Missing sent items

Hi,
One of our users can't send mail, he composes one, clicks send and it looks like it has sent, however, there is no record of the sent mail in the sent items and there is no notification that the email failed. The recpient also does not receive the mail. I'm at a loss as to what it could be.
He is running Apple Mail in Tiger.

forgot to say, he's connecting to Exchange 2003 using Imap via a local network.

    Hi,
    I'm trying to help out a friend who has been having problems with their BT Yahoo email account that was compromise a few months back.
    They have gone through the suggested steps (http://bt.custhelp.com/app/answers/detail/a_id/394​11/) to ensure the account it now secure, but are finding that sent items are not being saved.
    In the account settings, there is supposed to be a tickbox "Save a copy of the message in the Sent folder" but this is missing.
    Is there any other way of activating the saving of Sent Items, or is this some sort of bug/security measure.

    I presume you are talking about webmail. If your friend has not been migrated and is still on the old BTYahoo mail, click on the cog icon in the top right hand corner and select 'Mail options'. Tick the box 'Save a copy of the message in the sent folder'. If they have been migrated to BTMail, I don't think the option exists, it automatically keeps a copy in the sent folder.

  • Some sent items missing in Mac Mail

    I have an issue where some of my sent items do not get saved to the Sent Items folder.
    The email account in question is a work Exchange Server 2003 one and I have it set up as an IMAP account. I have the correct sent items folder configured so that all my devices (mac at home, iPad and iPhone) all sync perfectly with it. The problem appears to occur, sometimes but not always, in the following circumstances:
    When I am connected to the work network via ethernet.
    When the email size is quite large.
    Bizarrely when I unplug the ethernet and connect to the office network wirelessly there is no issue. There is another mac in the office running on Snow Leopard (I'm Lion) at it has exactly the same issue.
    Needless to say this isn't an ideal situation particularly when dealing with work emails. Can someone please help?

    Sorry no help, but I'm having a similar issue with an IMAP mailbox and this may be related.
    I just sent a very important email (no atachments) and watched the progress bar complete as it was sent. I went to re-read it an hour later to find it missing from my sent folder. Now I don't know if it was sent or not.
    I reindexed my messages by following step 2 on this page: http://support.apple.com/kb/TS1907
    but that didn't help.
    After doing that I checked the same mailbox on another device and it's not in the sent folder which leads me to the conclusion that it hasn't been stored in the sent folder on the server.
    Now I'm not sure exactly how it works, but if it wasn't sent shouldn't mail receive that info from the server and inform us, keeping the message as draft?

  • Sent items during a certain period are missing

    There is a user whose sent items during a certain period are missing, - physically not in her mailbox of the mail store. She is sure that she did not remove them. She only uses the web interface to access her emails. How could this occur?

    Possibilities:
    1. Someone else purged the sent folder of messages.
    Check to see that there are no other users who have ACL's on her sent folder that could account for this. Example: Her sent folder is shared out to another user who deleted these messages. Do a manual telnet to the IMAP port login, do a getacl for her sent folder.
    2. Check your message expiration policy. Maybe a typo is causing the system to expire/expunge messages in her sent folder.
    Check this file for typos:
    $msg_svr_base/data/store/store.expirerule
    3. Misdiagnosed problem. Bad mail filter is causing messages not to be correctly put in the sent folder.
    Review the "mailSieveRuleSource" LDAP values to see if any of them targer her sent folder.

    Not sure if you were responding to me or OP - my iPhone is on 5.1.  The OP at the time of writing was on 5.0.1.
    Also, the OP and I had setup our Hotmail as an Exchange server (similar to IMAP), not POP3.

  • Help needed! GMail sent items missing from Apple Mail!

    I need your help to solve a problem that I've identified recently in Apple Mail with a GMail account:
    I have a POP-enabled GMail account in Mail, but also with IMAP functionality enabled through GMail's webmail settings (probably because I access it also from my iPad).
    However, I notice that my local "Sent" mailbox in Mail only contains some 140 messages, even if a visit to GMail's webmail page shows me that I have at least 1200 "sent" messages.
    I must note that my advanced mailbox settings in Mail do NOT allow for automatic deletion of sent items.
    So my question is: how to make sure that I do not lose ANY sent items from GMail or any other account for that matter (i.e., that whatever is sent remains in the local "sent" mailbox in Mail)? Am I missing something?

    No I don't think so. But from what you're saying, the only copies of sent messages on your computer will be what you are sending from the computer. The messages sent from the iPad or website are not stored on the computer. If it were all set as IMAP, they will be available on all devices.
    Thanks a lot for your attentive reply - my only concern is that, when I activate IMAP, I won't be able anymore to have a steady copy of all items in my sent items folder on Apple Mail, nor to delete what I want at will.
    Changing it to IMAP will make the all sent items available on the server to your computer, website, and other devices. They will always be there as long as you don't delete them from the server. The messages you manually delete will delete them from the server and all devices. If you want a local backup, then copy them to a local folder which will not remove them from the server or move them to a local folder which will delete them from the server.
    Auto syncing does not in any way interfere with local folders on the Mac. The only IMAP folders you can sync are the inbox, sent, drafts, and junk. Inbox is the only mailbox that has to be synced (it's done automatically and you can't change it). I also sync the Sent and Trash. I don't sync (store messages on the server) the drafts or junk mailbox.
    I don't understand what you mean by not being able to delete messages from the Inbox. I do it all the time. What happens when you delete it depends on your settings in gmail. Gmail has some peculiar settings like having a deleted items folder besides the Trash folder.  The default is to delete from inbox, it goes to the deleted items folder. Delete it from there, and it goes to Trash. Delete it from trash to get rid of it. The fact is that the All Mail folder shows the message no matter what folder it in. I have mine set to move it straight to the trash when moved from the last visible IMAP folder. So, when I delete it from Mail's Inbox, it moves it to the trash just as local messages do.
    If you plan to do your email from the computer only, then POP is fine. If you plan to use the website and iPad also, then IMAP is the way to go.
    That way everything in mail is available no matter where you look at it. The only things you won't see is what you move to local folders.
    Seems like you should go to gmail's website and read the help files to become more familiar with it. Also look at all the settings available (expecially the Labels Tab, Accounts tab, and Forwarding Tab. These settings will be what you will use mostly to customize how it works and flows with the Mac. If you're going to use IMAP, you need to understand what they do exactly and what you want them to do for you.
    My sole objective: to keep ALL messages in Apple Mail (except those I expressly delete), as well as ALL messages in Google.
    IMAP does exactly this for you already. By leaving it on the server, they are on the computer. In Mails preference settings in the Accounts / Advanced Tab, for IMAP accounts keep the setting for storing messages for offline viewing. That way Mail actually does store a copy locally until you delete it from the server. And that will be backed up with your computer backup.
    And what you do delete from any device will duplicate it elsewhere.

    We are working in our company with Exchange 2007 SP3 CU13.
    We are experiencing some problems with one Outlook 2013 client installed on Windows 8.1.
    He lose some random mails from "sent items" folder. But if you check the OWA, all mails are ok.
    I have readed that there is some bug about this, but these comments are for two years ago. And I didn't find any great solution.
    I don't think that the solution is to make a new rule to re-copy these sent mails to that folder.Re-create the user outlook profile don't seem to be another good fix. It's only a new start point.
    I have activated client side troubleshooting.
    I would appreciate your help.

    For Exchange Accounts in Outlook, the emails should sync between the client and the server. Since on the server the emails are there but some are lost on Outlook client, this makes me suspect there is a custom view applied on Outlook.
    Start Outlook with the /cleanviews switch:
    Press Win + R, type "outlook.exe /cleanviews" in the blank box, press Enter.
    This will restore default views. All custom views that you created will be lost.
    Check the result then.

  • Exchange "Sent Items" Missing issue in Mail

    I lost my "Sent Items" mails and sync. I have looked all over this place and found nothing, but this one worked for me, I`ve taken the idea from here (https://discussions.apple.com/thread/4173886?start=0&tstart=0) similiar to Calendar issue
    Open Mail
    Go to the Mail > Preferences.
    Select the Accounts tab.
    Remove the Exchange server account which is giving you the error messages.  This mailbox will be removed from the Mail app.
    Close Mail (cmd + Q)
    Go to System Preferences and click on the "Mail, Contacts & Calendars" pane, find your Exchange server account, and check the "Mail" option to re-enable your Mail (I`ve got an "unknown problem" when activating, the last resort I tried was to close current session - and retrying this step - it worked for me this way)
    Your Mail should now sync properly.

    I have created an archive for a user with rule to archive anything older than a year. However I haven't noticed the sent items folder does not exist in archive, so the consequence is there are no sent emails older than a year. 
    So the question is, how can I recover them?

    What sort of archive? PST or In Place Within Exchange? You generally wouldnt use a rule to archive however.

  • Missing inbox / sent items in users online archive

    Hi, I have quite an alarming problem with a users online archiving setup in exchange 2010 SP1.
    I have online archiving setup for a relatively small group of users. Its working fine for everyone except 1 - everyone has email moved to the archive after 2 years.
    The one user with the problem however has no inbox and no sent items on the archive mailbox. They have subfolders from the "root" with mail in them, but no inbox / sent items.
    Email are however being deleted from these folders after 2 years from the regular inbox!
    I have tried logging in through OWA (same) and other machines (same). I've tried using MFCMapi to check for the hidden properties on the archive mailbox (both false). I've tried using powershell to view statistics on the folders, and it appears to have 1
    item in the inbox on the archive at least.
    Can anyone help me?  Frankly I've ran out of ideas at this point.

    It is so strange that there is no Inbox and Sent Items folder in a user’s online archive mailbox. Please check whether there are no older than 2 years emails in Inbox and Sent items folders.
    Generally, within the archive mailbox, Exchange will automatically create the complete folder structure that was present in the user’s primary mailbox. The folder structure is not created within the archive mailbox until messages need to be moved into a
    given folder from the primary mailbox to the archive mailbox.
    I don’t know whether disable archive then enable it for this mailbox can recover Inbox and Sent Items folders or not. We can back up this archive mailbox firstly like exporting mailbox data to a PST file. Then try re-configure online archive
    for the mailbox to have a try.

  • One shared mailbox with multiple distribution groups connected and the sent items folder - how to configure?

    I have been struggling for a while now with the following issue.
    For starters:
    We are using exchange 2010 in combination with outlook 2013 on client computers.
    Cause of the limitations concerning the number of mailboxes in outlook im looking for a solution to receive and reply 
    to multiple aliasses. So i did the following:
    1. Configured one shared mailbox.
    2. Configured multiple distribution groups
    3.  made the shared mailbox a member of the distribution groups
    4. Configured full access and send as permissions for myself on the shared mailbox ( testing )
    5. Gave send as permissions to the shared mailbox in Active directory. 
    6.  Logged in to OWA to setup rules for the shared mailbox.
    I now receive emails from all connected distribution groups in the shared mailbox and also in the right folder.
    I do however have to select the proper from address when i reply to an email. 
    the email sent by the main SMTP of the shared mailbox is placed into the sent folder of the shared mailbox. 
    I setup the senddelagate blabla in register.....
    When i sent an email as one of the connected distribution groups it fails to put the sent item in the sent items folder of the shared mailbox. The email is sent using the proper address but placed in the sent folder of my main account. 
    I want this emails to end up in the sent items folder of the shared mailbox. Or even better, in a sent items folder for each of the addresses. 
    Any suggestions ?

    As what
    Rajkumar says, sending as a shared mailbox(full access permission) will put the email in the sent item of shared mailbox. But it cannot be located in the “sent item” of a distribution group. Because
    it is a distribution group instead of a enabled user mailbox.
    According to your further description, I understand that the reason why you configure that is some users reached the
    limitation about the number of Exchange accounts you can include in the same Outlook profile. Is it rights? If I misunderstand, please point it out.
    By default, user can only add 10 Exchange accounts to the same profile. You can customize the limit to the number Exchange accounts in the same profile using the following registry data:
    Key: HKEY_CURRENT_USER\software\policies\Microsoft\exchange
    DWORD: MaxNumExchange
    Value: integer value starting at 1 (default = 10 if DWORD is missing)

  • NDR message recived but the original email not available in the sent items

    Dear All,
    i'm using exchange 2010 and my client is outlook 2003.He sent one email inbound and its get error message that size of the message is exceeding the limit ,try to remove the attchements.etc...
    i checked in outlook web access also,but not available.
    But when i receive this error ,the user's original message was not showing either in the sent items or with the NDR message.

    Hi Najim,
    Before we go further, I'd like to know if all the emails which fail to be delivered are missing in the sent items.
    If yes, I recommend you check if there is any transport rule to make it.
    If not, I recommend you try the messgae tracking log to monitor the missing emails. The undelivered emails may be stuck in the queues and you can use the commend get-queue to check it.

  • Outlook 2010 - Shared mailbox copies sent items into inbox

    Good afternoon, I have a customer which recently requested a shared mailbox addition for group emails within his team (all accounts are Exchange).  The shared mailbox is duplicating sent items in the inbox of the shared account. The default account
    functions normally with sent items only residing in the sent items folder.
    All the settings appear normal on the cliet side, what am I missing?

    Hi Mack,
    Does this issue occur on all the users who add the shared mailbox or just several users?
    If this issue only occur on one user, please recreate Outlook profile to have a try.
    You also can use OWA to help you check on the issue:
    <1> Grant one user with full access permission on the shared mailbox.
    <2> Login with OWA, and use the shared mailbox to send one email, then check if the sent item email will be copied to the inbox.

  • Currupted "sent items" folder in Outlook 2007 (on Exchange 2007) causing Outlook to crash.

    One user here has a problem when clicking on the "sent items" folder. Outlook hangs for 5 secondes and then crashes. If user logs into OWA, she can
    access the "sent items" folder no problem. I thought it was a messege in the folder that was corrupted so I asked the user to move the messages to a temp folder from OWA. She did that, the folder is now empty but Outlook still crashes. Tried cache
    mode and uncache.
    I tried to delete her sent item folder using MFCMAPI (in the hope the it will recreate a new folder) : right click the folder, selected delete folder, check the
    option "hard deletion" and I get

    One more test I did: I copied the sent items folder to a pst, moved the pst to my computer and when I try to open the folder from the PST, my Outlook would freeze
    and crash. Isn't interesting?
    Am I missing something here? Has someone encounter this problem before? Any other idea on how it could be resolved?
    This issue started on Exchange 2003. We are now moving to Exchange 2007. I moved her mailbox to the new server in the hope that any mailbox problem will be filtered
    and removed. I still have the issue..

    Couple steps you may apply...
    1. Repair the offline file with a Microsoft utility called SCANOST.exe. I’ve seen this file reside in a number of different locations, mainly within Program
    Files. It might be best to search for it with Windows or Google Desktop. SCANPST.exe will also work, though you’ll have to go digging for your outlook.ost, which should be near c:\Documents and Settings\ %profile%\ Local Settings\ Application Data\ Microsoft\
    Outlook\ outlook.ost. If your file is significant in size, you’ll save a lot of time with the repair operation by not creating a backup. Because if the repair finishes successfully and Outlook still bombs, you’ll need to.
    2. Shutdown Outlook completely, including any runaway outlook.exe processes in the task manager. Open Mail in the Control Panel and before you delete your
    profile completely, write down the server settings! There’s no need to worry about backing up your mail as it’s stored on the Exchange server. (Essentially, you’re deleting that outlook.ost when you drop your mail profile.) Now, start Outlook and it will create
    a new profile, where you’ll configure the server with the information you wrote down previously.
