SAP licences and Users

Hi Experts,
At our client, SAP Users are divided into 4 distinct categories depending on their usage of the SAP systems. Usage is based on number and type of transactions performed by a user.
SAP users are assigned a licence by ServiceDesk during the user creation process. Currently it is not possible to immediately see which category a user should belongs to and hence the assignment of SAP licence does not reflect the actual need/usage of a user.
Now we want to determine if the users have been assigned the right type of licences by analysing the data in SAP systems at the transaction level.  This could mean analysing hundreds and thousands of transaction across many SAP systems of thousands of users.
I would like to know if someone has gone through the same excercise? if yes, I would like to hear the approach taken, tool used to extract and model the data etc...
Any help/guidance would be highly appreciated.

I would go like this
Case1. If role design is already done based on licencing,(which should be in ideal case)
1. Download users and asigned role list.
2. Categorize each role separately according to licence.
3. vLookup between list in point1 and list in point2 to match user and licence.
4. Point to note is that a user contains many roles. So the highest licence level will be applicable to him
Case2: Role design is not based on licensing
1. Select Roles and associated transaction-code list
2. Select unique tcodes from this list.This way you can find how many t-codes are being used in your system.
3. Divide each t-Code into a licence category.I hope T-code list will be no more then 2000 to 3000. This is laborious task. Possibly you can divide all dispaly tcodes and maintain t-Code separately and then decide licence type.
4. You can have now a list  "Role-Tcode-Licence"
5. Associate  Each role with a licence type. The point here will be that The higest licence type will be applicable to that role.
6. Download users and asigned role list.
7. Get a list "User-Role-Licence"
8. Assign a user with a licence type which is higest.
**Higest licence : You will have probably category of licences.For example Cat1-Display only Transactions Cat2- Change HR data Cat3- FI Change transactions. Now you need to decide which one is higher (have more cost) and then highest will be assigned to user.

    At some point is says:
    User has not been installed on MW, it is not ready for sync :ABERTISA .
    What is MW?
    And I think that i will need to patch the instalation since I have Mobile Engine 09 but when I look in MI through the WebConsole (http://ap-ccms-d01.corp.se.sempra.com:50000/me/WebConsole/add) I do not see version 250900 for MOBILEENGINE_JSP. I only have version 250000 and 250400.
    Is this a SP issue?

    I am actually trying to install SAP-Ecc 6.0 in Home PC(Laptop i mean)...
    i have Windows XP ....As of now i just have SAP-GUI installed..but i need the server(IDES or any log on details)...to work and play around(practice or have hands-on)...which application server(create a logon pad) and clients(login and pwd) to use...any free source exists...just to work on SAP..
    Even i heard in Minisap or IDES...less tables and datas are only stored...say only 'sflight' like tables will be there..or even some display mode only(access to many TCODES)..
    so is that any suggestions to configure or customize ourselves..to work and improve our knowledge?
    I was a developer...now home-maker...but would be good if i can play around and develop my interest on SAP-ABAP...
    can any one of u, pls do help me out to get server details(for entering in SAP-GUI) and its clients as well as password(development,testing,etc...TCODEs where we can create/display/change,etc.. mode access)....?

    the answer to your question is: may be you can use a central EHS system. The reason is: EHS is correlated with MM. A SAP system in which EHS is used without MM makes "not realy" sense. So it is a matter of definition "what is a central EHS system".
    EHS it selfs uses SAP standard techniques. That is "ALE" distribution to other SAP systems. The distribution of EHS data top NON SAP systems is possible to via XI (which is the common solution). If you use as the scenario SAP to SAP you must make your that standard EHS customizing is the same on both sides.
    Furthermore SAP EHS is a "great" module with several submodules. So regarding each of the potential scenerios you need to check the necessary prerequisites. It ois very common to have EHS PS, DG, HSM in one system and to distribute data via ALE to a different system so that the EHS data can be used "decentral" in the several SAP logistic processes.
    In most cases you need to distribute per ALE at least DG master and hazardous substance master.

    Qn1 Whats the realtion between SAP license and records ?
    Qn2 How to go about in this scenario?
    Qn3. Should i prioritise the existance of records in appraisals and delete the least priority after consulting the client?anyway OM & PA records should not be deleted.

    Usually the SAP Licenses are with respect to named users and their rights to the system....
    If you have N licences of various types and M employees accessing SAp ( M > N ) then it will be an issue .. usually for services like ESS - you have a licence called employee user and for more access you have professional licenses etc...
    You could check the type of licenses that the company has and the number of licenses of each type and also the Contract signed with SAP as to the licensing policy..

    Suppose we have 10 sap licences.
    Out of the ten users someone left the job.
    We dont want to delete the user and at the same time create another user.
    We put the expiry date (through date) in the user profile of the departing user and create another new user.
    What will bw our licence count 10 or 11?

    The license policy depends on :
    1. Type of user - professional / ESS ....
    2. I think by changing the valid dates for the user , it should count as 10 users
    The license policy also varies with the account ( total number of licenses etc etc ) best would be to check with SAP...

    You need to contact your SAP Sales representative. He will be able to give you the exact commercial details.
    Normally you are only audited and charged for User Ids created on production. The license agreement also covers Solman. As far as I know you only need to sign a separate licences agreement for Solman in case you are using e.g. Service Desk for IT Solutions other than your licensed SAP Software.

    To be sure myself and Marek understand, can you confirm the different scenarios supported:
    Scenario 1:
    SAP GUI --- (non SNC conn) --- saprouter1 --- (SNC conn) --- saprouter2 --- (non-SNC conn) --- SAP System
    With this scenario, it would be possible for a user to logon using SAP GUI onto the SAP System, but without SAP GUI SNC.
    Scenario 2:
    SAP GUI --- (SNC conn) --- saprouter1 --- (non SNC conn) --- saprouter2 --- (SNC conn) --- SAP System
    With this scenario it would be possible to logon to the SAP System using SAP GUI, and using SNC authentication.
    Also, with this scenario the SAP GUI software and SAP System software would consider this to be similar to:
    SAP GUI -- (SNC conn) -- SAP System
    Scenario 3:
    This is the scenario mentioned by Marek in his initial question:
    SAP GUI -- (SNC conn) -- saprouter1 -- (non SNC conn) -- SAP System
    With this scenario it will not be possible to logon to SAP System using SNC, and only possible if the SAP GUI is configured to not use SNC. In other words the SNC connection between SAP GUI and saprouter1 is available, but cannot be used.

    Types of Exits
    There are several different types of customer exits. Each of these exits acts as hooks where you can attach or "hang" your own add-ons.
    Menu Exits
    Menu exits add items to the pulldown menus in standard SAP applications. You can use these menu items to call up your own screens or to trigger entire add-on applications.
    SAP creates menu exits by defining special menu items in the Menu Painter. These special entries have function codes that begin with "+" (a plus sign). You specify the menu item’s text when activating the item in an add-on project.
    Screen Exits
    Screen exits add fields to screens in R/3 applications. SAP creates screen exits by placing special subscreen areas on a standard R/3 screen and calling a customer subscreen from the standard screen’s flow logic.
    Function Module Exits
    Function module exits add functions to R/3 applications. Function module exits play a role in both menu and screen exits. When you add a new menu item to a standard pulldown menu, you use a function module exit to define the actions that should take place once your menu is activated. Function module exits also control the data flow between standard programs and screen exit fields.
    SAP application developers create function module exits by writing calls to customer functions into the source code of standard R/3 programs. These calls have the following syntax: CALL CUSTOMER-FUNCTION ‘001’.

  • Single Sign On and user security with IS

    We have installed Information Steward 4.1 SP1 Patch 1 with Data Services 4.1 SP1 Patch 2 on Information Platform Services 4.0 SP 5 patch 6.  The Information Steward system is installed on it's own server.  We are connecting IS to our SAP Netweaver 7.3 system. 
    I have set up Single Sign On using Windows AD authentication.  The connection to the SAP system uses a service account. 
    Because the SAP system has our payroll information on it, we want to restrict Information Steward users based on their SAP security profiles.  We don't want to have to maintain security settings in both SAP and Information Steward. 
    Does anyone know if there's a way to set up Single Sign On so it passes the user credentials from SAP to Information Steward?  Then restrict the users on Information Steward based on their SAP security settings?
    Any advice would be appreciated!

    You can use Windows AD or SAP Authentication and configure it with SSO. However this should be done in the BI/IPS plaftorm and not IS. See the BI admin guide (http://help.sap.com/bobip40) section "Authentication options in BI platform". Please let me know if that's what you wanted.

    well, this depends a little on the amount of data your users are allocating in their transactions.
    rough calculation: 4 GB per System for ABAP 1.5 GB per System for the database plus 1 GB for the operating system. Thats the absolut minimum.
    Let Windows calculate the right size - so it may be increased during runtime if it is too small.

    For some of the users the user id is different in both end.
    After implementing the SSO... Will it affect the existing user mapping? and the system alias created for that?

    In this case I suggest you create 2 systems one you might have created for users who are having common user ids in portal & at the backend system.
    For the users whose ids are defeering you can create reference system and in user managemant property of that system
    Authentication Ticket Type - Select -SAP Logon TicketSAP Assertion Ticket
    Logon Method -  UWPW
    User Mapping Fields -  {100,200,300}Client;Language
    where 100,200,300 are the clients of the backend system.
    Assign this system in the ivews.

    You should check your documentation about which java classes you need to reference in the "import" section of your UDF. And also deploy the java classes into the java stack or include them as a imported archive in integration repository...it should be stated in the seeburger documentation.
