by creating a scheduled task under windows but every sync will stop until you confirm the Outlook security popup (lucky, who uses Notes in this case...)
    This is a known requirement and on our future plan

  • Client-based groupware appointment / task Notes not syncronized to Outlook

    The Notes in appointments and tasks don't sync from CRM 7 to Outlook 2007 but all else does? The Notes are configured to use the Log Text Type and we need them to syncronize.

    Check under spro>crm>crm middleware and related components>client-based groupware integration>Settings for Client-based Synchronization if you set proper text id:
    - Text type for the appointment notes(DEFAULT_APPT_TEXTTYPE) 
    - Text type for the task notes(DEFAULT_TASK_TEXTTYPE)

  • Client based groupware : installation via SMS / required registry settings?

    we'd like to install the CRM client based groupware syncronisation software (MS Outlook 2003 plugin) via SMS (Systems Management Server from Microsoft).
    I could not find any documentation which registry settings we have to / could send with the installation. Does anybody have some experience with it or a documentation available?

  • CRM Outlook client base sync : replicated fields

    Hello experts,
    i am currently using the client base synchronisation between Outlook and a CRM2007 instance.
    I am facing the following situation:
    The field "Function" in CRM Contact screen (which is "Job title" in Outlook) is correctly updated from CRM to Outlook but not from Outlook to CRM (whereas it is working in both directions for communication fields like Phone numbers for instance).
    is this the "normal standard behavior" or did I miss something?

    Hi Martin,
    we implemented the oss note as suggested.
    When there are new contacts in Outlook, they are now created in SAP CRM with all data (Contact person business role BUP001, function and Department).
    But, when an existing contact is modified in Outlook, the fields Job Title (SAP CRM "Function") and Department (SAP CRM "Department") are still not replicated. From SAP CRM to Outlook, it works fine.
    So, do you think I should create an OSS or has anyone else already faced this issue?

  • CRM Outlook Client - Set regarding throws an error

    When I switch from the Account entity to other entities in the Set Regarding (Look Up Record) I get an error:
    An error has occurred. Try this action again. If the problem continues, check the Microsoft Dynamics CRM Community for solutions or contact your organization's Microsoft Dynamics CRM Administrator. Finally, you can contact Microsoft Support.
    It´s in a CRM 2011 UR 18 environment + Outlook 2010/2013. This error happens to all users even though I tried given a test user a system admin privileges.
    The script error I get is this:

        Can you verify that the version of the Outlook plugin you have is 5.0.9690.4376? This is the version for UR 18:

    If not, please download and uninstall your current version of the Outlook plugin, and reinstall with this version:

    You mean the transaction SMICM, or? Yes, I checked the https configuration, but I didn't change anything.
    The documentation said that following things should be checked:
    -Misc section: In our case it was correct (it the name of the application server)
    -Services: that' our settings:
    icm/server_port_0     = PROT=HTTP,PORT=8000,TIMEOUT=900
    icm/server_port_1     = PROT=SMTP,PORT=0
    icm/server_port_2     = PROT=HTTPS,PORT=443,TIMEOUT=900
    I didn't change there anything.
    I can tell you what I have done until now:
    1) note: I implemented the note which you said and all which depend on 1443469 the note (1417047, 1422365, 1423114, 1437152, 1446757, 446757).
    Now we have the synchronization version 8.024.
    2) Our software team checked the latest patches of MS Outlook
    3) I created two sites: MS-Exchange Server & SBDocs Groupeware Customizing in Tx smoeac
    4) I created a new Client GWI profile and activated this profile.

    what is the difference between client base <> server base groupware integration in crm ?
    I've added the add-on for outlook and I think this the cleint base gwi. But
    what about the server base ?
    Can anybody explain the scenarios ?

    we at KASTO use the client based groupware integration.
    The reason was that it is only very little customizing plus installation of an outlook plugin.
    That´s it and it works perfectly to synchronise appointments and contact persons from CRM to MS Outlook.
    We do not synchronise anything from MS Outlook to CRM.

    Please help me on the below explained problem.
    We implemented MS Outlook groupware integration in CRM for activities synchronization from CRM to MS Outlook and vise versa and the synchronization is working fine for all accounts excepting one account, the activities synchronization is not happening from CRM to Outlook for one account.
    Please let me know know what could be the issue with this account or any customization settings missing or anything should be changed in account master data.

    Hi Venkatesh,
    I assume that you are using client side groupware integration.  I could think of following possibilities with that account -
    1. That account might be deleted/achieved/blocked
    2.  Incomplete sales area data (if not a prospect)
    Another way to check (I am sure you would have already done this) is that compare the problem account with the other account for which synchronization is happening correctly.  May be you can check each tab from CRM GUI or each assignment block from CRM WEB UI.

    I can only find the path to "client-based synchronization" in IMG,but I have no idea about how to implement the activity

    3. go to spro>crm>basic settings>one-to one e-mail>Define Multipart E-Mail Option and Groupware Integration - here define lotus notes
    4. instal groupware integration component - in personalization of web ui
    5. edit synchronization settings - in personalization of web ui
