Resources to track costs in Primavera (P6)

I am using P6 to manage a NAVFAC (Navy) project. Our contract requires that we submit a .pdf copy of our schedule as well as the .prx file (P3). Converting the .xer to .prx is no problem, but since my schedule is cost loaded, I have to create a resource called "Cost" so that the data maps to P3. Again, this is no problem, but I'm finding something very odd happening in P6.
I have set up my "Cost" resource in P6, set budgeted units to 1, and input the cost (in our case it is the price that the customer is paying us - this is a FFP contract - we track our internal costs using our accounting system) into each activity. My project is set as follows - Duration Type = Fixed Duration and Units, % Complete Type = Physical % Complete. However, if I change the Original Duration or the Remaining Duration of a task during the weekly schedule update, the Budgeted Cost reverts to $0.00 causing me to have to re-input the budgeted cost of the activity. I'm relatively certain that this is not supposed to happen. Does anybody know what is causing this? Is there a setting that I need to change to keep this from happening?

1. have you considered expenses for non-recurring costs (or in your case income values) that are not asocialed to particular resouces?
2. is your "cost" resource a P6 resource or a P6 role?
if you decided for a resource, probably material-type, using $ or some other currency defined as a unit of measure, I suggest using 1 as price/unit in the resource dictionary (to be used for all assignments of that "money" resource onto activities). you can set the budgeted "lump sum" value of the resource assignment by imputing it as budgeted units (having $ as unit of measure). e.g. $500 as BU * 1 as P/U = $ 500 as BC
it makes more sense if you ask me. the resource P/U is global data while BU is project data. more exactly activity assignment data, used locally (and most likely not reused) when assigning the same "cost" resource for different amounts as budgeted cost.
it is easier (and safer) to modify and/ or import (from xls, through sdk, etc) project data instead of global data. you don't have to worry about the rate source or inadvertedly recalculating costs. otherwise you risk unwanted altering of values, if you or a colleague change the dictionary value of the P/U (manually or through import).
3. money-type udf's can also keep track of overheads (or any other $ data associated to activities), but the major drawback is performing computations on them. you have to manually run global changes. the usablity of udf's would be greatly improved if P6 came up with such a feature as running global changes througs job services. scheduled jobs or event driven, including job sequence :)

sorry not all options apply when it comes to mapping P3 to P6 data. but i still think modelling $ as "cost" resource units could work better.
you may also try to uncheck the project calculation option "recalculate units and costs when duation % complete changes" which changes units and costs (linked by default) when changing original and/ or remainig duration. see duration, units and cost % complete formulae

  • Internal Orders - Alliance Partners tracking costs

    Hi
    The questions relate to tracking costs whcih are significant in detail for an Alliance Partner. We are in the latter stages of implemenatation of SAP All in One -
    1. In the legacy system intelligence is built into the GL account code allowing us one character in the GL code to be allocated to the Alliance Partners costs, a different letter for the different Alliance Partners. We could therefore analyse a Depts cost separating the total cost, then the Alliance Costs, then provididing the non Alliance costs, we could do this for a Dept / Cost Centre and also analyse per the GL account say "hire costs" within the Cost Centre all via Pivot Tables etc
    We accrue the costs due to timing of costs being received ie in middle of month end process because of significance wait for Alliance Partners estimate and post to a clearing GL account via General Journal. We do not do a detailed PO with all the expense lines as PO would be huge  and the expense lines are not fully known when PO is created. When the actual PO is received, the costs are offset against the clearing account, if accrual and PO receipt and invoice agree then clearing account is nil. The accrual is not reversed.
    The suggestion per SAP consultants is to create an Internal Order for each Cost Centre for the different Alliance Partners we expect Costs. I had thought this was a reasonable solution but the issues I see are
    A. It provides total costs for the Cost Centre, total Costs for the Alliance Partner for each Cost Centre but does not provide total non Alliance Costs without dumping the data into pivot tables and analysing.
    B. It does not provide analysis of the Alliance Partner costs v non Alliance Partner costs by GL
    I know if we used the full functionality of MM ie raise a PO etc with detail GL lines would allow reporting via MM but due to timing of receipt of costs and the number of GL accounts it is currently not parctical / political to receipt a detailed PO.

    How do I obtain a report which shows Actual + Plan
    1. Total Cost Centre Cost with GL etc.
    2. The relevant Internal Order Costs for the Alliance Partner with GL etc.
    3. Non Alliance Partner costs
    Is this a report I can obtain directly from SAP or will I have to download the two separate reports from SAP to analyse the Alliance Partner costs v Non Alliance Partner costs by Cost Centre and GL.
    Sorry for being such a dummy but we have yet to be shown all the reports, we are designing a system without the benefit of the relevant training on SAP !!!

  • How to track costing in Production order

    Hello Everyone
    I would like to get some details about how to set the product costs for Finished Goods and also how to track the expenses like packaging, labor, electricity, other charges etc, for individual production order.
    I have created the labor and packaging as a non inventory item and have used it in the BOM, now after the production order is closed, i find these two costs to be in the Actual Additional costs as shown below, till this is great.   
    But the requirement was, when they want to view the expenses or a month, then they require individual split up of costs against each production order. Is this even feasible?
    Please require help from you guys.

    Product Costing
    The cost of a FIFO or moving-average product is the sum of its component costs and additional costs (such as labor and overhead). To ensure accurate calculations of product cost, even if the components were issued manually, SAP Business One uses the cost of the items issued to production order and not the cost of the items currently in inventory. This avoids differences between the actual cost of components used in the order and the value of the product.
    Note
    The cost calculation method described here is relevant only for standard and special production orders, but not for disassembly for companies managing perpetual inventory.
    In the case of disassembly the components enter the inventory with the same cost as the items currently there. If the component is managed by FIFO, the cost of the oldest layer is used.
    The cost of returned components does not change; it is the cost of the last one that was issued.
    The product cost calculation is determined by the item management method.
    Standard – When the product is managed by standard cost, no calculation is made, and the cost is copied from the item master data upon report completion.
    Moving Average – When the product is managed by moving average, two figures are required for product receipt into inventory: receipt quantity and total value added to the inventory. The total value is the product cost, which is the sum of all component costs used for those products.
    FIFO – When the product is managed by FIFO, each report completion opens a new cost layer for the product in the inventory. The quantity in the layer is the quantity of the products just reported as completed. The cost of the products is the sum of all component costs used for the completed products divided by the quantity of the products.
    On every report completion, the system checks the following three quantities for each manually issued component:
    Issued Quantity – The quantity already issued to the production order.
    Used Quantity – The quantity already used for the completed products (completed products multiplied by the base quantity of the component).
    Needed Quantity – The quantity needed for the products that were just reported as completed (quantity of products reported as completed multiplied by the base quantity of the component).
    If the Used Quantity is greater than or equal to the Issued Quantity, this means that all items issued for the production order have already been used, and the Needed Quantity is yet to be reported as issued from the warehouse. Since the cost of the items that were actually used for the products is unknown, SAP Business One takes the current prices from the inventory.
    If the Issued Quantity is greater than the Used Quantity, SAP Business One finds the cost of the components that were issued and not used, and uses them in the calculation of the product cost. When finding those components, the issuing order of the components is taken into account, meaning that the first components to be issued are the first to be used. The components following those that were used are the first to be used for the cost calculation.
    If the sum of Needed Quantity and Used Quantity is greater than the Issued Quantity, meaning that not all needed quantity was issued, SAP Business One needs to make an assumption for those items’ costs, so it takes the current prices from the inventory.
    Upon the completion of a production order, on the Production Order Window: Summary Tab, you can check the product cost figures of the production order.

    I know! The fact is that, when the file is in my finder, as «type», it is written «Video Quick TIme» and my macbook can read the video. So I don't understand why would it change when I drag it in DVD Studio Pro?!

  • Unassinged  resource is reflecting  cost rollup

    Hi ,
    We have defined 3 operations in Routing .
    Operation -10 has only one resource (example - Labor A )
    Operation -20& 30 has no resource .
    When we do cost roll up from Tools , Report is showing Labour A and Labor B .
    Labor B has been end dated through Engineering Change order , but why it is reflecting in Bills of Material Indented Cost Report .
    In Assembly cost also , system is showing two resources .

    Under average costing the cost rollup is used to estimate costs into a non-average cost type, for comparison purposes only. It does not change or adjust the average cost itself. The average cost comes from your PO receipts (like for buy items), or from inter-org receipts (when transferring goods from one org to another) or from your WIP completion transactions from a work order (when you are building goods in WIP).     Material is damaged and replaced at site with new one from stores and Damaged material is send to workshop to repair.
    After repairing then we have to send the material back to stores from the workshop and stock it in stores for future.

    Dear,
    You are saying, Damaged material.Hope its not  an equipment.If it is a spare part that you would like to reuse, then it is having impact on moving average price of that material while updating stock in INVENTORY.
    If you are considering the material as a sub asset of that equipment, then you need to valuate the useful life of that material and the depreciation value.
    In standard SAP , the simple way of returning to stores for maintenance department is through maintenance order by putting the qty. with negative sign. for example "-2" Nos.If you post the goods issue of the maintenance order , system updates the stock.But I donot suggest this procedure for used material because of impact on MOVING AVERAGE PRICE.
    If you are using split valuation, situation would be different and you can opt this process as "repaired" material valuation type.Then you can have option to trace the cost of the material at workshop through maintenance orders.
    If you want to reuse the equipment and after overhauling at work shop, its better to be processed through REFURBISHMENT process.

  • Be able to track costs and re-cost a certain material based on a serial #

    Client wants to sell a material+serial# with a certain cost, lets say $1000
    If the same material+serial# is bought after 5 years at $500, then that becomes the acquisition value for that material.
    They would then recost that material+serial # with all the rework that goes.
    Key point here is to be able to cost just a particular material+serial# combination.
    Is there anything in SAP that accomplishes this concept?
    note: I am not using the automotive solution but discrete manufacturing. I do not have the options of using dealer business management solution by SAP

    I agree that batches will help, in combination withe the individual batch valuation (valuation category X in material master). Then upon each goods receipt a new batch will b created. You could try to achieve that the serial number becomes also the batch number. Each batch will have it's own valuation type.
    But: You can't do a cost estimate (CK11N) for a single batch or valuation type. The only thing you can do is either use moving average price for the batches, or use standard price and set the price manually via the price change MR21.
