Difference in clearing documents

Hi,
I would like to ask for help with the following problem. When posting the clearing (eg. clearing of Vendor Invoices X Bank payments on vendor account) the clearing documents are posted in two ways:
Example clearing of two documents (invoice and payment) in amount of 100 in document currency.
In the first way the clearing document is posted in document currency:
DR: 100
CR: 100
In the second way the clearing document is posted in document currency:
DR: 0
CR: 0
I am not able to find out how sap decides in which way to post clearing document.
I checked the cleared documents and never found out any difference which could cause the way of posting of the clearing document.
Thank you,
Jan

Hi Neeraj,
Thanks for you reply.
This is actually not the case. As I have difference in two clearing documents which clear items on the same vendor and bank account.
However I found out the difference which causes the difference in the way of posting. In our system we have Local currency 2 and Local currency 3.
In case there is automatically posted Forex Gain/Loss in different way for LC2 and LC3 (ie Gain on LC2 and Loss on LC3 or other way round) on one document the way of posting in Document Currency is:
DR: 100
KR:100
In case there is automatically posted Forex Gain/Loss in the same way for LC2 and LC3 (ie Gain on LC2 and LC3 or Loss on LC2 and LC3) the posting in Document Currency is
DR:0
KR:0
This is not very logical to me. But it is the way it works.
Does anybody know if there is any way how to change the settings for the way how the clearing documents are posted?
Thank you,
Jan

  • Exchange rate differences whne clearing documents in local currency

    Hello,
While clearing customer documents in local currency , the system calculates exchange rate differences in the clearing document. Even if the amount in local currency is 0, the amount in second local currency will have a value. The same is happening also when we clear GR/IR account. In the case of customer clearing, becuse for the exachange rate differences account  are maintaied default values in OKB9, the system cannot split, since there are 2 different account assignments when tolerances are also involved.
I think that, if the exchange rate differences account wont be popluated while clearing, i will be able to post clearing with tolerance amounts.
Any idea about how to make the exchange rate differences not to be caulculated for clearing in local currency?
    Thank you,
    S.

    Hi,
Go to OBY6 and choose your company code.
For your company code, the check box No forex rate diff. when clearing in LC should have been checked in case if you dont want to calculate the exch rate diff when clearing open items in LC.
    This will solve your issue.

    Hello,
we want only reset the cleared documents . We dont want to reverse the cleard documents. But When we try to do it we get a message Exchage difference are posted do you want to reverse it. Want we want to reset are in Doc.. currency. postings for August.
As i know when we have exchange rate difference we  dont get an option only resettng but we get reseting and reversing.
May i know how to slove this situation.
    Thank you

    HiI
f you set this selection field then the settings in the ERD Setting column for this currency type are no longer relevant. The system calculates and posts exchange rate differences between order-related goods receipts and invoices not just for materials with standard price, but also for:
    Materials with moving average price
    Account-assigned transactions
    Planned delivery costs
The valuation of the inventories or consumption is effectively done at the exchange rate for the goods receipt, and not at the exchange rate of the invoice. When you post the good receipts, the fixed exchange rate from the purchase order is not used, but the translation of the purchase order values to local currency is always done at the posting date of the goods receipt.
If you are using the material ledger with actual costing, the system does not include the posted exchange rate differences at period-end closing in the actual prices of the materials.

  • Difference between cleared items, open items and all postings (FI).

    Hi experts,
Can anybody tell me the difference between cleared items, open items and all postings for an account.
While running corresponding bapis and transaction FAGLL03 (for GL) or FBL1N (for accounts payable) i found that in some cases all postings is less than cleared items or open items for a time period. How could it happen.According to my knowledge all postings should contain cleared items and open items.
    Please correct me..
    Thanks and Regards
    Arjun

    Hi Arjun,
For every Billing Documnet created(VBRK/VBRP-VBELN) there will be an accounting document created in BSID/BSAD tables.
OPEN ITEMS means the Billed/Invoice Amounts that are pending from Customers, i.e which we have to receive from Customers.
CLOSED ITEMS means the AMOUNTS received from that customer.
OPEN ITEMS : fetch data from BSID table Only
CLOSED ITEMS : fetch data from BSAD only.
ALL POSTINGS : fetch data from both BSID and BSAD.
    Hope this will help.

  • Automatic payment program; reversal of a reversal of the clearing document.

    Hi All,
I created a vendor open item and cleared it using APP. lets say clearing document no. is 1. I reversed it using FBRA and the document no. is 2.
now I tried to reverse the document no. 2.
in one scenario, where there is a FX difference when posting document 1, reversal of document 2 not happened.
in other scenario, where there is no FX difference, I was able to post the reversal of 2.
is this standard behavior? in the first scenario I wasn't able to post the reversal for Doc.2 is it because of FX gain/loss only? can't we post reversal of Doc. 2 if there is a realized FX difference gain/loss?
    Regards,
    Sreeni.

    Hello Sreeni,
The standard SAP behaviour should allow FBRA on Doc.2 even when FX gain/loss has been posted as I had done it already.
Things to take note are, the respective reversal document type had been defined and number range has been set up properly.
    Kind regards,
    John chin

  • Need explanation about a Clearing Document

    Hi,
    in Tcode FBL3N i found this :
    Doc N° 1 : -3000 USD  --> clearing doc : Doc N° 3
    Doc N° 2 : 2000 USD   --> clearing doc : Doc N° 3
    Doc N° 3 : 1000 USD   --> clearing doc : Doc N° 3
    Balance :        0
this clearing was made with Tcode F-03
i dont understand this ! is it possible to have a doc as part of clearing and in the same time is a clearing doc ??! (Tcode : F-03)
When i display the doc N° 3 with Tcode FB03, i find 2 items in, the first is cleared (the above item), the other still appeared as an open item.
    please any exlpanation ?
    Regards

    Hi Jehade,
The first 2 documents would have been cleared through F-03 by charging off the difference to another account manually.
From F-03, you can clear two documents of different amounts by charging the difference to another account. Thus the 3rd document will be the clearing document for all the 3 documents.

  • Mass ressetting of  cleared documents

    Hi,
I have a requirement to reset and reverse  one lakhs cleared documents. can i know is there any t.codes / program were in i can reset all documents in mass.
    Thanks in advance.
    Moderator: Please, search SDN

    Hi,
You can not reset the documents in mass as no SAP feature is there.
However you can create a program to do the resetting and reversal. There can be two scenarios:-
    (A) If it involves only simgle company code:-
Then call transaction FBRA to reset and then FB08 to reverse
    (B) If it involve two company codes (Cross company code transaction):-
Then call FBRA to reset the document, then again FBRA to reset the cross company code document and then FBU8 to reverse the cross companyn code transaction.
During processing you need to pass on the exchange rate difference window.
Further details, your ABAPer can work on.

  • Clearing documents rules ?

    Hello,
Which rules determine whether a clearing document contains lines or not ?
On my system, I get different results on 2 companies :
    - on company A, if clearing two items of which the sum is zero, a clearing document with lines is created
    - on company B, if clearing two items of which the sum is zero too, a clearing document is created but without any lines
The only difference between the two companies I can see is that in A we use business areas and in B not. Could this explain the difference ? More generally, which rules govern the creation of lines in clearing documents ?
    Regards,
    Alex Streicher

    Hi Murali
What I meant was when I created residuals, I would have a clearing document with multiple line items (credit not equal to debit).  1 line item would have cleared & the other line item would be open.  I noticed in some cases it doesn't work that way.  What it does is it sometimes uses a separate clearing document that doesn't have line items to clear evrything out & uses a new document number to create residual items.  I wondered why sometimes it did that?  Also when I try to reset that document with no line items it would ask something about Special ledger....have you ever heard of this before?
    Thanks

  • Payment document vs clearing document

    Dear All,
What is the difference between payment document and clearing document,in which business scenario's we will use them.
    Thank you.
    Regards,
    D vasanth

    Hi,
Payment document is also a clearing document of the underlying invoices.
Whereas a clearing document is not necessarily a payment document. A clearing document can also be a clearing between multiple invoices, credit memo, debit memo, payments etc.

  • MR11 - Missing clearing documents

    Hello,
we used MR11to clear old postings on account 191100. For the most FI documents a clearing document was created (I think automatically), but not for all. Is it possible to create clearing documents for some not cleared Fi documents manually or automatically? Thank you in advance for your help.
    BR

    Hi Ali Brim ,
MR11 is a month-end activity, by using this we can see the Missing clearing documents (Invoices)
For example: MIGO is happens with 100quantity but MIRO is happens with Quantity 90 difference 10 is showing in this.
when ever you post any differences between MIGO & MIRO it will appear in MR11, if you clear this automatically disappear from MR11, or else we can directly post/clear manually from MR11.

  • Clearing Document No

    hi gurus,
    I am a newbie.
In Tcode FBL5N what's the meaning of  clearing document and document no.
what's the concept of the above two and the difference between the two.

    Hi Amith,
Document Number Means-The document number is the key the system uses to access the accounting document.
The document number is unique per company code and fiscal year. When entering an accounting document, you can specify the number manually or it can be determined by the system from a pre-defined area (number range).
The relevant area of the document numbers (number range) is determined in each company code per document type.
& Clearing Document- Number of the document with which the line item was cleared.
    Hope this will help you.

No difference between invoice and billing document.
