Standard Goods Receipt PO resulting in odd Journal Entries

I posted a Goods Receipt PO which inculded quantity 3 of an item that is $77.60.
Normally, this should create a Journal Entry where Inventory gets debited $7760x3=$232.80 and the allocation Account (GOODS RECEIVED NOT INVOICED) on the credit side for the same amount (232.80).
However this time the resulting JE
(1) credited GOODS RECEIVED NOT INVOICED for the expected amount (price x quantity = 232.80)
(2) also credited COGS for $1472.37 and
(3) debited inventory by $1705.17 (the expected $232.80, plus the unexpected $1472.37).
Why is the $1472.37 included in this transaction at all - it should have only credited GOODS RECEIVED NOT INVOICED and debited INVENTORY both by $232.80.
We use FIFO. We do allow negative inventory, however this inventory item was not in negative quantity.
thanks!
Geoff

Gordon, thanks
When you say "the cost posted would be the earliest inventory for those items" what do you mean?
I understand that if I posted an AR Invoice , the COGS would be calculated from the oldest available layer, or if the item had a negative quantity on hand, it would have posted the price difference between those transactions that caused the inventory to go negative and the actual price once a transaction occurred that brought the inventory to zero / positive. Or if there is a difference in price between a GRPO and AP Invoice, the difference is allocated to the Price Difference Account.
However in a normal GRPO inventory should be debited, and Goods Received Not Invoiced (allocation account) credited... Why is there a JE to to any other accounts period?
What circumstances could cause these?.
Prior to this GRPO, the inventory audit showed the item at 70 on hand, $670 cumulative value. After the GRPO (on which the GRPO Total is $232.80), the inventory audit says 88 on hand and $2375.34 in cumulative value. This doesn't make sense

• Reverse goods receipt after invoice posted

Hi experts,
I have a PO that was goods receipted and invoiced receipted (work was done). Someone has then un-goods receipted the PO, and now that entry needs to be reverse (the work order has status closed).
What would be the way to fix this? Re-open the work order? Is it OK that the goods receipted may be reversed after invoice receipted.. i.e. after an invoice has been posted?
I am starting to get familiar with this, so bear with me.
Regards,
Andres.

Andres,
First check whether the PR/PO has been created within the workorder at Operation level or it is created outside the work order and just the account assignment in the PR/PO has been done to the workorder.
Since PO is the superior purchasing document and preceeds the PR , standard application dont have any dependancy between PO and work order..Dependency stops at PR release and when Quotation/PO has been created and released..So i dont think u need to undo TECO...
For any reversal of the material documents after posting, subsequent Fi document should be revresed only then reverse Goods movement becomes effective as it needs to update the stock levels and inventory value in the systemm.
However u need to check the way system has been configured and Mapped...
For better response please post this question in MM---Inventory management forum.....

• Invoice booking (MIRO) without Goods Receipt Entry (MIGO)

Hi,
We have a requirement where we will create Purchase order, thereafter we will be booking invoice directly without doing goods receipt. We will not be doing goods receipt at later stage also. So accounting entry at the time of Invoice (MIRO) should be :
Expense Dr
Vendor Cr
whereas if we do not do Goods Receipt and directly book invoice, following entry is getting generated:-
GR/IR clearing Dr
Vendor Cr.
How can we map the above scenario??
Thanks & Regards,
Jyoti

Hi,
When you want to do your invoice without doing a GRN, its always advisable to post your invoice thru FB60..
Thats the best way of doing..

• Difference between service entry sheet and goods receipt?

Hi all,
What is difference between service entry sheet and goods receipt?
Thanks!

Hi,
**Service Entry Sheet:: It** is only for Indirect material (or ) services
In the service p.o you have to Give the G/L account in the P.O
It is one form of Goods Receipts for all the service related P.O what you are raising.
For Example:
1 Service charges for cleaning A/c- Rs 100/Hr.
P.O can be raised for 200 hr. when the service is completed say for 2 hrs. You can raise service entry sheet for 2 hrs and the vendor gets payment of Rs 200.
Goods Receipts: For Direct material procurement only .
G/L account is determined based on OBYC setting.

• Preview of Journal Entry - G/L effect , GL Mapping reference

Hi All,
I have observed that due to non availability of preview of Journal Entry - G/L effect, there are chances that customer/users come to know of wrong G/L Mapping after the posting of transaction.
If an option to preview the G/L effects before adding a transaction e.g. A/R Invoice,Sales Delivery etc... is available than the customer/user can rectify the G/L Mapping or the G/L selection at the transaction level.
Also if one column say GL mapping reference can be added in Journal Entry, the purpose is to store infromation from where the SAP B1 has picked up the GL e.g. from GL increase , GL deccrease , Price Difference from Item Group,Ware House,Item Level GL Mapping.

Dear Peter Dominik,
I think it is good to show the to be Journal entry effect on click on Add botton, this way user will not have to take additional pain click on preview button to see the JE, but for all cases every user will have to forcefully see the JE screen and confirm that it is OK, and he/she will not be able to change it.

• Journal Entry for non-stock Item while Good Receipt PO

In accordance to Accounting Rules, the EXPENSES of non-stock item purchase should be recognize
upon Good Receipt PO, journal entry should be created at the point time of GRN instead of invoice.
We would like to see this as part of the SBO standard accounting process as it is also important for
us to make sure the the software process is comply to the Standard Accounting Rules.
Thank you and Warmest regards,

Hi Martin,
I fully agree with this requirement. In Australia, the tax Office is asking us to recognise the expense in the profit and loss at the time of receiving products or services.
With SAP Business One, receipting inventory products through the GR PO will create a simpel journal entry:
Debit Stock
Credit Goods Receipt Not Invoiced
In the context of non inventory items, SAP Business One should do exactly the same:
Debit Expense account of the service item
Credit the Allocation Account (GRNI or other)
Currently, we have to create a big journal entry at the end of the month to recognise the expense of services that we have received but we have not received the invoice.
If you have any questions, feel free to contact me so we can discuss.

• Accounting Journal is posted while making a Goods Receipt PO

Hi All,
Why an Accounting Journal is posted while making a Goods Receipt PO in SAP B1. What is the detail of this Journal (Dr and Cr account).
Thanx.

Hello Sibasish,
An accounting journal is created when you do a Goods Receipt for a stock item. A stock item is an item defined in the Item Master Data with the Stock Status as ticked.
The journal entry is typically as follows:
Dr. Inventory
Cr. or Dr. Variance Account (when stock is valued at Standard Valuation)
Cr. Allocation Account
The above accounts come from Warehouse, Item Group or Item Level depending on your set up in the Item Master Data -> Stock Tab -> G/L Accounts Determined By field.
I hope this helps.

• Variance Journal Appear in Reversal Goods Receipt of CO Production Order

Good afternoon
Currently we face a problem that variance journal appear when doing Reversal Goods Receipt (MBST) of CO Production Order.
But the variance journal appear after we reverse goods receipt for the second time, third time, and so on.
No problem for the first time cancellation.
Here is the example:
Step 1. We do the Goods Receipt on CO Production Order #1
Journal
Inventory (Db) 36000
COGM Allocation (Cr) 36000
Step 2. We do the Goods Receipt Reversal on CO Production Order #1 (with reference to Step 1)
Journal
COGM Allocation (Db) 36000
Inventory (Cr) 36000
Step 3. We do the Goods Receipt again on CO Production Order #1
Journal
Inventory (Db) 36000
COGM Allocation (Cr) 36000
Step 4 (Problem). We do the Goods Receipt Reversal again on CO Production Order #1 (with reference to Step 3)
Journal
Inventory (Cr) 36000
COGM Allocation (Db) 54000
Purchase Price Variant (Cr) 18000
Why Variance appear in Step 4 ? Is there any mistake ?
Note:
*We use Price Control "V" for this material
*No Goods Issue were made
*No Settlement Process were made
*Only this 4 transaction for this CO Production Order
Thanks in advance for your help

Dear
I think there is no SAP standard Txn for mass deletion of Material Documents .You can check in MBAR/MBAD .But i think you have to go for LSMW or BDC from ABAP side .

• Goods receipt at standard value also if there isn't record in Qbew..

Hi i have this question:
i have PP order to deliver. Material to deliver is Make to Order in particular for WbE, price control S.
It's the first time a deliver it in the sistem, so Qbew is clean.
I have calculate the standard cost for the material only with ck11n so at divisional level so only Mbew as the standard value that is 100.
My planned cost for the PP order are 110.
What i want to realize is to have a good receipt (MB31) at Mto stock evaluated at standard price 100 and not with planned value 110!!!
The process run as i want if the sistem has already a record in Qbew, but not when is clean!
Thanks.
Paolo

hi, try to be clear.
I have MTO business scenario, but i don't calculate standard cost with CKW1 but only with ck11n,a nd i released with ck24.
So,for istance, i have an article with:
control price S and standard price released 100,and procurament type E, dependent requirement indicator= 1.
so i create an PP order to produce this article linked to a WbE, so i have an MTO order. After saving this ord and realising it, planned cost are valuated and for example are 110.
Then i confirm all activities... labor... picking... external... Mh etc...my total actual cost are 120.
Now i want to deliver this article to valuated stock, it's MTO so in my case i have the production order that is assigned to the account of the project.
So when i deliver it movement 101 Q , the stock of the WbE linked to PP order should increase of a standard value so i suppose 100, but this doesn't happend the stock increase of 110, the planned value. Infact after this in Qbew i have 1 quantity and 110 value stock!
How could i have an increase of standard price 100 of my stock instead of planned cost 110? so the next PP orders makes consumption at standard?
is it more clear now? i hope.
What i should do? Because in the case of cost planned is equal to cost standard released i have the luck and moviment to stock is done at hte right value but it's luck.
Thanks!

• Standard Objects for Goods Receipt and Invoice

Hi experts,
Is there any Standard Object for Creating Goods Reciept and Invoice in SAP other than standard BAPIs

Try to use the PROCESSKEY standard infoobject (BWVORG in R3/ECC) to discriminate the good receipt from the invoice one...
An other option is create a custom generic data source with a view on EKBE table and use the EKBE-VGABE field to discrimate them.

• Goods receipt - journal entry

Hi,
If a goods receipt is created including several items which all have the same account, only one journal entry (ojdt/jdt1) is created.
For further analysis I need for each document line a separate journal entry.
Is there any way to force the DI-API to create one journal entry per each a document line?
regards
Martin Heigl

Hello,
This is the system design, if the items are using the same account, and the sum of the transaction value will be booked.
But if you using for profit centers/distribution rules and projects, the application will summarize the values by Account and project and profit centers.
So if you need to separate them there are 2 ways may be followed:
1. post them individually (one item in one goods receipt)
2. use different projects for each positions.
In this case the SAP B1 will summary the transactions value by Item Account / Poject.
Yes i know, the point 2 blocks one dimension for FI,and requires more programming, but can be a possible solution.

• Standard smartform for Goods receipt slip version 3

Hi all,
I need to copy and modify a smartform for Goods receipt slip.
How do we find out the main program(driver program) for a smartform.
In my case the smartform name is /SMB11/MMGR3_A
Regards,
Kaushal

I used /SMB11/BL_MMGR1_L in my choice and I then searched programs using /SMB11* until I found something that looked like a match in it's text.
I can only tell you that after configuring via tcode NACE application ME and output type WE03 (because again the text matched what I was wanting to do) with program /SMB40/M07DR it did give me the results I wanted. This is a specific answer and NOT the more general answer you might have really wanted. There is much discussion in forum for that more general question. Personally until SAP sees the wisdom of maintaining a table to make a more direct search key more possible rather than a full SAPSCRIPT, SMARTFORM, PDF search we have some agony to endure.
Now if can you tell me where (table & fields) number of containers found on tabstrip Quantity of tcode MIGO is stored and we can call this even.
GOITEM-ANZGEB is NOT the answer I want to hear as structure names do not count and it is not defined in any structures of the global settings.
Good Luck!!!
