Simple Bank Balance Sheet Question

I have a simple bank balance spreadsheet.
The headers include the following:
Date Amount Category Cleared Balance
The category is a pop-up list, cleared is a check list
What formula do I use to add the total amount spent in a category, for the purpose of making a spending graph? I guess I need to "look up" the "kind" in the column and then get a sum of the amount, but I am not sure how to do this. I am sure it is simple.

This method may not be particularly elegant but I have been using it successfully for years.
Okay, let's assume for this example that you have Columns A through E with the headers you specified, Date, Amount, Category, Cleared, and Balance. Further, you have a pop-up menu on the cells of the Category menu. Again for this example let's assume the pop-up values are "Utilities", "Food", "Clothing", and "Other". Now you need to establish 4 columns (one for each of the menu items). Let's use columns G through J. In the header of column G, type Utilities. In the header of column H, type Food, and so forth.
Now in cell G2 enter the following formula =IF($C2=G$1,$B2,)
Copy the formula into cells H2 through J2 (fill right) and then copy the formula from cells G2 through J2 (fill down) down the spreadsheet to as many rows as you think you will have entries.
What this formula does is examine the contents of the Category cell and compares it to the text in the header of the column. If they match the $ contents of Amount are copied to the new cell. So, when you get done with this you have 4 columns of mostly zeros except where the categories match. Then all you have to do is at the bottom of each of the 4 columns (possibly in the footer), sum the column and you will have the individual sums for each category.
I hope this wasn't too confusing. There may be a more elegant way and if someone knows it maybe they will post it and I'll learn too.

    but now user want one field like "psbl" which will write on report either pl or bs

  • Balance Sheet Planning in the Banking industry

    I am trying to understand the peculiarities of implementing Planning in the banking industry, especially for balance sheet planning. I am assuming a typical bank which serves individuals and companies with various products. There are a few areas that I wanted inputs on:
    a) What would be the key drivers for such a bank
    b) How are these drivers factored into modelling the Planning app.. as in are these drivers corporate of branch level or both
    c) How do the products offered by the bank affect balance sheet planning
    Again due to the generic nature of the request I am expecting a wide range of answers. Hence please chime in with your inputs.

    Hi Bhaskar,
    This is one option.
    There is one table SKA1 which stores all account codes.
    In that there is one field KTOKS.
    If that field value is CABK = Cash and Bank Accounts, then it is a bank account.
    You can do F4 on that field and see the various kinds of master values and check if there are other codes for BANK.

    My 2p  to voddi's info:
    To get YTD use a range on the posting period: from 000 to reporting month. The latter might be either a SAP-exit or user entry variable.

    I will explain my scenario
    The is cleint having Head Office for handling procurement of goods for all branches(8) and the physical delivery happens for goods at the requested branch and GR and IR also makin at the branch level.
    And we are treated each branch as profit center apart from HO(profit center).But the vendor payment should be happen from HO(prfoit center) so and they are not using automatic payment programme.
    My question is
    1.While doing the vendor (Branch)payment from Cash/Bank GL (HO) how the balances will be tallied ?
    2.If I am using the document splitting and zero balance document clearing will it tally at the profit center level ?
    3.At the period end if I will do the 1KEK T Code to transfer the payables to the profit center which profit center system will take for posting ?
    Please advice me in this and I will give good points with correct answer.

    Please find answers to your questions below:
    1.While doing the vendor (Branch)payment from Cash/Bank GL (HO) how the balances will be tallied ?
    Answer: The Profit Center balances will get automatically tallied due to document splitting and Zero balance account being defined properly.  The automatically identifies it
    2.If I am using the document splitting and zero balance document clearing will it tally at the profit center level ? 
    Answer: Yes that is the main criteria to get full fledged Balance sheet and P&L account by Profit Center
    3.At the period end if I will do the 1KEK T Code to transfer the payables to the profit center which profit center system will take for posting ?
    Anwer: With Document Splitting, you don't have to do the period end transaction in PC to transfer the account payables, accouts receivables and fixed assets.  The transfer is online and real time basis.

    Hi all,
    Can someone clearly explain the need to create commitment items for balance sheet accounts? I have searched a lot and have not found a satisfactory explanation. Since balance sheet accts are typically not budgeted, why do they even have to be reflected in FM?

    Hi,
    Sometimes, there is a need in budget check, through posting on balance sheet accounts, e.g. stocks, assets, etc. However, in most other cases it's indeed not necessary and the commitment item given should be either dummy one or in special cases, GR/IR, banks, etc., defined specifically for the issue in question.
    Keep in mind, that once FM is activated every relevant posting must have FM assignment, including those on balance sheet accounts. That's why, even if you don't want to manage the budget, you have to assign FM objects to these postings.

  • Balance sheet reports - YTD or Periodic

    Hello Experts,
    Had a question about how and what data needs to be loaded from BW to BPC NW version so that I can create balance sheet reports in BPC. Currently I am loading the periodic debit-credit activity to my planning application for all the accounts (Its the 0FIGL_O14 DSO and there is a custom cube created over it. We are not loading the 0BALANCE from the 0FIGL_C10 cube).
    As an example, when we select in the current view both 2011.MAR and YTD, I though the report was supposed to return the values accumulated between 2011.JAN to 2011.MAR for Balance sheet accounts. Instead of that, the report returns only the 2011.MAR value.
    But after reading a couple of threads on the forum I found that the above is the right behavior since balance sheet account values are always loaded as YTD.
    I know I am doing something wrong out here but dont know the exact reason and how do I correct it?
    Please give suggestions around how balance sheets are to be created and what data needs to be exactly loaded from BW...

    Hi Gaurav,
    It is ideal to make all the custom changes in BW itself and feed it as-is to BPC, as to do this in BW it just requires some simple ABAP.
    I am assuming that you are feeding data to BPC via 0figl_c10 cube(transaction figures) or a custom cube based on it. This cube should have 0sales(periodic balances) and 0balance(cumulative balances). So enhance this cube with a new key figure and populate this key figure based on the approach that i mentioned to you earlier. Just map this newly added field to BPC signeddata to meet your requirement. This is the best approach that i see.

  • Balance sheet adjustment account usage in clearing

    Hello,
    I am doing a clearing (F-03) on a bank account which has a foreign currency. Because of the differences in amount a document is generated automatically. The strange thing is one of the line items of this document is balance sheet adjustment account (which is specified in OB09)
    For all the other clearings in foreign currency; the posting is between bank account and forex gain (or loss) account. My question is, in which circumstances balance sheet adjustment account comes into play in F-03?

    all of our main bank accounts are open item managed. But only for one main account balance sheet adjustment is required. I checked the open items on the account and they are from different fiscal years. Could that be the reason?

  • PCA Financial Statement (Profit/Loss Account and Balance Sheet)

    Hi Experts,
    I have the following question on preparing PCA Financial Statement (Profit/Loss Account and Balance Sheet), ECC6.0, with document splitting features.
    Let say I started my business with the following GL accounts:
    Bank A, USD6,000
    Bank B, USD4,000
    Capital, USD10,000
    My company does have 2 departments (cost centers), and the above Balance Sheet GLs, cannot be identified / separated in the cost centers level. My cost centers to profit centers is one-to-one, which are cost center A = profit center A, and cost center B = profit center B
    I have  Sales to customer of USD12,000, and Receipts from customer is USD7,000 at Bank B, therefore (customer balance is USD5,000).
    I have also expenses:
    Expense A: USD1,000 (cost center A)
    Expense B: USD800 (cost center B)
    Double entry for expense is Dr Expense, Credit Vendor.
    I paid 50% of each of the expenses using Bank A, which are: expense A, paid: USD500; expense B, paid: USD400
    My Financial statement without profit center should be as follows:
    P/L Account:
    Sales, USD12,000
    Expenses, USD1,800
    Profit: USD10200
    Balance Sheet:
    Bank A: USD5,100
    Bank B: USD11,000
    Customer: USD5,000
    Vendor: USD900
    Profit: USD10,200
    Capital: USD10,000
    Question:
    How can I report the above financial statement into PCA level, which are Profit center A and Profit center B?
    Note: I can't hardly separate Bank account, Sales (revenue) into Profit center level (Assuming I am only using FICO module, No SD/MM Module).
    I can't use FAGL3KEH to differentiate the Bank Account.
    During data entry for revenue, I can't have valid reason the revenue belongs to which profit center.
    Kindly advise on is there any way (with logical reason) to make financial statement into profit center level.

    Basically You/Business need to Identify the need for Profit center wise Balancesheet is required or not? If Balance sheet at Profit center level is required then whether they have to decide whether can seggeregate every account balance to a profit center is possible or not? In other words on a cut over date you should have a Profit center wise Trail balance in place. Once it is in place rest all is possible.
    What I can understand from your question is how to identify Gl balances against profit centers foor balance sheet Items. If it is not possible then you can create a corporate profit center and post all transactions to that profit center.
    When comes to cash / Bank/Customer/vendor balances the system Identifies the item belongs to whihc profit center and in case cross profit cneter transactions are involved the system uses the "ZERO BALANCE CLEARING" account as an intermediate account for posting the data. By this one profit center will be Dr. and other will be in Cr as far as ZERO BALANCE ACCOUNT" is concerned and at company code level this GL balance is always ZERO.

    Our client has created a bank account as a P&L Account and posted transactions to it. This was unearthed only when we were helping them close their books.
    Now, we need to convert this account into a balance sheet account before closing the books. Please share the process to do this and advise necessary precautions.

    Hi:
    If you assign new account group and to old GL accounts then the number range defined for OBD4 for new account group may conflict with the GLs defined earlier.
    To cater your requirement you have two options
    Create NEW GL in FS00 for Bank with correct Account group assignment and transfer the Open item from Old GLs to New One using F-04. This is the simple way.
    2nd option you have which probably is best suited if there are mass number of GLs involved and their account group is required to be changed. In that case you will have to create new Account group with same number range as created earlier so that existing GL (only if you want to make use of Old GL) could be assigned to them . If you don't do so you will not be able to change account group.
    Whatever the option you adopt  after changing account group you will have to remap your new GL in FSE2 you will have to changing Mapping of FS items. This will correctly map Bank GL to current asset area.

  • Balance Sheet translation at spot rate at ANY point in time

    My client produces its financial accounts in AUD.  They will have open items in AR, AP and Bank in foreign currencies.  WITHOUT running periodic valuation they wish to produce a Balance Sheet at any point in time during the month applying the applicable daily spot rate to valuate the Foreign Currency open items (for reporting purposes only).  I have run S_ALR_87012284 and maintained the special evaluations tab for Display Currency (AUD), Key date for translation (current date) and exchange rate type (spot rate type).  However, this does not appear to be revaluating the open items in the subledger accounts to produce the balance sheet at the current spot rate.  Appreciate input / alternate approach.  Cheers, Dean.

    As per Oracle following are the rules that has to be followed for translation.
    1. For Balance Sheet Accounts (Asset & Liabilities) GL as a default uses the YTD rule.
    2. For P&L Accounts you can choose between YTD and PTD rule. So in your case you can use the default PTD Rule. (Profile Option 'GL Translation: Revenue/Expense Translation Rule')
    YTD Rule = (Translated Period Amount = Period-End Rate x YTD Ledger Currency Balance - Beginning Translated Balance).
    PTD Rule = (Translated Period Amount = Period Average Rate x PTD Ledger Currency Balance)

    Since you have 1 company code and 2 business areas, the catch here is the assignment.
    It all depends on the MM integration settings where the account determination is set.
    It depends on how many stock accounts you have.
    Whether it is segregated between business areas.
    GR/IR can be one account.
    Assign business areas to business area plants and storage locations.
    You can make transfers from CC plant to BA plant.
    For balance sheet preperation, ensure a clearing account is created / execute readjustment programs and generate BS
