Reviewer Added Workflow

Hi all, can you help me with the following issue:
I am using the SCSM functionality to automatically add reviewer by clicking the "Line Manager Should Review" checkbox. In this case manager's name should be automatically included in Reviewer's list. All users have managers in AD. I found that
the workflow responsible for this action is "Reviewer Added Workflow".
The problem is that in some Service Requests the name of the manager is not populated automatically. This happens in 30% of the Service Requests which is not good.
I checked that all workflows are with status "Succeeded" even those with missing Reviewers:

Hi,
"Line Manager Should Review" is a legacy from SCSM 2010 and is actually adding the manager for the user
creating the request. So the question here is, do the user that created that request have a manager specified?

  • Adding WorkFlow to Spaces Pages

    Has anyone added workflows/Approval to WebCenter Spaces Page content, I am not talking about the WebCenter Content workflow/approvals but adding a workflow/approval to a page that has had text image or link changes.
    We are looking to do in WebCenter Spaces the same functionality that 10G Portal middleware has. In 10g Portal we can set an approval process for any changes that occur on a page. We are being told the only way to do this in Spaces is to import a HTML page from WebCenter Content but doing this we will lose all the functionality of editing that Spaces provides. Additionally our users that update pages are not HTML programmer and need a wysiwyg interface.
    I am really shocked that ORACLE would remove this functionality from a new product, but has anyone set up a workflow/approval for WebCenter space page changes? Or is the functionality there, but I talking to the wrong people.

    I'm glad you could buy the WCC story. To your questions:
    1) The pop editor window is very small, you can resize it but we want to be able to set the with of the popup when it opens, so it dispaly the edit to the same width as the page they are editing.That's an interesting question. Out of my head I'm not aware if there is a parameter to set it up. It might be worth asking in the WCC forum as a separate question (not sure how many people from there monitor also this forum).
    2) We want to create a button or link for a user to click to get into the contributor mode instead of using the hot keys, Ctrl-Shift-CThis is definitely possible. Ctrl-Shift-C calls (via a javascript) a service which changes the page's mode to Contribution mode. Note that there is also the third mode - Designer's. I'd suggest to get a tutorial for Site Studio (not Site Studio for External Apps) as it will certainly demonstrate how this can be achieved.
    3) We want to modify the style for the editor to match the style for the page, so the uses see exactly what the page will look like as the edit in the editor.Similar to #1 - maybe a separate question would be worth in WCC.
    4) We are till looking into the Workflow and the Notification on approvals and how it will work but we are having problems with the email notifications and seeing if the notification can show up in the activity/notifications in Spaces.If I got the point you'd like to see email notifications in what? (Lists? Activities?) in Spaces. I'm afraid OOTB WCC native workflows create just an email, and you'd need to customize your system so that the email is transferred to, for instance, a list item. Alternatively, you could use BPEL rather than WCC native workflows (WCC can hand over workflows like that). BPEL could be, then, integrated with WebCenter Portal. But, yes, it looks complicated.

  • 2010 Review Approval Workflow Error - Outlook cannot open a new form

    Hi,
    I set up an Approval - SharePoint workflow on a document library list in a webpart.  When the approver got the email and tried to approve from outlook, she received the following error.  She has approved documets in the past for the same page. 
    Can anyome please help me troubleshoot this?  So much appreciated!
    Word Error:

    Outlook Error:

    can she open the approval form in web browser instead of Outlook?
    According to the error message, it seems that the user does not have permission for the file http://<site url/_catalogs/wfpub/Approval - SharePoint 201o/Review Approval_Task_1033.xsn.
    can she open see this file in SharePoint designer 2010? that is, open the site with SharePoint designer and navigate to All Files->_catalogs->wfpub->Approval - SharePoint 201o. If she can not see the file there, ask the workflow creator to publish
    the workflow again. I had experienced strange issue in SharePoint designer 2007 and solved by check out all the workflow files and check in again

  • Email review creates workflows file size that makes Acrobat 9 unbearably slow.

    I have been using the email review features in Acrobat pro version 9.3.1. All was going fine until, apparently, my workflows file got to around 1.5mb. If I understand correctly this is the file that Review Tracker uses to track PDF emailed for review.
    The problem is Acrobat becomes unbearably slow to open and operate.
    I narrowed down the reason by opening Acrobat with no plugins loaded and it operated fine. Then by enabling and disabling various plugins I found that when any plug-in having something to do with the commenting and tracking process was enabled acrobat again became unbearably slow. Through searching on this forum I found the workflows file that is created for tracking email reviews. I discovered with all plug-ins enabled and with the workflow file removed acrobat operated fine when I put the file back it again opens and operates unbearably slow.
    So I know how to make Acrobat operate correctly by removing the Workflows file. Acrobat will create a new one if I start another review. The big problem is I have lost all my tracking on previous reviews.
    I was wondering if anyone else might have had a similar problem when the Workflows file became larger than 1.5mb or so?
    Does anyone know of a way I can keep my previous email reviews and still have acrobat operate correctly?
    I also wonder if this will happen again?

    Flattening should be expected to make files bigger, much bigger in the worst case. It is rarely a way to reduce size, though sometimes it will be - it all depends on what is in the file.
    An example where it could reduce size is where a series of images are overlayed transparently. This would end up being a single one. There may be cases where lots of layers get consolidated into something simpler, but if the layers were vector and the result is raster it won't.
    So, flattening might be a useful tool, but it's best to try it and test the result.
    Better still to stop the proprietary software from choking... !

  • Document review in workflow

    Hi folks,
    is there a simple way to review the document sent via approval workflow to the user?
    In the default approval workflow only the location of the file is provided; since I want to check the document before approval I have to go to this location first and then approve or reject the document.
    I saw examples in the BPEL custom workflows, but then I need a licensed BPEL engine etc.

    Its two different workflow for review and approval. but approval works fine as it creates work item one after other .for expmaple if set 3 approvers then first is generated for 1st user and unless he apporves it then  new work item for other user does not get created.
    and for review 4 work items created if i set 4 reviewers at a time.and even in my z table where the apporvers/reviewers are updated once wf gets triggered after saving the documents in RR status.
    even i checked log but could not able to find anything wrong in the log,will check once again throughly.intially is says a meesage "Execution interrupted",is is something wrong and the message is SWF_RUN 611.

  • Reviewer termination workflow

    Hi All
    I am currently working in SAP SRM 4.0 environment.
    Problem: A reviewer is added to the Approval preview along with the approver. When the reviewer sees the shopping cart in his SRM INBOX and saves his comments and the shopping cart is also approved by the approver, the review item in the SRM INBOX does not dis-appear from the list. It is still lying out there in the INBOX.
    According to config guide the items under review should dis-appear after the shopping cart is approved.
    I will appreciate, if someone can help me analyse and provide any pointers to the solution of the problem above.

  • Error in FireFighter Log Review approval workflow (SWF_RUN646)

    The MSMP workflow SAP_GRAC_FIREFIGHT_LOG_REPORT has been configured in the AC System with transaction SPRO.
    The automatic customizing has been done, number ranges have been created. Back ground jobs are running and the customizing concerning FF id's, Controllers and Owners has been done.
    The log in notification mail is sent to the controller correctly and also the notification about a new work item. The error message appears when the Controller tries to execute / open the data from the log file in the SAP Business workplace with transaction SBWP.
    This is the error message:
    Exit CL_GRAC_SPM_AUDIT_REVIEW triggered exeception for event STATE_CHG and (target) status READY->SELECTED: UI signature (ID:'') not MSMP - action for WorkIte
    Message no. SWF_RUN646
    Can anyone help?

    You need to maintain an MSMP workflow for the SAP_GRAC_FIREFIGHT_LOG_REPORT  process id and activate it.Kindly run the sync jobs inorder to trigger it

  • Adding workflow process owners for Scenarios/Versions and Entities

    Hi. I want to add managers and their email addresses for each combination of Scenarios/Versions and each Entity member.
    I see when I'm in the Application I can go into File | Workflow , Manage Process I can see that under the "Current Owner", each entity is showing "Not Available".
    How can I add these owner(s) for ech entity so that a process can be started for each entity and the next higher person in management gets notified?

    The administrator or the user with the admin access initiates the workflow for each entity and assigns to a person. So that person becomes the owner. After he completes he promotes it to the next level. Only the current owner will have the access to that particular entity. The process continues.

  • What fired off this workflow? User? Item added? or Item changed?

    As a workflow can be set to trigger when a new document is Added to the library, when an existing document is changed OR by a manual start by a user ( OR any combination of the above ).....
    Can you test programmatically to find out what the trigger was for the workflow in a c# coded workflow? 

    As you will no doubt be aware, when a document is added to a library that has additional columns needing to be filled in, the Item added workflow starts as soon as the user clicks OK after browsing for the document and then the Item Updated workflow fires
    AFTER they have completed the dialog for the metadata. 
    We have to simply capture certain information ONLY the first time the document is added, not on further changes.
    If only the ItemAdded fired AFTER you had finished adding ALL the content!

  • Shared Review Web Services Feature

    The shared review feature is an extremely powerful feature that brings acrobat and pdf files to a whole new level.  Shared review currently allows 3 repository types (Network Folder, SharePoint workspace, and Web server folder).  These are all great for simple reviews and workflows, but i think that the process could be much more flexible and robust if adobe were to add a "Web Services" method.  This would allow for developers to have a lot more control of the annotation data.  In particular here's what it would do in my case:
    Permissions: we already have a coldfusion application that has thousands of users.  Users log in and coldfusion handles all of the permissions, who can view what document, and what they can do to the document in terms of making annotations, or even editing annotations of others if they are the supervisor. (some people need to view the document with others comments but shouldn't be able to make comments themselves)
    Layering: we would like to adapt more of a layers concept of annotations.  with web services, we could allow for the user to select the layers they want to view in an html frame and then our web service could return just those annotations for display.
    I havent put much thought into it but you could even use it to connect to live cycle web services, the possibilities are endless.

    I posted "Is Adobe discontinuing support for SOAP collaboration?" in this forum and in the SDK and Scripting forums, and Brian and I have already discussed Adobe's willingness to abandon solutions that they previously evangelized (SOAP, ADBC) and to hell with anyone who drank their kool-aid back in the day.
    Brian and I have very similar issues (esp. auditability) because he and I work in industries with lots of government oversight (he in aerospace and me in nuclear).   So, the issue for us is not NEW features but maintaining backward-compatibility with old features so that we can continue to fulfill these requirements, and if Adobe wants to cut us loose then we have no choice but to find a non-Adobe alternative.
    Having said all that, I agree that adding Web services to "shared reviews" would be a good first step by Adobe toward allowing those of us who are relying on SOAP and other "deprecated" features to transition to shared reviews, but only if allows us to upload reviewer comments to a central server.  However, that still won't be enough for us unless we can continue to manage document reviews centrally.  All of our review cycles (i.e. the docs, reviewers, and schedules) are determined by our project managers, and that information is entered into our system by a single service administrator (or is imported programmatically from Active Directory and from our project management system).  So, for us to migrate to shared reviews requires an enhanced API so we can continue to set up reviews programmatically and not have to rely on the cumbersome and clunky one-document-at-a-time approach in the shared review model.

  • Edit option not enabled for workflow content from within Content Presenter in Webcenter Spaces

    I have a webcenter spaces portal page with a content presenter displaying a html page using the default out of the box template. The html page is located in webcenter content / UCM under a folder on which the " All Reviewer" seeded workflow is enabled. The issue i am seeing is when the file is in workflow the edit option is not being enabled even though the reviewer should be able to edit/approve the content in this step. The other functions like workflow approve or reject and switching between workflow version and published version are all enabled. Also when rejected the content does not show edit option from the content presenter (cntrl-C option) for the original author to make any updates.
    What would need to be done to enable editing from within the content presenter for workflow content?

    We are using WCP 11.1.1.8.5
    To recreate the issue
    1)  Login to WCC Portal: Spaces as admin user , create a New Page under a webcenter spaces portal
    2)  Under the space , Pages Section , select the page and click edit
    3) In Design mode , choose Content Management and Add Document Explorer and Add Content Presenter on the page
    4)  The Document Explorer will default to the Current Space/portal directory under MyWebcenterSpaces in UCM
    5) Create a directory "content" under the Portal space using the document explorer.
    6) Right Click on Content folder and choose details. In Details view , go to File->workflow settings and pick a seeded workflow -> MyWCSAllReviewer. Add a user as workflow approver
    7) After workflow is enabled on this folder upload a basic html page with simple text into this folder
    8) Now in the design mode choose edit in the content presenter and select the "single content view" with default template to display an Image or HTML. Click browse and select the html that was added to workflow
    9) Save the Page and view the portal. Workflow should now be enabled for any content changes to that html page.
    10) Click Cntrl-shift-c in portal/space as an authenticated user with edit access to content and make an edit to content , this will trigger worklow . The author currently will see edit option get disabled once content enters workflow
    11)  Login as approver to the portal and cntrl-shift-C to the portal and workflow options(approve and reject) are enabled but the edit option is not. If you reject content , the author should be able to edit content in the content presenter mode, this also is not available. The issue is the content is now no longer available for editing from wthin content presenter if it is in workflow to either the approver or the original author depending on workflow step. If you check the same content under the document explorer the option to edit is enabled. Is this a bug /issue with content Presenter or some option needs enabled?

    I have added Workflow Elevated permission as per article

    It seems that something is wrong and I am not able to use the 'App Step' in my workflow. How can I review the permission? Appinv.aspx allows to add the permission. I need to review the permissions that I added. Is there another aspx page I can go to that
    will list the permissions?
    Would appreciate any help in debugging as to why my 'App Step' is not available even after doing all the step specified.

    Hi,
    According to your post, my understanding is that you failed to use the 'App Step' in SharePoint 2013 workflow.
    Before you create a workflow with elevated permissions, you need to check whether it satisfy the following:
     The SharePoint 2013 Workflow platform has been installed and configured and that SharePoint 2013 has been configured for apps.
     The procedure completed by a user that has Site Owner permissions.
     The workflow already  published to the SharePoint Server 2013 site.
    Then please make sure you follow the steps in the article to create a workflow with elevated permissions.
    After creating a workflow with elevated permissions, the workflow will be grant full control permission.

  • How can I change the 'Check-in' trigger for contribution step in Workflow

    We have created a Criteria workflow where the workflow is triggered based on a custom field called 'Publish Status'. During check-in, when a content author sets 'Publish Status' = 'Sent to Review', the content is sent to Reviewer's Workflow Assignments. The client however wants to be able do this from the 'Update Metadata screen' i.e., trigger the workflow and send the document to review from the Update Metadata screen and not just check-in screen.
    The workflow scenario that client wants is as follows:
    - Author checks-in content
    - Author previews content using custom Preview widget from Content Info screen. This is custom code written that gives author the ability to preview their content within the context of the portal where UCM content is rendered.
    - Author is satisfied with their content.
    - Author should just to go 'Update metadata' and set 'Publish Status = Sent to Review' and this should send the content to Reviewers' workflow assignments.
    The problem here is that currently the trigger to send content to Reviewer is only SET by the Check-In screen. How do we change this so it can be triggered directly from the 'Update Metadata' screen and does not require 'Check-in'. The client is right here in that if there is already some checked-in content in UCM that they want to send to review now, why should they have to go to 'Check-out' screen to get to 'Check-in' screen to trigger workflow, why can't they avoid all this and just go to Update Metadata.
    We thought of using Basic Workflow as well, but that does not solve our problem, since once the content ID is selected in the basic workflow, the contribution step still requires user to Check-out/Check-In content. Can anyone suggest a way to send content for review by using 'Update Metadata' screen.

    Update triggered workflows are not an uncommon requirement. However, they are a small customization. We have standard and supported components that will do this and would be happy to chat with you more about them. Please let me know.
    Alternatively, it is a fairly straightforward customization if you wanted to build it yourself.
