Sort by Expense Report Number in PR05
Hi Gurus
Is there a way to sort out by the Expense Report Numbers in PR05 ?
My client wants to see all the Trips with status "Trip Completed" and "Open/To be Settled", on the top for easy identification, rather than looking for the Expense Report with the above status, scattered among the available Expense Reports in PR05
for "Approval" and "Settlement".

In PR05, I am not confirm weather sorting is available, however very good filter option is there (Menu -> Edit -> Selection Criteria)
You can filter based on number of combination ( For example "Trip Completed" and "Open/To be Settled")

Iexpenses search page - Expense report number li
The standard Iexpenses search page has the following layout in the PG xml file for expense report number.
Its a message styled text item - ReportNumberEnabled, which has no fireaction/firepartialaction against it, and a destination property is provided.
In the UI, it appears as a link and when user clicks on the link, it shows details related to the expense report.
I need to extend the page controller, handle the link click event in PFR and perform some validations.
Since the item is not a link and there is no action assigned to it, how do I handle the link click event.

Expense Report Export does not create Invoice in AP
Hello,
I have created several expense reports in AP (Running EBS R12, I am not using iExpenses), but when I use the Expense Report Export request, the invoices are not created. I have looked online and found some plausible solutions. None of them have worked: I've made sure the Employee payment method is set up; the Usage rules for payables are also set up for Employee Expenses in the payment processing transaction type. In the Payables Option screen, I have selected the Automatic Employee as a Supplier option.

AstridI found the answer and I am posting it here in case someone else needs it:
You need to run the Expense Report Export with the Debug Switch on (you can find this under the request's parameters). When the output is ready, just select "View Log..." and search for the "REJECT CODE"; it will let you know what went wrong with your expense report. In my case, the suppliers I was using had invalid liability accounts. As soon as I updated them, the invoices were generated.

Can't find Expense Report process in Find Process in Workflow - Urgent
Hi,
I have a submitted expense report. I tried to search for the Expense Report number in the Find Process window in Workflow administrator responsibility.
But it did not give me any result. When I query ap_expense_report_headers_all using below query for the same Expense Report number, i got the data.

Then i tried searching for the notifications recieved by the Approver of the Expense Report. Enter Approver Name in TO Field in Find Notifications window in Workflow Administrator resp. But no notifications are available in that approver list.
When i query in the APPS.wf_notifications table for notification from this process, i could find that the notification is in closed status.
Can some one help with the pointers, why the Expense Report is not displayed in Find Process window and Notification is not displayed in the Find Notifications window?

use APEXP as the 'Type Internal Name'
change the 'Workflow Started' to 'Today'
The item Key for your workflow should be the expense report number, pick yours and drilldown in to the workflow to see where you it is waiting. -
How to view changes to expense reports
I am trying to find a way of viewing changes to an Expense Report.
In PR05 there is a history but it does not provide details about the change. I have also looked at PRTE and cluster AEND but again this does not provide the details that our business users require.
Does anyone know if there is any other way of viewing the detail of changes to an Expense Report?
On a related issue we have found that in PR05 the approver name is showing as the workflow user rather than the user ID of the person who approved the trip in the Portal. Can this be changed to the actual approver ?

I think T-code PRTE provides only screen level changes (i.e who , when creates, save or updates by whome)
For detail level changes in expense reports you need to activate Define History and Archiving of Forms

History
If you activate logging of history, the system logs the changes to travel requests and expense reports. Users can display the history in the following user interfaces:
Personal object worklists (POWL) for travelers, assistents, and approving managers on the Web Dynpro ABAP-based user interface of Travel Management
Transactions of the travel expense report in SAP GUI; for example, in the Travel Expense Manager (transaction PR05) or in the Travel Calendar (transaction PR02)
If you do not activate logging of history, the system automatically logs the changes made to expense reports (as in earlier releases). Users can display the change history only in the transactions of the travel expense report in SAP GUI.
Storage of Travel and Expense Forms in the Archive
If you have activated logging of history, you also can define that the travel request forms and expense report forms are to be automatically archived when certain events occur. You can determine which of the following events triggers the archiving of a form:
When processing of a changed travel request or expense report is handed over from the user who makes the change to another user
When the status of the travel request or expense report changes
When a user saves the travel request or expense report
You can archive the Adobe PDF forms or HTML forms for travel requests and expense reports, but not the forms for travel plans. If you use an ABAP list form, the system first converts this form to an HTML form and then archives the HTML form.
In the following activities you define which kinds of forms the system uses:
For travel requests, see Define Enterprise-Wide Control Parameters and attribute HTMLFORM_R_P.
For expense reports, see Travel Expenses Control (Expert View), Other Settlement, field 24.
Requirements

We're configuring expense report for ESS, and I'm facing following problem : When creating an expense report in ERP (PR05), the system proposes WBS element as cost assignment (which is ok).
When doing the same in ESS, the system proposes cost center as default cost assignment.
I looked at the trvco-fauture, but everything seems ok.

have checked the log file, the reason for rejection of all expense reports is due to the reason INVALID ASSIGNMENT. This normally happens when there is a missing configuration in the sequential NUmbering feature ....
If the Sequential Numbering profile option is enabled, then you must have defined a document sequence ... if you did not then you have to change the profile option Sequential Numbering value to NOT USED. So that system would not look for Sequences when performing import ....
Also check the below references and make the change as suggested .. that would resolve your issue ..

How can I get the project number to be included in my expense report query?

As title suggests, I need to include the project number in my script for the users.
I've everything else but I've noticed even with the project number specified in the application (in Step 3), the database table (I'd thought that it should have been in the AP_EXPENSE_REPORT_LINES_ALL.project_id but it ain't).
Where is it located..?

SProject_id In Ap_expense_report_lines_all Is Null In Oie.K. Is This Intended Functionality ? [ID 437559.1]
In OIE.J and below , the project_id value was stored in AP_EXPENSE_REPORT_LINES_ALL table.
From OIE.K an on ,the column name project_id was obsolete in ap_expense_lines_all table,
and was added in table ap_exp_report_dists_all. -
Default Value in Number field in Travel Expense Report

I have a requirement from my client's side. In the Expense Report, when I coose an expense receipt, say for TAXI, I get a value in the field "Number". I know that the value can be configured or defualted based upon the "From" and "To" date.
My client needs the number field to get defaulted, based on the "Expense Receipt" chosen. For example if somone chooses "Parking Fees" the number field should get defaulted automatically by the value 3 and if somone chooses "Telephone Expenses" the number field should get defaulted automatically by the value 2.
Is there in any user exit or anything that takes care of this?You may take your ABAPer's help to enhence the report.it would be small change.Might be you need access key for this change from your Basis team.

How to Derive the Card Number from Expense report Invoice

How can we derive Card Number(iExpense) from Expense Report Invoice number.
By expense report invoice number i mean, once the expense reports are created in iExpense we import those reports into payables which in turn will create an Invoice.
I want to find the Card Number which on the credit card transactions(ap_credit_card_trxns_all) from Invoice Number, How can we do this.

PR05 access Travel Manager and Expense Report screen
Hi,
Can anyboy suggest how to use T Code PR05?
1. When I enter T Code PR05, first screen is for Travel Expense Manager. This screen is used by Manager to Approve or Reject Travel Expense Report. Then I have to click on create button to get into Travel Expense screen.
Can we get into Travel Expense screen in T Code PR05 directly instead of getting into Travel Manager screen?
If yes, please suggest what settings needs to be done?
2. Can we create Travel Request in T Code PR05?
3. Can we manage the Travel Manager screen and Travel Expense screen seperately by Security, such that, Traveller should access only Travel Expense screen. He shouldnot get into Travel Manager screen. Similarly, Manager should be able to access only Travel Manager screen but not Create Travel Expense Report screen.
Please suggest.I'm not sure if I get your point but PR05 functions are build on authorizations.
So if the manager should only be able to approve than you can give only this authorizations to the manager. (transaction PFCG)
And for Approval from Manager you should set up a worfklow with a work item - so the manager should only have display rights for PR05.
(Or even better - just use WebDynpro POWL for the manager to approve without a workflow running in the back)
Yes you are able to create a travel request via PR05 - just enter future date. -
Trip expense report settlement in case of Inactive Employee
Hi T&E Experts,
We are facing a typical problem, in settlement of inactive employee trip expense report.
Details are as below:
- One of the employee moved from 1 Organisation to other. His personnel number status in old organisation is showing as "Withdrawn".
- Some of the credit-card charges on his personnel number are still pending for settlement.
- The current trip created to settle these charges is in "Approved - To be settled" status.
- Now we are trying to use "PREC" transaction to settle the trip. Transaction is rejecting the trip, as personnel number is invalid (inactive).
- Because the trip is still not in "Settled" status, we cannot use PRFI transaction to manually release the trip payment in next posting run.
We have tried different ways like making the employee active, but nothing is working here.

AdityaWould agree with Mathieu in this case, changing the SYS_DATE on the authorization check is probably the most effective way of avoiding this as the authorization check is very strong in Travel for infotype 0000/0002/0017 etc.

One other point is how you configure the leaving action for an employee who will be terminated (this is done via PR05 in the radio button "Organizational reassignment")
Whilst it should not be possible to create a trip/expense report for a terminated employee, however as there may still be a need to process expenses with posting to FI/Payroll etc after the termination date
(Table V_T582A, for the relevant HR infotypes 0000, 0001 and IT017 is relevant here and needs to be maintained) then the leaving action also becomes important.
Finally, keep in mind that credit card expenses if you use CC clearing go to the error file for inactive employees

Restrict expense type in Expense report
Hi Experts,
We have some expense type which are paid by company for corperate credit card given to employee and rest expense type are cash for which employee need to be reimbursed.
So, we want that in Create Expense Report in ESS only cash expense type should be displayed instead of the whole list of expense type.

solution for your released. Please see note 1045303.
Furthermore, please kindly see the documentation available in

If you like you have the alternative to create an User Exit on which
will check the Expense Type if it is valid for this User or not before
saving the trip data.

PR05 is the Tcode for Travel expense Manager where the data will be posted and The table is PTRV_HEAD where the data get stored .
