Deletions of comleted workflows?

Hello!
Is it necessary to delete tasks with "completed" status in "Workflows" tab in MDM Data manager? Now we have near 100 hundreds tasks with different status.
Does this amount affect on stability of MDM server or not? Or this number affect on memory usage?

Hi Bair,
1) If you are looking to store some information regarding the Workflows, then Go to Console and in the Report Table for a repository which is under the Admin Node.
A report is generated on every action performed in the repository.
MDM reports are stored in the common directory of the MDM server machine. The defualt directory is Reports under the MDM server executable directory. For information on changing the location, please refer to " MDM Server setting" on  pg 315 of Console reference guide.
You can also save this report file to any location from console by right clicking on the report pane and Choosing Save AS from the Context Menu, and specifying the File name and the location in the Windows Fiel Save Dialog.
Additonally, Just wanted to share some information :
There is a parameter in the MDS.ini called as
"Workflow Detailed Report " - True/ False
This writes detailed log information into the Workflow Report which primarily can be used for debugging.
The Default value is FALSE.
Hence, if you are looking out for detailed log information for a Workflow report, you can make this setting as TRUE. To confirm, you can refer to Pg320 of Console Reference guide.
2) After saving the reports, I would advice you to delete all the tasks which have been complete as you will having a report for all the tasks which were performed and you can always refer them back.

    According to your description, my understanding is that you want to prevent items from being deleted in Approval workflow when the task was rejected.
    Per my knowledge, the workflow created in SharePoint Designer cannot achieve this goal.
    I recommend to create Event Receiver to prevent items from being deleted.

  • Mass deletion/ transfer of workflow items - Urgent

    Hi Experts,
    We have a situation where there are around 1.2 million open workflow items in work flow of employee due to wrong assignment of workflow agents in PPOM. Now we need to clear all these workflow items from user's inbox either through deleting them or through un assignining them from his workflow.
    It is not possible to process these workflow items individually from his inbox through transaction SBWP. I understand that we can delete maximum of 999 items at a time through transaction SWWL. This will not be of use for us.
    Can some onpe please suggest how do we go about this issue.

  • How to delete ad hoc workflow tasks in UWL centrally?

    While we were testing UWL function of Enterprise Portal in Netweaver 7.0, number of users created ad hoc workflow tasks in UWL.  We have recently decided to use Universal Worklist for Inbox-based workflow only (WebFlowConnector) and not to use it for ad hoc workflow (AdHocWorkflowConnector).
    Instead of asking all users to go in to UWL and delete all their ad hoc workflow tasks, I (as a System Administrator) like to delete all ad hoc workflow tasks myself, centrally.  Is this possible?  Does anyone know how to delete all ad hoc workflow tasks centrally?

    Hi Joon,
    I think it will be really difficult to achieve what you want as each task is related to a particular user.
    I am not sure @ a Sysadmin can accessing other users' tasks.
    You can try looking for some way by using UWL apis.
    I think you can get all your user's adhoc tasks in an ItemCollection object by using append method of Itemcollection Interface and then see that deleting this object may achieve give u desired reults.
    Also try having a look at the IUWLItemManager interface.
    You will find these interfaces in com.sap.netweaver.bc.uwl

  • Delete Workflow items from workflow inbox.

    Hello All,
    We are using workflow in MSS for Compensation Management. As part of this an email will be sent to the managers when a compensation needs an approval. There are some workflow items under workflow inbox ( SBWP ) . How can I delete emails which I don't want to execute. I don't see any delete button. I can see delete buttons for the documents under inbox, but these emails that I want to delete are under workflow in Inbox.

    You are refering to the emails in the inbox ( SBWP ) where I can delete my emails with the help of a delete button. But I am referring to the workflow items that are present under INBOX -> WORKFLOW. There is no delete button on these workflow items. If we execute these workflow items then they will be deleted automatically. I am looking for a solution by which I can delete (clean up) all the workflow items that are not executed from last year so that we can be ready for our compensation for this year.

    Hi,
    Prior to deleting a workflow first Delete/Cancel all the workitems of that workflow. It will help you to avoid unnecessary dump while executing those workitems. Its better to cancel the workitems if it is a productive system.
    To delete workflow delete the following items in below mentioned order.
    1. Workflow
    2. Tasks
    3. BO/Classes

  • How can I delete WorkFlows in Production?

    Hello,
    We have tons of very old WorkFlows in Production that are not needed because Users long ago manually did their work and completely disregarded their WorkFlow messages.
    I have been directed by management to delete these old WorkFlows which are not completed so that User Workflow inboxes will become less clutterred.
    I see that SAP does not recommend deleting Production Workflows because of auditing implications but we don't care about that for these ones since we are certain that they are not needed.
    Is there an easy way for a WF Administrator (me) to select specific workflows and simply delete them in their entirety?  Thank you all in advance.

  • Workflow gets deleted but dependant steps are not deleted

    Hi Experts,
    When OMR_DELETED event of BOR object ECO is raised, as per design the workflow instance is logically deleted. But all the dependant steps of the workflow are not getting deleted logically.
    Why is this happening?I mean why workitems generated for child steps are not deleted when parent workflow instance is logically deleted?

       the workflows in our envionment does not handle deletes and the idea now is to implement a workflow launcher which would track the deletes on cq:page under path /content/<somepath>/. I have configured it as below

    "Inherited elements may not be deleted".

    There are around 60,000 workflow errors in my SAP inbox. Is there any method for deleting all these workflow errors from Inbox?
    I can process one by one.. is there any method to process all these in one-go?

  • Does deleting Workflow also Delete Task List Items

    I have Sharepoint 2010 and I am using the standard workflow.
    I have created a new workflow and want to delete the previous workflow to avoid use.
    If I remove the previous workflow, what happens to the items in the Task List associated with the workflow?  Do they remain undisturbed or are they also deleted.

    According to your post, my understanding is that you wanted to know the action of the items in the Task List associated with the deleted workflow.
    In my environment, I create a task workflow using SharePoint Designer and then start the workflow in two items. No matter whether I approve the tasks or not,
    If I delete the workflow through UI: Click the Ribbon->List->Workflow Settings->Remove a workflow, the two tasks will be disappeared in the task list. However, the workflow will be remian in the SharePoint Designer.
    If I republish the workflow in the SharePoint Designer, the workflow will be associated to the list again.
    If I delete the workflow through the SharePoint Designer, the two tasks will be also disappeared in the task list. And the workflow will be removed in the Workflow Settings.
