Received emails disappear immediately

Once a user complains some emails are directly delivered to the Deleted Items folder instead of Inbox, what should we do to troubleshoot the issue? Some of the common reasons are listed below.
Rules
Both Outlook-client and server-based rules may have deleted some specific emails, once these emails meet certain conditions, they will be deleted automatically.
On Outlook, please check whether there are any rules with the action “delete it” or “permanently delete it”. We should note these rules with the action “move it to the specified folder” may also delete emails if the specified folder is Deleted Items folder.
Remove the rule or change the conditions/actions to stop deleting these emails.
On the webmail, we should perform the similar steps to make sure there is no such rule that deletes emails automatically.
Junk E-mail Options
It is possible that the Junk E-mail setting has deleted the email permanently, please check the Junk E-mail Options:
Once “Permanently delete suspected junk e-mail instead of moving it to the Junk E-mail folder” is selected, emails that are considered to be junk will be deleted permanently and won’t be delivered to Junk E-mail folder, especially when the level of junk
e-mail protection has been set as “High”. Anyway, we can’t guarantee normal emails won’t be considered as Junk when it has been set as “Low”, the filter can’t be 100% accurate.
Default delivery location has been set to a .pst file
For some Exchange Accounts, we may not want to keep the emails in the mailbox, instead we need to keep them locally. We can set the default delivery location as a .pst file, which won’t leave a copy on the server then.
To check the setting in Outlook 2010:
File -> Info -> Account Settings -> Account Settings -> Data Files tab -> Select the Exchange Account and make sure it has been set as default.
Then on the E-mail tab, select the Exchange Account and verify the delivery location is set to the correct mailbox.
Note: The feature to change a default delivery location has been removed Since Outlook 2013.
Ignore Conversation
The feature “Ignore Conversation” can stop the emails of a conversation to disturb you if you are not interested any longer, the entire conversation will be in the Deleted Items folder. You need to go to the Deleted Items folder and select any message of
the conversation, right click on it and select “Ignore”.
Move Conversation
The feature “Move Conversation” will always move messages belonging to a conversation to a specific folder. If the specific folder is set to Deleted Items folder, it makes us feel like it’s been deleted.
To stop moving a conversation, select a message from that conversation, right click on it, select Move -> Disable Always Move Conversation. This will not move back the entire conversation to the Inbox folder, however, new messages will be back to the
Inbox again.
Mobile Devices
To work efficiently we always have our accounts setup on multiple devices nowadays, such as Smartphones and tablets. If they have downloaded the emails via POP protocol, emails may get lost from the server. If you have your email account setup on multiple
devices, please consider to check on them.
Anti-virus integration
If you are using an anti-virus program and it has some integration with Outlook to scan the incoming emails, it may work like the Junk E-mail Settings that delete emails. Please check the related settings and disable its add-ins to verify if it is the cause.

    If no mails in mailbox folders, no mails in Thunderbird folders, mails are all lost.
    To clean your computer you can use successively the free version of:

    - Glary Utilities (one click maintenance)

    And, considering the problems you have, you must learn:

    No. You really can't do that. Not easily at any rate. You would have to set them both up to use POP3, but even then there is no way to guarantee that the phone won't poll the server prior to your computer doing so, pulling down the message from the server.

    Send yourself a test message and see what the response time is.
    Is your e-Mail system a push type or a poll type.
    If it is a polling type, there will be a delay because there is a timed polling sequences (that you can control to a degree)
    In Settings/Mail look for 'Fetch' to see how it is setup.

    Please read this whole message before doing anything.
    This procedure is a test, not a solution. Don’t be disappointed when you find that nothing has changed after you complete it.
    Step 1
    The purpose of this step is to determine whether the problem is localized to your user account.
    Enable guest logins* and log in as Guest. For instructions, launch the System Preferences application, select Help from the menu bar, and enter “Set up a guest account” (without the quotes) in the search box. Don't use the Safari-only Guest login created by Find My Mac.
    While logged in as Guest, you won’t have access to any of your personal files or settings. Applications will behave as if you were running them for the first time. Don’t be alarmed by this; it’s normal. If you need any passwords or other personal data in order to complete the test, memorize, print, or write them down before you begin.
    Test while logged in as Guest. Same problem(s)?
    After testing, log out of the guest account and, in your own account, disable it if you wish. Any files you created in the guest account will be deleted automatically when you log out of it.
    *Note: If you’ve activated “Find My Mac” or FileVault in Mac OS X 10.7 or later, then you can’t enable the Guest account. The Guest login created by “Find My Mac” is not the same. Create a new account in which to test, and delete it, including its home folder, after testing.
    Step 2
    The purpose of this step is to determine whether the problem is caused by third-party system modifications that load automatically at startup or login.
    Disconnect all wired peripherals except those needed for the test, and remove all aftermarket expansion cards. Boot in safe mode* and log in to the account with the problem. The instructions provided by Apple are as follows:
    Be sure your Mac is shut down.
    Press the power button.
    Immediately after you hear the startup tone, hold the Shift key. The Shift key should be held as soon as possible after the startup tone, but not before the tone.
    Release the Shift key when you see the gray Apple icon and the progress indicator (looks like a spinning gear).
    Safe mode is much slower to boot and run than normal, and some things won’t work at all, including wireless networking on certain Macs.
    The login screen appears even if you usually log in automatically. You must know your login password in order to log in. If you’ve forgotten the password, you will need to reset it before you begin.
    *Note: If FileVault is enabled under Mac OS X 10.7 or later, or if a firmware password is set, you can’t boot in safe mode.
    Test while in safe mode. Same problem(s)?
    After testing, reboot as usual (i.e., not in safe mode) and verify that you still have the problem. Post the results of steps 1 and 2.

  • Exchange 2007 - User's mailbox disappeared in EMC but they can still send and receive email

    We have a user that was complaining about not being in the address book anymore.  After I did a little rooting around in management console I noticed that their mailbox was no longer listed under Recipient Configuration -> Mailbox, but what's weirder
    is I can do a search and find her listed in the results - at which point I can right-click her name and do everything I normally can with no problem. Listing all of the mailboxes with PS shows her still there too.  As far as I know, she is the only user
    having this problem.
    She can send and receive email just fine, but like I said, she is no longer in the global address list so other users have trouble sending her stuff.  At her computer, I tried repairing her email (under account settings) but the process would fail when
    searching for her settings.  I don't know if this is a stupid thing to add, but I did run Clean-MailboxDatabase on our first storage group to see if her mailbox had been deleted or disconnected or whatnot but nothing is currently showing up in Recipient
    Configuration -> Disconnected Mailbox.
    Some info on our setup:
    Exchange 2007 on Windows Server 2003r2
    AD is on Windows Server 2008r2
    Her computer is running Outlook 2010
    I did restart our Exchange server 2 days ago to update VMWare tools, but no Windows updates were installed.  She couldn't tell me exactly when this problem started, but it was more-than-likely in the last couple of days as she was recently married and
    I had to change her name in AD and Exchange - so everything was confirmed 100% functioning 2-3 weeks ago.
    I'm at a lost for what the issue could be, but then again Exchange isn't exactly my forte, so any help would be much appreciated.

    First things first - is her mailbox hidden from address lists?  Run
    Get-Mailbox <alias> | Fl HiddenFromAddressListsEnabled to find out.  It probably isn't, but we need to clear this, just in case.
    Now, assuming it is not hidden, have you searched for both her maiden and married names in your directory?  Often, when the name on a mailbox is changed, the display name is not - and vice versa.  Also, has her email address also changed? 
    If so, has a secondary proxy address been added to reflect her maiden name?  I'd do this, just to be sure things aren't lost that should be delivered to her.
    I can't think of anything else obvious right now.  After you've checked these things, get back to us with their results.

    Every night all the emails in my BT Yahoo Mail inbox are disappearing! I thought nothing of it for a few days due to the email i had received about migrations however after a week i got Yahoo to restore my mailbox to 7 days and then that night all my emails disappeared again! 
    I have lost lots of important emails and need to get these back HELP!!!! 
    All mail folders, sent items, deleted items remain unaffected. I am only accessing email via the BT Yahoo webmail interface.

    Entrusting your only copies of important data to the competence of a mass market cloud provider such as BT and their partners, is not a strategy I could recommend.
    I would urge you to swop to pop3/smtp using an email client such as MSOutlook or open source Thunderbird or similar, and keep your email store on your own machine (and back it up to external media regularly)
    The BT email system is not in a good state at the moment and has been like that for a few years now - at least since 2011 with Yahoo, and Critical Path/Openwave don't seem to be doing much better. Basically they cannot be trusted to look after your data, and they aren't even contractually obliged to do so.
    As for getting your email back - BT may or may not be able to help you, but you are not the only one to lose mail at the moment. Best of luck.
    Personally I have all my BT acounts set to forward any mail immediately to a 3rd party provider, and I moved away from BT for important mail a few years ago because I didn't want to lose important data.

    Using a MacBook Pro, 2.8 GHz Intel Core 2 Duo, 8 GB RAM, 1 TB SSD internal hard drive.  OSX v10.10.2
    My primary email address is an .mac/.me/.icloud email address.
    Recently upgraded to Yosemite.  After doing so, I am having trouble receiving emails from Gmail users (I am not having trouble sending emails from my Gmail account, as many people have).
    I asked 8 of my friends with Gmail email addresses to email me a test.  I received 4 of these emails immediately after they were sent, the other 4 email took anywhere from 4 to 48 hours for me to receive.
    Anyone else have this problem, and if so, any solutions?  Any help is greatly appreciated.

    There have been various posts about delayed Gmail e-mail delivery to iCloud e-mail addresses, but so far, no solutions. Gmail uses a nonstandard form of IMAP e-mails, which may be causing the problem.

    If you did not sign out of your Apple ID on your iPhone before creating a new one, then you will need to sign back in with your previous Apple ID and then sign out.  If you do not remember your password and do not have access to the email account, then you can reset your password by using the security questions.

  • 2013 Home and Office Outlook - Pop email incoming email disappear

    I have Microsoft Office Home and Business 2013 (current updates) using the same email POP account for over three years. 
    For weeks, I’ve seen incoming email disappear.  My Desktop Alert shows new email incoming then it disappears from the inbox.
    I know these emails were sent to me because my co-workers have emails that show me cc’ed that I did not receive.  
    Where are these disappearing emails going or are they being rejected?
    I was forced to perform the 8.1 upgrade, no impact on Outlook
    I checked and have all Office updates current
    I’ve checked my other device’s email apps and those emails were not located there.
    I’ve checked my Outlook Options: Conversation clean up:  added
    /checked – Do not move unread messages
    I have Disabled all:
    Add-ins,
    Rules and Alerts, no folders
    No security add-ins
    Not sure on - View and manage Microsoft Office Add-ins  

    This may be caused by different reasons, but the most likely reason is on the custom setting. To help you investigate what happened to your messages, we'll walk you through a step-by-step process to eliminate possible causes of your missing messages:
    Step1: Check web server - Please check your web serve to see if those missing messages are out there.
    Step2: Search all messages - Try to search the messages that are missing. Remember to click
    All Mailboxes button before searching.
    Step3: Check junk mail setting - They are probably set to delete mail rather than send it to the
    Junk E-Mail folder.
    Step4: View filter - Please check your View filter
    to see if you have set any filter rules to the incoming mails.
    Step5: Forwarding settings - Please check in Account settings dialog to see if you have changed the default deliver location of your account.
    Please follow above steps to see if you can find your missing data.

    If that doesn't fix your problem, try saving that "text" to a file and then viewing it in a Text program like Notepad or Wordpad that has ''' "wrap" ''' enabled. I would suspect that something with "wrap coding" in that file isn't completely with Firefox's ability to display text files and "wrap" when it needs to "wrap" to keep the text on the "page".

    I am using two 3rd party email accounts as well as my verizon.net account with Outlook Express. Everything works fine as long as I am connected to my home server.     Do you have one, two or more entries in the left colum of Mail.app for your mail server(s)?  That is, do you have your Mail.app set up with either a btinternet entry, with a btyahoo entry, or both?  Or more?
    I'm guessing that you might have one account (btyahoo?) listed for incoming (IMAP server) mail, and with the outbound (SMTP server) mail is configured and named btinternet.
    Based on what little I see posted, it looks like BT uses both btinternet and btyahoo, but I'm not exactly clear on how they have their stuff set up, and their web set gets helpful and tries to help configure my mail — I don't immediately see a single web page with the mail server set-up details.  The BT email client set-up starts here.

    I have seen quite a number of postings about email disappearing with Apple's Mail client, regardless of what account they are using (yahoo, gmail, aol, etc.). What I have noticed is that email vanishes right in front of my eyes from the folders I have created to keep my email in order. Sometimes I move a message or several and I see them in the folder for a day or two, and then a few days later they are simply gone. This happens from the sent folder too. It is random. No, they are not in the trash, or junk, or anywhere else. Doing a full search turns nothing. They are really, really gone.
    Sometimes, I go to a folder and I see how in a second one or several messages disappear from the list and that is it. Never to be found again. Not even if I visit the web-based account I can retrieve them. They are gone.
    The worst part is when they disappear from my sent folder immediately after they leave the outbox, so I am not sure if it sent or not, and I have to retype the whole thing again just to make sure.
    This is extremely annoying, and I have seen I am not the only one to which this happens. Has anyone found a fix for this bug? Should I simply keep all my email in my inbox? Or should I just give up on Apple Mail and use Thunderbird?
    I have an old powerbook G4 with 10.4 and Mail 2. Not like it makes much difference, I've seen people complaining about the same issue in later versions of OS and Mail.

    I've been looking through the forum for hours and tried every variation of deleting the account, re-adding it, rebooting my iPad etc. I've tried everything! And I still can't receive emails.
    My drafts, sent emails and junk emails are all there but my inbox is empty and it's refusing to download the messages.
    When I refresh it, "downloading 1 of 250" pops up for a second and then disappears and it just says it's updated yet nothing is there.
    Please can someone help. This is incredibly annoying!!!
    My mail provider is Yahoo and my wifi is working fine.
