Track Changes in Trip Expense Amount

I have an expense type HOTEL.
Employee creates a travel expense report and puts 1500 for hotel and saves it.
Aprrover gets to see that amount, changes it to 1000, and approves it.
My question is how can I track this that the amount has been changed from 1500 to 1000. In PRTE it shows for AEND one can see who has changed a trip and when. But in BELEG it shows the amount 1000 which is the latest one.
In contrary, all changes in the Advance can be tracked through VSCH, may be because of different line items for each change.
I want to track the change in the amount of HOTEL from 1500 to 1000.
How can I achieve it?

Hello,
This is not possible. As long as the trip is not yet posted you cannot track the receipt amount. Unless when it is already posted by changing the trip you get a new version which you can compare with the old version.
For advance this is difference. The reason is that the advance cannot be change once you have save the trip.
You can create your own Z report to track this down and use a reporting tool to have a statistic.

  • Is there a way to retain the track changes from a Microsoft Word document when working on a IPAD word processing App?

    I am going on a work trip and want to be able to collaborate with my colleagues, almost all of whom will be using Microsoft Word on Microsoft Windows laptops and I want to draft and collaborate on documents.  The approach we always take to such collaboration is to use the track changes feature in Microsoft Word that shows changes and who made the changes.As best I could tell apples Pages software ignores the notations added by the track changes features and accepts all changes to the document making it difficult to see what changes were made and by whom.
    I would appreciate any suggestions to address this challenge.

    I noted from some similar topics that Pages seems to support track changes but that while it reflects deletions made in Microsoft Word, it does not appear to show them -- is there a way to fix this problem?

  • Change of local currency amount in park document

    Dear SAP Experts,
    I have some queries regarding the local currency in parked document.
    Here are the steps to generate the issues:
    1. Enter vendor invoice using FB01 tcode. E.g the company code currency is MYR, then change the document currency to USD.  Maintain both debit and credit leg for the document. Please enter more than one expense account with different amount at debit side.
    Enter the amount in document currency (in this example is USD) field and enter. System will populate the local curreny (in this case is MYR) based on the table currenct updated in the system.
    At this point, the local currency (MYR) need to be changed based on user's requirement. In this case,they will be some deviation of currency rate since user has manually entered the desired amount for local currency.
    2. Park the document once finished.
    3.Goto transaction FBV0 and open the parked document.
    4. You can see the ammended local currency amount still populated correctly in local currency field.
    5. Post parked document.
    6. Display the document posted and see that the local currency amount has been changed to the amount based on table rate in system.
    Queries:
    a. Is there any way to make sure that the ammended amount would not be changed after the document has been parked and then get posted? Please be informed that this scenario would not happened if the document is directly being posted without parked.
    b. If the exchange rate at document header is being changed based on the desired amount of local currency, this would not be an issue. Since the requirement is only to change the local currency amount at GL level and not at Vendor line item. But at the end the total ammended amount at GL level has to be equal to the vendor total amount. how to resolve this issue? Can standard SAP process/configuration can catered this scenarios..?

    Hi SAP experts ,
    My situation is the same - to park GL documents by uploading from a file  and then edit the local currency amount if necessary.
    However in my case we have an excel sheet generated from an external system and our users want to upload them and park all the journals  at a single time.
    We are using RFBIBl0 direct input program to upload the file and park then transaction using FBV1.  Alll the documents are parked with the data  as in the excel sheet. 
    Next step is that the users go to FBV0 to edit the parked documents and sometimes it is required to change the local currency based on the current exchange rate and then post the journal  .
    However when the parked documents are edited using FBV0 the local currency amount entered by the user is ignored and the system still  overwrites it with  the system calculated amount .
    b. As per your suggestion - I cannot use FV60 using direct input program as FV60 transaction is not supported.
    Please can you suggest if there is any way to park the Gl documents in background  from a file  and then edit the parked documents as required i.e change amounts and other fields.

  • ESS Portal Trip/Expense form only prints the first page

    Good morning;
        Our users reported that when they display a trip/expense via Portal and then right mouse click in order to print the trip, only the first page prints out.  If they go to the SAP Gui and run the TRIP transaction and display the trip in Print Preview form and print it, they get all the pages of the trip/expense printed.
    Has anyone ever run into this strange issue before?

    I'm assuming that you are refering to the IMG Path:
    Cross-Application Components->Homepage Framework->Resources
    ->Define Resources
    Select activity Define Resources (Change Entries)
    When I check this in the IMG, we do not have a resource called  EMPLOYEE_TRAVEL_TRIPFORM_SRV05.
    Currently we are on ECC 5.0 and note 525862 references Rel 4.6c so I know that those corrections are part of our system.  The 812903 note refers to ECC 6.0 only so this note I believe would not help us.
    Should I add the resource EMPLOYEE_TRAVEL_TRIPFORM_SRV05 to the Configuration?
    I see that note 1140369 references something about the EMPLOYEE_TRAVEL_TRIPFORM_SRV05 resource and has something to do with hight of the Trip form.

  • Trip expense report settlement in case of Inactive Employee

    Hi T&E Experts,
    We are facing a typical problem, in settlement of inactive employee trip expense report.
    Details are as below:
    - One of the employee moved from 1 Organisation to other. His personnel number status in old organisation is showing as "Withdrawn".
    - Some of the credit-card charges on his personnel number are still pending for settlement.
    - The current trip created to settle these charges is in "Approved - To be settled" status.
    - Now we are trying to use "PREC" transaction to settle the trip. Transaction is rejecting the trip, as personnel number is invalid (inactive).
    - Because the trip is still not in "Settled" status, we cannot use PRFI transaction to manually release the trip payment in next posting run.
    We have tried different ways like making the employee active, but nothing is working here.
    > Requesting your inputs to provide way-out in above case.
    > Also is there any standard procedure, which is to be followed in case of settlement of Inactive Employee pending charges ?

    Would agree with Mathieu in this case, changing the SYS_DATE on the authorization check is probably the most effective way of avoiding this as the authorization check is very strong in Travel for infotype 0000/0002/0017 etc.

    One other point is how you configure the leaving action for an employee who will be terminated (this is done via PR05 in the radio button "Organizational reassignment")
    Whilst it should not be possible to create a trip/expense report for a terminated employee, however as there may still be a need to process expenses with posting to FI/Payroll etc after the termination date
    (Table V_T582A, for the relevant HR infotypes 0000, 0001 and IT017 is relevant here and needs to be maintained) then the leaving action also becomes important.
    Finally, keep in mind that credit card expenses if you use CC clearing go to the error file for inactive employees

    Hi All, 
    Facing an issue wherein, when I enter the mileage details for an employee, for TPV: 07-Canada.. The trip reimbursement amount shows as zero.. In stead it shows the amount as an income related expense...  I have checked the customising and it seems ok to me.. Anyone has any idea about this.. How do I get the travel flat rate to show as a reimbursement and not an income related expense?

    Hi,
    Found the issue.. The issue was that table V_T706B1_A for entry FAK.. where in the correct tax code first needs to be maintained (it was incorrect in my case).. Then in table: V_706B1, for expense type: FAKC, the expense category should be: 'Exprenses for Private car'.. Once this is done, it will resolve the issue..

  • Travel Advance, Posting behaviour when change in Trip Status

    Hello,
    An issue arose with SAP Travel Expenses - Advances.  An advance was entered, then the request approved and settled. 
    No expenses were entered against the trip, but the status was then changed to "Trip Approved, To be setted".  This resulted in a reversing entry for the advance in the posting run.  No changes are displayed in PR05 (other than the statuses in the history tab) but when expenses are then entered against this trip, they are reiumbursed instead of being off-set against the trip advances.
    Has anyone run into this issue?

    Hi Tammy,
    It appears that the Settled status of the Advance was cancelled which resulted the posting run to reverse the original posting for advance.
    Entering a separate travel expense will only do the posting without taking the advance into account.  Two options to fix this.
    1) Delete the original advance and amend the approved travel expense and add 'advance' within the trip with expenses.  If the trip for expense is already attained 'Transferred to FI' status, you may need to cancel the original posting and apply the amendment.
    2) Delete the trip with expense transactions and re-submit the advance trip and once approved and settled, convert the travel request(advance) to travel expense trip by adding transaction.

  • MacBook Air + Microsoft Word + Track Changes = nightmare

    I work part-time as an editor.  I use Microsoft Word on my MacBook Air and while I love my Mac for a million other things, it absolutely ***** when it comes to using Microsoft Word in Track Changes mode.  After just a little editing, the program crashes.  It's constant, it's regular, and it's a total nightmare.  How can I best get around this problem without having to use a PC to do my editing?  

    I'd recommend reinstalling Office, then. I use Word of Mac '11 (same version) without any issues working with track changes. I will say that it can sometimes be a bit sluggish (the application) as the document ages and the amount of changes that occur but never once has the application locked up entirely, crashed or quit on me.

  • Posting expense amounts to cost center versus Project (WBS)

    I am an ABAPer. I have a basic FI doubt. We are using Project system in our company. Now for expenses, the employee enters the data in third party systems. Th third party systems then provide us with the data file which will be posted in SAP.
    The business says that if a given expense by an employee, has Project status released, then the amount for that expense should be posted to cost center otherwise the amount for that expense should be posted to the project(WBS).
    Now what does business people mean by posting expense amount to cost center or posting expense amount to Project (WBS). Where in FI can I see the option of posting amount to cost center versus posting amount to project ? Is there any transaction we can do that ?

    Dear Rajesh,
    If there is a corresponding wage type for expenses, you would assign GL Accounts to the corresponding symbolic accounts of HR Payroll. You would run the payroll.
    Which means that wage types are assigned to symbolic accounts and symbolic accounts point to GL Accounts.
    In HR, expenses are dealt mainly in Travel Management for travel expenses etc.
    in SAP Easy Access Menu, Accounting -> Financial Accounting -> Travel Management -> Travel Expenses
    F-41 and F-43 are one and same except the fact the F-41 has defaulted with document type KG (Vendor credit memo) and F-43 with KR (Vendor Invoice) which you can change. You should use Document Type KR for Vendor Invoices.
    The payments will be released once you run payment program to run due A/P open items.

  • Accepting tracked Changes very SLOW

    In InCopy CS4 and now in CS5 we are having a serious production-limiting problem with it being slow to accept tracked changes. It doesn't matter whether you are accepting one change or all the ones in a document--it takes the same amount of time for that doc. A 50 page document takes 17 sec while a 18 page one takes 6 sec. This is crippling to our productivity. I don't see anybody else complaining about this so I guess I'm missing a check box that everybody else already knows about that will fix it all. Will somebody let me know what it is? Thanks!

    Well, that felt pretty patronizing.
    Two questions:
    1)       1) Are you saying that you are certain that InCopy is actually reflowing all text, etc. every time a tracked change is accepted?
    2)       2) If you are certain of that, are you certain that there is no way to turn it off?
    We are a professional publishing business and our editors are not wrong when they say it is taking too long. We may have 3 proofers go through a 50 page document and leave about 300 changes of various types for the editor to go through. 6 sec is for the smallest document. Our longest is a 78 pg doc and it takes 54 sec to do each update in InDesign on the fastest computer! I haven’t checked but probably much longer in InCopy.
    There is a serious problem that InDesign CS5 and InCopy CS5 (and previous editions) have in dealing with long stories. It is obvious to me that this is not an issue in small stories that would appear on page layouts and in magazines.
    This does not even get into the horrible problems we’ve had with corruption of long stories that are exported into InCopy icml files and then simply freeze and become unusable in InCopy or InDesign. When they lose a days work, editors and proofers don’t scream. They cry. We are now trying to figure out how to finish this cycle and seem to be stuck with putting InDesign on all the proofers and editors computers. Which is freaking out the designers.
    Adobe’s tech support sounds clueless to this problem. We’d welcome Adobe to our company to work this out (I’m not kidding). They’d need to send an engineer and a couple of psychotherapists (kidding…about the engineer…oh, I mean about the psychotherapists).
    We really like virtually everything else about these programs. I think Adobe is a simply brilliant company who has made giant strides lately. We use Production Premium programs to make our DVD sets and we are doing a really big web app in flex. Somehow they overlooked the problems with long stories in InDesign and InCopy. This wouldn’t be so bad if they didn’t advertise that it is perfect for long docs.
    To make InDesign and InCopy work for long docs:
    1)         We need the option to turn off reflowing while doing the review process. Or it can simply update the visible text immediately and do the rest in the background as CPU resources allow.
    2)              Fix the corruption problem in big icml files. This problem has made InCopy unusable in our company.

    IMG – Personnel Management – Personnel Admin – Tools – Revision – Set up change document:
    This node has three items:
    Infotypes to be logged
    Field Group Definitions
    Field Group Characteristics
    Using these three options you define which infotypes you wish to log, then which fields, then you define which groups of fields are to be saved. Click each link, or see the sections below:
    Infotypes to be logged
    Here you define which PA infotype numbers you require logging. Select New Entries and enter a transaction class (A for Pers Admin, B for recruitment), then enter the infotype number and save.
    Field Group Definition
    When changes are made to a logged infotype, the field contents before and after are recorded. This is the very reason for logging the infotype, but there is an overhead in performance and disk space used so it needs to be given consideration. Typically you will want to record fields that are pay relevant.
    Using the field group definition, you specify which fields you wish to record changes in. When any of the fields in the group are changed, all the fields in the group are saved. You can use an asterisk to log all the fields of the infotype but this is not recommended for space and performance, also there are many fields on an infotype that you will not be using, that will be saved also. Ideally you will pick individual fields of the infotype and enter them like so:
    The field group number is a freely defined number you allocate to the group, it will be used in the next step. For normal use, simply pick any number not already used in that infotype. All fields with the same field group number are recorded in the log, even if they have not changed.
    Click New Entries and enter the infotype number, field group number and field names that you wish to record.
    Field Group Characteristics
    When you have set up the field group numbers, use the field group characteristics to activate the logging of those fields. You can also specify a supplementary field group; this means that the contents of another field group can also be saved at the same time, even though the contents have not changed. In practise it is not used much. Simply select new entries, enter the transaction class, infotype, and in the DocFieldGr enter the number you assigned to the field names that you want to store, then enter L for Long Term Documents (short are not supported)
    The Audit Report
    To access the report showing the logged infotype changes, use the HR report tree available from various menu paths, including:
    Main Menu – Human Resources – Pers Management – Administration – Info System – Reports - Documents – Infotype change – logged changes in infotype data. (RPUAUD00).
    When you run the report, select the infotypes you require, and select and execute.

  • Reports to track changes on Deliveries and Sales order

    Hi All
    Do you perhaps know of a specific report that could possibly track changes made to a Sales order and delivery at line item level.
    The problem is change log only logs the deletion of the line item but not the actual material number.
    Do we have to enhance existing reports to achieve visibility for deletion of line items.

    Thank you very much for that feedback the thing is that you can search that on an order per order basis and even when you get to the change log you will not be able to see what material number was deleted.
    That is the problem.
    Has anyone experienced this wher the requirement was to have a report to run so see what changes have been made to orders or deliveries that they could view wholistically.

  • Track changes showing multiple entries for a single change?

    Hi there .. I'm using Pages '09 v4.1 to edit MS Word '97 documents. I've been using the 'track changes' feature to work on chapters in a book and have done so with no problems so far (about 6 chapters so far in separate files). I went to start the next chapter and noticed that when I make a single change such as highlighting a word and making it italic, the tracking bubbles will show up as individual entries for every letter instead of for a single word. The really annoying thing is that it's not consistent .. some whole-word changes show up as a single entry, while some show as a few entries but don't necessarily correspond to how many letters are in the word being changed. When I try deleting specific tracking bubbles to see which part of the word they correspond to, it varies. For example, if I put the word "similar" in italics on page one, paragraph one, it shows up as 2 entries. When I delete the last entry, "imilar" will go back to standard font, while "s" stays italic until I delete the other entry. It's as though the words in the document are being recognized based on something other than the obvious, and certain letters are being grouped together in the program's brain, while others are separate.
    It's not isolated to italics, btw. If I reformat the entire document to be left-aligned instead of center-aligned, it will show lots of separate tracking bubbles in various places through the document, rather than showing one bubble for my single change.
    I've tried duplicating and saving a new version of the document, as well as creating a new doc and pasting everything into that and saving as a new doc, though I wasn't sure if this would carry over the problem .. It did.
    It's not the end of the world as far as finishing this job, but it's pretty annoying and will be worse for the person who ultimately verifies the changes I've made. Any help is greatly appreciated.
