Editing workflow created tasks

Using SharePoint Designer I have created a custom workflow. The workflow starts whenever a new document (from an infopath form) is added to my library. The workflow checks the value of a column, and based on that value creates a task and assigns it to a
user.
But when I try to edit that task, it looks like the only thing I can do is change the title and mark the task as complete. What I want to do, is edit a start date (a column that already exists). Is there any way I can accomplish this?
The goal is to be able to eventually set a Start Date and a Target Finish date, and then based on those update the creator of the task so they can see when the task is actually started and when the task is expected to be complete.
Any help would be appreciated, thanks in advance!

I found a solution that worked for my problem. I added the start date and target finish date to a view of my form. The originaly submitter does not see these at first, but when someone goes to where the form is stored it is now viewable and changeable
on the form. Hopefully the solution I found will help others.

    Based on your description, my understanding is that you want to create the tasks for users in Outlook with workflow.
    I recommend to use workflow to create tasks in a task list in SharePoint and then sync the task list with outlook by clicking the button Connect to Outlook in the ribbon of the task list.
    After that, the tasks created in the task list will be automatically synced to Outlook.

  • Workflow Created Tasks not showing up in My Tasks

    I'm relatively new to SharePoint and am having trouble with the My Tasks list in SharePoint 2013.  Tasks created manually in any task list show up in My Tasks as expected.  However, tasks that are created by a workflow using create item in list
    for that same list do not appear in My Tasks.
    This is true for both tasks assigned to a group and tasks assigned to a specific user.
    It has proven frustrating to attempt to google this issue.  
    Any suggestions?

    Did this happen to all users that the tasks created by workflow aren't displayed in users' My Tasks in MySite?
    Have you run a full crawl from Search service application, and also check if creating a new task view with filter option include group, and the following posts should be useful you can check.

  • Specific Due Date Syntax for Create Task Workflow Action

    I'm looking for a formula which will create a monthly due date on a specific day of the month (ie 1st or 15th). I have figured out a way to create recurring activities through workflows by adding a recuurence picklist but I currently only have monthly recurrences as Today()+30 which works but is not as clean as a monthly task that occurs on the 15th of every month.

    Record Type=Activity
    Event=When modified record saved
    Workflow condition=FieldValue('<Type>')='To Do' AND FieldValue('<plRecurrence_ITAG>')='Every 30 days' AND FieldValue('<Status>')='Completed'
    Actions=Create Task
    Recurrence picklist is a required field and is chosen be the end user upon creation of the original activity (Type=To Do). The duplicate activity is created upon completion (see condition) and now the end user has a recurring task due 30 days out. this future task has the recurrence in the subject (since the recurrence field cannot be defined in the workflow action) and the end user is prompted by the system to complete the activity record (choose a recurrence) upon trying to save the record as complete or by clicking the "Mark as completed" button. Thus the cycle is repeated.
    All I'm trying to figure out is instead of having the formula [<DueDate>]+30 in the Due Date* field within the create task workflow action, I'd like a formula that can choose a specific day of the month. I've tried combinations of cast, concat, timeframe, month, year...expressions to give me the date value I'm looking for (ie 4/15/2011) but I can't get the syntax to work. all I need is that syntax that can provide a specific date (4/15/2011) derived from the due date.

  • Some Users cannot Open Workflow Approval Task

    We have a SPD workflow published to our production site and it includes a 'Start Approval Process' task which involves a number of users (determined by a lookup to another list) this worked brilliantly until we republished the workflow with some minor changes,
    none of which were to this particular approval task. Now we are seeing some strange behaviours. When some users click the task to approve they are seeing 'This from cannot be opened in a browser, To open this form use Microsoft Infopath'. Now strangely it's
    only certain users, if you're a site collection admin you never have this error. So if a user previously had the error and i then add them to the site collection administrators list the error goes away and they can complete the task.
    Obviously not a solution! giving users full control permissions on the task list or task item doesnt fix the error either. The same workflow on our UAT works without any issues. The task forms in SPD have not been customised either. Its a SP2010 Standard
    farm with no infopath services obviously. Bizarrely there are some users with only Contribute rights to the task list who can open approve tasks, so it's looking like a permissions issue to me but I'm at a loss to find a fix. I've tried totally removing
    the worklows and republishing, regenerating the .xsn task forms in SPD by deleting them and republishing, removing and re-adding the task related content types to site, Changing the Approval Task settings 'only allow users to edit their tasks...' to false
    and then back to true, the works, but to no avail.
    Anybody any ideas?

    According to your post, my understanding is that Some Users cannot Open Workflow Approval Task.
    I recommend that you can create a new list and workflow to check whether it works.
    Then use the user who get the error to open task.
    If he can open the task in the brower, the issue is related to the older list.
    Then you can use the new created list and assgin the task.

  • Modifying workflow created with podcast composer not possible?

    I want to modify a workflow created with podcast composer. Whenever I modify the template.plist the podcast producer stops working (I get an xgrid error and the task is not even shown as failed in xgrid).
    Even if I revert the change and the template.plist goes back to original the podcast producer refuses to work..... (same error as above). Restarting podcast producer does not help.
    Also other workflows don't work anymore.
    the only option is to overwrite the workflow by deploying it again from the podcast composer, restarting the podcast producer and then it's fine again.
    any help, how I can modify my template.plist ??

    You CAN modify the workflows. The easiest way is to make a head start with Podcast Composer. Do everything you can in Podcast Composer and save the workflow locally. Now open the workflow package and edit template.plist. After you have edited the workflow you can no longer open it in Podcast Composer, so use the command line tool 'pcast' to upload the workflow:
    pcast --installworkflow --path <path to workflow bundle>
    pcast does a validation on the workflow for you and if you did something wrong it gives good hints on where to look in template.plist for the mistakes.
    Especially when you are using encrypted passwords and stuff it is better to do that first in Podcast Composer and edit it after that by hand. Make sure you make, edit and upload the workflow on the same machine, logged in always as the same user. Passwords are stored in the local keychain and pcast needs to access these when uploading. Good luck!

  • Sharepoint Foundation 2010 Workflows created in Sharepoint Designer

    Using Sharepoint Designer 2010 (64 bit) on Sharepoint Foundation 2010 (free version)
    I'm trying to get some basic workflows I've designed against a list in SPD working. They effectively just email a user the list item is assigned to based on some simple conditional checks.
    I've deployed the workflow and its set to activate on item creation and item update.
    Now I have checked the following already:
    - App pool for SP site is running under its own service account (not System)
    - I am the primary site collection administrator. 
    I'm getting this error in the log file: Unexpected
    AutoStart Workflow: System.ArgumentException: The requested workflow task content type was not found on the SPWeb. 
    On further research it was suggested I didn't have OffWFCommon as a feature but this isn't part of Sharepoint Foundation 2010 so I'm pretty confused. The directory doesn't exist to install this feature.
    Can Sharepoint Foundation 2010 actually use workflows created in SPD?
    Any solutions or anything I've missed?

    Approval WF template is not supported in foundation so use collect data from user WF in designer.

    and check box checked so that when user creates a task it will directly move to

    Thank you for your responce. I used a content query wp to rollup only the Major Milestones, but am unable to overlay the results to a calendar.. The link you provided is for overlaying different task lists onto a calendar, but does not detail how to
    overlay the results from the content query onto a calendar.

  • Best way to create tasks and assign to sharepoint groups

    Hi everyone, I have a custom list which contains newsletter info that is to be seen by around 400 groups (they are stores) and then I need them to mark each list item as 'completed'
    I have been trying to figure out the best way to do this and decided to keep the custom list and somehow link it to a task for each item in the list. We have nintex so was thinking of creating a workflow to create a separate task for each group (store) so
    they can mark it as completed.
    Is this the best way to go about it or am I completely off track?
    Basically all I need is a list which contains around 30 items and around 400 groups (stores) which contain users (store staff) to be able to mark items on the list as completed so it recognises that each store has completed each task.

    According to your description, you want to find the best way for creating tasks for 30 list items and assigning the task to around 400 groups.
    For the workflow, it is heavy  that  you need to create around 12000 (30*400) tasks .  In my opinion, the best way is to do with a custom timer job. For more information, you can refer to the

  • Error in Creating task for user decision

    Hiee friends .
    I am new to workflow .I was going through the workflow tutorial [building a workflow from scratch] available at the elearning section[ABAP eLearning Catalog].
    I am praticing abap in sap netweaver available for free download from sap ag[its not having any functional module ].
    I am able to create the userdecision and then when i try to create task in the activity section of yes userdecison.
    There i am getting a error while choosing the basic data section.
    In netweaver i don't have any functional module ,so i taking the flight booking system .
    I am choosing the Oject category as BOR Object type
    and then the object type as Sbook
    and method as display .
    But when i am choosing save button a error is coming telling me that "Prefix Number :  entry missing for system NSP client 000" .
    I clicked on the message it's telling me to maintain table T78NR in customizing and create an antry for the sytem in question and the current client .
    Please help me out .....

    I tried to give prefix number in the tcode-OOW4.[i gave it 500]
    Prefix number : 500
    SAP System id : NSP
    Client ID : 000
    But while saving it telling me that
    "Preix number 500 is not in the customer namespace".
    Is there any standard prefix number , or as i am doinf it in netweaver trail version there are problems .
    Plse help me out ..

    While writing a master Ant script which calls the build.xml of individual BPEL processes, the following exception is thrown.

    Ant could not find the task or a class this task relies upon.
    I have tried the following options;
    1.) The same build.xml is successfully compiled when executed from JDeveloper
    2.) Both Ant versions are one and the same (Apache Ant 1.7.0)
    3.) Oracle_home points to the SOA installation folder
    4.) Appropriate classpath is set
    I am unable to drill down on this issue further. Is there any small setting (like additional classpaths, oracle_home etc..) that I am missing out here? or is there a jar file that is required by the external Ant builder to execute the <validateTask> and other custom bpel ant tasks?
    Any help would be greatly appreciated.

    Hi James,
    Let me clear this again. Whenever i try to compile the build.xml of a BPEL process in JDeveloper IDE, I am able to do so without any issues. However, when i try to execute or call the build.xml from a command prompt, I am facing the following error. The "validateTask" ant task is the first task and I dont think that has anything to do with the connection settings as this task will get executed the first in any BPEL process even before <bpelc> (Compilation) or <deployProcess> (deployment) tasks.
    I think I am missing some classpath/libraries/ant settings required for calling the build.xml externally.
    Any help would be greatly appreciated. Thanks!

  • OOTB approval worfklow not creating task when require checkout is set as Yes on the document library

    HI,
    I set the document library versioning to "require check-out" to yes.
    I set the workflow settings to create an approval workflow and "start the workflow when the item is created".
    I create a new document from the document template, save and check-in. The workflow task is not getting created, however the workflow is started.
    when i change the require check-out to "No" and create a new document as above, the workflow tasks are getting created.
    Can someone advise on what is the problem when versioning is enabled?? can anyone provide solution. thanks.

    According to your description, my understanding is that the task was not created after the approval workflow was running when setting the require check out to be yes.
    I tested the scenario in my environment, if I used the Office client application to create documents, then the task would not be created even when the workflow was running.
    There may be some reason that the creating task action is missed when the document is created using Office client application and the require check out is set to be yes.
    As a workaround, I recommend to install Office Web Apps and use Office Web Apps to create the documents when setting the require check out to be yes.
    The workflow will be starting before the documents is checked in, and it will create the task after the document is checked in.

    Hi,
    The error message tells you that something is referencing a NULL value in the code of the UMRepositoryManager class. This is generally a sign of poor error detection in the code and not checking for NULL's before trying to use them! If I were you I would try the following:
    1. Check your User Management Engine (UME) configuration
    2. Check the KM UM Repository Manager configuration
    I would say that because the code is standard SAP code the problem is somewhere in the configuration of your system (i.e. the code is expecting something to be configured but it is not). I would also recommend checking SAP OSS notes for a possible solution.
    Hope this gets you started towards finding the solution.

    For whats is worth my connection with the site is okay, for I am able to publish a workflow changing status, sending e-mails and other simple options.

    I have an issue with creating a new buisness object type, which is related to a

    I am new to workflow and business object. I don't have much knowledge in these area. I need to resolve this problem ASAP.
    Could someone please provide me a step-by-step guide on how to create a new business object type, which is related to an existing supertype, for an newly created infotype?

    Business objects are maintained in SWO1 creating a subtype is done with the button: Create subtype (F9)
    If you don't have knowledge of workflow or abap objects, it is perhaps better to tell your employer that and find someone who has.
    If your problem is simply only creating a subtype then go with the instructions I already gave you, if however more things need to be done, like extending the subtype with (virtual)attributes, methods, events, delegating the subtype and implementing the methods in newly created tasks and subsequently workflows I really advise to find someone who can do this, or attend a SAP course on this subject.
