Prerequisites for archive object

HI all,
I need to do archiving in the objects FI_FICA and FI_MKKDOC . What are the prerequesites I need to set before archivig these objects.
Suggestions please.

Prerequisites for FI_MKKDOC are:
1. Document should be closed.
2. It should meet residence time.
Prerequisites for FI_FICA are:
1. Document should be cleared.
2. It should meet residence time.
Archive FI_FICA documents only after archiving FI_MKKDOC documents.

  • How to find out prerequisites of archiving objects?

    As we plan an archiving project for our ERP system, I would like to know how to find out the prerequisites for archiving the different objects.
    For example, as I know for archiving material master data, the usage of object MM_MATNR requires that the deletion flag is set on materials.
    Or as I assume, orders probably can only be archived if they are delivered and closed.
    How to find out these prerequisites?

    Hi Martin,
    Network Graphics helps in determining the dependencies among the archiving objects.Once you have sorted out the flow you can schedule archiving in test mode to find more details.
    Eg PP_ORDER you can find out why a particular order is not archivable...may be cos of unsettled balance..etc.
    You can find few details about the prerequisites in the archiving run (test)

    Hello Kumar,
    Residence times for archive objects usually differ from company to company as it depends on the needs of the business (and what they will agree to).  Some companies will use a standard residence time across all archive objects to make it easy for everyone to remember.  For example, some companies will use Current Year plus 2 as a base for all of the transactional data.  The technical archive objects (such as idoc's, application logs, etc.), will have a shorter residence time.
    Some of the HR objects will have a 2 year residence time hardcoded into the archive programs which you cannot change.
    The book Archiving Your SAP Data from SAP Press gives some examples of common residence times.  The second edition of this book is now available but I have not seen that yet and do not know if this version provides additional information.

    What are the prerequisites for archiving a sales order? What is the last business transaction from which the archiving process is triggered? Is it necessary to set status CLSD on the sales order for archiving ? what are the other system statuses that should be set for archiving a sales order?

    Hi Santosh,
    Sales Order is linked to other subsequent documents in the Order Processing cycle like Delivery, Invoice , Shipments, etc. So, we've to make sure that all the dependencies are removed before we can start to archive an SO.
    You can see the dependencies in SARA Transaction (Goto->Network Graphic).
    The SO archiving program checks if the status of the subsequent documents are Completed or not. (status in VBUK table is "C") .
    There are other options like Residence Time, Existence of PO , Existing of Accouting Doc.
    You can select the options, based on your company's decision regarding the extent of SO archiving they wanted to achieve.
    The program will throw the messages appropriately, based on the checks it performed and appropriate actions can be taken from the document side .

  • Residence and restention time for archiving object

    Folks
    I am starting archiving in our company and have question on residence time and retention time of the document.
    In which activity or t code we use to specify these timing once we determine that timing after discussing with business.
    So we have to specify these timing by module like SD ,MM or individually for each archiving object eg
    SD_VBKA
    Can some one specify the IMG activity in where to specify these timings or direction in this area

  • During writing for archiving object FI_MKKDOC, file is not getting created

    Hi Experts,
    I am new to archiving concept & have one archiving object FI_MKKDOC which i have to complete as soon as possible.
    In this i have done all the basic settings & when i am excuting the transaction after putting production variant & scheduling it as immediate with LP01 printer.Job is finished successfully but in the log there is no message for any file creation. I have checked AL11 transaction also, no file is getting generated. Please help, we have configured the logical file ARCHIVE_GLOBAL_PATH and ARCHIVE_DATA_FILE.

    dont you have a spool file for this archiving job? This should usually list errors that prevented an item from beeing archived, and if nothing was archived, then no file exists.
    When you define a variant for the write step, then select full detailed log in the lower part of the selection screen, especially if it is the first time that you archive with this object.
    Further, please read the docu behind the blue info button in the selection screen. This tells you the sequence you have to use for the archiving as well as other important details.

    i am faced to archive records from table COMH (PP-PI message headers).
    And searched SMP, SDN, Dataguides but i could not find any objects or delete-reports for this table.

  • Error in archiving object ASNS

    Hi Friends,
    We are trying to archive ASNs from SRM server.  In archive log file we are getting an error "System is checking purchase order to see if confirmation can be archived".
    Is there any prerequisite for archiving of ASNs
    This error we are getting in the "preproc" phase.
    Please suggest if somebody has done archiving for ASNS object on SRM.

    We are facing same concern as described by Prashant.
    Can anybody suggests solution for this concern.
    We are using SRM 5.0(Server 5.5) MM-SUS scenario & R/3 4.7 as backend system.
    Our system performance is detoriating due to accumulation of ASNs (major data), PO/SAs which we want to archive the same .
    Pls suggest if any better solution is there for the concern.

  • Archiving Objects in SAP Retail (transaction SARA)

    Hi All.
    I have problem with archiving object WS_ACSITE in SAP RETAIL.(Transaction SARA)
    When I write data archiving, message appeard is that archive sessions are created.
    When I try to execute the next step: delete - the archive sessions are not appearing in the dialog box where we should choose the archive sessions for deletion.
    The above situation appear when I am working with plants existing in system for a while, but when I've create a new one and try to go through all SARA's steps it is OK, and master date of sites are deleted (e.g WB03).
    Can anyone help me?
    The second question is u2013 can I restore deleted sites to system?

    Hello,
    Check below information for Material master record required to archive:
    1. Is there any stocks in the plant for which MMR need s to be archived? (Stock = Zero)
    2. Is there any open items at FI accounting? (There should be no pending bills or parked documents)
    3. Is there any pending delivery for this material? (there should be no open deliveries)
    If all the above criteria is met then set the deletion flag and indicator for perticular Plant you are looking for.
    Note: Make sure that non of the other plants which is sharing this MMR is marked for deletion flag / indicatory
    Then execute Archive run for archiving object MM_MATNR.
    Note: All the required configuration is done for archiving object MM_MATNR.
    Hope this will help you to archive MMR only for your required plant.

  • Details for Archived PR and PO

    Hi,
    I did archiving for PR and PO, but in retrieval I am not getting the detailed data such as Header Text (ie.in archived file).
    The requirement of the client is that they want all the data which we see in display mode of PR or PO.This is in version 4.6C.
    Also in archived PO the details tab,purchase history tab is not available.
    Please give the suggestion as soon as possible.

    Looks like you archived without doing the most important step: checking OSS for program fixes.
    I learned that Archving became more important in the last few years. Hence it is much more used than in the early yeaars, hence more program errors are found by the users.
    check OSS note 516420 - ME23N: Texts are missing in archived purchase orders 
    and 307280 - No long texts for archiving object MM_EKKO

    To call the archiving functions for document info records from the standard R/3 menu, choose
    Logistics _ Central functions _ Document management _ Environment _ Archiving.
    You can set a deletion flag for document info records that you no longer require for managing
    documents and their original application files. Archiving object CV_DVS enables you to archive
    these document info records. After the archiving run, you can delete the archived document info
    records.
    The document info records that you archive and delete with archiving object CV_DVS are
    identified by the following data:
    Document,Document type,Document part, Version
    When you use archiving object CV_DVS, you archive data from the following tables:
    Table    Description
    DRAD   Link between document and object
    DRAO   Originals for document
    DRAOZ  Additional files for original for document
    DRAP    Document log file
    DRAT     Document descriptions
    DRAW    Document info record
    DRAZ      Table for additional files for original
    The following table shows the functions that you can use for archiving object CV_DVS.

    Hi Brijesh,
    For archiving object ceation the transaction is: AOBJ. From there you can create a NEW archiving object as such or COPY an sxisting one. It is basically a view cluster and where you can maintain the transaction.
    Create a PATH for the archiving files to be stored using the FILE transaction, this needs to be specified in the AOBJ transaction.
    Decide on what all DB tables you want to archive first, and what all activities you want to do. like WRITE program, DELETE program, RELOAD program if required. All these things you need to specify in the customizing of AOBJ transaction.

    CN83 has the option to fetch archived data , however do not find any such option with CJI3 , CJIA etc .
    Like to know whether it is not feasible to used CJI3 etc for archived projects.
