Goods Receipting a SRM PO that is awaiting Approval?

Hiya.
I have a issue that is causing many problems. Please, has anybody seen this before in SRM 5?
Basically, the user creates a SRM PO from a Cart for the value of $100 and this needs no approval. If they then increase the PO value to $1000, the PO is then correctly required for approval with SRM workflow. When the PO is saved, it has a status 'AWAITING APPROVALS'.
Then why does SRM still allow the PO to be subject to a goods receipt confirmation with the old value of $100 even eventhough it is awaiting approval if $1000?

Hi,
The problem is once the PO has been changed, it creates a new change version. This change version is still not active until approval happens. Till this time the old version is taken as active version by the system and it can be considered for confirmation. If you want to prevent confirmation creation during this period, then you can create an error message using doc_check badi to say some thing like 'Change PO is awaiting approval, No confirmation possible.'

    Purchase orders do not have any accounting entries, so Right Click> Close will close the document.
    The same action will also close a GRPO, but this will create an accounting entry as the Goods Receipt created a debit to stock and a credit to the allocation account.  The closing entry will clear the allocation account & credit a cost of sales account which is determined in the account determination. I think it is discounts received account from memory.

  • Classic scenario - goods receipt in SRM

    I've seen on a business scenario document of SAP that even in the classic scenario it's possible to execute goods receipt by the requester in SRM. My question is: if in classic scenario the purchase order is created on R/3, how can the requester create goods a receipt in SRM for a specific PO? Does SRM get data (items, supplier, etc.) from a R/3 PO in the creation of a goods receipt document?

    We are implementing SRM 4.0 and follow a classic scenarios.
    While creating a shoping cart the approval of Shopping cart is based on various attributes like
    Material Group + Cost Center  + Value .
    Can I change the standard workflow conditions and add new conditions like material Group and cost centers.
    So that when I create a Shopping cart and change the cost center in the shopping cart, it goes to the head of the new cost center(for Approval) which is manually entered in the shopping cart.
    Can this control be achived through the Org plan attributes.

    for a date to be creating good receipt ?
    The date of the purchase order has been depend for creating good receipt ?

    I have tested one cycle and it is possible to do a GR prior to the delivery date mentioned in the PO.
    In EBP we can do a Goods receipts prior to the delivery date mentioned in the purchase Orders.

  • Blocking the printing and output of documents that are awaiting approval?

    Is any functionality available that would prevent purchase orders from being 'print previewed' or outputted whilst the document status is either awaiting approval or release rejected?

    I understand that GR can be done in either SRM or R3. We use the classic scenario so I know that my GR will get posted in R3. My questions are:
    1. Are there any advantages to creating GR in SRM vs. in R3?
    2. How do I specify whether GR is to be performed in SRM or R3?

    like Yann mentioned, there are no specific settings needed.
    The decision, where the GR is done is process driven and depends on your
    definition and your business. Based on that design, user get the roles in SRM
    and/or R/3 to perform their tasks. For typical indirect procurement, the GR is done
    by the requisitioner or much easier, automatically in combination of ERS
    procedure.

  • Cannot perform Goods Receipt in SRM

    Hi All:
    When I'm trying to perform GR/ Confirmations in SRM I get the following message. "No documents correspond to search criteria or no authorization" . 
    I have tried the following roles BBP_STAL_EMPLOYEE and BBP_MULTI_EMPLOYEE to no avail. 
    I see the PO's and the icon to do the GR but to no avail.
    I have also tried clearing the cache from the browsers.
    Our environment is ECC 6.0 SRM 5.0 server 5.5 , Classic scenario.  The backend systems seem to be defined correctly and the jobs CLEAN_REQREQ_UP and BBP_GET_STATUS_2 are running successfully.  I do not know what else is the problem.  I have enabled the confirmation work flow, and defined the intervals for the confirmation numbers.
    What else could be the problem?  This problem occurs for both normal receiving and central receiving.

    Hi Alex,
    sorry for the confusion, I didn´t read the issue properly....
    As mentioned before you need to distinguish between CF02 und CF03. CF02 does not read the backend PO data, so if you are in classic scenario only the reference document (SC) is read and there (for example) the flag GR_IND is not stored. This might be one reason why the PO appears in SRM, but when trying to post the PO the error message is raised, as then the backend data is read.
    But the issue is pretty complex, so maybe you should try to debug and check what is going on excately, or you can provide some additional data

  • Net Value in ECC differ from SRM Value in Goods Receipt

    We are creating Goods Receipt in SRM.When we create Goods Receipt  in SRM Goods Receipt shows correct value, where as in ECC it shows Wrong.
    Ex: In SRM  Goods Receipt value is '1000', where as in ECC  it is '1' instead of '1000'. Could any body tell me what would be the reason.

    could anybody explain me, How SRM replicates the Goods Recipts data to ECC  Goods Receipt automatically..means is there any BADI/IDOC etc...what is the exact procedure...

    SRM replicates the GR data to ECC through ALE/IDOC concept
    Check in BD64 Distribution model will be created with message type MBGMCR for GR postiong
    check in WE02 ( idoc display) inbound idcos in SRM and in ECC for outbound idocs for message type MBGMCR and also check the data records for that perticular GR.

  • Posting Goods Receipt Data in SRM

    Hi,
    We are implementing SRM 4(Extended Classic Scenario). For all open Purchase Orders (PO's) in R/3 we will be getting goods receipt data from R/3 in an excel sheet.
    Now how de we upload (create/post) the Goods Receipt data into SRM?
    Are there any BAPI's or function modules that I can use in the program that I am developing to create/post goods receipt in SRM from the data in the excel sheet?

    I am not sure I have understood why we need to use BBP_CF_ASSIGNMENT. Is it that it will give the item quantities that have already been confirmed? And what is the balance quantity to be received? But if that is the case how does it help us as the excel sheet will contain the quantity for which the confirmation has to be created in SRM.
    Apart from the FM's that you mentioned (BBP_PD_CONF_CREATE, BBP_PD_CONF_UPDATE and BBP_PD_CONF_SAVE), I came across this bapi, BBP_BAPI_CONF_CREATE_IN. Will this not create the confirmations in SRM? Please let me know your thoughts.

  • Confirm performance of Service/Goods Receipt

    We are using SRM 4.0 SRM Server 5.0 in extended classic scenario.  Our backend is a R/3 system version 4.70. 
    When changing a purchase order via transaction BBP_POC on the header data tab, go to the follow-on documents.  At the top of this screen is a Document Ctrl section.  There is a box titled "Confirm Performance of Service/Goods Receipt".  We understand that removing the check mark from this box is essentially telling the system that you do not want to perform a goods receipt for this purchase order.  When the invoice is received in R/3, the system will pay the invoice and not put it in a block status.  The business is asking for this ability at a line item level.  In essence they want to tell the system that a goods receipt is not required by line item.  Apparently this capability exists in a purchase requisition in R/3.  Does anyone know if this is possible in SRM?

    I don't understand your request, because document control in BBP_POC transaction ("Process Purchase Order") is done at item level...
    Could you clarify ?

    In SRM 5.0, document control for follow-on document is done at item level.

  • Restrict accessing of Good Receipts & Invoices

    The client is using SRM 4.0 as a P2P solution in Extended Classic Scenario.
    The client uses a number of contractors to process confirmations and invoices.
    The security/access issue is for contractor personnel who are working within the buyer's offices on behalf of the buyer. These contractors are acting, for examples, as "Goods Recipients" in the P2P process flow. A vendor submits a goods receipt, and then these contractors, who are not buyer staff, need to access SRM to verify the supporting documentation and approve or reject the goods receipt.
    The current security problem is that anyone with the Goods Recipient role can see any Goods Receipts in the system. We want that contractors cannot see any Goods Receipt in the system that were not workflowed to their user ID.
    Please suggest a solution to implement this scenario. In case of further clarification please revert.

    Using BADI BBP_WF_LIST I can tailor the display of worklists in the contractor's inbox.
    The problem is when a contractor logs into the system and he can see all the good receipts even those for which he is not a recipient through Good Receipt Transaction code. We want that the contractor can see only those good receipts for which he is recipient.

  • MM - Goods Receipt (MIGO) and Validity Period End (Contracts and PO)

    Hi Gurus,
    Within our PO process, I created a PO which references a contract. Both have a Validy Period Start and End set up in customizing and filled in. But my problem is that I can still enter a Goods Receipt in MIGO to that PO, after validity has ended. I've set up in customizing the system message 06-041 as Error, and I've put in Screen Layout the checkbox 'GR message' for both PO and Contract.
    Is there a way to block the GR threw IMG outside of the Validity Period ?

  • Landed costs can not get Goods receipt PO when Goods return made

    Hi, everybody
    I need to calculate landed costs and it seems that I can not use when I built a Goods return.
    My procedure as follow ( ps: the same vendor number)
    1. created a PO then Goods receipt PO (docNum says 1111) which included 20 quanties for item no AAAA.
    2. created a Goods return which Copy from Goods receipt PO no: 1111, which included 5 quanties for item no AAAA.
    3. next, I try to caculate my Landed costs. I open a new Landed costs and click the button "Goods Receipt PO", but I can not find any Goods receipt PO no: 1111.
    What can I do to caculate my exactly landed costs & Goods receipt PO no: 1111 that included 15 quanties?

    When you only Returned partial goods from your Receipt.  The Receipt should still be open and you should be able to process the Landed cost. I am not sure why the GR is not showing in the landed costs window.
    Please check if the GR is closed by an AP Invoice / by itself.
    Otherwise, you will need to process AP Goods Return for the remaining 15 and process a New Goods Receipt for 15.

  • Valuated Sales order stock - Goods Receipt

    Greetings,
    I am trying to better understand the concept of 'Valuated Sales order stock" and I read in the SAP documentation that:
    "When you are using a valuated sales order stock, externally procured individual requirements materials are assigned to the sales order stock at the net order price at the time of the goods receipt"
    But I find that in our SAP system, this is not the case. Externally procured materials are valued at whatever price they are costed in the sales order they are used.
    I can have a PO whose net price is 5000 Euros for Material X but if that same Material X is costed at 8000 Euros in the Sales order to which is it used, the GR for Material X will be at 8000 Euros.
    (the PO for Material X is assigned against the sales order).
    Perhaps I am misunderstanding what is meant by "externally procured individual requirements materials"?
    In the example above, material X is not the Finished Goods sold to customer through the Sales order. It is a component that is involved in the production of the FG.
    It seems to me more logical that Material X value be based on the cost estimate computed in the sales order rather than on the PO Net price...

    Yes, we value our inventory at Std.
    (Is this why the GR is valued at Sales order cost estimate and not Net Price?. SAP does not mention this in its documentation)
    I understand your point but my argument is based on the fact that if a purchased material (Material X in my example) is received into stock at the Net Price value, then, there will be a mismatch between
    - the Cost Estimate of Material X in the Sales order (Material X will be valued at its Std there, based on our Costing variant)
    and
    - the value at which this Material X will be consumed in the Production process (since it will be at Net Price).
    This would cause a Production variance to be recognized since the actual costs to produce the Finished good would be different from the Cost estimate of the Finished Good in the Sales order (and the cost estimate in the sales order determine the COGS of the Finished Goods in accounting).
    The difference of 20 you mention is treated as a Purchase Price variance in our case. That PPV is assigned against the Sales order.

  • Goods Receipt of HU for Process Order

    Hi All,
    I have the following scenario.
    We are looking to implement HUM.
    We are using externally numbered HU's.
    Every HU when packed in prodcution may have a different quantity so we will not use packing instructions to save the deletion of non used HU's.
    Do I need to use COWBPACK to assign HU's to the process order. Issue with this is standard SAP does not allow assignment of externally numbered HU's.
    Or
    Can I assign the HU's a point of Goods Receipt. I see that COWBHUWE allows the process order to be added and then the HU's.
    I assume that is HU's were assigned in COWBPACK this would automatically populate when the process order was entered.
    Can I just eneter the process order and manually add the HU's.
    If not we will have to look at BADI's or custom transaction.

    We will be building the Hu's as we perform the packing packing process order. We pack Box HU's in to a Tote HU.
    The Tote HU has a re-usable HU number on (externally number assignment)
    We will not use packing instructions to define the Hu structure.
    What we need to be able to do is perform a goods receipt of the packed HU's against the process order.
    I am starting to think that this is a custom development.
    When you use COWBHUWE do you have to have assigned HU's in COWBPACK??
    We cannot use COWBAPCK as it does not allow external numbered HU's to be assigned.
