Unlocking work status

Hi,
We are implementing BPC 7.5 NW version and having SP04.
we have an Entity A (parent entity) and unerneath that we have two entities B and C.
In the Entity Dimension we have an owner peroperty in which for Entity A we gave a user (say Administrator as the owner) and for both Entity B and C we gave another user (say-BPcuser as the owner)
So the user Administrator of Enitity A is the owner of Entity A and he is also now the Manager for Enitity B and C.
After making these settings, when we try to modify work status through BPC for Excel it takes to BPC for WEB and in BPC for WEB we make the following selection.
Category-Actual
Entity- A
Time -2010.April
And in the next screen we are changing the satus from sUBMITTED to APPROVED ( TO lock the Data region) and save it.
Now when we input any data for this data we are getting Check work status settings.( which is our desired output)
However when we try to change the work status setting From Approved to Submitted (to unlock the data region) with the ID Administrator (i.e Owner of Parent Entity A) it is getting saved. However when we try to input the data it is still showing check the Work status settings.
So can you please suggest me how to unlock the work status settings now so that we can post the data for that data region.
Thanks,
Shankar.v

Hi,
If you are in a development system and if you want to delete all the locks on the data at one go......you could try reordering your work states (rearrange your last work state for example by moving it one step further up). You get a message on the screen that this will delete all the locks on the data....just confirm the message. You could change the order again back to the original order.
Above is only if you are working on a development system and for test if you want to delete all the existing locks at one go.
If your system wants only to unlock a specifc dataset, select the required members of the work state dimensions (refer to your appliation and work staus to know what the work status dimensions are for your application). Note, if your selection includes any parent member for a dimension current work status is not displayed.(This is again as per the work status set up in BPC that work status is stored at non-parent members).
Please let me know if you still have any issues in deleting the locks

  • BPC 5.1 SP7 patch 3 - Work Status not updateable

    Hi All,
We have just upgraded to SP7 and applied patch 3, and suddenly we cannot "roll-back" Work Status from eSubmit / Modify Work Status.
Previously I (as Administrator) could change a status from Approved back to Submitted or Unlocked. Now, once something is Submitted it is greyed out (not able to be changed). (Both the "Include children in data region" and the Work Status dropdown are unavailable")
I've searched SAPNotes and on the forums, but cannot find anything related.
    Any ideas?

    Peter Bellis

Upgrade to SP 7 solved this issue.

  • Locked Work Status doesn't work

    Hi
    This is a new case.
I have original work status like this. I show MAN only in this example
    Unlock    MAN=unlock
    Submitted MAN=owner
    Approved  MAN=locked
Then I add a new work status line as the intial state
    Start     MAN=locked
    Unlock    MAN=unlock
    Submitted MAN=owner
    Approved  MAN=locked
The purpose of the Start work status is to prevent the user submit something at the initial state.
But the Start work status doesn't lock anything, user is freely to submit data on this work state.
    My analysis,
I changed the current work status from Start to Unlock and switch it back to Start and the lock does its job.
    Anybody has the same issue?

It is logical that it works only after you upgrade to unlocked and downgrade again. The workstatus mechanism makes use of a table called tblFINANCElock (or what name your application has). In the beginning there are no records in this table which indicates that the data is unlocked. Once you update the status for the first time a record is generated with a status. From now on the system can link the records to the work status setting that you have defined and see that status "start" should lock the data. I think this functioality works as it is intended, and the only workaround for you is to lock and unlock the data before the users start entering data for that period.

  • Can Work Status be controlled by admin (or persons other than Owner & Manager)?

    Hi Experts,
We set the initial Work Status as "Locked", and it should be unlocked when opening a new period.
System admin is the one responsible for opening a new period.
However, the "Controlled by" field of Work Status can be set as Manager or Owner only. The admin is neither a manager nor an owner.
Is there any method to let the admin change the Work Status?
    Thanks in advance.
    Winson

    Hi Winson,
Work Status always works along the hierarchy. so create a super parent of all the members in the hierarchy . so for this parent owner is admin. so he can change the work status of all the children below him. since he is the manager of all.
    Hope this helps,
    Andrew.

  • Work Status Setup

    Hi All,
I have a question regarding basic work status setup for BPC 7.5 NW.
When I set to Manager in Controlled by at Work Status, we can modify
work status for the parent group.
    Is the above statement true.
When I set to Owner in ControlledBy, we can modify the work status for
base member, but cannot modify for the parent group until we finish
changing the status for base member.
When I set to Manager in ControlledBy, we can modify the work status
for parent group as well as the base member.
What are your thoughts on these basic setups.
    Thanks,
    Krish.

    Hi Krish,
There are few thumbrules, which we need to remember:
    1. The default method for managing work status is bottom-up. That is, the status of a parent cannot be higher than the status of its children.
    2. The maximum state a parent can be set to is the lowest state of its immediate children.
    3. If the status of a parent is set to Locked, you cannot unlock the children.
    4. The minimum state a child can be set to is the state of its immediate parent. For example, if the parent state is Submitted, the child state must be at least Submitted.
    5. The owner of an entity can set the work state to any state designated as an Owner state.
    6. The manager of an entity can set the work state to any state designated as a Manager state.
    7. A manager is the owner of a parent-level member. The owner of a parent level member is the manager of all its descendants.
Now, coming back to your question:
    1. If the user is acting as an owner, they can select a work status controlled by Owner or Both.
    2. If the user is acting as an owner and the selected member has no parent, the user also acts as a manager (top of the hierarchy) and they can select a work status controlled by Owner, Manager or Both.
    3. If the user is the parent owner in the role of Manager, then they can use the Include All Children option (to push the work state to children). This option is not valid for a base member, the Owner role.
    Hope this helps.

  • Work status and validation enquiry ..

    hi,
i am using bpc 5.1 and i am trying to simulate a simple validation and work status update exercise, my settings are as followed:
    work status setting:
    account - no - validation
    category - yes
    datasrc - no - totaladj
    entity - owner
    intco - no - all_interco
    rptcurrency - no - lc
    time - yes
    validation rules:
validation account - remark - validation operand - other - other - applicable periods - validation tolerance
    validation - testing validation - = - blank - blank - 0
    validation rules details:
    validation account - account1 - flow1 - sign1 - account2 - flow2 - sign2 - remark
    validation - sales - blank - 1 - cost - blank - 1 - testing validation
    work status:
work state - dm ...docs - controlled by
    unlocked - all ... all - both
    submitted - all ... all - both
    approved - all ... all - both
i am just trying to validate that my "sales" and "cost" entries are the same, i tried validating before and after submitting my data using evsen(10,"finance","sales) and evsen(10,"finance","cost") respectively with the other cv values being budget, input, worldwide1, non_interco, subtotal, lc - 2007.total1 - periodic.
i received the message "submitted data did not pass validation. you may need to resubmit data" on both ocassions.
    any pointers?
    cheers

    I have 2 entities (companies) - C1111 and C1113.
I have the script logic for calculation keyfigures for this entities (it is automatic chain).
C1113  has entered the data and has locked it. When the C1113 will enter the data, the script logic will not been executed.
I have tested it and I have received that:
the script logic has broke when system has tried to write data into database after "Error Work Status check".
If I change the line of script logic as
    *XDIM_MEMBERSET ENTITY = C1111,C1113
    calculation for C1111 is executed.

    Svetlana.

  • Work status SPRUNCONVERSION

    Hi,
We are using script logic in the package.
We would like to prevent the packed from running on u201Clockedu201D data.
Below is the code of the script. The statuscode of locked data is 3. The maxstatus parameter in stored procedure is set to 1 (unlocked).
    *SysLib Stored_Procedure_Wrapper.lgl
    //=============================================
    // Currency translation logic
    //=============================================
    *RUN_STORED_PROCEDURE=SPRUNCONVERSION('%APP%','%CATEGORY_SET%','','GLOBAL','%SCOPETABLE%','%LOGTABLE%','' ,'' ,'', 1)
Unfortunately we still can write to the locked intersection.
We are using BPC MS 5.1.
Could you give us some advise how to solve this problem?

    Mariusz,
If you define a business rule in a script logic file and call the script
logic file from data manager, the data generated by the business rule
will be posted to a locked data region since the business rule engine
cannot check Work Status. BPC has the limitation of the business rule. It has been earlier requested as an enhancement.

  • Work status rule violation

    Hi,
we have just migrated from BPC 7.0 to 10.0 and in the intercompany matching model now users get the error message that their currency translation job fails due to 'Work status rule violation'. In the past we did not have problems with these security and access settings.
Each user group can read&write only to their own entity, but can read all data, in order to see the matching figures from the sister companies.
Work status is set as following for data manager:
    Unlocked - All
    Submitted company - Mgr
    Submitted group - Mgr
    Approved group - Locked
Does this mean now in BPC 10.0 that, if any of the other entities has locked its data already, that another entity cannot run the fx translation properly anymore?
In the currency translation package, we have set the option to 'Yes', when asked whether to check for work status settings before running the package.
Would it now be better to set the 'Submitted company' setting in the work status options to 'All'. Or rather create a new 'Submitted intercompany' work status? Or would it not matter, if the users would check the box 'No' in the data package?
Or is this a totally other problem at all?
    Thanks,
    Melanie

    Hi Melanie,
the simplest solution would be to ask your users not to leave the selection on <all> but select their entity.

  • Work Status error BPC NW 7.5

    Hi,
I am having some trouble with Work Status for BPC NW 7.5.
When trying to change status I always get same message: "Controlled by rule has been violated". I've tried with differente ussers and I am suer they have all rights necessary to change status but, there is no way.
    Please help.
    Thanks in advance,
    Raul

We have already made all tasks related to Work Status:
    1. Configuring Work Status u2013 Like Unlocked, Submitted and Approved
    2. Enter the Owner property in dim Entity
    3. Configure the work status setting at the application level: Entity as owner, Time and Category "YES"
    4. Aplication Administration --> Define the hierarchy as H1. We have defined the hierarchy in Entity PANETH1 also
But still didn't work... as we though it should. We have gone through the Admisnitration manual for BPC NW75 and check everything again. Everythign was correct. But, we checked all appendix also. There is where SAP explains how is all working. In some stage, BPC thogh we were the manager (because of the Entity hierarchy structure) but our Work status was not define for a Manager (because we don't need it). We made a try with everything in BOTH and is Working!!! Cool.
We are going to adjust everythign to our requirements now. But, we now itiis working correctly.
Thank you very much for you help.

  • Changing Work Status using data package or script logic

Is it possible to set Work Status using Script logic, or an SSIS package.
I know status is kept is an SQL table, is it possible to just update the locking table with a new record, or is there more to changing the work status.
    Thanks for you help

Thanks for your reply. This would be a nice enhancement.
Although the work status does help with the audit trail of who and what locks the data, doing it automatically will allow the system to automatically unlock the period when it is opened before auto-loading the current closing balances. It will need to be carefully used in order to maintain proper audit trail of the data. When done automatically, the system userid would be used in the lock table witha  timestamp.
I am needing to know if there are anyother steps involved in locking data other than writing to the SQL lock table. Is usppose this is especailly relevant when locking a parent and pushing the status to the children.

  • Work Status Report Date and Time Setting

    Hi all
We are running BPC10 on servers configured with Central European Time which is currently 2 hours ahead of GMT allowing for Daylight Savings Time.
From what i can see in BPC10 date and times are now stored in GMT (Zulu time) in the Audit activity tables so when a user updates the work status at say 11:00AM local CET time then a value of 09:00AM GMT is stored in the Audit Activity Header table.
We have a report in excel that uses the EVLCK formula and will return the correct value of 11:00 am however if we run the Work Status Audit report on the Planning and Consolidation home page with user preferences set to Central European Time +1 then the time is displayed as 10:00am suggesting that daylight savings time is not accounted for. We need to set the time to Eastern European time +2 hours to display the correct figure.
Can anyone explain why this happens? Has DST been overlooked?
    Rgds
    Alan

    Hi Alan,
probably it's a bug, I think it's better you open an OSS message to SAP.

  • Work Status Report

    Hi,
I was wondering if there is a work status report available in the system?  What I would like to see is a summary of which dimensions are locked in BPC so that I can monitor it to ensure that someone doesn't accidentally open something by mistake.
Currently I have to go through BPC Web and check the dimensions manually.  If there is no report can someone confirm where the work status data is stored so that I can have one built.
Is this the table (where "finance" is the application)   -  [dbo].[tblFinanceLock]  ??
    thanks in advance.

    Hi,
You're right, work status information are stored in "tbl<App>Lock".
Concerning your first question, you can build a BPC for Excel report that retrieves work states.
Having for example an expansion on all entities, you can use EVLCK function (from 5.1 version) or EVASV function (in CPM 4.2). You can then do whatever you would like to send it to others via distribution list or other.
    Hope this will help.
    Kind Regards,
    Patrick

  • Work status at application level

    Hi Team
Can any one explain purpose of keeping dimension members in work status settings where dimensions are not relevent for work status at application level?

    Hi Miguel,
You are comparing work status and the validation rules. However, these 2 are completely different functionalities.
For maintaining validations, please take a look at the below links from help.sap:

  • Issue with setting work status

    Hi Gurus,
I am using the standard work status (copied from Appset), in the applications work status setting I have set entity as owner and time and category as yes for work status. In the entity dimension under owner and reviewer property I have keyed in the correct user ids. I am using one of the owner user id to perform the activity mentioned below
The issue I am facing is when I select modify work status from Esubmit menu it takes me to the web interface for setting the Work status after selecting the value for the 3 dimensions mentioned above when I click on OK it pops up a message that you are not authorized to change the work status setting please contact system administrator. The owners have admin profiles for auth so they should be able to do pretty much everything.
    would appreciate help on this
    BPC 5.1 Support Pack 2
    Thanks

Make sure all the members within the parent hierarchy you are using have owners assigned.
In BPC terms; Managers are the owners of parents, owners are the owners of members.
For example the owner might be a clerk entering forecast data for a single/set of entities, (base level members). The manager owns the parent.
Also, when testing, make sure you login to the system/server/domain/network, (whatever) with the userid you will be testing with and then login to BPC. (Just to be sure.)
This should do it if you have everything else laid out!
    Good Luck!

  • Is there a way I can tell if the unlock worked?

I just followed the instructions to unlock an old iPhone 3gs that I want to take on vacation overseas. I didn't get any sort of message when I was done. I don't want to be stuck overseas figuring out an unlock w/o my normal gear.
Is there a way to tell if the unlock worked?

    Thanks!
I restored to original settings before I started the unlock, so it didn't occur to me to do it again after the carrier sent me the update. I just followed the instructions...
