SAP Status to show Assigned Document

Good Morning DMS users,
I am new to this functionality (DMS) and would like to incorporate it into SAP PM to have documents assigned to :
A) Functional Locations
B) Equipments
C) Work Orders
My Questions are as follows:
A) If a document is assigned to any of the above 3, is there a "Status" symbol that will/can be displayed when viewing the Functional Location/Equipment or PM order to show the end user that there is an attachment?
B) Is there any functionality either in standard SAP or a specific ABAP program that will print the attached document when the PM order is printed that contains either the Functional location, Equipment or is directly attached to the PM Work order?
C) WIl you please confirm that when using DMS (CV0X transactions) that the documents are not stored in the SAP server but either in a local PC or a networked server.
And Final Question;
What are the advantages of using DMS over just creating "Attachments" directly to the Functional location, Equipment and PM Order? (I have to convert some sceptics that DMS is the correct/best method)

     Please find answers to your questions
A. Status Symbol
As with my experience I am sure that a majority of these transactions have no display mechanisms if there are underlying DMS attachments to it. Normally they are attached to additional data or to the attachment button.
If you have to develop this, you can incorporate it via screen exits, if they are available. Also you can develop a custom transaction.
B. Printing attachments
They are also not part of the standard functionality. Custom ABAP has to be developed to accomplish this.
C. Document Storage.
It depends on how you have configured your DMS. The default storage is the SAP database. However you can reroute it to any other storage mechanisms.
E. Why DMS for attachments?
You use DMS for attachments primarily to leverage the enhanced capabilities offered by SAP. For example if you use DMS
                              1. Search and retrievel capabilities are available for the document. Advantage here is you need not know the underlying SAP object behind it.
                               2. Same document could be shared by multiple objects in SAP.  If it has reusability in material master or other areas and f you add as an attachment to each of these objects, multiple maintainence and storage is required. So the clear advantage is change could be propogated from a single source.
                               3. Enhanced internet availability of documents.
                               4. Sap standard features such as Archiving is available, if you use DMS.

    However, when I'm creating a document with CV01N it shows organizational unit as a possible entry but doesn't give any help (F4) or doesn't allow to enter anything - when I enter org. unit (existing one) and press enter, the field goes blank.
    Is there any experience how to assign documents when using HR transactions, such PO10? Or is there a feature or IMG setting in OM I have to active before I can utilise this documents? I've tried to locate but haven't found any. I don't want to use services for object because of the needs for tracking and statuses.

    Pls. let me know that, How to pull/fetch the data (e.g.#) from SAP Status bar message, issued by SAP, while any creation takes place?

    1.All the messages will be stored in TABLE-T100.You can fetch the message from this table.
    go to se11 and check T100 table.
    press ctrlshiftf10.
    in the sprsl field give it as EN.
    press f8.
    you will  be able to see all the messages.
    or
    double click on the message on the status bar.
    it will show you an help window.
    there you can get the application area followed by the msg number.
    (for ex Message no. AD399  AD-application area and 399 is the msg number)
    now go to se91.
    give the application area in the msg class
    you can see all the messages.
    2.If you want to raise your own message then you have to create a Message class and there you can give whatever the message you want.
    Report zsridhar message-id zsr.
    now double click on zsr you will be able to create you own message class where you can give you own messages which can be raised.

    Pl goto RZ20, SAP Enterprise Buyer monitor--confirmation and open the alerts.
    All error logs have to be there. How will you analyse otherwise as to what went wrong?
    Have you done the partner profile settings for confirmation? Defined ports in SRM? Are you on classic/extended classic?

    We are just about to start with UAT and we have found this error which is a major problem for us.
    When we run the automatic assignment step via FBICA3, the system starts assigning documents automatically based on the matching rules that we
    have customized. After this, it starts classifying the matched documents based on the account groups defined in the customizing.
    The problem is, that sometimes one side of the matching falls into one group and the other side of the matching falls into another group and
    then the user cannot see the assigned documents in the same screen.
    We were thinking of using a BADI that gets called after the automatic assignment but we think this is a huge thing to do with a BADI because we would be changing the way the standard fucntionality works with our code.
    Any other ideas?

    Where in your scenario is the problem:
    #1 The object groups are defined incorrectly.
    #2 The data is posted incorrectly.
    If #1 is the case - change the object group definition
    In case of #2 it seems to me that what you want is more transparency where the issue is so the users can make the necessary adjustment postings. It would be good to have a specific scenario here.
    Why did you create the object groups you created? Are these examples you're referring to based on the fact that the invoices were posted incorrectly?
    In FBICR3 you would usually use either just one object group (Open Items) or two object groups (Payables and Receivables). Are GL open items classified as payables or receivables incorrectly when integrating them into process 003?
    Hope this helps. If you need additional answers, please provide more details and specific examples...

    P.S.: Instead of adding these other documents to the object groups where they don't belong you could also add a function which will display the partner documents for the currently displayed "assigned" documents which don't have their partner documents in the display in a popup. That way you're still showing the problem (partner document is not posted correctly) but give them a little more information how to correct it (item should have been posted to account ABC instead of BAC)...

  • Your user has no SAP Support Portal user assigned

    Hi all,
    in transaction SM37 I found a job that almost everytime ends with error. Name of the job is "SM:SYNC SAP SESSIONS" and it's executed daily. The error message is :
    Job started
    Step 001 started (program RDSWPCISERVICEPLAN, variant &0000000000452, user ID SYS_JOBYSAP)
    Your user has no SAP Support Portal user assigned
    Job cancelled after system exception ERROR_MESSAGE
    Everyday the job is scheduled automatically by another job "SM:SCHEDULER". I suppose that is same on your systems.
    I know the error message say that I should try to assign S-user to user SYS_JOBYSAP but I think it should not be the problem because some days the job ends with no errors. Also when I duplicate some old job (with status Cancelled) and execute it immediately the job ends in green.
    Do you have any idea what could be wrong? Is it possible that there is some problem with connection to SAP almost regularly everyday in same time?

    I would like to check whether the SAP service that is used by job SM:SYNC SAP SESSIONS is running in given time. I need to re-schedule job SM:SYNC SAP SESSIONS to other time. How is it possible? I think the job SM:SCHEDULER uses some table that contains detail informations about scheduled jobs. Is it right? Do you know name of the table?

  • Over delivery of a sales order-status still shows "not delivered"

    Hi Friends
    I have a problem with sales order . Total quantity in order is 10, even then system allows me to make 2 or more deliveries of total with more than 10 quantity .
    Following option I have tested but all in vain.
    1. In copy control at item level ( item category is TAN) document flow box is checked and Pos./neg. quantity column has value "0". If I take here "" then system don't allow me to make partial deliveries i.e 2 deliveries of 5 quantity each. It says " there is no quantity available for delivery or the item is not relevant for delivery.  I can make only one delivery with 10 or less quantity with "" sign
    If I take "O" in Pos./neg. quantity field then it allows me make as many partial delvery with more than 10 quantity, which is wrong
    Order status always shows " No delivery" even if deliveries made and PGI done
    2. In item category checked complition rule field with "A", "B" and "c" option still no effect and document flow shows "being processed "

    Maintain value + (plus) in the field Pos/Neg quantity at item level in the copy control settings (t.code VTLA). After making the settings, create a new sales order and test.

  • RNOTIFUPDATE01 - SAP Status not updated from Service Desk msgs

    Hi Folks,
    Already for some days we're facing the issue that SAP status of Solution Manager msgs that are sent to SAP is not updated in the SolMan itself.
    So, if a msg is send to SAP, and SAP made an update and changed their status to 'Customer Action' or 'Solution Provided', the status in SolMan is still 'Sent to SAP'. Only at the marketplace we're able to see the real status.
    The job RNOTIFUPDATE01 runs successfully every hour, no errors listed.
    However when I run the job manually in SE38, i get a message like:
    9999017765 012005041000000066052008 Read/Update Error
    9999017765 012005041000000066052008 Locked, Entry in DNOD_UPDATE Successful
    Searching for these errors in the notes, gave me some results, but unfortunately these corrections are already in our system.
    Our patch level is SAPKA70015, SAPKB70015 and SAPKITL426.
    I'm not 100% sure, but I think that it is related to installation number, as some msgs are updated and other aren't.
    Does any of you has an idea?

    Hello Roel,
    The update of the status in the Solution Manager service desk document (usually SLFN), to match the SAP one, is managed by the method AISDK_SP_CHECK_DNO. To configure this, do as follows:
    - Execute transaction SPPFC, selecting the Application DNO_NOTIF
    - Open the action profile SLFN0001_STANDARD_DNO (or the one you created as a copy)
    - Open the action definition SLFN0001_STANDARD_DNO_CHECK (or the one you created as a copy)
    - Under "Processing Types", check if the method AISDK_SP_CHECK_DNO is set (if not, set it as the method to be called)
    - Check the method parameters:
    USER_STATUS1 is the status that was set BEFORE SAP answers
    USER_STATUS2 is the status that will be set WHEN SAP answers (this is the one you should modify)
    Save everything and test.

    I started with testing on documents for business partners because this is a standard supported flow. Then I extended to non-standard supported business transactions
    In brief, for business partners , in CRM system I
    -Setup the HTTP Service in the Internet Communication Manager
    -Maintaining WebDAV Hierarchies
    and in portal  I :
    --Setup the HTTP Data Source
    -Setup the Memory Cache ( choose existing one )
    -Created WebDAV Repository Manager
    -Created an Index for the CRM Document Repository

    Does any body knows how can i create navigations iviews that show differents documents from the same folder? This is my situation i have a folder that include documents for diferents countries, i want create a navigation iview that show only the documents for Canada from this folder.

    The only other option is to give user access using taxonomy. But it seems like a lot of extra work to keep documents in the same directory. anyway, here is the overview of steps:
    1. create index (SA > System Configuration > Knowledge Mgmnt > Index Administration)
    2. create categories within the taxonomy.
    3. define Query on each category. (Content Management > Classification > Taxonomy Query Builder)
    4. create property: property namespace, property group. (SA > System Configuration > Knowledge Mgmnt > Content Mgmnt > Global Services > Property Metadata)
    5. <b>assign props to the docs.</b>
    6. Schedule the crawler to create classification index.
    7. classify docs so that docs actually go recide in the categories
    <b>8. Create role, page and KM Navigation iViews for end user to browse the taxonomy instead of going directly to the repository.</b>
    9. restrict permissions on the taxonomy for different user groups.

    According to your post, my understanding is that you want to show SharePoint documents in salesforce.
    You need to integrate SharePoint with Salesforce.

    You will need to connect your iPad to your computer's iTunes and do File > Devices > Transfer Purchases to copy them over to your computer (that will copy PDFs and epubs that are in the iBooks app, not just actual ibooks), and you can then sync them to your iPhone. Or you might be able to open each PDF in iBooks on your iPad and use the share icon to email them to yourself and then use 'open in' in the Mail app on your iPhone to copy them to its iBooks app (if the PDF is protected then you may not get the email option via the share icon).
    The Settings > iBooks > Sync Collections setting doesn't copy items between devices, it just means that it a bookor PDF is on both devices and you move it into a collection on one device then it will be moved into the same collection on the other device
