Invoice Approval process - re-approve invoice question

Hi,
I am trying to find out why and if possible the re-approval can be triggered for an approved invoice when: a invoice is already approved and a user modifies the distribution line amount or reserves a PO and rematches a PO that is doesn't get flagged for reapproval.
I have noticed that the invoice needs re-validation but not re-approval.
If you change the invoice amount at the header level that the invoice is reflagged for re-approval if it already has been approved.
I would have thought the same process would occur if the distribution lines had been modified in any way.

  • Excise invoice capture process for dealer invoice

    Hi,
      As I read in many thread, that for the capture of excise invoice for dealed invoice in Po for item we have to maintain the base price as addition of both base value + excise duty amounts,  then using MRP indicator we have to capture the duty amounts for dealer invoice but I have some query,  when delaer make the invoice . they pass on the duty,  even the duty amount is not intially known which excise invoice amount the delaer will pass, so while creating PO, How we can exactly enter he amount as BASE VALUE + DUTY amount,  we have to chnage the the PO  or without changing PO amount we can proces for capture of excise duty  also in PO which tax code should be select , if we seelct the regular tax code which we use for excise invoice capture for other supplier  then system will calculate the tax amount in the PO also, so which tax code should be calculate.

    At the time of Po creation we will be knowing the duties which he will be passing you, but you will be not knowing the base price of material ,as vendor will add his amount also into the original base price and apss the invoice.
    So will be creating the PO as original base price and excise only , but at the time of GRN he will add his profit into the base price and will give supply the material, so you need to change the base price while GRN to match the excise duties and tick the MRP indicator so that at time of miro the duties will flow correctly.

  • Approval process QUERY - Please help guys....

    I have found some threads in this subject but non of them seem to work for me.
    My need is :
    when my employee tries to turn an order into an Invoice witch its card is set to groupname of 'over seas clients' the invoice will not be produced and the approval pop up will show.
    this is what i tryed :
    SELECT distinct 'true'  FROM OINV T0  INNER JOIN OCRD T1 ON T0.CardCode = T1.CardCode INNER JOIN OCRG T2 ON T1.GroupCode = T2.GroupCode AND T2.GroupName  'Over seas clients' where T0.CardCode = $[$4.0.0]
    nothing happens and the approval pop up never shows up.
    Could someone Please help me with this query?

    I thin approval process work like in this manner.
    when you add any SO for particular condition matches then approval pop up will come, and then that SO gone to Approval. After approval user can able to make Invoice.
    Hence i think in your case you need to made a query in SO that when the particular groupname is added then aproval should pop up.
    Else you can kept the approval process in AR Invoice that if particular groupname is added then pop up.
    For Approval process you need to select this query in Approval Template.

  • Approval Process in SSHR using Approval Management

    Could any one suggest for the below mentioned issue ?
    I have set up the approval process using approval management. But when I tried to test the approval process in both the ways ('Create a test transaction' and 'View a real transaction's approval process), I am receiving different error messages.
    1. if I test by using 'View a real transaction's approval process'
    receiving the error message saying "ORA-20001: The attribute TRANSACTION_REQUESTOR_PERSON_ID probably has an invalid query string. The attribute caused the following exception:
    -972
    ORA-00972: identifier is too long"
    2. if I test by using 'create a test creation' receiving error message as "ORA-20001: Casey Browning (Browning, Doctor Casey) lacks a supervisor, so OAM cannot complete the chain of authority for the transaction"
    What am i missing in the setups ?
    which way is the recommended way to test the process ?

    For you to test Approvals, you have to setup a number of things;
    1. Supervisor Hierarchy (If using that as hierarchy)
    2. Job Levels (If using Job-level approvals)
    3. New rules for SSHR functions.
    The getApprStartingPointPersonId function returns the starting point person ID for the transaction in the HR_API_TRANSACTIONS table. It uses that to traverse the supervisor hierarchy based on the approval.

  • Approved invoices can not be edited  - Approval process

    Hi Experts -
    I have recently raised an incident with SAP about Approval process - the complete message and support reply is as follows - but i believe we need a change in the approval process - if the approval required is only one but you have defined two people (Either or OR) in the approver list - the system should allow the document to be edited if one of the approvers reject it.
    please let me know and i believe we need  a change in design - unless otherwise a solid reason is given to justify the existing design

    all. All the information on the invoice are greyed out.

    When the originator sends the document for manager's approval, note that the at that stage, the document is still in the 'Approval Process'. This is because the system is waiting for the 'Manager' to 'Approve or Reject' the document. Hence, looking at the Document, it is still in 'Draft - Pending' Status.
    When the document is in 'Draft-Pending' Status, the document is not available for editing, because the system considers that it is still in the waiting process. In your case, the manager cannot edit t he document.
    To amend the document, an action is required from the approver either to reject it first. Once rejected, it can be amended and re-sent for approval.
    I have checked our knowledge base and noted that there is an article which describes the approval process. Please refer to the Expert on Phone Wiki Article (March 2009) with title: Why a draft documen t in an approval process cannot be modified by the originator?

    If it is still in 'Pending' mode, please verify the number of 'Approvers' set in the 'Stages' tab of the 'Approval Template - Setup' window. If there is more than one user listed as 'Approver', and o nly 1 approval is required, the system provides an opportunity to other 'Approvers' to approve or reject the document. If in your case, the number of approvers is 2, and manager 'rejected' it, the sys tem still keeps the document in Pending status as it waits for another approver's decision to reject or approve it.
    Also, verify the number of 'Approvals' required. If the number of 'Approvers' who have not rendered their decision is greater than or equal to the 'Approvals' required (e.g. approvers - 2, required ap provals - 2) the system keeps the document within the approval process. This is to allow the other 'Approvers' to decide on the document.
    I hope this clarifies the behaviour. If you can provide us a step by step screenshot of the issue, this may help us to provide a more accurate response.

    Thank you for the information. The behaviour is a current system definition documented as per Note 1321234. I have attached the said Note for your reference. When only 1 approval is required and there are 2 or more persons are allowed to approve the document, the document does not get automatically rejected when 1 person 'rejects' it. The system waits for other approvers to render their decision b ecause a person may still approve or reject the document.

    Dear Experts,
    Please advice if anyone has any information on SAP Invoice Approval process  integrated with Livelink Imaging.
    Process:
    a)     All invoices are scanned in Livelink to capture the invoice image
    b)     Establish link btw SAP and Livelink i.e., In SAP some reference number will be keyed which should fetch the relevant scanned invoice doc and display.
    c)     User reviews and either accepts or rejects the scanned invoice
    d)     Once accepted an Invoice document is posted in SAP based on the inputs provided by the business
    e)     Later workflow is triggered for approval of invoice for payment.

  • Approval of Expense report invoice

    I'm working in R12 (12.0.6) and I have requirement create approval logic for invoice of type expense report.
    I'm using AME but I found AP invoice workflow (APINVAPR) doesn't support invoice approval for expense report imported by cocurrent program.
    My question Is there any way to overide this and allow approval (to make Approval Required)for expense report invoice imported through the Payables Expense Report Export Program ?

    Invoices imported from iexpenses do not fall under the invoice approval. The idea is that the Approval process is implemented within iexpenses itself. So whtever approval requirement is there, it can be incorporated within the expense report approval AME. The approved expense report will create an AP invoice which has already passed through the AP invoice approval process (through the iexp approval AME process).

  • How to find if an Invoice in AP is Approved manually or automatically?

    I have a question regarding Invoices in payables.
    How do we find out if an invoice is approved manually or is approved automatically?
    Like, for example, let us suppose in a company, all the invoices below 50 dollars can be approved without the consent of the manager. So these invoices can be approved automatically. But all those invoices above 50 dollars have to be approved by the manager.
    Do we have this kind of scenario? If so, how do we identify them in oracle tables. Which table and which column specify this infrmation.

    you can find it by referring to WFAPPROVAL_STATUS column in AP_INVOICES_ALL table.
    If your workflow design is not to approve invoices below 50 dollars,
    then the approval status of the Invoices below 50 dollars would have the value in WFAPPROVAL_STATUS as "NOT REQUIRED".
    If your workflow design is to approve invoices above 50 dollars,
    then the approval status of the Invoices above 50 dollars would have the value in WFAPPROVAL_STATUS as "WFAPPROVED".
    Apart from the above there are several other status available for an approval in Invoice such as,
    REQUIRED =  Approval is required for an Invoice, but no approval is initiated
    INITIATED = Approval is required for an Invoice, and approval is initiated
    REJECTED = Approval is required for an Invoice, and the approver denies the approval
    MANUALLY APPROVED = Approval is required for an Invoice, however using Force approval the invoice was approved

    "B1 approval will only apply to document level. If you want to check line level, only the first line can be subjected to."
    I was thinking to trigger the approval process based on a document (AP invoice) containing relevant cost centres on a line by line basis as entered via one of the enabled dim fields.
    Writing a trigger query for each cost centre effected? This does not appear to be a good solution, what is a better direction. Is there another way? (PO are not yet used via SAPB1)
    Currently my invoices add, but do not trigger the approval process based on my attempts thus far.
    Can the originator manually choose an approval pathway?
    If this is against posting etiquette delete and advise.
    I am a relative newbie to SAP B1, so am happy to be pointed to relevant help files. I arrived via  google searching and arrived here.

    Using this query as a FMS query to assign to your UDF (BY SHIFTALTF2).  The you could include this UDF to PLD.

  • AP Invoice Workflow fails when approver is terminated

    We are on EBS 12.1.3. I am trying to find out what is the best practice solution for when approvers are terminated while AP Invoice Approval workflow is running.
    These are the steps in reproducing the problem:
    1. Create invoice and send for approval.
    2. Terminate the approver.
    3. Let the approval request notification time-out.
    4. Workflow tries to send the reminder and errors out.
    Error: WFNTF_ROLE
    Error Message: 3205 <Employee #> is not a valid role or user name.
    Why doesn't the workflow go to the approver's supervisor?

    While the error presents in the workflow layer the problem actually lays in HR. It is responsibility of HR to find a mechanism to define a user to take over on the responsibilities (respond to notifications) of the expired employee/user.
    You can use the API WF_MAINTENANCE.PropagateChangedName(oldUserName, newUserName) so that all the references to the expired user name are changed to the name of a new user name that will be able to respond to the notification - or receive the remainder notification in this case.
    Workflow does not use a hierarchy for these cases, though it would be a considerable enhancement request.

  • "Next Approver" (Next Approver 2) on AP Invoice Approval

    Dear all,
    I am working on Oracle Applications 11.5.10.2. My client reported 2 problems on approving invoices and select next approver by approver 1:
    1. No default value (Approver 2) is available at Notification when Approver 1 approves the first invoice in that session;
    2. If Approver 1 approves invoices through "To Do Notification", then the selected approver will be the default value for the upcoming approval notifications if they are viewed through "To Do Notification". However, the same won't happen if the notification is opened through "Worklist"?
    Do anyone have idea on the above?

    If you want that the original Invoice number to be printed on return invoice, it can be handled through Abap in the script, by providing the logic from document flow. It is possible that it is giving the Return sales order number in reference field, as that is the immediate reference document.
