Outlook sends duplicate emails

Some users may have encounter the issue that Outlook sends duplicate emails to the recipients, this can be really frustrating as the
causes can be varied so that it’s really hard to troubleshoot . In this article, some most common causes will be introduced, which helps us troubleshoot this kind of
issue.
Send emails on Web first
Before we determine whether it is a server side issue or Outlook client side issue, please logon the webmail, or OWA for Exchange Accounts, send some test emails to have
the recipients to check again whether they receive duplicate emails. If the recipients don’t receive duplicate emails, we can tell it is probably an Outlook client issue.
Anti-Virus program
As some Anti-Virus programs may have been integrated with Outlook to keep the users from spams and viruses, it may also bring some issues sometimes. The program may also scan the outgoing emails and bring troubles, such as making the emails sent multiple
times.
Contact the program provider to know how to disable the integration with Outlook, and exit the Anti-Virus program temporarily, send test emails to see the result.
Similar to Anti-Virus program integration, it can be some add-ins, we can run Outlook in Safe Mode as well:
Run -> Type “outlook.exe /safe” in the blank box -> OK.
If the issue is gone when Outlook is running in Safe Mode, disabling the add-ins which may fix the
problem.
Send/Receive interval conflict
In Outlook we can set an interval according to which Outlook performs a Send/Receive task. Imagine there is an email with a large attachment needs to send, the sending process starts in the first Send/Receive task, but doesn’t complete when the second Send/Receive
starts. Then Outlook may try to send the email again during the second Send/Receive task, which ends up with two same emails in the recipient’s Inbox.
In Outlook 2013, under SEND / RECEIVE tab, click Send/Receive Groups -> Define Send/Receive Groups. We can then see the window below:
The default interval is 30 minutes, if you think it’s too long you can make it shorter. My suggestion is not to set the interval too short, it should be at least 10 minutes, especially when you have multiple accounts setup in Outlook and always need to send
emails with attachments.
Server Timeouts
This is particular for IMAP and POP accounts. When we have a slow Internet or the latency is high, Outlook may not get response from the Server in time, thus Outlook considers the connection to the server is lost, by default, after 1 minute.
However, if the message has actually been sent in the bad Internet condition, but Outlook doesn’t get a response from the server, it may still try to submit the message in the Outbox in the next Send/Receive task.
We can increase the Server Timeouts to 2 or 3 minutes in this scenario, it will be more probably that Outlook can get the correct response from the server if the message is sent.

IMAP Sent Items options
This is only for IMAP accounts. The recipient may not receive duplicate emails but the sender gets duplicate emails in the Sent Items folder.
In Outlook, there are options for us to decide to save the sent items or not for IMAP accounts.

The IMAP account provider may also save a copy on the Server, if you have configured to save a copy in Outlook, this may result in duplicate. In Outlook 2010, select “Do not save copies of sent items” under Sent Items tab; In Outlook 2013, check “Do not
save copies of sent items” under Advanced tab. Then send test emails to check the result.
Another thing to check is under FILE tab -> Options -> Mail -> Save messages -> Save copies of messages in the Sent Items folder, we can uncheck this option to see the result. What we should note is it’s a global option that applies to all accounts.
If your provider doesn’t save emails on the server, it’s better not to uncheck this setting.
To know if the provider saves the sent emails on the server, contact them or check the webmail settings.

I found two related links, It might be caused by two or more Outlook clients are logged into the same mailbox at the same time, or some inappropriate configurations in Outlook.

  • Sending Duplicate emails using Mail and mBox for mac

    I have been sending duplicate emails inadvertantly recently.  It seems it's when I use mBox for mac (registered copy) in Mail to use my Hotmail with IMAP.
    I hadn't noticed it at first, but now I see everytime I send a mail I get 2 copies in my sent box.  I can turn off the store sent messages on server option to fix it (but that's the whole point of having IMAP!!), or I can turn off mBox for mac and it also seems to work (but then I can't use IMAP!).    I've also tried on the same machine from gmail, and iCloud accounts (MobileMe), and I had no issue at all.  I've also tried 2 different Hotmail accounts, and both of them send double messages every time I send. 
    I've searched for a loooooong time, and can't find anyone with a similar issue - but surely I'm not the only one?  I think anyone still using a hotmail account will eventually install something like mBox for mac if they've gone Mac recently - as I have.
    I checked the mail headers of the 2 mails, and they are quite different (masked where appropriate) -

    I'm surprised I can't find anyone else with a similar issue.  I've submitted a support ticket with mBox/fluent factory, but I'm still not convinced it's their issue, and possibly a Mail on Mac issue.

    Great staff!!! MBox Fluent Factory is very poor app.
    I was having problem with duplicated sent emails and cleaning up my inbox, sent items and deleting emails. Try to contact them via email for over 3 months and never got a reply!
    I just used the suggested configuration and my Entourage (email app for MAC) is working perfetcly. I can visualise all my online folders now!

    mBox never addressed the issue and the duplicated emails reached new levels of annoyance but the good thing is that Hotmail and Outlook.com finally rolled out support for IMAP.

    POP, IMAP or Active Sync?
    I have not had an issue with Active Sync but there were some that had issues with the others on older OS

  • Prevent Sharepoint 2010 workflow to send duplicate emails

    I have SharePoint 2013 as environment but am using SharePoint 2010 workflow on a list. There is a field in this list called "Order Status" which has different status such as Processing, Shipped, Cancelled, Hold. There is another list which updates
    this Order Status. I have the workflow send out an email when the Order Status changes to Processing and another email when Order Status changes to Shipped.
    The issue is that there are multiple emails being sent out when any of these status changes to either Processing or Shipped. There is no other workflow attached to this list 
    How do I prevent the workflow to send duplicate emails? I have seen that a flag could be setup to track the email sent once but that method does not work correctly and it still sends out duplicate emails. Or maybe I am not doing this correctly
    Any suggestions, comments or have anyone resolved this successfully

    If you check the workflow history, you will probably see that every time an item is added or modified, the workflow runs twice. That’s why you’re receiving two email notifications. 
    The reason for this is timing. If your workflow is very short and the SharePoint server is very slow, the first instance of the workflow may finish well before the item is fully saved and committed to SharePoint. As the item is being processed, the workflow
    event receiver can fire again, and start another instance of the workflow.
    The solution for this problem is to add a step at the end of your workflow which will pause the workflow for a few minutes .

  • Outlook 2013 sending duplicate emails to my Blackberry

    I have spoke to Blackberry and Microsoft tech support but neither could find a solution.  I have several email accounts on my PC running Outlook 2013 and on my Blackberrry Q10.
    First, I receive an email on my BB.  Then, I also receive a duplicate on the BB once I turn on the PC and connect to wifi.  It can be many emails that come in all at once, all duplicates.  
    This does not happen, however, with every email account.  I have several inboxes in Outlook, and it only happens with the email accounts that are associated with one of the inboxes.
    That particular inbox is associated with a Microsoft Exchange server, but it does not happen with the Exchange account.  I only get duplicates of emails from every account under that inbox.

    What is the type of account configured in Outlook and Blackberry (POP3, IMAP or Exchange/MAPI)?
    If you happen to have another smartphone (like an Android phone) around you, I'd suggest you have a try on it. This way, we'll know if Blackberry is the problem here.
    I've just came across this thread in Blackberry support forum, it's well worth a look. Blackberry users had a thorough discussion on this issue:

    Even I saw the same issue.When the report is send as attachment as PDF then I get same mail twice but if the report is send in the attachment as HTML then the mail is sent only once.

  • Workflows sending duplicate emails.

    I have many workflows that send 2+ email notifications. Sometimes it's a brand new wf - or sometimes I've had a wf working fine for months, then I edit the email part (add a email address or add to email message body - NOT edit the wf) and it starts sending multiple email notifications. Sometimes if I recreate the exact wf - it starts working fine -- but not always. Do you have any suggestions. Thank you.
    The workflow didn't work with SalesStage -- but when I changed it to SalesStageId it worked... Thank you!

    yes! It is an Opportunity record - 'when modified record is saved' workflow -- it was this:
    [<SalesStage>] = 'Closed/Won' AND [<OpportunityType>] = LookupValue("OCCAM_OPPTY_SALES_TYPE", "Software") AND [<IndexedPick2>] = LookupValue("OCC_INDEX_CUST_LOV_OPTY_2", "IBM") and worked fine for a long time.
    Then I added a new email recipient (did NOT alter the wf)-- and it started duplicating. I changed the wf to:
    [<SalesStage>] = 'Closed/Won' AND [<OpportunityType>] = LookupValue("OCCAM_OPPTY_SALES_TYPE", "Software") AND ([<SalesStageId>] <> PRE('<SalesStageId>')) AND [<IndexedPick2>] = LookupValue("OCC_INDEX_CUST_LOV_OPTY_2", "IBM") and it seems to be working now - only sending one email. The ([<SalesStageId>] <> PRE('<SalesStageId>')) was the only thing changed.

    Thanks, Cleg. I checked this out and did what he suggested. The only thing is my interface seems a little different, possibly newer?
    I didn't have priority inbox selected, just classic and thought I better turn priority inbox on in order to get my labels tab looking like his so I could duplicate it. However even with the priority inbox selected my labels tab looks different-I might be on a newer version of gmail not sure. Either way, I unchecked and checked everything he had, attempting to duplicate his settings. We'll see if this works!

    Does this issue happen to recipients or a certain one?
    Since it takes too much time to disappear from the Outbox, this issue may happen if the send/receive interval is set to a very short period. To fix the issue, you'll need to set the send/receive interval to a longer period than it takes to disappear from
    the Outbox.
    As for the email being stuck in Outbox for a long time issue, please make sure there is no internet connection issue when sending the email message. We can also try to create a new mail profile in Control Panel > Mail and then reconfigure your email account
    to see if it will help.

  • Outlook 2013 - duplicate emails in subfolders

    I'm using Gmail...thenIMAP Outlook 2013. In Outlook, I have created subfolders under my Inbox with RULES that move emails to those subfolders. Well, when the rules run, they are duplicating the emails when moving to the subfolders...there was originally
    1 email sent and goes into the inbox as 1 email. But when the rule runs (I have verified I only have 1 rule feeding this subfolder), it duplicates it. I don't know if Outlook is sending/receiving too fast so it sees 2 emails and that's the problem? What is
    the best send/receive timing to put on IMAP accounts? I had it to send/receive every 1 minute, but I'm worried this could be causing it. Any other thoughts/suggestions how to fix this issue? Thank you for your time!

    Usually a “Move to folder” rule will  give you some duplicates. This is because for each e-mail received, Outlook will fire all configured rules against it. So,you might need to add the
    stop processing more rules option to each rule that you have set up.
    Here is how to do this step-by-step:
    1. Go to the Home menu.
    2. Click Rules and select Manage Rules & Alerts…
    3. Double-click your rule in the Rules and Alerts window.
    4. After the rule is open, select Next to go to the Select Action(s) window.
    5. Select Stop Processing More Rules.
    6. Click Finish
    7. If you have multiple rules, you may need to repeat this cycle for each rule that you have active.

  • Why am I sometimes sending duplicate emails and why when I sometimes single click an incoming messages to view it in the viewer window  why does it open?

    My computer got very touchy a few days ago as in the finder or in mail I would single click to select an item and it would open (rather than alloiwng me to just select it) or I would command select to select several items and they would open before I finished.
    I did a complete reinstall and finder part of the problem is gone, but it still exists in Mail.  Also before the reinstall just about every email I sent would duplicate-- not it only happens occaisionally.
    Anyone got any ideas-- thank you

    Your detailed report (thank you) indicates to me your account has been compromised a second time.  Change your Skype account password immediately if you have not already done so, as well as that of any saved payment method on file.  I would also run a maintenance cycle on your computer/laptop, ensuring all patches and updates are installed.  Also run your preferred anti-virus/malware/spyware suite using the most recent virus signature files available.
    You are right to contact Skype Customer Service to report this incident.  I have read that people experience problems reaching them, however please do continue to do so, choosing a different path through the various steps than you used the first time; try also using a different web browser.  I have also read that the instant message chat sessions with Customer Service agents appear as a pop-up dialogue box, which needs to be enabled or the connection to the agent will not process.

  • Duplicate Emails - Outlook 2007

    We had configured Pop account in Outlook 2007 and set email remove from server after receiving to outlook. Also using BlackBerry Torch Device email. There was no problem with duplicate emails because no email on the mail server. Working both fine
    ( Office Outlook and BB Torch)
    Now we brought BlackBerry Z10 Device. Configured email account on it. If send email from sender first receive it on the BB device and when sync with Outlook all emails deleted from mail server. After deleting mail server it automatically delete from BB device.
    In short we are in trouble in both side. If set delete email after receiving in outlook then unable to see on BB. If want to see all emails on BB need to keep leave copy in outlook and duplicate emails receive problem. it's duplicate email issue
    is occur suddenly it may come after  2 months Or 6 months.
    Is there any connection with size of pst file for duplicate emails? Is there connection with location of pst file ( C:\........ OR different)?
    Please guide us for that we need to do.

    Based on the description, if you receive emails on Outlook first, since the emails are removed from the server, you are not able to see the emails on your BlackBerry device. If you receive emails on your BlackBerry device first, you encounter the "Duplicate
    emails" issue.
    Is my understanding correct?
    Please kindly detail what it means by "Duplicate emails", does it mean you receive two same messages on the BlackBerry device?
    Try to re-setup the account on your BlackBerry device and test if you still get duplicate emails.
    If your ISP provides IMAP protocol, we suggest you setup the account via IMAP, which keeps the emails synced on all of your devices.

  • Receiver is getting duplicate emails

    My iphone 5 sends duplicate emails to one receiver.

    If you have Exchange, you can track the email from there to see if that yields any value. You can also turn up the diagnostic logging in Central Admin -> Monitoring -> Configure diagnostic logging -> SQL Server Reporting Services, and selecting:
    Report Server Email Extension
    Report Server Schedule
    Report Server Subscription
    Turn them up to Verbose in the Trace log, then monitor the ULS log when you identify a user who has received duplicate emails.
