Customize Lync Meeting Invitation

I was looking for a way to change the default meeting invite email but
I guess there isn't any way to do this.
You can customize the invitation using Exchange Server's transport rules.
Can someone help how to do that and how it will work ?
Currently the outlook meeting says only
Join Lync Meeting
I want to add Please join my meeting by clicking the below link and also how to make meeting link visible in Outlook
Any suggestions are welcome.
Thanks
Samir

With Lync 2013 you can Add a Logo, Help/support Link, Disclaimer text and footer text: http://technet.microsoft.com/en-us/library/gg398638.aspx and http://howdouc.blogspot.ca/2012/08/customizing-lync-online-meeting.html
In Lync 2010 you would have to use an Exchange transport rule to customize the invite after being sent: http://technet.microsoft.com/en-us/library/gg398638(v=ocs.14).aspx .
You could still use a transport rule to customize the 2013 invite further but I believe the hiddent text identifier is different in 2013 from 2010.

I tried to configure lync conferencing, but when I make a new lync meeting request I only got the following Information:
I created a new CsDialInConferencingAccessNumber. What do I have to do fo make the number visible for the lync meeting invitation?

Has the number been created correctly, are the LineURI and DisplayNumber fields properly populated when you run Get-CSDialInConferencingAccessNumber ?

  • Lync meeting invite format

Hey everyone this is just a quick question to how to format the lync invitation to look better for lync 2013 currently we have 4 numbers and they look ok but when Lync adds the Region and Default Language it formats funny,  PreferablyI
would have the option to remove the region and language so if that's an option that would be helpful I have attached a pic of what ours looks like today

    Hi,
There is no better method for it. However you can do it manually as follow: when you creating a new Lync meeting invitation on Outlook, on the invitation interface, you can edit the Lync invitation content as you like and then send to users.

  • Connecting to Legacy Lync meeting invitations

My company uses Office 365 and Skype for Windows but we do not use Skype for Business and have never used Lync internally.  We have a few customers that use Lync (not skype for business) in their enterprise.  In the past our customers could send us a link to a Lync meeting and we could join the meeting via Lync since it was installed as part of Office 2010.  This option still works on the machines that have not been upgraded to Office 365. On the machines that have been upgraded to Office 365 and Skype for Business, the Skype for Business application loads and prompts us for our SFB signon when we try to join our customers Lync meetings.  Since we don't use SFB, we don't have any valid accounts and we cannot join our customer's meetings. How can we connect to a legacy Lync meeting without using SFB internally. Thanks,

    HI Holger,
    Thanks for reply!!
But the above link will not work as per scenrio.
The SIP addresses has been migrated to LYNC server. ther is no user host on OCS server. However in communicator client the manual entry is done and OCS pool name is given. OCS pool just redirect the query to LYNC pool.
And we need to idenfy the SIP user request on OCS which are redirecting by ocs pool to lync pool
In other word we can say this question like:  How to collect the number of SIP users connections coming on OCS Direct  server?
    Thanks
    jitender
As all users are migrated to Lync Server, all users will be redirected to their home pool.
You want to collect the number of SIP connections coming from OCS server that means you want to count the number of Lync client with manual configuration pointing to OCS server.
This information is stored in SIP session. There is no Lync command to get this kind of information natively.

A few users are experiencing this
Right now Lync is on 2010 server and users are using Lync 2013 client with office 2010 and the server it will be upgraded to 2013. When it does get upgraded to 2013 will this message occur?  I know in Lync 2010 client there were updates that fix this
but i see nothing for the Lync 2013 client. Please advise.

    Hi,
There is no related document on network about the issue if Lync Server is 2010 while Lync client is 2013.
As Edwin said above, you can migration Lync Server 2010 to 2013 and then check again.

  • Lync 2013 meeting invitation customizations not working for some users

    Hello Microsoft TechNet Forms,
I have a strange problem that I am totally stumped on. I made some modifications to the Lync 2013 meeting configuration to add in my company's logo, a footer and set a custom help Lync URL. Now everything seemed to work expect for myself and
one other person I tested with. If I try creating a new Lync 2013 meeting via my Outlook 2013 the normal stock Lync meeting invite appears. Yet testing with any other user everything I have changed appears as expected and I am at a total loss to why.
I have so far from troubleshooting determined it must be something with my account that is causing it but I have just not been able to determine what. As signing into a different machine yields the same result yet testing with another account that is
known to work on the exact same machine works correctly with the different account. I have tired deleting and re-crating my Lync account just in case that had something to do with it but that didn't fix the problem. I have tired repairing Office 2013 to
running windows update on Office 2013 which didn't help.
The changes I made to the meeting configuration are global scoped. I have so far not found anything online from anyone ever reporting a similar issue to this. At this point I am stuck on what I should be looking for with regards to what is stopping
the meeting invite updating for myself and the other person. Given I don't know what mechanism is involved with updating the Lync meeting invite on Outlook 2013 I am stumped. I am open to any suggestions someone might have as to what to do next or what might
be the cause of this problem.
    Nicholas,

    Hi Nicholas,
Can you compare your account with other’s and check if your account is applied any special policy in Lync Control Panel ?
    Best regards,
    Eric

  • Online Meeting invite customization not showing

I've added our logo url and custom footer but neither show up in a new online meeting invites.  Any ideas?

    Hi,
Did you solve the issue Raju_raju provided above?
You can also try to customize the Meeting Invitation by using Lync Server Management Shell such as following:
    New-CsMeetingConfiguration -Identity site:Redmond -EnableInviteCustomization $True -LogoURL "http://www.contoso.com/logo/contosobanner.gif" -HelpURL "http://www.contoso.com/support" -LegalURL "http://www.contoso.com/disclaimer"

  • Lync Outlook Plug-in displays Region and Language in Meeting Invite only with Lync 2013

    Hello,
I am running Lync 2010 right now and have a some users who are using Office 2013 and Lync 2013 client. When they create an Online Meeting using the plug-in in outlook the meeting invite shows the location and number but also displays the region that number
is coming from along with the Primary Language it is available in. This does not happen with Lync 2010 client and Office 2010. I really don't think the region name and the language is important and it makes the meeting invite look messy. Is there a way to prevent
this globally? Is this what I can expect from Lync 2013, as I am in the process of deploying that now?

Holger is right, that's just the way it is and you can't really change it. You can customize what is seen in the screenshot however.    The only thing you can really do is hand edit them, or if it's the dedicated meeting space you could
cut and paste it into a signature and customize it any way you like, but that breaks other things like some of the one-click join functionality.

  • Any way to customize standard OWC meeting invitation emails

Anyone know of a way to personalize/customize the notifications OWC generates for meeting invitations?

    Hi webheadllc,
You can certainly add a custom feild as an Account admin, but you can just use that to define sort order in the attendee pod. You cant hide a name from attendee pod, but yes as a host you can edit users info and change their names. OR, if you dont want others to see the attendee pod, you can move the attendee pod to Presenter only Area (POA).
    Hope that helps!

  • Lync "Meet Now" invitation by Email

I recently upgraded to Office 365 Midsize Business, which includes Lync 2013. Lync is new to me. In MS Outlook I can schedule a "New Lync Meeting" with ease, accessing my contact list in Outlook and it works fine.
However, when I use the Lync IM dialog box on my PC, the "Meet Now" and "Invite More People" feature does not allow me to send emails. It doesn't appear configured for email addresses, but only says "Send an IM". I tried sending
an email in the IM address but it didn't send. Can I invite people by email?
Second the contact list in Lync IM dialog box does not sync with MS Outlook. Is there away for all of my Outlook contacts to also appear in Lync, so I can invite them via "Meet Now" in the Lync dialog box?
Obviously I'm new to Lync. Advice would be appreciated.

There is a way to invite more people by email. Hold your cursor over the "participants icon", the circle with two heads; a pop-up will appear. Click on "Actions" at the top of the page. You will then see an option "Invite by Email".
Importing or syncing contacts from Outlook to Lync is not possible under the current set-up.

  • Enable users and schedule a lync meeting via a webapplication

    dear
my question is that i have a web service joined into my domain and then we  have an exchange server and recently add  lync server 2013(and edg server and sql)
i want register external users(browsing user) in lync server and
trying to schedule a lync conference . After creating the conference I send the ConferenceUri to the users and let them join the conference
first i add users into ldap and then enable exchange email for them (by my web ) and now i want enable them in lync and create schedule a lync meeting
the problem is that i dont know which way is usefull for me? lync sdk , ucma 4 , ucwa , powershell , ...
but all of this ways need an Installed lync server in developing machine .right?
my web service is none hosted lync installed. please help my(in other word i want try that:
    http://stackoverflow.com/questions/21019286/schedule-a-lync-conference-with-ucma-3-0
     . how do that?

    Hi,
From your description, did you mean you have install Exchange Server and Lync Server 2013 (including Edge server) successfully?
If you have deploy Exchange Server and Lync Server 2013 in the same domain, you should use user’s email address as your Lync account. They will be integrated already. You can just create a schedule Lync meeting on Outlook and send to who you want to invite
to the meeting. If you also want external users to download meeting content for your meetings you also need to deploy a Reverse Proxy in DMZ zone. If the external users don’t have a Lync account, they can also join the meeting as a guest.

  • Multiparty video conference with extended family - Does Lync meet these requirements?

Hello, we are 100% invested in the MS ecosystem.  We would like to find an affordable MS solution to the following so that we are not forced into using Hangouts. Thanks in advance for any advice or comments you can offer.
    Objective:
Enable family members from across North America to cost effectively video conference with each other on a weekly basis.
    Requirements:
    R1) Multiparty video conferencing
R2) Only one user (myself) incurs an affordable cost for the service.  (Else Hangouts will be lobbied for)
R3) Any subset of family members can connect to a scheduled meeting, without requiring the user who pays for the service to be in the meeting to allow them in.
*** Question #1 - Is there a solution that meets or closely meets these requirements?
    SOLUTIONS CONSIDERED
    Skype Premium:
    * Does not meet R2 and R3.  Someone with a premium account must initiate the call and invite all of the attendees.  If the person with a premium account is not always available, then two other family members must also purchase
premium accounts to be backup call leaders.
    Lync Online Plan 2:
Documentation states, "To access multiparty video (gallery view), ... , users must have rights to the full Lync 2013 client. You can obtain the full Lync 2013 client by purchasing Office 2013 Professional Plus."
I am already a subscriber of Office 365 Home Premium, buying another license of office to get the Lync client is not a reasonable expense.
*** QUESTION #2 - If it is required, is there a lower cost way to obtain the Lync 2013 client?
*** QUESTION #3 - Can a Lync meeting be scheduled with Office 365 Home Premium and Lync Online Plan 2, similar to meetings created in the enterprise environment where a link is included in the meeting request?
*** QUESTION #4 - If the person who sends the Outlook meeting request to other attendees is unable to attend, can other attendees continue to have the meeting with only their Lync Windows Store client or the Lync Web client?
Thank you for taking the time to read this post and offering your thoughts.
To Microsoft Lync/Skype group:  I would happily pay another $3 per month for "Office 365 Premium Home with Scheduled Skype Group Conferencing" or "Office 365 Premium Home with Lync Online 2 and
    multiparty client"

    Hi,
    Couple of points on Lync online plan-2;
    You can buy Lync standalone client from a local reseller. Following website will provide list of local resellers;
    http://pinpoint.microsoft.com
Assume that you got single Lync online plan-2 license. If so , Lync attendee (guest/anonymous) would't be able to start the conference.
Lync meeting organizer should initiate the meeting every time.
    Thanks
    Saleesh

  • How to Disable Lync 2013 Web app link in Lync meeting

I want disable Lync 2013 Web App , because it is  confuse WinXP user(no sound suuport) , I reference the topic(Disable Lync Web App link) but not work in 2013 version. How can I disable that?

I assume you're referring to this link:
    http://social.technet.microsoft.com/Forums/lync/en-US/33fbfa3f-e7dd-43a7-85f4-43c280e17d4f/disable-lync-web-app-link?forum=ocsconferencing
That was an unsupported but clever hack that we developed by the user asking the question.   There is not supported method for doing this in Lync 2013.
If it's an audio only meeting, I'd suggest removing the URL completely from each individual the meeting invite before sending it out.  If it's not, then the WinXP user would either need Lync, which they would then automatically join with anyway, or
they wouldn't in which case sending them the meeting invite wouldn't help.

  • Meetings created after some time start shoing up "re-created a meeting that was missing from your calendar" with no body information e.g. Lync meeting

My manager is having a problem.  "randomly" reoccurring meetings in outlook will after some time start showing as this:
"Exchange 2013 re-created a meeting that was missing from your calendar"
With all the "meat" of the body is missing.
We are running Exchange 2013 SP1 and Outlook 2013.  They look the same in OWA.  Meetings can be from different senders, different times etc.
    Any thoughts?

Microsoft have confirmed this is an issue with Exchange Online via the O365 Dashboard:
Current Status: Engineers have developed a fix and are currently testing to ensure successful remediation.
Customer Impact: Affected customers are experiencing issues with incomplete meeting information for a limited number of invites set to occur between the dates of August 7th, 2014 and September 12th, 2014. For the affected calendar invites, customers may see
meeting content replaced with a canned message stating, “Exchange 2013 has re-created a meeting that was missing on your calendar.” This issue is only affecting the body of the calendar invite for attendees, and not the meeting organizer.
Also, this does not affect the title, location, date and time, or the attendee list.
Workaround: As a workaround, customers can re-send affected calendar invites. Additionally, if the calendar invite contains Lync meeting information and the information does not appear in the message body, attendees may be able to use the ‘Join Lync Meeting’
button that appears in Outlook, Outlook Web App (OWA), and the mobile client to join the scheduled meeting.
Incident Start Time: Thursday, August 7, 2014, at 12:00 AM UTC
Preliminary Root Cause: A recent update to the service caused the Calendar Repair Assistant feature to misidentify some meetings on the attendee’s calendar as missing. By design, the feature recreated the meeting invite, including the title, location,
date and time, but replaced the body of the calendar invite with the canned message.
Next Update: Monday, August 18, 2014, at 4:00 PM UTC

    Hi Raghavendar,
Generally, when you install Lync 2013 in the computer with Office 2010, a Lync Meeting Add-in will be installed and enabled in Outlook 2010. Please follow these steps to check it:
    1. In Outlook, click the File tab, click Options, and then click
    Add-Ins.
    2. Please take one of the following actions:
If the add-in is in the Inactive Application Add-ins list, follow these steps:
    a. In the Manage drop-down list at the bottom of the dialog box, click
COM Add-ins, and then click Go.
    b. Click to select the check box next to the add-in, and then click OK.
The New Online Meeting button should now be available in
Calendar View, and the Online Meeting button should be available when you create a new calendar item.
If the add-in is in the Disabled Application add-ins list, follow these steps:
    a. In the Manage drop-down list at the bottom of the dialog box, click
Disabled Items, and then click Go.
    b. Select the add-in, and then click Enable.
    c. Restart Outlook, and then verify that the add-in is displayed in the
    Add-ins dialog box.
The New Online Meeting button should now be available in
Calendar View, and the Online Meeting button should now be available when you create a new calendar item.
    3. In Event Viewer, view the Application log to see whether an error was logged for Outlook, for Lync 2013, the Lync Meeting Add-in for Microsoft Office 2013.
