  • Check Refunds Authorization

    Hi All,
We have a requirement at our client place-
We would like to issue checks to the business partners through automatic payment program FPY1.
Clerk should be able to issue the check if the amount is les than $ 500
If the amount is greater than $ 500 and less than $ 1000 supervisor approval is needed.
If the amount is greater than $ 1000 and less than $ 2000 Manager approval is needed.
Please let me know how we can customize this..
    thanks.

    Hi,
I think you need to design a workflow to meet your requirements.
However,  there are certain prerequisites which you need to follow for the same-
    (a) You need to first map the org. structure in SAP (PPOMA)
    (b) You need to assign a tolerance level against each clerk. You can use the standard tolerance level functionality for the purpose or desing a cusotmised one.
Now when you are marking an item for refund either thru FPE2\FPE2M, and press save, event 1120 is  triggerred.
In thie event you can check whether the refund amount is more than the tolerance amount of the user or not. If not, then it exits.
However, if yes, it places a payment lock \clearing lock against the item and triggerres a workflow which initmates it's next level supervisior to action on the same.
If a clearing lock\payment lock is placed against the item , it will not be picked in the FPY1 run.The clearing lock will only get removed once it is approved by the supervisior, if it is under his\her tolerance limit, other wise it will be referred to the manager.
You can also built in custom rules in the workflow, so as to ensure that a particular item does not get stuck in one person's queue for a X no. of days.
    Hope it helps...
    Thanks,
    Amlan

  • How to return full amount to customer?

The payment on security deposit has been released and applied to the customer's receivables.  Unfortunately, the customer changed his mind and wants the full check refund.
    Paid sec dep = 750
Partially returned - already cleared $175 from March 2008 bill (remaining 575)
Customer called and wants 750 in check refund instead of applying credits to bills
How do you return the full amount (750) to the customer?

    Hello,
For the cleared item, reset the amount by using FP07.
Now all your SD amount should be ready for refund.
Ensure that the refund amount posted is 'On Account' payment....Now you can refund the amount....
Not sure about the refund process u'd follow @ u r prj...you can create repayment requests using FPTCRPO and then Refund run using FPY1.
    Hope this helps

  • Garnishment Refund - Credit Memo

    Hello experts,
I have the following scenario  of Garnishment refund -
An employee was garnished $54.75 which generated check number . Vendor returned the check as the Garishment was satisfied.A/P has voided this check and a refund has been created in SAP to issue refund to the employee on the Garnishment amount.
Now I have to create a credit memo for the refund amount  and that record needs to be tied to the voided check by A/P to prevent the check from re-spooling.
Could anyone please let me know the steps of how to create a credit memo and tie it to the voided check in A/P?
    Regards,
    Malathi V

Thanks for your response . Your inputs helped me analyse the problem.
The employee was paid the refund through the Garnishment adjustment and it is showing as refund in the Garnishment history . But we do not do third party evaluation and posting on the refunds .
Hence the invoice on the AP side for the check returned by the vendor has to be offset manually .
First the returned check is voided which creates open line item in AP for the vendor .
Second the credit memo is created to offset the open AP line item .
Credit memo is created through tcode FB01 . Reverse posting entry is generated by linking it to the original accounting document .
    My issue is resolved .
    Regards,
    Malathi V.

  • Garnishmet refund retroactive enteries error

    Hai Sap Gurus,
My client needs to refund garnishment amount to an employee. The status on infotype is showing released .In order to enter the refund amount i had to change the status to reactivate for refund. However when i try to activate it gives me the error
Retroactive enteries are only possible after some date (10/05/2007).
When i double click it the perfomance assistant gives me this message
Retroactive entries are possible only after 10/05/2007
    Message no. PG342
    Diagnosis
You cannot change data for this infotype before 10/05/2007.
The 'Past entry all.' field (EPAST) of the Infotypes table (T582A) contains the entry 'I'. This means that checks for changes to past payroll data are infotype-specific.
    System Response
The system therefore does not allow you to change this data.
I went to payroll status info type and checked the dates
    Earlies RA date accounted to:09/29/2007
    Earliest md change:10/01/2007
    Master data change bonus:10/01/2007
I am not sure what exactly the problem is.
    Please help me.
All replies are awarded with points.
    thanks in advance

    Alright guys,
I have been able to figure out why the error comes. Its really a simple mistake and it makes me feel stupid now.All you had to do was copy the garnishment document and then reactivate it for  refund.I was trying to  directly change it before copying so i was getting the error.
I would like to  thank the guys who took their time to help with this.
    Until next time
    jason.

  • Prepayment amount is greater than invoice amount, what to do

    Hi all
I am using GL, AP and CE. the problem is as follows:
I register a lot of prepayments for my employees. When i give a prepayment to one employee, he brings me back the invoice and than i register the invoice and then apply this prepayment to this invoice. But most of the cases the amount in the prepayment is bigger than the amount of the invoice. The employee is bringing me back the invoice and some money. Now what i should register on the system to reflect the money back. The system does not allow to apply prepayments on debit/credit memo. If i register a credit memo, the next time i register an invoice for a supplier which it has some value from the prepayment the system is suggesting this prepayment, but this is wrong because i have registered a document for this amount of money(which is credit memo).
Please advice because the customer is asking and i do not have any answer yet.
    Thank you and Best Regards

What version of EBS are you on? My comments below apply to EBS 11.
As Vinip noted, you can have a distribution line that debits the cash account.
Another possibility would be to record a standard invoice for the entire amount, with the refund amount debited to some clearing account, and apply the prepayment to that invoice. Then in accounts receivable, record a miscellaneous cash receipt against the clearing account. Not a real good solution, as involves two different applications.
So I think the way to go is to appy a debit for the refund amount to your cash account when recording the invoice to apply the prepayment to. Makes sense?
If you want a simpler way, then submit an enhancement request to okay.
Perhaps for this company, it is common to give employees money in advance to buy something, but this is I think very rare for the corporate world at large. Usually the employee buys something and then submits an expense report to get reimbursed after the fact. Or the employees use a company credit card to make the purchase. Maybe your company needs to look at changing its current process? Just something to think about.

  • How to clear Prepayment  account in the subledger

A prepayment amount of 1000 was paid to a supplier for the last month of the service contract using the profoma invioce. When the invoice for the last month was received it was 800. Now we have over paid the supplier by 200. when the refund is received, how do I clear the subledger with the difference?
    Please assist

This is what I found in Oracle documentation-
    To record a prepayment refund:
    1.     In the Invoices window, enter an invoice in the amount of the refund from the supplier. Enter Standard for the type. Enter a description on the invoice to indicate that you are retiring a prepayment. Create an invoice distribution for the amount of the refund and debit your Cash account or an accounts receivable account. Credit the accounts payable liability account as always.
    Approve the invoice.
    2.     Choose the Actions button to navigate to the Invoice Actions window. Select the Apply/Unapply Prepayment check box and choose OK.
Select the prepayment to which you want to apply the refund. Enter the refund amount in the Amount To Apply field. Optionally change the GL Date, which is the accounting date for the reversing prepayment distributions that Payables creates when you apply a prepayment. If you want to see more information on a prepayment, select it and choose the Invoice Overview button.
If you want to approve the new prepayment distributions that the application will create and the Allow Online Approval Payables option is enabled, select Approve. If the Allow Online Approval Payables option is not enabled, you can submit Payables Approval from the Submit Request window.
If you want to print a Prepayment Remittance Advice for the supplier, select Print.
    3.     Choose the Apply/Unapply button to apply the prepayment amount to the invoice you entered for the refund and to save your work.
This fully retires the prepayment and reduces the amount remaining on the invoice to 0. Payables automatically enters a reversing distribution on the prepayment to credit the prepayment account. This credit balances the debit you entered on the invoice (Step 1) to the Cash account.
