Exclude budget update in Funds Management for particular FI document type

HI FM gurus !!
We have an issue in FM .We do the service entry for Transporters for the whole years charges at one time . ( for some reason it cant be done for the month) So we have to pass the FI entry for the Prepaid Expenses. But when we do this entry in FI  corresponding effect goes in FM and the Budget for this committment item gets INCREASED. THIS WE DONT WANT since this temperorily available budget may get used for other things. This is the background .
so All we would like to do is to prevent the budget update in FM for this Prepaid entry. How can we do this ? is there any config or BADI ?
PLEASE ADVICE

Its been resolved..
For budget not being available for consumption after being posted through FMBB th issue was in my AVC profile. and for the second part where budget was not consumed after invoice being posted through FB60 the issue was in my fiscal yeas variant year shift. the posting was taking plane in the wrong fiscal yeas hence consuming budget for that particular fiscal year and not of the year i intended to post to. Thank you so much fpr approving my query

    Commitment item is a master data in FM. Please, read this information for basics in FM:

    As for your reporting, it's possible to create one in Report Painter, based on 4FM library. You can create the colmuns based on Value type in order to distinguish between PO, PR, etc.

    The answer depends on if you are using Former Budgeting or BCS.
    1) If you are using Former Budgeting:
    a. You should use transaction FR51 to enter Release or FR55 to distribute it.
    2) If you are using BCS:
    a. Within FMBBC transaction you have the option to release the budget, use document type as REL (release).
    b. You can activate the automatic release for each budget profile in Customizing of Funds Management Government.   To do this, in IMG select Funds Management Government ® Budgeting and Availability Control (Former Budgeting) ® Budget Profiles (Former Budgeting) ® Set Up Budget Profiles.
    With the automatic release, the corresponding background releases for expenditures FM account assignments with budget transfers are also posted. Take note that the maximum amount that this automated release can transfer from the sender is the amount that has already been released.
    If you do not activate the automated release, the maximum amount that can be transferred from the sender is that which has not yet been released.
    c. You can use the mass transaction for release, which is FMMPRELE.

    Please check that the billing document may be using different logo and which may not be avilable or not fitting in the window. (May be graphic is over flowing the window dimensions)

    Why don't use the BADI ME_PROCESS_PO_CUST, method PROCESS_ITEM? You have a demo. The idea is:
      data: ls_mepoitem type mepoitem,
            ls_header type ref to if_purchase_order_mm,
            ls_data_header type mepoheader.
      ls_mepoitem = im_item->get_data( ).
      ls_header = im_item->get_header( ).
      ls_data_header = ls_header->get_data( ).
      IF condition IS TRUE.    "with LS_MEPOITEM, LS_DATA_HEADER
        ls_mepoitem-retpo = 'X'.
      ENDIF.

    Purchasing Group in Purchase Order (M_BEST_EKG )
    Purchasing Organization in Purchase Order  (M_BEST_EKO)
    Plant in Purchase Order  (M_BEST_WRK )
    Document Type in Outline Agreement (M_RAHM_BSA )
    Purchasing Group in Outline Agreement (M_RAHM_EKG )
    Purchasing Organization in Outline Agreement ( M_RAHM_EKO )
    Plant in Outline Agreement ( M_RAHM_WRK )
    This can be helpfull to you to restrict authorization to PO..
    In Organization Level, it can be restricted by Purchasing group, Purchasing organization and plant..

  • Differentiating of pricing schema for each purchasing document type

    Dear colleagues,
    This topic could be discussed before but I need to clarify some points.
    We would like to differentiate pricing schema per purchasing document types (e.g. AA and ZZ). These purchasing documents are not like domestic and import types.
    There some condition(s) where purchasing document type AA should not be able to maintain whereas ZZ should be able to.
    In this case shall use one unique pricing schema for both purchasing document types if so how can I hide some conditions for document type AA or if I use separate pricing schema how can I set different pricing schemas for different purchasing document types because both document types have same purchasing organization, vendor etc.

    Why to have two different schema groups! Is procurement process is completely different, so use to have!
    (have thought of separate condition types for each Calculation Schema)
    Based on Schema Group Of Vendor in the vendor master, the PO for vendor with respective Schema Group Of Vendor will populate the assigned condition typesu2019. Follow path:
    SPRO->MM->Purchasing->Conditions->Define Price determination process ->Define Schema Determination
    Under segment:
    Determine Calculation Schema for Standard Purchase Orders
    Here you can assign Schema Group Purchasing Organization, Schema Group of Vendor and Calculation Schema
    Under segment:
    Determine Schema for Stock Transport Orders
    Here you can assign Schema Group Purchasing Organization, PO document type and Calculation Schema

  • Exclude WBS Budget Checking in Funds Management

    Dear SAP Community,
    We have activate the Availability Control in PS module for line item posting using WBS element as cost object, and in FM module for line item posting using cost center as cost object.
    Since the FM module active, for every posting, the system require assignment to funds center. Therefore, we assigned all WBS elements into one Funds Center called WBSDUMMY.
    Our requirement for a project is to have budget checking in WBS element level.
    Our current settings already exclude WBSDUMMY funds center assigned to FM Budget Profile in "Availability Control: Specific Tolerances". But, for every posting that use WBS element as its cost object, warning message of "Payment Budget Exceeded" in funds center WBSDUMMY always appeared.
    Is there any way to avoid the budget checking of WBS in FM module?
    Can we create the FM Budget Profile without warning/error message and assigned it to WBSDUMMY funds center? If yes, is there anyone can help me on the specific settings? Since I can't found the configuration/settings to define availability control action besides the SAP standards.

    So in other words, you want to suppress the budget message received whenever the fund center = WBSDUMMY?
    If so, then I would suggest trying this...
    Create a tolerance profile to be used solely for the WBSDUMMY fund center.
    The tolerance profile would be something like this...
    Tolerance profile name = DWBS (for example)
    Ceiling type = Expenditures, Activity group = ++, Order = 1, click the Inactive setting ", Message type = Information, Usage = 999.00
    Then set up a derivation strategy for tolerance profiles (FMAVCDERITPROF) solely for the WBSDUMMY fund center that basically says when the fund center = WBSDUMMY, then derive tolerance profile DWBS...
    Derivation type = Assignment, Definition tab constant = DWBS, Target field = TOLPROF
    Condition = ACO_ADDRESS RFUNDSCTR (fund center) = WBSDUMMY
    So when the fund center is WBSDUMMY, the tolerance profile DWBS is derived, and the entry in the tolerance profile is inactive, therefore no warning or information message is received. The key is that the entry in the tolerance profile is inactive.

    But it will ask comittment items for all business transactions like FI / MM / SD,etc

    Bear in mind that the minimum account assignment that must be provided in case of FM, is funds center and commitment item, this is required for postings, budget, avc and so on.
    Funds center can be a combination of cost centers that you should have filled in your PO.
    To be able to derive automatically funds center from the cost center, use FMDERIVE transaction creating  a derivation rule that connects cost centers to the funds centers.
    The FM derivation tool can only be used for deriving Funds Management account assignments. Additional information is
    available in note 881202.
    I suggest you to read also the documentation available in the following menu:
    SPRO -> Public Sector Management -> Funds Management Government -> Prepare Funds Management Installation
    It is only a text document but with links and with all the necessary instructions to start FM in your company.

  • Budget Posting and Funds Management

    Hi,
    Can some one tell me how I can setup a budget in a fund?  I currently can create a fund and then when I try to do a budget posting update w/exp BPUE, it will not allow me to enter a posting amount.
    So I can create a budget posting,  but when I save it, I get and error asking to provide a posting amount.  The problem is the posting amount field is greyed out.
    Any ideas?

    Hi Maz,
    In BCS, you create a plan structure each year like 2008, 2009, 2010 and you create budget adresses in the 2008 plan structure and posting adresses in 2008 plan structure
    Budget adresses are saved in the ledger 9F and posting adresses are saved in the ledger 9A and AVC in ledger 9H
    When you create budget and posting adresses in plan structure this means that only thoses combinations Funds, Funds center, commitment item will have budget in FMBB and will be used in earmarked funds and real postings like 9A
    Simply if budget adress is not created you acn not enter a budget in 9F table FMBDT
    If posting adress is not created you can not for example create a funds commitment with FMZ1. any way to update the table FMIOI or impossible to create an invoice with FB60 referencing the funds commit in order to update the table FMIFIIT
    AT closing you copy the different budget adresses and the posting adresses in the next plan structure for example 2009. There is a tcode for that.

  • Funds Management for PO with reference to a PR

    Hello,
    I'd like to check the system's behavior on the next issue:
    Letu2019s say I have a funds reservation for $18,000,000.00 and I create a purchase requisition with one item with reference to this funds reservation for an amount of $17,000,000.00.
    Then I create a purchase order with one item, making reference to the purchase requisition for $10,000,000.00.
    At the moment I have availability in the reserve of $1,000,000.00 and a commitment (also pre-commitment) of $17,000,000.00 ($10,000,000.00 from the purchase order and $7,000,000 from the requisition).
    If I later (after I had saved) try to update the purchase order item increasing its net value, for example in more than one million (exceding the reserve's available amount), the systems generates an availability control error indicating that I donu2019t have enough funds in the funds reservation (which its true).
    My question concerning the systemu2019s behavior is, doesnu2019t it recognize the fact that the PO is referenced to a PR, therefore being able to consider also the remaining amount of the PR as a funds source for the increased value of the PO item (instead of only the reservation available amount)?
    If I make a new PO with reference to the same position of the PR, I can do it for the whole available value (funds reservation + PR), and the system makes the necessary reduction for the PR at funds level.
    However, as I mentioned before, if I increase the value of the PO item it only recognizes the available amount in the funds reservation as a funds source to AVC check.
    Iu2019d like to know if this is a right behavior and if there's a way to make the system use the amount commited in the Purchase requisition, to be able to increase the item in the PO, making the necessary reduction in the PR and funds reservation (BUT RECONIZING BOTH FUNDS RESERVATION AND PURCHASE REQUISITION AS POSSIBLE SOURCE OF FUNDS FOR THE INCREASE, INSTEAD OF ONLY THE AMOUNT AVAILABLE IN THE RESERVATION, DURING THE AVC CHECK).
    In the activity "Define Activation of Availability Control" is specified "Active with usual check logic".

    Thanks for your answer, but I'm using type C (Active with usual check logic) for the fiscal year in question (2009).
    But the system is only checking the available amount in the funds reservation when I increase the value in the purchase orde item, it doesn't try to decrease the value of the purchase requisition, which still has a $7,000,000 commitment, in order to be able to use that as funds to be able to increase the value in the PO. That's what I don't know if it's a normal system behavior or it could be something in the customizing to help me solve this issue (bear in mind that I'm updating the purchase order, because when I create the PO there's no problem or even creating a new one with reference to the PR, it let's me use not only the amount available in the funds reservation, but also the commitment in the PR as available funds for my PO).
    I wouldn't want to decrease the value of the purchase requisition to be able to increase the availability in the funds reservation (so I could increase the PO item value), because it has been released and approved. And I can't either fix the "closed" indicator on the requisition to release commitment, because the remaining value of the requisition could be used to create other purchase orders.

    I am facing the Below error while doing the FB50 transaction.
    "Item 002 20020001 /EXPENDITURE payment budget exceeded"
    I have created the commitment item "Expenditure" to post the expenses to the budget.
    I have made the budget entry into the system for Expenditure as well as Revenue Commitment Item.
    I am able to post revenue posting successfully with FB50 transaction through revenue commitment item but facing the above error for expenditure commitment item.

    Hi Dimpesh,
          Check whether the budget has been released (consumable) if you have made budget release setting in FM . If you have defined consumable budget types in Customizing, only these budget types will be considered as "releasable" budget.

  • Credit Management for different Sales Order Types

    Hello All,
    The problem is related to Credit Management for Sales Order which is explained below with an example -
    We have separate Sales Order Types for New Launches (ZNLS) & Normal Depot Sales (ZDPS) but both the Order Types are assigned with same pricing procedure and respective orders will be raised against the same party code.Now automatic credit check is only active for order type ZDPS where the credit limit had been set to Rs.1000. Now Rs,.500 had already been raised using order type ZDPS, then another sales order of Rs. 500 is raised using order type ZNLS.But when a sale order of Rs. 550 is raised using order type ZDPS the sales order is getting blocked, because the system had taken into consideration & added up the Rs. 500 value of ZNLS with previous value of Rs. 500 against order type ZDPS as a result of automatic credit check though it is not active for order type ZNLS.Point to be noted that Credit exposure is  also not active for Order Type ZNLS.
    How is this taken into consideration & what are the steps need to be configured so that the credit limit check will not get automatically activated for order type ZNLS  and  only remain active for order type ZDPS  despite they are assigned to same pricing procedure and used for invoicing same party code?
    Please suggest.

    Hi Mitra,
    The issue occurs because of the fact that credit check and the
    update of the credit values are separate processes which are also
    controlled separately by the respective customizing:
    1. credit check is controlled by transactions OVAK and OVA8.
    According to the attachment, you have already refered to note 18613 to
    check the customizing settings.
    2. update of the credit values is controlled by VOV7 or OVA7: "credit
    acttive" flag. The 'Credit active' setting only affects the credit
    update of the SD credit values (open orders, open delivery and open
    billing documents). This flag has no control on the credit check. So
    if for an order type, there is no credit check in OVAK and OVA8 but
    the "credit active" flag is set for the item category, the order will
    update the credit values even if no credit check is performed for the
    order.
    If the flag "credit active" is not set, the system will not update the
    open credit values. On the other hand, the system ALWAYS updates the FI
    credit value 'Open receivable' when the billing document is transferred
    to Accounting. So, although you deactivated the "Credit active" flag in
    in OVA7 or VOV7, such an item will increase the 'Open receivables' and
    thus the credit limit used when the corresponding billing document is
    posted to Accounting.
    If you would like the value from sales order type  ZNLS is excluded from credit update, you could consider set the "Credit Active" field as blank in VOV7 for the item category used for ZNLS.
