Document Review

Hi,
I’m looking to setup a document review approval process. I have Acrobat 9 Professional which seems to have good inbuilt commenting / review functionality.
The problem I have is this.  I have the ability to set up the reviews however I won’t always be the document author.
I need this kind of document flow.
Document is created
Document is placed on a share for review
Reviews take place
Comment gathered and passed back to author
Author adds final comments as to whether they are going to implement the changes
Changes made
Changed document re-reviewed to ensure changes have been made.
Any suggestions as to the best way I can accomplish this. Only I have Acrobat Pro everyone else (including the authors) just have the Reader.
Many Thanks.

That depends.
Do you have Acrobat Pro? You're lacking any information required to give you an answer.

  • Extend/modify deadline in Acrobat Pro 8 shared document review

Is it possible to extend or modify the deadline for an Acrobat Pro 8 shared document review?

    Christian,
No it's not possible to extend/modify the deadline in Acrobat 8 shared reveiws. These features have beed added in Acrobat 9. In Acrobat 8, the reviewers can add comments even after the deadline has expired. The review file can however be checked out of the review by saving a copy of the file using the 'save an archive copy' option under file menu(File> Save as archive copy), when the reveiw process is complete.

  • Shared PDF document review

    Hi everybody,
I'm using Acrobat X Professional and would like to try out the shared PDF document review via acrobat.com
However, when I choose "send for shared review" I cannot select "acrobat.com", I can only choose an internal server. Already checked the preferences and tried a new installation, but nothing changed.
    Anyone got any ideas?
    Thanks in advance!

  • Document review process

I have a question about the workflow of a document review using Acrobat 9.
When I send a document for review and people make comments, when I want to reply, what is the best way to send the document back? The way i am doing it was to send the document back for review again. It just seems that there is a step out of line doing it that way. It may be the only way, but i just needed to check with someone else that may be using this.
    Thanks

    Thanks for answering ...
Still, does anyone has an idea about the first error I mentioned?
I tried to follow instructions in the Document Review Process Tutorial (to create a whole new project/bpel process), when I tried to compile it I got the following errors:
    Error(80) [ORABPEL-10014] Unresolved variable
Description: In line 80 of <bpel file> of the <to> is not defined
I went through the bpel code and it is failing in the setUserDefinedAttributes at each of the copy rules.
I opened the Rules in the Diagram editor and it looked ok:
    expression: concat("Review of " ,bpws:getVariableData('inputVariable','payload','/client:DocumentReview2ProcessRequest/client:documentTiltle'))
    To: Xpath: /task:task/task:title
The only thing is that the task:title was not highlighted as usual, so I tried by going through the tree and highlight it .. the xpathd did not change but the entry was now highlighted. I compiled it again and now the error for that specific variable is gone. now I am getting the error on the next Assignment rule...
The fact that by using the WF template to create the process left this kind of errors and that they are fixed by going through them and re-do the copy rule looks to me like a bug.. Any feedback is appreciated

  • Will a group document review continue after uninstalling Adobe Professional?

Background:  I needed the ability to launch a group adobe document review.  This is now setup and running within my company.  I did this with a 30-day adobe professional license.
I have instead purchased a license for Adobe Standard.  I want to uninstall the 30-day trial Adobe Professional (v.11) and then install my purchased Adobe Standard (v.11).
Question:  Will my review continue after I uninstall professional and then re-install standard?  I am assuming "YES" but want to confirm.

I see that one of our well-paid Adobe MVP's just dropped this poor guy like a two-bit whore back in February. I have the same problem, though. I have Acrobat Reader 11.0.1 and I added some signatures to a document. I need to make a minor change. I can't.
The worst part about this is that it's not only me, but probably millions of others too. They can't edit their documents after signing. Why not? Why does Adobe get to decide when we can and cannot edit our documents? Do I now need to start over with this six-page document, just so I can add a few words at the end?
This is really tyrannical design. Acrobat document forms and signing are the worst thing to happen to document management in recent history. We are miserable out here, Adobe. Am I the only person on Earth who feels this way?

  • Document review in workflow

    Hi folks,
is there a simple way to review the document sent via approval workflow to the user?
In the default approval workflow only the location of the file is provided; since I want to check the document before approval I have to go to this location first and then approve or reject the document.
I saw examples in the BPEL custom workflows, but then I need a licensed BPEL engine etc.
    Thanks,
    Kresimir

    Hi Rick,
Its two different workflow for review and approval. but approval works fine as it creates work item one after other .for expmaple if set 3 approvers then first is generated for 1st user and unless he apporves it then  new work item for other user does not get created.
and for review 4 work items created if i set 4 reviewers at a time.and even in my z table where the apporvers/reviewers are updated once wf gets triggered after saving the documents in RR status.
even i checked log but could not able to find anything wrong in the log, will check once again throughly.intially is says a meesage "Execution interrupted",is is something wrong and the message is SWF_RUN 611.

  • Setting a document review date

Is there a way to set for each document, a date and notification mechanism? We wanted to review policies for example every 12 months, and have a reminder sent to the owner at month 11 to trigger a review process (outside of RoboHelp).

    Hi there
You might consider using a service such as LetterMeLater to automatically send an email reminder.

  • How to move a document to a particular document library after workflow review and approval

    Hello ,
I want to do a work flow for a document review and its approval, if the document is approved
then it should be moved to a document library called "Approved Documents". I have done
following steps but don't know how to move the document to another document library.
Library > Library settings > Add a work flow
    > customized Three state work flow
and it is generating work flow review emails but don't know how to move the document
somebody please help how to do this????

You can either create another SPD workflow which will run on item changed event. This workflow will check if the document status is approved and if it approved it moved document to different library. SharePoint designer does have an activity to move list
    items.
SharePoint Designer workflow: Move a document from one library to another
Or you can write an event receiver which will get triggered on ItemUpdated and again if the status of the document is approved it will move your document to destination library.
Writing an event receiver will require custom coding as oppose to SPD approach.

  • How we create workflow using sharepoint designer for first review the documnet than go for approve the document.

    Hi to all
I have team site in site collection under this i have Shared Document library. Now i want to create the workflow for the shared Document library. How i will create workflow using sharepoint designer for first review the documnet than go for approve
    the document.

    Hi ,
According to your description, my understanding is that you want to create a workflow which contains review and approval process.
For implemening your requirement, you can create a workflow containing two steps. The first step is used to collect user information and set workflow variables, and the second step is used to verify whether the reviewer approve. If the reviewers complete
approving, a pproval workflow is started. The whole workflow is like :

  • Receive against the PO upon Docs Reviewed

Inbound delivery is created in SAP through the interface I14 (FSD ASN Creation) and quantity maintained as per the ASN document.
    2. Delivery document table LIKP extended to capture the additional data that is transmitted by the freight forwarder, Document reviewed status also maintained in LIKP extension. This is a separate enhancement (E23).
    3. Reviewer will check the inbound delivery document in VL32N.
4.After checking, the reviewer set the field XXXX status into u201CDocument reviewedu201D.
    5. Save the inbound delivery document.
    6. After saving the inbound delivery document, an output type will be triggered only if document reviewed field is set. The steps to do output type has been mentioned below
    7. The enhancement will use the BAPI u201CBAPI_GOODSMVT_CREATEu201D to create goods receipt for each purchase order.
    Steps for output type determination:
    1. Go to transaction NACE , under Application area E1 for inbound delivery choose Access sequence. Define an access sequence.
    2. Define condition record.
    3. Create a new output type ZDLV as specified in the below screenshot. Enter a new Z program name. This program will be triggered on each save and needs to validate the 'Doc reviewed' status on the delivery.
    4. In Processing routines change the value of the field 'Transmission medium' to '8 - Special function'. Specify the Z program and subroutine name here.
Within the Z program, use the BAPI BAPI_GOODSMVT_CREATE for each line item within the inbound delivery. GR need to be against the PO specified on the inbound delivery item details. PO no. to be taken from LIPS-VGBEL field.
Could any one throw highlight on this .. I want to know whether we need to include this bapi in print pgm when document reviw field is set..Pls any throw the desing approach on this ..

  • Read-only Collaborator can edit Contract Document properties

We have a master agreement with a read-only collaborator. The security profile for this collaborator role is identical to the stock "Document Reviewer" profile, i.e. only View is set.
However this supposedly read-only collaborator is able to edit Contract Document properties. They click on the Contract Documents tab, then drill into a Contract Document, and then click on the Edit button. From there, they have the ability to change fields such as Name, Descrpition, Effective Date, etc. They cannot change or delete the actual file attachment itself.
Is this an issue with CLM, or is there some security setting we are missing somewhere? Please tell me this is not working as designed ..
    thanks.

    Hi Terry,
According to your description, my understanding is that you don’t want the yollow bar notification to display when you open Access documents.
This issue seems to be about the client application. Please compare the followings with the things that you did:
     1.Open the documents
     2.Click File->Options->Trust Center->Trust Center Settings
3.Click Protected View, unselect ‘Enable Protected View for originating from the Internet’
4.Click Message Bar, select ‘Never show information about blocked content’
5.Click Macro Settings, select ‘Disable all macros without notification’
In addition, as this issue is about Office, I commend you create a new thread in Office forum, more experts will assist you with this issue.

  • Shared review not working for Acrobat Reader

I can not believe have not been able to find an anwer to this, sorry if it has been asked before.
I am trying to setup shared review with clients running Acrobat Standard XI and Acrobat Reader XI, I am currently using a Sharepoint server for the review server if it matters.
When I send a shared review from Acrobat Standard XI to a user on Acrobat Reader XI, the user is unable to make shared review comments.  The shared review will work when sent to other Standard or Pro XI users.  Any ideas?  I have been looking at this for sometime now, and know the user has full rights to the Sharepoint server.  Is there some setting I am missing in Reader?
    Thank you
    Update:
I may be finding my own question, but really can not verify.  Must you have Acrobat Pro for shared review to work with Reader?  (I only have standard for pc)

Priyanja, your statement is ture.  Reviews initiated with Acrobat Standard can only be participated through Acrobat Pro or Standard.  However, this is NOT by design.  It is a bug.  The Adobe website makes this very clear.  The site is:       http://www.adobe.com/products/acrobat/shared-pdf-document-reviews.html

  • Add customized tags on shared review comments

    Hi,
We have been using shared review to do our document review heavily. Recently I got a request from our stakeholder to add customized tags so we can assign comments in different categories.
Is it doable with some customization effort? I did some research online and found out Acrobat XI supports customization Wizard and for earlier version (we are on Pro 9), you can do customization using JavaScript, but it's not clear to me if these customization efforts can be applied on shared review PDF, or it's just on regular PDF.
Does anyone have experience on Acrobat customization? Any thought or information will be appreciated.
    Thanks,
    -Yunju

    Hi Ajlan,
Thanks for the answer. I also found out about the customization wizard later. Now I'm researching how to use the wizard and deploy the customization feature we desire.
Here are the things we want to do:
    -  Creating customized menu so we can assign comments to different categories, something like set the comment status
    -  Modify the workflow. Instead of asking reviewer to "connect" or "cancel" when they first open the PDF, we can to only show "connect"
I also have couple of questions about the wizard:
    1. Are the features I describe above can be done through wizard?
    2. If we deploy the changes using Acrobat 9 + wizard, will users with all version Acrobat/Reader see the same end result and preform regular shared review operations without problem?
    Thanks for the answer.

  • Problems publishing shared review comments in Acrobat 8.0

I created a shared review in Acrobat 8.0 and posted it to a Sharepoint workspace. A reviewer published comments but I was not able to see them. He double-checked, and he was able to see his comments but I was still unable to see them. He checked again, and was not able to see his comments.
I can see comments the reviewer published on a different date, but the reviewer is no longer able to see those comments either. Has anyone had a similar experience?

I'm having a similar problem and didn't see a solution posted.
I'm using Acrobat 8 Professional to do shared document reviews.  I created a sharepoint shared documents folder which the shared document review process verified and accepted as a destination.
I used the Review and Comment process to save the pdf document to the folder (enabling those using Reader to review and comment) and send an email inviting specific individuals to review and comment.
The problem is when they open the document (using the URL in the email) they don't see the "toolbar" that lets them Publish Comments to Server.  They all have Reader 9.
Until I figure out what the problem is, I'm using a brute force technique to force publishing comments, instructing them to close the browser and then Publish Comments using the dialog box that appears after the browser has closed.
Any suggestions how to get the toolbar that lets them look for published comments and publish their comments to display ?
