Document Copy PS/DMS module

Hi All,
I need to copy the document from one place/level to another place/level. I am not supposed to use down load and upload concept as ther could be more documents per one review. It's basically PS module. I just want to checkout doc form one place and check in it to another place.
Lets specifically explain....
I need to copy documents of all document types of one credit which are at credit level and
paste it at Review wbs level. where all the credits belong to that Reveiw wbs.
With out using document down load and upload, rather using check out and chekin.
Is there any BAPI or approach to do it.

Hello,
if i get your question right, it's just changing the connecting information to a document from one sap-object to another. this connecting information is in one of the tables TOA01, TOA02 or TOA03, depending on the customizing.
You could just try to identify, in which table the information is and update the specific entries.
Or have a look on the function modules in function-group OPTB, e.g. ARCHIV_CONNECTIONTABLE_INSERT.
But a real bapi i've never found in that area.

Hello All
Is it possible to upload the Document in SAP DMS without creating from CV01N transaction?
Also my requirement is to upload around 2.1 GB documents in SAP is it possible to upload it in one transaction?
User want to just upload the docs in SAP system so that he can viewed it any time or if user want to add or delete the document any time he can do it
How to upload or attached ZIP file in DMS from CV01N? Is there any configuration need to do for zip file attachment?
Currently I can attached zip file from CV01N but if I tries to open the documents from CV02N or CV04N transaction system is giving the error that docs can not be opened.
Could any one give me step by step solution for above two requirements as I am completely new for DMS module

- If you have some DMS documents already created then you can attach to that doc (CV02N), if not then you have to create a DMS doc and attach it.

- For Users uploading & display document in DMS is very convenient. You have to define in your workstation application for zip format & bypass the indicator of authorization. zip format should be defined in workstation application.
Currently I can attached zip file from CV01N but if I tries to open the documents from CV02N or CV04N transaction system is giving the error that docs can not be opened.
- What is the error?

Document in Easy DMS and SAP DMS is lock cannot be accessed

Hello Guru,
Document in Easy DMS and SAP DMS is lock cannot be accessed. when check in Easy DMS the document 123 excel file is not accessible cannot be open, it has an icon on pencil with red circle sign.
when check in SAP GUi, the padlock is unlock, file cannot be open as well with error (File C:\EasyDMS\SAP_400\PRE1234567890 could not be accessed.
how can we fixed this and unlock the document excel so that we can open it. Please advise. Thanks

based on your description it seems to me that this original file is currently checked out for editing. So maybe another user is
editing this file and so you cannot access it.
If no other user edits the file you can try to use the function 'Exit Edit mode' in the context menu of EasyDMS. This will checkin the file again and restore the last checked in version.

Document Management System(DMS)

Dear Expert,
We need to store the Employee revision letters( in PDF format) in DMS. Letters are currently in HTML format which we will convert them in to PDF format & store the same thru Document Magement System (DMS).
I would like to know,
1. How can we use DMS to store the letters in PDF format?
2. Where can I find DMS configuration part in SPRO?
3. I understand that DMS is a unique concept availabe in SAP HR. So how can I link DMS to HCM?
4. Is SAP Archive link related to DMS ?
5. Any documents/links related to this kinldy send it across.

SAP DMS - Document Management System
SAP DMS are for storing documents such as CAD drawings, Materials pictures etc.
With the document management system, users will be able to view the documents with ease within their SAP systems.
Installing the SAP DMS requires a little bit of planning on how you want to do it.
You have to give a little thoughts to stuff such as :-
1. The total numbers of documents that will be store monthly.
2. The average file size of each documents.
3. The capacity of your present R/3 system.
4. Your present network bandwidth.
5.   Document Archiving Strategy.
6.   Backup and Recovery Plan.
Additional purchasing of hardware are required, especially if you have large amount of documents to stored.
With this in mind, you can then decide on how you want to do it.
You can do this in a few ways :-
1. Import the documents into the R/3 system.
2. Use an external document server.
3. Have a dedicated PCs where all the documents are stored.
Most companies that intend to used DMS will opt for Option 2 as they does not want to overstretch the R/3 database.
Options 1 requires you to setup the conversion interface.
The conversion interface allows R/3 to automatically covert your files and import it into the R/3 database.
Here is a simple example of storing documents into your PCs, just to have a feel how the SAP DMS works:-
For those using Citrix, you have to set this at the Citrix Server where the SAPGUI is located.
Configure SM30 - V_TDWE_C1
Put this command in your autoexec.bat
SET HOSTNAME=PC1234
Restart your pc.
You can create/manage your documents in transaction code CV01N / CV02N
Assigning Documents to a Material Master Record
Access a material master record in Create or Change mode, and select Basic Data.
To create links to documents, choose Additional data -> Document data.
The Link to Documents dialog box appears.
Assign one or more documents to the material.
If you do not know what the document number is, you can search for it using the search help or by choosing Find document.
When assigning a document to a material, you have the following options:
1. Viewing the document by choosing it in the Link to Documents dialog box.
2. Viewing any originals of the document by positioning the cursor on the document and
   choosing Display originals in the Link to Documents dialog box.
To return to the Basic Data screen, choose Continue.
Save your data.

Upload Document in SAP DMS

Hi SDNites,
My requirement is to upload document in SAP DMS and this document we are receiving from an external system. Can you please let me know,
1. Is there any way I can provide a link in ECC SAP DMS for the documents which are stored in external system (SAP CRM) .
2. Also is there any standard FM / BAPI available which uploads a document into SAP DMS (I do not want to pick documents from a local directory).

1) R U able to upload any other file type to the DIR AA00-0123 (word/ppt/pdf etc) ?
2) Can u Create a new DIR and try uploading the same excel file? does that get created?

I have done document distribution and it is working fine..
kindly check the following
Steps
1)Recipient Management
Show all entries for recipient management
User menu document management system Environment Document distribution Recipient Office User
Use the address info and communication type RML. Show all entries.
2) Customizing settings :
Under Document management → Document distribution→ Distribution type→ Define distribution types
Click on the distribution type which you want to activate and make it default.
3) Go to DIR, Environment ---> doc distribution ---> create recepient list and save the recipient list.
4) Start the distribution with your defined entries. T code CVI8
5) Look at the log entries. CVI9
6) Use the Workplace in the standard SAP menu. If you did everything in the right way, you will find an entry in your workplace ( t code SBWP).
7) Refer Note 824949-Document distribution: for Activating Event type linkage.

How to order multiple documents in a dms record

If I attach other documents in a dms record how can I make it visible which document was the most recent addition ? or perhaps show the changedate of the document itself in CV02N ?

cleaning up old questions, still amazed that I have to mark them as answered since there came no proper answer at all.

Problem in copying the function module.

Hi All,
I have to Copy the standard function modules "FI_ITEMS_DISPLAY" and "ITEM_DERIVE_FIELDS".
The Function group for both of above FM is "FI_ITEMS".
What i did is I went to SE80 ,I copied down the Function Group 'FI_ITEMS' to 'ZFI_ITEMS'.
later on i copied the standard function modules 'FI_ITEMS_DISPLAY' and 'ITEM_DERIVE_FIELDS'
to the 'ZFI_ITEMS_DISPLAY' and 'ZITEM_DERIVE_FIELDS' resp.in the same function group 'ZFI_ITEMS'.
Then i made some changes to these copied modules (I did change the structure of it_items from RFPOSXEXT to ZRFPOSXEXT in ZFI_ITEM_ITEM_DISPLAY,and same change in ZITEM_DERIVE_FIELDS but for the parameter s_item).
And finally i activated these FM..and it got activated also.
But later on when i used these FM in my report...error occured saying that -
"The name of the function module to be called is "ZITEM_DERIVE_FIELDS".
but "ZITEM_DERIVE_FIELDS" cannot be found in its function group. "
hence i thought of activating the function group ZFI_ITEMS,which was inactive before to this...but when i tried activatin this FM it was giving hell lot of errors showing conflict occured at diffrent places,I think just because of the change (structure of IT_ITEM chnged from RFPOSEXT to customised ZZRFPOSXEXT).
I am helpless in removing all this errors ...
Can anybody suggest where did i go wrong?
And what is the right way to copy the function module.?
If possible reply me ASAP.

First, delete your new function group and
Do like this:
1. copy FI_ITEMS_DISPLAY to zFI_ITEMS_DISPLAY from Se37. here you find a button on the application toolbar to do it. It also asks about the Function group. GIve the FG as
ZFI_ITEMS.
Activate all the related objects
2. same for the other FM. Use the same FG. and activate the related objects.

Thumbnails created when I creat document in easy DMS

Hello,
Can somebody help to analyze this problem? When I creat a document and attach an original file to the document in easy DMS, there will be a thumbnail created meanwhile. This is not expected, and can you tell me why and how to avoid this?

Since you are using easyDMS 7.1.2.2, note 948254 that you have applied is obsolete.
Please refer to SAP Note 1367514 for registry settings in SAP Easy DMS 7.0 &above.For 'DisableThumbnails' parameter,setting value to 1 will disable the creation of thumbnails from EasyDMS interface.See if this helps.

OPEN New Document Transaction OF DMS through R3

Hi Experts.
I make a query in R3 with ALV Objets which show the orders who don't have a type of document in the DMS.
I have a idea, when do double click in the order in ALV open the transaction of DMS which you can create a new document in order object.
Now I must include the document access through Easy DMS (Explorer), and the user lost a lot of time doing it.

from an EasyDMS point of view I have to inform you that the mentioned functionalities are currently not available in EasyDMS. If you want to view the log of a document you have to go to the backend system.

if it is a zfm, u might have assigned a TR when cretaing this FM.so u need to relese this TR to the desired system.contact ur BASIS for the transport lanscape.
if it is a standard FM, u better copy this FM to a ZFM and make it as RFC enabled if it is not RFC enabled and call this ZFM from the system in which want to call this FM by giving the logical system id in the destination while calling this FM.

Error in copy of function module FIEB_PASSWORD_ENCRYPT as a Z FM

do something susheel,
create an empty function group:ZFIEB_PASSWORD.
Now in the attribute of your ZFM, just add this name (ZFIEB_PASSWORD)in the FUNCTION GROUP section.
in the main program of this FG-- (ZFIEB_PASSWORD)i, copy the includes given in function group:FIEB_PASSWORD.
Add these codes:
*   System-defined Include-files.                                 *
INCLUDE LFIEB_PASSWORDTOP.                 " Global Data
INCLUDE LFIEB_PASSWORDUXX.                 " Function Modules
*   User-defined Include-files (if necessary).                    *
* INCLUDE LFIEB_PASSWORDF...                 " Subprograms
* INCLUDE LFIEB_PASSWORDO...                 " PBO-Modules
* INCLUDE LFIEB_PASSWORDI...                 " PAI-Modules
INCLUDE LFIEB_PASSWORDF01.
the intension is to copy all the includes from this pool.
you should be able to do it now
