we want to send email notification to supplier upon approval of PO approval. Is there any default functionality available or we have to customize a PO approval workflow.

  • Upload of PO Approval Workflow Customization showing errors.

    Hi,
    As per the client requirement, I have customized the PO approval Workflow
    For customization i did take care that only those standard workflow processes are customized which are prescribed by Oracle as customizable.
    For ex: PO Approval Top Process (Protection Level 1000)
    1. All other custom processes are defined and then included in the standard processes.
    2. I have done all this activity at an access level of 100 in Workflow Builder.
    3. For every custom object in workflow i have checked the Preserve Customization checkbox
    4. Though Preserve Customization Checkbox is not checked for PO Approval Top Process.
    5. After Verifying the design in Workflow Builder i tried Uploading the Workflow to the instance but it is giving Errors
    First I tried to upload in FORCE mode
    1. Copying the customized poxwfpoa.wft file to PO_TOP/patch/115/import/US directory
    Command execurted
    $FND_TOP/bin/WFLOAD apps/simple4u 0 Y FORCE poxwfpoa.wft
    After running this it was giving errors like
    Display name conflict for ACTIVITY entitiy 'POAPPRV/APPROVE_AND_FORWARD_PO' with APPROVE_AND_FORWARD_THE_PO:D:Bestellung genehmigen und weiterleiten
    and so on ....like this
    Then i tried it in UPGRADE Mode
    $FND_TOP/bin/WFLOAD apps/simple4u 0 Y UPGRADE poxwfpoa.wft
    after this it was giving errors like

    But my problem is that why is this error is coming and in what all scenarios the workflow can fail because of this?

  • PO Approval Workflow Customization - Save Validation error

    Requirement- we needed to modify PO Approval workflow to add item cost under notification as an additional column. In this process I have tried saving the standard PO Approval workflow but when doing validate it throws an error.
    I am using Oracle EBS R12.1.3
    and Oracle Workflow Version  2.6.3.5

  • Customize SP2010 OOTB approval workflow using SP designer

    Hi,
    Even though it has been long time i raised the following question:

    but i never created the workflow using the proposed solution until now. After doing some testing i can verify the proposed solution doesn't work for the following reason:
    1.If i use 'user who created current item' and at the time of submitting the workflow add a different user email address in the 'Approver' field. It doesn't assign task to the user who has been manually added into approver field. It would still assign the
    task to the user who created the current item which is incorrect.
    2.If i use 'user who created current item' and a user who created the page has moved from his/her role, when submitting the workflow manually, the system will assign the task to the user who created the original item not the one who has just modified the
    item
    Ideally we would like to add the 'Approver' when submitting the workflow manually. Is there any other way of doing this? or i have tried the following:
    Copy default approval workflow -> Edit Workflow -> Initiation Form Parameters -> Modify Approvers -> Change 'Collect from parameter during:' to Initiation (starting the workflow) -> Next -> Finish -> OK -> Save -> Publish
    This lets you add the approver and would assign the task to the correct user. Is this a correct approach?
    Any help would be appreciated.

    By collecting the values during initiation, you would be able to make it work correctly.  The only down side to this approach is that there are no default values, but that's a small price to pay for a working process.
    If you tested this and it works correctly, I would say that you have a good solution without having to dive too deep into custom code.

  • SP2013 Online - Approval Workflow "Request for Change" customization

    Hi,
    I am need for modifying the flow of request for change option in Approval workflow. 
    Whenever a user requests for change, I need to change the current task status as "Change Request" instead of completing the current task and creating a new task. Also, send an email notificaton to the requestor to make the changes. 
    Requestor will then make the changes and send a seperate email to the approver to review and approve the changes. After that reviewer will be appoving the workflow task.
    I am need of this process flow as my requestor group will not have access to workflow task to re-initiate the workflow after changes. 
    Please advice.

    According to your description, my understanding is that you want to change the current task status as "Change Request" instead of completing the current task and creating a new task whenever a user requests for change in your SharePoint Online.
    For your issue, you can Copy & Modify the Globally Reusable Publishing Approval Workflow using SharePoint Designer and create a new Task Outcome for "Change Request".

    Dear Microsoft Support,
    I am still relatively new to Sharepoint-Infopath and would need help with setting up workflows for a requisition form I am creating. I have designed and created a form using Infopath 2013 and have successfully created the link
    to have the data uploaded into my Sharepoint Server 2013 library. This form's purpose is to have our users make supply requisitions from the Warehouse department. We are a school, therefore, there are numerous different departments with different approvers.
    My goal now is to setup the approval workflows using Sharepoint Designer 2013. The complication now is that only certain people need to approve the requests, depending on the department selected. For example, I am in the IT department, if I put a field's value
    as "IT" the form will be sent to the IT department manager prior to going to the Warehouse department for processing. If the user chose "English", the form will be routed to the English department head for approval. What are the steps that
    I would take to have that kind of customization? How do I setup approval workflows in Sharepoint Designer 2013 to meet that?
    I have tried searching for solutions over the web, but all of them are too generalized and would not be related to my case in terms of different approvers depending on the different departments in our school. Your assistance would be greatly appreciated.

    I would create a second SharePoint list that is set up with two columns. The first column is Title (which is a default column) and the second column is 'Person or Group' column and name it 'Approver'. Then enter the department in the title field and select
    the person who needs to approve that department's forms in the 'Approver' field. Use this list and pull in this information in the InfoPath form by creating a data connection to the newly created list and set up the filter to only pull
    back the information where 'Title' = 'Department'. After this information is pulled into your form, store the approver information in a hidden field in the InfoPath form and use that field throughout the workflow.
    I know this is a very brief explanation so let me know if you need more information.

    We need to submit a custom PO report with parameters po number from and to, release number from and to for which the WF is getting processed.
    For some condition, I need to check if the Email Check box is checked or not when the po is getting approved.

  • Need 2 metadata fields from item I am running a approval workflow on to show up on the task list

    I have document library "A" that contains many documents with 6 columns of metadata. I have a simple approval workflow for the library that works as it should in functionality. My users would like it if 2 fields of metadata from the items in library
    "A" would show up in the Task list so they could track the tasks by the 2 fields. Can anyone point me in the right direction here to make this happen? Working in SP2010 with Designer 2010 and IP 2010.

    Hi Ross,
    According to your description, my understanding is that you want to display two managed metadata fields in the associated tasks created in the approval workflow.
    I recommend to edit the approval workflow in SharePoint Designer and new two task fields to display the two managed metadata fields.
    Here are the detailed steps:
    Open the approval workflow in SharePoint Designer and click Approval in Start Approval Process step.
    Click New to create two task form fields in single line of text type.
    Click Change the behavior of a single task under Customization.
    In Before a Task is Assigned step, select Set Task Field under Task Behavior Actions and then set the newly created task form fields to get the values in the managed metadata fields of current item.
    Please refer to the picture below(create a task form field called Managed Metadata for example and mm is the managed metadata column in the list):

  • Restrict editing/deleting item when approval workflow is in progress

    I have a list for contributors to submit documents and activate an approval workflow. The requirement is to restrict all users from editing and deleting the document once the workflow is activated. After the workflow is completed, if the document
    is approved, all users also should not be able to edit/delete the item; if the document is rejected, users should regain the permission to edit/delete the item.
    I had no problem with restricting edit/delete permission after the document is approved by adding a Declare Record action after the content approval status is set to approved in SPD.
    However, the workflow was not able to complete when I added a Declare Record action in the "When the Task Process Starts" step and an Undeclare Record action in the very beginning of the "When the task process completes" step to restrict users from editing/deleting
    the item when the workflow is in progress.
    After I activated the workflow and approved the item, the Workflow status shows Approved but the Approval status still shows Pending. In addition, the "Approval Workflow Task is complete" (shown in the following image) is missing in the workflow history,
    which seems to me that the workflow task is never completed.
    Please advise me the proper way to restrict users from editing/deleting the document while the workflow is in progress. Thank you.

    Hi All,
    We have a requirement to customize the Expenses Approval workflow (AP Standard Expense Report Process Workflow) to send additional notifications.
    Once the seeded workflow is customized by adding a custom process, I am unable to figure out how to attach it.
    There should be a setup screen where we can assign the workflow process, right ?
    Can anyone please help me with this.

    You need to complete the core setup like:
    Organization, Job, Position,
    for the iExpense the Employee Assignment should have the Default Expense Account, Location, Supervisor, Address information
    AME is more flexible to configure for the iExpense and Payable

    Hi,
    The requirement is to modify the email subject/body of the emails sent to the suppliers once PO is approved.
    They would also like to remove the
    'From/To/Sent/Id' which is displayed as first section in body currently.
    I am new to workflow, so could you please guide me in achieving this?
    Is workflow customization only option?
    Do we have any other way in which the requirement can be accomplished?

    Yes, we can change it. Steps are as follows: 1. Create the workflow in SharePoint Designer 2010 2. Use Start Approval Process action 3. Write your logic and all setting as per you requirement and then publish the workflow once. 4. After this, click on
    the workflow name and there you will see the sections as Workflow Information, Customization, Settings, Start Options, Forms. Here you will see a form under Forms section with a name of Approval_x00....... with a type "Task". Click on this form. This form
    is an Infopath form that opens up when a task is to be edited (Task Form). This form will open up in Infopath (provided you have Infopath installed on your system) It may ask you the crendentials for security. 5. The task form will open up in Infopath for
    editing. Click on the Reasign button and in the top left corner in the ribbon section is the field (Label) having text as "Reassign Task". Change this and then save and publish the form.Publish the workflow once again.

    We have a requirement in invoice approval workflow while it sends notifications.
    The current workflow is sending notifications to an approver when he has a record both in HR and FND and linked to each other.
    But the requirement is WF has to send notification to the approver who will have an employee record only.
    If anyone has worked on this requirement earlier please let us know how to achieve this.

    WF Notifications are based on roles, you have to modify the role selection portion to handle the case you mention. Likely this is oracle standard code so you might be careful and look for a workaround i.e. duplicate the activity and customize that one.

  • OIM Approval Workflow

    Hi,
    I need to implement the following scenario in OIM.I have following 3 types of users in OIM . Employee,Organization Admin and Resource Admin.
    1.Organization Admin logs into OIM and request a resource to an user.While requesting,Organization admin needs to enter some information about the user (it could be either process form or resource form)
    2.Once the request is submitted,Resource Admin should see it in his pending task list.
    3.Resource admin approves the request and the user gets provisioned to the target system.
    I tried creating a process form,in which the admin can enter user details,but I am not sure how to attach approval workflow in that.
    When I tried using Resource Form,I am not able to populate user's information in the form.
    Any idea about how to implement this scenario?.Thanks in Advance.

    Sorry i mistakenly put process form in place of object form. By default approver is only able to see only first name and last name in user details. What additional configuration i need to do so that approver can see the object form also for that user and then can approve/Reject. As the approver is from different organization so not able to view user details....but as per requirement have to show only the requested resource object form!
    Also i have couple of other questions which i am not able to crack....appreciate if you can help me to figure out the solution :)
    1. When i requested a resource for multiple users then approver is not able to approve it for few users and reject it for others under same request. Does OIM provide any kind of customization which can help me to achieve this.
    2. Once my user get provisioned in any resource lets say AD after that when i modified the user OIM profile and save it, it should modify the AD account also if the modified attribute is mapped in Resource form using prepopulate. Is this valid requirement?
