Send mail by org unit

Hi friends.
I have saw some posts about this, but I can't understand configuration details.
How to link org unit to a send mail task step by step ?
Is that necessary to configure anything with BASIS team ?

Hi Rick.
In reality, CO functional asked me to develope this WF to send only a mail, when an account is created in FS00 transaction, to everyone in org. unit of Controlling (and below structures of it). No need of workplace message nor work item.
Once structure code of Org. Unit. can be different between development, quality and production, I create a "general" parameter table maintained by SM30, that we can put the correct code of Org. Unit in each system. So, when WF starts, there is a Z method that get this Org. Unit code and fill in a variable begining with a "O". This same variable, I put in mail step.

WF error sending notification to org unit

Hi All,
I'm facing an amazing issue :
I use my WF to send notification. The recipient can be a single user or an org unit(object O, in this case all people belonging to this org unit receive the notification in theur SBWP). It was running very fine before but newly my WF goes on error if the recipient is an org unit. I checked my structure, there is no issue, people are well assigned and have their users defined in the system.
Could you please tell me what's the root cause of this issue? Is there a configuration of WF or rules I should verify?

here is the last news, My WF runs correctly for another org unit. I went to the detailed log(transaction SWi2_freq) and found that for the container of my task(sending notification to the org unit ) some values of the structure "_Workitem" are diffrents :
Field "callbackFM" which value is SWP_CALLBACK_WI_DONE for both WFs
Field "return value" :
the WF which ran correctly : 0000
the WF which went on error : 1001
So I guess that this FM causes the error, but I can't find this FM with transaction SE37
How to reach it?
Have you faced this error before?
A colleague audited the OM structure, he confirmed that it's well set up, and the error is not due to wrong assignements or invalid dates.

How does workflow retrieve users under an org. unit when sending email

Dear All:
Workflow supports sending email activity where you can specify the receipt type and receipt ID. For example, the email is supposed to send to the users within an organizational unit.
I am just wondering how SAP workflow determines the users within an organizational unit? Does it use HR-ORG evaluation path to get objects under an org. unit?

Yes workflow template and standard task are also part of organizational unit. As you mentioned that the if the recipient type is choosen as Organizational Object then the workflow system will try to fetch the data from the organizational unit based on the recipient ID you provided in the mail step let say if you are using the recipient id as position Id then workflow system will try to get the data from the organizational unit
Org object types supported by the workflow system are US, C, S, O....
If at all the you choose the workflow recipient type as email address which can be a external address then in that case it just simply makes use of BCS communication methods and and in this case your SCOT settings must be configured properly.
The difference between the first and second is, in the first case the work items or mails/documents will be sent to sap inbox (SBWP) in the second case it depends on the mail ID you mention for example a outlook mail ID.

Sending mail to a particular positon in org structure via workflow

hi all
i have a problem regarding sending mail to particular position in org structure on runtime execution via workflow so that i neednt hard court the particular position
to achieve this i am using expressions,first i have created a new container element and then i have used container operation like this:
(lead.employee responsible.business partner= container element defined by me)
when i first try to execute the workflow and test it ,in the container i am getting the value of the container element in which i have the position where i have to send the mail.but inspite of value getting populated ,when i am using that container element to send mail like:
expression: container element
the mail is not send,when i checked the log it is mentioned that " you are not the authorised person to stsart the workflow and start failed" but workflow is still triggered and i am able to pass the object but not able to send the mail.
please tell me is there any feasible way to achieve this,like rule or in my way how is it able to achieve
detailed possible solution will really be appreciated.on thing we are working on CRM 5.0 standalone system

Follow this ,
Goto PFTC -> Choose "Workflow Template" from the drop down -> Enter the workflow template id "123********" in the text box -> now click on "change" button -> Now goto the menu addional data -> agent assignment -> maintain -> select the task text -> and set it as general task.
I guess you have done the same for the standard task TS*********** but failed to do it for the workflow template (WS123*************). Or have you done it already?
Also once you make this change "Refresh your buffers" once before checking it out.

PROBLEM IN SENDING MAIL TO POSITIONS THROUGH SEND MAIL STEP

Hi Experts,
I am facing some problems in sending mail to positions from the organization structure from the send mail step.When I am using user as the recipient type it is working fine...but when i am choosing S position as the recipient type it is giving the error in the workflow log stating that method SENDTASKDESCRIPTION cannot be executed.
I need to find a solution urgently...any suggestion would be sincerely appreciated.

Well you have probably tried this.. but just a recheck.
1 . send email setep select Organizational Object
2. Recipient Type Organizational Unit
3. Here do an F4 and then select the Unit...
Try this SAP behaves weirdly at times...
after this do Refresh Buffers.. and Org Unit...

Send mail to external address using send mail step.

I have one question.
In a send mail step of workflow, when the recipient type is a Organizational Object and Org Unit, the mail is only sent to workplace? I would need to send the mail to external address from all users of Org Unit. Is possible it?

Hi,
1) In the Recipient type select the E-Mail address from the drop down
2) And give the email id (in the text box)
3) Then save & test it.
4) Once it execute goto t.code SOST and see the email entry.
5) If entry not found, the SCOT settings is not done then check with Basis Team
6) If found, select it and execute.
7) And check you email

Send mail to multiple users in outlook through workflow

Hello Experts,
I have a requirement where I have to fetch all the email ID (abc@companycom) under support team in an org unit and send mail to these multiple email ids when a support message ticket is created in transaction CRMD_ORDER.The BO for this is bus2000116.Now I have created a ZBO with supertype as bus2000116 and a custom method where I am fetching the email Ids.I have also created an EXPORT MULTILINE parameter (EMAIL_ID) for this method of type ADR6-SMTP_ADDR.I have tested this ZBO and it is correctly fetching all the email ID in this parameter.
Now in my workflow builder,I have created a Activity type and here I have created a custom task calling my ZBO and custom method of fetching email id.I have also created a container(EMAIL_ID) for this task of type ADR6-SMTP_ADDR.Here I have binded the task(fetch email step) to workflow.In the Agents I have given &&EMAIL_ID&& in expression as this is the container.
After this step I have added the mail step and in the reciepient type I have given G organizational object and expression as &EMAIL_ID&.Here I have added a standard task(TS45308726) with BOR as (SELFITEM and method as SENDTASKDESCRIPTION)for sending mail to these multiple ids to outlook.
I have activated the builder and tested it.In the log I can see,the event has been triggerred,workflow is started,but workflow status is set to error.The step fetch mail is getting executed correcttly with 4 email ids in the container.and the third step send mail is also failed.giving error as "Work item 000000066700: Object 000000066700 method SENDTASKDESCRIPTION cannot be executed".
Kindly give your valuable suggestions to rectify this issue.In SBWP i could see the workflow started but mails are not reaching my outlook.Your solution will be highly appreciated.

Hello Everyone,
I have another issue.My workflow when directly executed sends mail to all users very quickly.All steps gets executed very quickly.This I could see through the workflow log and SOST and SCOT.But when I try to trigger the workflow through my transaction CRMD_ORDER(i have given proper BO and event) it is taking hours and still in Inprocess status.Infact its not even going to the first step(fetch email ids).
I am totally confused on this behaviour.Kindly provide your ultimate solutions and I am very thankful for giving such good solutions to all my queries.

How we will send mails to Mutiple Users in One Department

I don't want to send mails to Outlook/Lotusnotes.
I want to send mails from my SAP user to my whole department internally.
Only the message has to go to my whole Purchase depatmen. If i Change any Purchase Requisition then only message has to go them..as pur.req has been changed.

Hi Soni,
Think i have answered in your other post as well.
May b u can proceed as Ajay had told u.
But instead of creating a Postion.
You can directly go to the Send Mail Step.
Select "Organizational Unit" in the recipient type and select your production Department using F4 help (which will display all org units defined)
This will enable the send mail step to send mails to everybody in your department.
i.e. mails will be sent to all positions that are under the org.unit selected and are assigned to an employee and with a valid IT0105 (Communications type) record.

Hi All,
I have a Scenario where a mail should trigger to the chief of the Organisation Unit (HR) where there are some changes being made to the Personnel Data. I have completed the workflow and its working fine but have a concern as to how i can pick the chief of the Org unit.
I am getting mails in SBWP can anyone help me as to how i can send to Lotus notes.The connection are3 working fine i have checked in SCOT the default domain has been set.
Any help or inputs on this would be highly appreciated.

I think you can use Standard Rule 168 in your Workflow in order to retrieve the chief or Org Unit if you have the User Id or the PERNR. If you have position ID you can Use Standard Rule 157.

Send email to Organization Unit in CRM 2007

Hello friends,
At tcode SBWP sapgui, It is possible to send a message to a Org. unit. , receipt type u201CH u2013 Organizational Unitu201D.
I need at CRM 2007 webui to do the same thing, send message to receipt type u201COrganizational Unitu201D but I could not find this option there.
I sending email through screen EMAIL in CRM 2007. At that screen I found options only to send message to individual emails from Lotus Notes/OutLook list, or individual user in CRM, but nothing from Organizational Unit.
My requirement is, at email screen, user must be able to send a message for all user assigned to a Org, so they will select the O.U. and CRM will send message for all users, but we donu2019t want to use Lnotes or Outlook groups, user must select a Organizational Unit.
Does anybody know if there is a way to do that at CRM 2007 webgui.

Hi Lalas,
Users must be able to select which Org. Unit they want to send the message. It is not possible define rules.
Users must be able to type any text that they want as message text.
You can pass the org unit to the workflow and store it in a container element. Then use this element as reciepient type for the send mail step.
I don't think passing message text in such a way would be desired.
Then instead of using workflows you can use FM SO_NEW_DOCUMENT_SEND_API1 to send mail to the desired users.

Check teh binding of the task, it uses multiline element containers for addresses and for recipients etc.

Problem to define recipent type for Send mail option in WF

Dear All,
I am trying to create a send mail from WF.
but i am struggling to define recipent   type as it shows following options
1. Organizational unit    -   we don not have org chart defined in our company
2. JOB                           -   I think it is again with Org Chart
3. Position                     -   it is again with org chart
4. work center              -   not applicable
5. user
    when i define it it gives me error message with binding
     Express
     typid
     addressstrings
     are not defined in container
6. expression              - i do not know how to use
7. Workflow initiator expression     -   I do not know how to use

If you choose the Recipient type is "E-Mail address", you can enter the email of the person manually to whom the email should be sent or you can still choose an expression (Container) which will have the value determined dynamically.
If you choose the Workflow Initiator, the notification goes automatically to the user who has started the workflow.
If User, you can enter the sap user id manually or determine dynamically using expression.
If expression, you can choose a container element which holds run time value.
Regarding the binding errors, you can generate the binding automatically.

Sender Mail Adapter - forcing content as an attachement

Hi all,
We are using the Sender Mail Adapter to pull emails from the inboxes of some users of an exchange server. We use the Mail Package option.
We have noticed that the content of the emails are by-default added as attachments when there are no real attachments to the emails. However the content is not added as an attachment when one or more attachments are present in these emails.
Is there a way of forcing the Sender Mail Adapter to always add the content as an attachment and keeping the other attachments as well? and of course maintain the Mail Package message type as the main payload...?

In your opinion is it possible to force the Outlook Exchange server to add the content attachment every time? I mean by doing some configuration on it...?
The reason why we would like to do this is because when - in the content tag of a Mail Package message - we have MIME message parts that are of content-type text/html we are having problems in decoding the html back to a readable format.
To do this we use the apache QuotedPrintableCodec Java class.
This works fine when the content type of the message is just text/plain but we get an exception when we try with text/html.
The exception we get is:
org.apache.commons.codec.DecoderException: Invalid URL encoding: not a valid digit (radix 16): 13
I don't know if this is because of the two character sets we have in the payload (utf-8 and iso-8859-1) or if it is for other reasons...
If you could help me figure out how to forward any HTML email to another system in a readable format it would be great.

You can use either of them. To know more on IMAP and POP, i would suggest you go through these links,

If your are using IMAP, you will have to specify, which folder from which you wnaty the emmail to be retrived, this is not needed for POP.
