Portal Univeral Worklist Substitutions

Hello experts,
Can anyone tell me the difference between the options of "Receive My Tasks" and "Fill In For Me" when setting up substitutions in the UWL? As far as I can tell, the substitute can see the tasks from the original recipient in both cases. The SAP guidelines say to use "Fill In For Me" if the person is to be away long term - but why?

when the person is on vaction for some time he/she can give the permission to the any one of the person for longer time.. on that time we can use the recieve  my  tasks  tasks when he/she absent for a day  he set the  fill for you  we set the some of the importat task we can give authorations to some body,  or with low priority one's we can say fill for you
(You can define the tasks you want to assign to a nominee. You can define that a nominee either receives your tasks (for example, when you are on vacation) or fills in for you (for example, in your absence)

    Hi Pater,
    Did you translate your content also, please try doing that.
    Follow below procedure,
    1.Go to 'Translation worklist Coordination' ->Portal Content and right click your folder and Select New->Translation Worklist
    2.This will create the Translation Worklist to which you can add your PCD objects for translation.
    3. Go to your folder containing your iView, right click and 'Add Object to Translation Worklist'
    4.After you have added all the object you want to translate, click 'Generate Translation Data' button at the top on the Translation Worklist screen.
    5.Click the 'Release for Translation' button in the scrren that appears.
    6.click Close in the screen that appears.
    7. Go to 'Worklist Translation' link.
    8.Search for your worklist you just created using the search box.
    9.Select the worklist from the result list.
    10.At the bottom of the screen select the Source Language and Target languages from the dropdowns
    11.clieck 'Load for Translation'
    12.Choose whiever texts you want to translate and enter the 'Translated Text' in the box for the target text.
    13.After you are done with all the translations, click close.
    14.Save All and Close
    15.You'l go back to the previous screen again. There select your translation worklist and click 'Mark as Translated'
    16.Go back to the 'Translation Worklist Coordination' link and open your translation worklist from your folder.
    17.Click 'Publish Translation' button.

    Hello,
    I read the article How to transport a XML configuration file for the Portal Universal Worklist"
    of Lars Rüter and I am very interested in testing the UWL with the workflow-system YAWL.
    In the article, Lars mentions an example which works with the source code packed in the file YAWL_Connector_SRC.zip.
    How can I get that zip-File? May anybody help me with that?

  • UWL/Universal Worklist/Substitution - Removing the "Rule Activation" column

    Hi SDNers,
    From the Universal Worklist, it is possible to access the "Manage Substitution Rules" screen, in which one can manager substitutions over its colleagues.
    I would like to remove a column in the standard "My Substitution Rules" table : the "Rule Activation" column.
    Is there a way to do it ?

    Michael, you can do this in the UWL but only with a 6.40 backend (ex. ECC 5) with a specific patch level (can not remember that patch level).
    Before this you need to set these substituion in the R/3 inbox.
    This being said it is only for workflow task routing. If I read your message correctly you want a manager to assign his authorizations (roles in R/3 or the portal) to a secretary. This is not supported in any standard SAP (or portal) scenario as far as I am aware.

    at the moment I try to get fimilar in working with bpm processes. In this regard, I try to execute a process outside the portal.
    I always have to login at the portal, go to the Universal Worklist, refresh the list and execute the previously started process. But in future that would NOT be the prefered way for the user.

    what do you mean exactly? Do you want to start the workflow without using the portal or do you want to start the different human activities outside the portal?
    If you mean the first one, you can use a webservice to start the process (see Re: Starting a flow through a web service). As such you can start the process from pretty much everything with webaccess.
    For the second one I dont have an answer... You can probably use a different application and check if there are any new tasks via webservice... but thats just a guess

  • Portal Translation Worklist working properly?

    Dear all,
    I have created in SAP Portal a role named "Role Example". This role is assigned to my SAP Portal user which has user administrator role as well. In order to translate this role to Spanish with name "Ejemplo de Rol" I have performed the following steps:
    1) I have created a Translation Worklist
    2) Include this role to this worklist
    3) Translate the name of the role from English to Spanish
    4) Mark the worklist as translated
    5) Publish the translation
    Then I change the language of my SAP Portal user from English to Spanish and log off.
    After loging on, for example I can see the "Content Administration", "User Administration" menu options translated in Spanish (due to my portal user language is Spanish currently), but the menu option corresponding to the "Role Example" role is named in English. It´s not translated in Spanish.
    But if I navigate trhough the PCD, I can see that the role is named "Ejemplo de Rol".
    Could you indicate me why my role is named "Ejemplo de Rol" in the PCD but in the portal menu options it appears in English language as "Role Example". How could I get the menu option "Role Example" appeared in Spanish as the "Content Administration", "User Administration" menu options?
    Do I have to configurate something else?

  • Forget to do Portal ESS workflow substitution for leaves

    Dear,
    In Portal workflow substitution, ESS not providing any solution if the department head forget to do a substitution in his/her workflow SAP Inbox, the leave will stop at his/her Inbox and there is no way to change it unless asking the employees to delete their submitted leaves and create another one with replacing the current leader.
    is there any solution for this?

  • Substitution in portal UWL

    Hi
    I had a question around the portal UWL, and I've tried SDN, SAP Help, Google, and still can't find a definitive answer; so I'm hoping someone here can help.
    We run EP6 with an ECC5 backend, and our users are allowed to manage substitution via the portal universal worklist. One of our users (let's call them user A) has created a substitution rule for All Tasks, and set the nominee to Receive My Tasks. They have given this access to User B.
    They have then created another rule and set the same attributes (so All Tasks, and set the nominee to Receive My Tasks), but set the substitute to User C. After that, they've done the same again, but to a third substitute (User D).
    So, in total, they now have three rules but with three different substitutes. Does anyone know if this is supported? i.e. can you have multiple substitutes if you set them to receieve All Tasks?
    The reason I ask is that if I look at the table HRUS_D2 in the ECC backend for User A, only one of the subsitutes will have an "X" in substitution active. My thinking is that the rule can only be active for one of the subtitutes at any one time, so it'll switch it on for however logs in to the portal first that day - or something along those lines.
    Any thoughts?

    I don't have a screen shot of the rules, will need to get one sent over, but the user tells me this is how they were set up.
    The issue has been raised by one of the substitutes, as sometimes they see that the subsitution is active in the portal UWL (they see a message along the lines of "Working on tasks for User A"), and other times it's not there (even though there are tasks currently open for User A). I've run the funciton module RH_SUBSTITUTES_LIST_NEW for User A to look at the substitutions as of today, and it says:

  • Portal Content Translation -  missing items in worklist

    Hello all, first post but I am sure not the last. Here is my problem:
    I am trying to translate Portal Content in MSS from english to french using Portal Content Translation, but certain items that I need to translate don't appear in the worklist.
    What is puzzling about this is that some of these items have a "Name" field attached to them when I go directly in the PCD...Why don't they appear in the worklist?
    For example, one of the items I need to change is the folder name "Performance Management", which, in french, has an unacceptable title to the client (this name appears in portal navigation so it's a biggie).  When I log in french and check the "Name" field directly, it of course has the english name in there and changing it will affect the english side.
    The master language is set to english and the MSS role i am using is a copy of the standard delivered. I have tried using the standard role in the worklist, but I still get the same number of items.
    How am i supposed to make the change?

    Please try in Portal Translation Worklist -> Translation Worklist Coordination
    in the property editor of the worklist change Resolve References to yes.

  • Univeral Worklis - XML Content Configuration for workflow tasks

    I work in an HR and SAP Portal project in Stockholm, Sweden. We have now activated the course booking functionality in the "Training and Event" module. The basic functionality is that course bookings etc. should be approved by managers using workflows. Therefore must be the Universal worklist be configured. I have also read the guide "How To…Configure the Univeral Worklist" but I still need some guidance on how to do that.    
    These workflows are used in the process:
    ·     WS01200147 (Employee Attendance Cancellation)
    ·     WS01200151 (Approve Employee's Attendance Booking)
    ·     WS01200160 (Approve Employee's Rebooking)
    I should appreciate if you could help me to create a correct XML-file to include above workflows/tasks in the universal worklist.

    I have been working on workflow front but only limited to R/3 front.
    Can anyone guide me as to steps involved for making worklfow capable of executing from Web or portal?
    Also would like to know what all things I should start to learn in order that I will be able to comfortably develop a small workflow scenario which can be executed from portal.

      -> Workitem calling WD Application.
    I worked much on the second front, so lemme explain you something which I know. Instead of calling R/3 Based Form / Transaction as a workitem, you can call an Adobe Interactive Form / Webdnypro Application.The link between the Standard task and Webdnypro Application is done in <i><b>SWFVISU</b></i> Transaction.
    In the similar way, the ESS-Leave Service is also integrated(Leave Workitem calls the Leave WD Application).   • Activating workflow notifications by default

    Hi!
    We did all the necessary steps to configure workflow notification emails and when activated, the workflow notifications are working fine.
    However, I fear that most users will forget to activate email notifications, since one has to click "Show advanced options" and select the appropriate option in the drop down box upon creation of a new workflow. (It's not possible to activate the notification option after a workflow has been created with notifications switched off.)
    Is there any way to default to "always send notification emails" when a user creates a new workflow?

    Thanks a lot for your answer and for pointing me to the chapter in the SAP help. In the meantime I spent several hours browsing the SAP help files, browsing the portal configuration and reading a SAP PDF on the subject ("How To... Configure the Univeral Worklist").
    Unfortunately I could not make significant progress, since the UWL configuration seems to be scattered all over lots of different places in the portal.
    This question may sound silly, but could you please point me to the exact spot where I can configure the Workflow Notification Settings you mentioned?

  • MSS How to edit internationalized text in EP iViews

    Hi,
    Trying to edit internationalized text in the portal. I am wondering if I can go from the PCD and use 1) Translation Worklist Coordination or 2) Worklist Translation. I am having problems with my portal, so can not do much. Should I use option 1 or option 2. Any help would be greatly appreciated.

    You can change the display names based on the language by using the Portal Translation tool Kit.
    Creating translation worklist........
    Go to ContentAdministration -> Portal ContentTranslation-> TranslationWorklistCoordination-> right-click on a folder and select New ->TranslationWorklist
    Select the objects from the Portal ContentCatalog that you want to translate and add them to the worklist.
    Before Generating Translation Data you should check the checkbox for resource bundle inclusion of par files.Then Release it for Translation.
    Starting of translation steps........
    Search for the Worklist you want to translate from
    ContentAdministration -> Portal ContentTranslation-> Worklist Translation.Select the Worklist.Select the Source and Target Language& Load for Translation(french in your case).Select the entries one after another.The text is displayed in the SourceText box and can be translated in the TargetText box.After translating all texts–Save All.Select the Worklist that is translated and press the „Mark as Translated “ button.
    Publishing Translations...........
    Goto ContentAdministration -> Portal ContentTranslation-> TranslationWorklistCoordination-> Open the Worklist that you want to publish.Click the Publish Translation Button.The translated text strings are written back to the objects to which they belong.
    To find out the current status of a worklist: Open the Worklist and look for the Translation Worklist Status property.
    After this the names get changed based on the portal language.

  • Open pdf attackment in work item in browser and not in SAP GUI

    In portal (central worklist) i am opening workitem and when i click on the pdf attachment it opens pdf in SAP GUI. I would like to open this attachment in a regular browser.
    I create the pdf attachment as follow:

    Hi,
    From your description, I know you want to open SharePoint 2013 PDF files with default application.
    You could re-install your Adobe Reader, and then test this issue. Also, you can have test in another computer with Adobe Reader.
