Customize ical server  email invitation to events?

Is there a way to customize the email invitation that iCal server from snow leopard Server that sends to people outside of the organization when there is an event? maybe fonts? some custom text or company logo?

iCal Server sends invitations to internal users too if you remove the email addresses of your internal users under "Info" in Workgroup Manager.
So the Open Directory does not have an entry for the users with your internal domain, which makes iCal Server see the user as an external one.

    Thanks Apple for introducing this nice little feature into iCal but then completely neglecting to write any sort of useful manual that can explain what to do when it doesn't work after you set it up for the first time.
    At long, long last we have finally got there after about 6 months of fiddling on and off, so I thought I had better post up the process since many have similar issues and it is hard to ascertain what is going on.
    Using an external email server was just a waste of time and it still wouldn't handle the replies properly even though it was supposed to handle '+addressing'. In the end I set up a special gmail account for the iCal server and finally got it working. I list here the process of configuring and testing the system to check that each little stage is working.
    Set up a Gmail account in Apple Mail to access and test in the usual way for any email account (e.g. [email protected].);
    Set the iCal server email to access the same email using the following settings:
    IMAP
    SMTP
    [email protected]
    smtp.gmail.com
    Port: 993 [x] Use SSL
    Port: 587 [x] Use SSL
    User & Pwd
    Login
    User & Pwd
    To test the settings:
    send out a test email from Apple Mail to a non-server email address that you can access to check it has been received;
    send out a test email from your non-server email account to [email protected] and check that it is received;
    this tells you that the GMail account is setup correctly and working
    Testing iCal:
    I noted that iCal was deleting any emails that arrive in the inBox in Apple Mail as soon as they arrived (this is to be expected);
    test that the invites are being sent from iCal by setting an event in iCal and inviting your non-server address (you may not see any sign of this in Apple Mail but you should catch it in the iCal server log and possibly in the Gmail sent mail box);
    check that the invite is received at your non-server account and Accept it in iCal on another machine - the reply is automatically sent back;
    the replies appear in Apple Mail but are quickly deleted by iCal. But their record for you to see is left in Gmail under 'All Mail';
    Accepted invites appear as a notification button on the top left hand bar on iCal where you click to acknowledge them and then the attendee is shown as a green circled tick instead of a grey circled ?.
    this shows that iCal invitations are working correctly. Whenever an event is updated, all invitees should be updated by email automatically.
    I hope this helps anyone - I could certainly have done with something similar when I started with looking at this.

    Hello all - We have an iCal server truing to post HTTP to an external SMTP server for email invitations. In the caldav error log:

    So I see lots of people have worked out the kinks to get iCal Server to send invites to external email accounts when using the Mail server on the same machine as the iCal Server, but who has it working when the mail server is somewhere else? Any help would be appreciated... I have setup it up like this:
    Email Address: [email protected]
    Incoming Mail Server: mail.mailserver.com
    User Name: com.apple.calendarserver (I created this account on the mail server)
    Password: Same as the one in my keychain for com.apple.calendarserver
    Outgoing Mail Server: mail.xyz.com

    Okay, got this figured out. Appears that the email server my client's company uses is terminating the connection when the Xserve tries to do anything. I setup a test Gmail account and used those settings instead and everything worked just fine.

  • Ical Server Email Invitations Setup

    Is there a guide to setup the Email Invitations? I have changed the settings over and over again in an attempt to make it work. I have tried pointing to the local mail server (same box) as well as our outside host with no luck. I have searched through many log files and am not seeing anything that will help me diagnose the issue. Any advise or guides out there? Thanks as usual for all of you help.

  • ICal Server Email Notifications to Users On Same Domain

    I am using iCal Server in an environment where a all of the iCal Server users are internal to the organization with emails that end with the same internal domain name.  Is it possible for iCal to send email notifications to those people invited internally whenever an event is scheduled?  Not all of the users are using iCal as their calDAV client so it would be perfect if an email notification went out to the invitees when someone schedules an event.  Email notification works just fine if I invite someone to an event with an external email address.

  • ICal Server sends invitations via external email but no RSVP

    I have set up a fresh install of Mavericks Server (10.9.3) running DNS and OD Services and now enabled iCal Server.
    I setup invitation of external users via an external email address and  invitations get sent and delivered via email just fine so I guess plus-addressing must be supported by the mailserver.
    However the invitations do not show the RSVP requests and do not automatically get picked up by Calendar.app.
    The server sits behind a NAT router and runs its own Split-DNS setup for the same local domain myserver.xyz.com that the router also redirects to the internal IP address of the server for external access to the iCal Server (so, FQDN is working for the server). The email account used for invitations is hosted on an external mailserver that runs on the same domain (mail.xyz.com).
    Did I miss anything in my setup?

  • Mail deleted by iCal "Enable email invitations" - recoverable?

    Okay, folks, pretty stupid mistake on my end.
    Thinking that MacOS is "don't worry about reading the manual" on the server end as well, I set up "enable email invitations" using my own personal email account for testing purposes.
    I wasn't aware that - even though I had selected IMAP during setup - iCal server would clean out my mailbox!
    Odd: it cleaned out both the Inbox AND the sent items folder!
    In any case, all my emails are gone; apparently, this happened while both my Macs were online, so the local IMAP stores on both are also clean.
    DISASTER!
    Does iCal completely destroy the contents of the mailbox it is set up to use, or does it hoard it someplace so that I can get it back?
    Please help!

  • ICal Server - Email notification to server users

    I am running Snow Leopard Server on a small network with 15 users. The server is not accessible outside network.
    The mail server is not hosted by Snow Leopard but by a external host.
    I start to switch each user calendar to iCal Server.
    I have two questions about the features of iCal Server:
    Is there a solution to activate the email notification in addition of the CalDav notification for users registered on the server?
    If a user is out of the network with his laptop (or iPhone), and because he can received email notification how can he receive the CalDav notifications?

  • Calendar Server Email Invitations

    I have Mavericks server set up solely for the calendar. My mail is hosted externally. I set up an [email protected] account on my external mail server specifically for the this calendar server to use. In the server app, I enabled "Enable invitations by email" in the Calendar service and entered the info for my external server.
    When I create an event and invite my internal users, everything works great. If I invite an external user, they never receive an email. I've tried with external mac.com and gmail.com addresses.
    The calendar error log on the server is showing the following. The firewall is off. Any ideas for further troubleshooting this issue?

    I went back and disabled SSL for the external email settings for the Calendar service, and it started sending mail. Not sure why that was an issue.

  • Ical server Attachment "(null)" in event "xyz" was rejected by the server because of insuffient storage space

    We are moving our stand alone iCal files to a Lion Server.  We have alot of attachement for several events.  After importing several calendars we are getting this error.  What shall we do?  What storage is this?  the server new and has two disks with 1TB of free space.  So, I am thinking this has to do with the iCal database on the server.  I don't see any server based configuration for iCal storage or database configuration?

    I have found this, 
    Use serveradmin via the Terminal app to set the quota limits.

  • Does availability only work w/ iCal Server calendars?

    We have enabled iCal Server in the hopes that it will solve our meeting coordination problems, but it looks like the iCal / iCal Server combo don't perform as you'd expect when looking at attendee availability for new events.
    As far as I can tell, events on your local calendars don't block out time on the availability window -- only events on server calendars (CalDAV) do. So if I have a doctor's appointment at 10am tomorrow on my personal, local calendar, and someone at work is trying to set up a meeting with me, they will see that time block as open. Only if I set up a personal calendar on the company iCal Server, and put the event on that hosted calendar, would they see that 10am was blocked.
    I've tested this several ways with a few different test calendars on the server, and it looks like this is so. There's a checkbox "events affect availability" when you right-click on the hosted calendars, but that option does not appear on the local ones.
    We want to encourage adoption of iCal using iCal Server to improve coordination at our company, but I doubt that few if any will put their personal calendars on the company server.
    Are we doing something wrong here? Or is this really a (giant) limitation of iCal?
    This is using iCal 3.0.4 from the OS 10.5.4 update, and iCal Server 10.5.3.

    Ok, I guess I think I found the answers in the iPhone Users Guide on the Support site.
    If I understand correctly, it appears that iCal Server Calendars are considered read-only on iPhone. You can only accept meeting requests? I assume this because in the snippet below it says that "Subscribed Calendars" are read-only.
    This is from the iPhone User Guides under the "Calendar" section:
    Subscribing to Calendars
    You can subscribe to calendars that use the iCalendar (.ics) format. Many calendar- based services support calendar subscriptions, including Yahoo!, Google, and the Mac OS X iCal application.
    Subscribed calendars are read-only. You can read events from subscribed calendars on iPhone, but you can’t edit them or create new events.
    So, it appears I can't use the iCal Server as intended. I wanted to store the calendars in one location using the Calendar server. I originally had this all working by publishing the calendars to my apache server with WebDAV enabled. I thought I could get rid of that and use the Calendar server instead. Appears I was wrong..or am still misundersanding something.
    Also, i found out why I didn't have the "Default Calendar" option in Settings. It turns out that you have to have more than one calendar enabled on the phone and they have to writable. So, because I had all server subscribed calendars that option wasn't shown. As soon as i added NON-SERVER calendars that option reappeared.
    Is anyone else using the Snow Leopard Calendar server and iPhone?

  • How do I put a newly invited event into my iCal server calendar?

    Hi There,
    We recently bought a mac-mini server which is running Snow Leopard Server for our office, and we have configured the server (using iCal Server 2) to store everybody's calendars.
    Everyone is using iCal to access there calendars off the server and the basics are working ok (sharing etc).
    An issue arises when someone attempts to create an event and invite another user in the office, the invitation is sent correctly but when the user receives the invitation and tries to add it to there calendar it is added to there local calendar, not the server calendar.
    So my question is how do I make it so any newly added event is put into my server calendar, not one of my local calendars?

    Bear with me because my system is Italian, but we'll work it out together: iCAL will provide you with myriads of calendars, even those of football team schedules in Oklahoma.
    In my system, I go into iCAL, click on the menu at the top "Calendario" ("Calendar" obviously) and study the roll-down menu. I found "Trova iscrizioni" which might simply be something like "find calendars" "find entries". In any case, it is the item at the bottom of the roll-down "Calendar" menu.
    Be prepared for a bit of scrolling, unless there is an index I missed.

    Google Apps domain account
    Lion and Snow Leopard iCal users syncing to Google Calendar
    Problem:
    1.A Lion user creates a new iCal event and invites multiple people to the event.  The event is created and then an email invitation is sent to all invitees.  Each invitee receives 6 - 10 email notices about the evet. 
    2. the event organizer changes the event time, multiple email notices go out to all invitees (6-10 emails each).
    What is causing this problem and is there a way to fix it?

    I was testing external email invitations with iCal Server on Lion Server and encountered that if a Name that can Be resolved via iPhone or mac addressbook or even the sending iCal Account contains an umlaut something like this show up in iCal Server error log:

    If changing the Umlaut ü to something like ue in the Sender or Receiver Name everything is alright!

    Thinks for commenting. I am very upset that Apple just said "No" when I asked for this to be fixed. There appears to be no way to submit this as an official bug that keeps ical from running.
    Apple actually had me reinstall my whole server and the issue was still there and then they just said "Oh, well I will email someone about it.".
    This is the first time Apple has stunk it up in my books. This is bad support for Server.
