Email notification to Manager on routine change request

I am trying to set up a multi review activity template for routine change request. The first Review Activity should notify the creator of the Change Requests Manager so the Manager can review. In the Review Activity, there is a check box for "Line Manager
Should Review". If I just check this box, will the Manager listed in AD for that user get an email or do I need to create an email subscription?
If I need the to create an email subscription, the question would now be what do I select for "Related Recipients" keeping in mind this is a Review Activity? Since we don't know who the Manager will be as it depends on the user creating the CR,
I certainly can't hard code a recipient so I need to user Related Recipients. When I get to this part, I have a laundry list of selections that basically do not make sense to me. Any help here would be appreciated.

There's really three separate problems here, so i'll address them indivigually: 
First, you want to automatically add a line manager to a change request. This is the intention of the Line Manager checkbox. when the activity status workflow runs, and that box is checked, it looks at the parent work item, then looks at the created by users
of that parent work item, and adds that user to the list of reviewers for the activity. The implied permissions (http://blogs.technet.com/b/servicemanager/archive/2014/03/19/improving-ad-connector-performance.aspx,
this seems to be the only documentation of it) will allow that user to approve. 
Second, there are no notifications by default, but a common requirement is a notification for all reviewers when their input is required. i have used
This method to generate these notifications. fortunately, the method Travis details is compatible with the line manager checkbox.  
Finally, Approvals by emails is a function of
the Exchange Connector. You can set up keywords to allow people to reply to notifications with directives like [Approved] or [Resolved], and the connector will apply those directives to related connectors. You have to modify the exchange connector to include
the id in brackets (i.e. "[RA1234]") so it gets related correctly, but using the notification method from above, this should be easy (and
here is a hint).

    Hi there, I am battling to generate an email when a developer creates a Change Request directly in the SolMan system. When he creates a new Change Request via CRMD_ORDER by filling in the Sold-to-Party, Change Manager, iBase etc., the message is automatically in 'To Be Approved'. I want to notify the Change Man ager as soon as a new Change Request has been submitted, but when I check the Actions tab in the message, no email action is listed or executed. I have edited SLFN0001_STANDARD... in SPPFCADM with conditions set. How can I create a email notification for the Change Manager as soon as a Change Request is in To Be Approved status?

    Hi,
    Create a action definition with the following information:
    Processing when saving.
    No restriction.
    Check Schedule Automatically.
    Check Partner-Dependent.
    Select Partner Function for Change Manager.
    Determination Using Conditions that Can be Transported.
    Then you have to create an Start Condition such as; userstatus = to be approved.
    No scheduled condition is needed.

  • Email notifications to be sent to the requester

    Hi,
    We are currently implementing the ECS scenario for SRM 5.0. We have a requirement where email has to be sent to the requester to perform the confirmation 7 days after the delivery date in the PO. A second reminder has to be sent 14 days after the first email.
    To achieve this, we're using the BADI BBP_ALERTING. We've written the logic. But we're not very sure how will this get activated and how will the emails be sent. Do we have to run any job?
    If anyone has any inputs for this, pl let me know.

    RSALERTPROC program may help you to get an alert messages depends on the alert category.
    i am searching this badi BBP_ALERTING but it did not exist in my srm 5.0 system. Any thoushts?

You can also override the standard alert categories and change the links(URLs) that the recipient uses to get to the relevant business object (document).   • Email Notification: WorkItem - Unable to open Access Request

    Hi,
    I am using AC 10.1 with SP06
    I have configured Email-notification for the new workitem to approve or reject and this is working completely fine. The approver is getting the mails triggered with the link to goto WorkInbox. All the requests are clearly visible but I (or any approver for that matter) can't open/access the request.
    I had copied the URL link by opening the workinbox and then with right click --> Technical help and pasted the same link in the email subject content. Hope this is the right way to provide the link to work-inbox
    But I can access/open the same request, if I go via the normal procedures SAPGUI --> NWBC --> MyHome --> Workinbox
    Ofcourse, I would've missed some things but not sure what it is.

    I assue the issue (not sure though) might be with the package, where I saved the email document, While creating the new email template at the time of saving it, I created one custom package ZGRC, as you can see there are some of the package encapsulation which are not captured.     This is not in place till now. But how come this could be the issue..? I understand that SSO will take approver directly to the workinbox link
    I have saved my log-in credentials with Chrome browser so whenever i click on the link coming from the email notification, the browser doesn't ask me to enter ID, password and takes me to my workinbox items wherer i can see the requests pending for my approvals.
    But if i use the same link on IE, it asks me to enter credentials, as I didn't save the ID and password So, after providing the credentials, I can see the requests pending for my approval, but UNABLE to open/access any of the requests.
    I have activated all the required services as well.

  • Email notification when custom list item changes

    I have a custom list with a workflow that emails me when an item changes from the list.
    I want to add the fields that have changed to the email.  Perhaps the email could contain the old value and the new value.  How can I achieve this using the workflow?

    According to your description, you might want to send an email with the fields that have changed and the old/new value of these fields.
    With the OOTB workflow actions, it won’t be able to achieve what you want, customization with code would be required.
    As an OOTB workaround, I would suggest that you enable versioning on this list, then when there is change in an item, there will a record in the version history of
    the corresponding item.

  • Work flow for Change Request not reliably sending emails.

    I created a work flow that sends an email to a changers Manager whenever a routine Change Request is created. Sometimes the email does not go and I narrowed it down to a possible race condition between the workflow running and Service Manager adding the
    Manager in as a Reviewer on the Review Activity.
    When I hard code a recipient into the Reviewer list, the email works every time. When I leave the Reviewers list blank and check the box "Line Manager should review", Service Manager properly adds the changers Manager in as a Reviewer but the email
    sometimes does not work.
    What I am thinking is the workflow is running before Service Manager can add the Manager in as a Reviewer and therefore no email. If this is the case, is this a possible bug or how do I delay the workflow and give Service Manager enough time to populate
    the Reviewer list on the Review Activity.

    "Updated" is not going to work. Now the Manager gets two emails identical to each other and when the Approve the RA, they get a third. Basically every time the RA is touched, it fires an email. Can't have this.
    So, back to "Created". It is still unreliable. I did not think getting an email sent would be this much trouble.  Basically all I am trying to do is when a user creates a Change Request, their Manager gets an email notifying them that a Review
    Activity needs attention.
    If anyone has any idea on how to do this, let me know. Is there any way I can do this with a notification subscription instead of a workflow? I tried to use a subscription but I could not figure out what criteria to use to send an email to the changers Manager.

  • Email notification in Charm with several status changes

    Hello,
    according to OSS 1275036 I tried to implement email notification in my Charm-process using BADI  AGS_SDK_SCHED_ST_CHD in my schedule condition. If a new partner is responible in Charm-process, this partner should be notified by email. The email should be send if user status is changing.
    It still works for my change request (notification of change manager) and the first step of my change document (notification of developer). But for all following steps (e.g. notification of tester) no action for email-notification is found in my change document.
    In my actions I only use schedule conditions (according to OSS) and no start condition. To use the BADI for several user status, I maintained my user status in field value instead of inital value.
    Does anybody know, how to use this BADI for several status changes in my change document?

    Hello together,
    I solved my problem by using CRM Standardcustomizing. Forgot SAP note 1275036 and 865619. They are all bad and not sufficient for a complex Charm scenario.
    I only used note 1275036 for the first mail in my change document (email to developer). For all following mail notifcations I'm using actions based on workflow conditions instead of BADI.
    Just using normal CRM-Customizing and create one schedule and start condition for every used action.
    E.g. send mail to tester:
    schedule condition:
      &Servicevorgang CRM.Anwenderstatus&  [*] E0002+DHFHEAD 
      and    &Servicevorgang CRM.ErrorFreeFlag&  = X 
    start condition:
    &Servicevorgang CRM.Anwenderstatus&  [*] E0004+DHFHEAD 
      and    &Servicevorgang CRM.ErrorFreeFlag&  = X 
    This works perfect, because you won't get several mails for one status if you save your document more than one time, which is a problem with note 865619.

    We are working on solution manager 3.2--change request management  , oracle 9.2.0.6 , windows 2000 server , sp level 10 for ST , 56 for Abap and basis .
    We have few queries to polish the working  of change manager - urgent correction  -->
    1. I also observe that in the cycle of urgent correction the process of importing and changing the status took a large amount of time (Around 10 mins)so please suggest ,  How can i minimize the time ?
    2. How can we do the text mandatory while entring the reason for change ...etc entries in the change request .  So that the processor should not ignore those fields.
    3. Can we assign the multiple change managers for more then one approval .
    4. More then one tester should be assign to the change document for multiple testing .
    5. Can anybody refer the  web link for creating  change request.
    7. We have support desk on client 010 and change request management  on 099 which are working fine  , how can we change the client of the support desk to 099 , so that both change req mgmt and support desk should be on the same client .how can we update all existing support messages on client 099 .
    8. How can we put some default entries like requester , iBase , Sold to party in the change request - urgent correction .
    Any kind of suggestion will be helpfull .

  • Send Email Notification to Assignees in Role Approval Workflow in OIM 11g

    Hi Experts,
    I am using a Custom Workflow for Role Approval in OIM (11.1.1.5.4). It is a two stage Approval Process.
    First level Approval is Requester's Manager and Second Level Approver are Role Owners(Two users who are Role Owner in OIM).
    I want to send a Email Notification to this Assignees when a request is assignd to them . So i have done Email configurations in SOA. and i am receiving Mail in English.
    But, the requirement is the mail's language should be dependent on Locale of these users.
    for example if locale of Manager is German then Manager should recieve mail of Request assigned in German Language.
    and after manager Accepts the request, Request goes to Role Approvers where we have two User, So mail should go to this two users according to their Respective Locale.
    So how can i achive this????

    One option would be to create views and then use the oob daily alert for each manager. If the number of managers is too much, then you should consider a custom timer job. 
    Your suggested approach is possible, but has potential issues in execution. I'd suggest the timer job first.

    PCR are still available though SAP recommend to use HR forms for newer releases.

    Until now, in the portal, a manager used Personnel Change Requests to initiate processes for changing employee data.
    Now the new service and form application HR Administrative Services is available for such processes. This application is more flexible and allows you to convert much more complex processes more quickly.
    In mySAP ERP 2005, HR Administrative Services and Personnel Change Requests are available in parallel and are supported. In future releases, the standard delivery will concentrate on HR Administrative Services. Personnel Change Requests are available in mySAP ERP 2005 for the last time in the standard delivery.
    As the HR Administrative Services are already available with mySAP ERP 2005, we highly recommend that in mySAP ERP 2005 you implement processses for changing employee data using HR Administrative Services.

  • Virtual systems in SMSY? (Change Control Mgmt. & Change Request Mgmt.)

    Dear all,
    We plan to implement Change Control Management (CCM) and Change Request Management (Charm).
    At the current stage of the project, we do not have all satellite systems ready (e.g. production system is missing, Dev and QA are setup).
    Nevertheless we want to start setup of Charm and CCM.
    We understand that we have to "register" the missing systems in the STMS as virtual systems.
    But how do we do that in the SMSY?
    Do we enter the data manually? or can we "load" the data out of the STMS?
    And what are the typical traps and errors we can make (i.e. hopefully avoid making). Anyone to share his/her experience?

    Goto SMSY
    Systems
    Select your SAP XXX (like SAP ERP or SAP Netweaver)
    Click on your SID
    On the right hand side you go to the tab "Header Data"
    Here you can aktivate planned or production
    If you are unable to see the planned button that this is because your setting for data source is not set to manual.
    Than please click on the button "Other object" (SHift + F5), for System enter your SID and click on the lock "Set Datasource to Manual input CTRL+F9)
    This will set your SID-System to manual adjustment - just confirm.
    Than you can mark your system as planned
    You will be able to add clients manually yes.

    The default values here are: "0" and "0".
    Has some one already customizng experience here?
    I would like to change the value to e.g. "1" and "314" (my productive IBase).

    many thanks for your response. You talking about service desk issue.
    Unfortunately we do not use service desk and create the change requests manually.
    As I mentioned of great interest were the issue with customizing of layout and actions within Change requests and documents.
    Here some examples:
    automatic assignement of change manager to the change request
    automatic assignement of Ibase to the change requests
    Do you know the customizing procedure here (tcode, documentation) and can help?

    I am trying to setup an email template for Change Request Reviewer. The email should contain as much details as possible, include Change Request ID, Description, Reason, Impact. etc. I have tried to include Data Properties from "Contains Activity",
    "Has Parent Work Item", "Depends on Work Item"... but they all show blank data in email notification. Which Data Properties should I use?

    I have seen this post, but it didn't work for me. Eventually, I found solution. Below is working code.
    For example:
    "Contains Activity" doesn't have Change Request Data Properties "Reason". I inserted "Reason" from "Has Parent Work Item", copy inserted code "TypeConstraint=... .../Reason$", paste it after "$Context/Path[... ...System.WorkItemContainsActivity' "
    to replace the original code inserted from "Contains Activity".
    Also, don't forget to adde SeedRole='Target', but better to type
    ' by yourself.

    Be careful when copying + pasting SeedRole=’Target’ from this blog post. It should actually be SeedRole='Target' which has different punctuation around Target. I'd imagine that whatever blog engine Microsoft uses for this "helpfully" converted the
    single quote to some weird right-slanted-single-quote which doesn't work in Service Manager when copied+pasted.
    You guys might want to wrap it in a code block, or whatever you can use on the back-end to preserve formatting.
