Uploading previous year open items

Dear all,
The project is about to golive 1st of may and i want to upload the open items for vendors, some the open items are dated 01.01.08. Do I upload using the 2008 date and if i do, will i have to run end of year for 2008.
Thanks

Hii felicia,
For all the open items upload, the posting date is data migration data i.e. in your case its 30.04.2009.
So, for all the open items posting date in legacy will be document date in  SAP so you can enter 01.01.2008 in the document date field & posting date will be 30.04.2009.
In case if you get an error on dates then open the posting period for the earlier years respectively.
Thanks & Regards

  • Document split for previous year open item

    Dear All,
We have upgraded from 4.6 to ecc 6.0 .I have a problem of document splitting .
Suppose there is open item of previous year i.e vendor  and after 1.4.09 the liability is transferred to another vendor the system gives me error that' profit center field in line item 001 is not filled' which seems correct as open item before 1.4.2009 does not have profit center. If the same liability is paid through bank than bank a/c is maintained in 3kei and document gets posted.
Also when salary is paid ,some salary is deducted for paying lic premium so salary payable account is credited  on 31.3.09 and after 1.4.09 the same a/c is debited and credit is given to LIC OF INDIA.
Both payable a/c and lic of india are balance sheet items and system gives me error while posting the documents.
If the same transactions are after 1.4.09 the system inherits prctr from previous transactions but since in above examples there is no prctr in previous documents the system throws error message
'profit center field in line item 001 is not filled' .
    Kindly provide me suggestions
    Thanks and regards

  • Reset previous year cleared item

    Dear experts,
i am trying to reset previous year vendor cleared document in transaction FBRA.
while doing system is giving message "Archiving has not finished"
    message no:F5682.
is there any transaction code is there to reset previous year cleared item?
we are using ECC 5.0 version.
    Regards
    babu..

    Dear Babu,
The error message F5 682 is raised due to the check described
in note 210134. Due to program design this check is also done for a
'planned' archiving job, not only for actual 'running' archiving job,
as a 'planned' archiving job could be running the next month, and then
cause inconsistencies if for a document that is selected in this archive
run, the clearing is reversed on the same time.
As assuring data consistency in archiving has a very high priority this
check on 'planed' archiving jobs is done and is not planed to be
    changed in future.
    Solution:
Follow recommendations of note 210134, and check your live Customizing
in table T070 and T071 via Transaction OBR7/OBR8.
Only with regard to the life do potentially archivable documents
cause problems for the resetting of cleared items.
Also, as you may known, please check that there are no invalid /
incomplete archiving sessions within your system via SARA -> Management.
Within transaction SARA (archiving object FI_DOCUMNT) you have to press
the 'Managment' button to see the status of the different archiving runs
. Making a click on the incomplete archiving session you get a popup,
where you can mark the flag 'Invalid session'.
By marking this field you are declaring the contents of this archive
file as invalid. Therefore the archive can no longer be interpreted. The
archiving session can no longer be chosen for subsequent processes such
    as Read, Delete etc.
    OR
Delete the archive jobs that are scheduled to run.
    I hope this helps.

  • Need to upload previous years bonus

    Hi Guys,
Kindly suggest me what is the best practice for uploading the previous years bonus while payroll has already processed for that periods, I would like to share one of solution that if I upload all two bonuses in current month and give comments Bonus for 2008 and Bonus for 2009. by this way some custom reports will show these bonuses which can be controlled, any other impact or any other suggestion.
    Regards,
    Hamid

The best option for you will largely depend on your existing payroll setup. Usually the best practice is to create the bonus element entry in the original pay period (eg, Jan 2009) and then use Retropay, which will create a retro element in the current open pay period and pay the bonus.
If you don't have/don't want/can't use retro then you can create the bonus elements in the current period but as you point out that isn't great for reporting etc because you don't know which year the bonus relates to.

  • Upload open items

    Guys,
I need to know how to upload open G/L and AP items. Can you give me a list of what these open items are(like gl and vendor account balances, open invoices etc) and how these are loaded into SAP.I know how to use lsmw to load master data but how is it done with open items. Any documentation will be useful too, please send to [email protected] Thanks,
    PJ

All the open items can be easily uploaded from BDC but before that you need to provide the transaction recording for the ABAPer in T.Code: SHDB (Batch Input Transaction Recorder) for any of the upload transaction this can be utilised.
Ensure that when you use a SHDB for any of the given transaction DO NOT USE a F4/option button b'cas that too it will be recorded in the step of the transaction recording, and write down all the concerned fields filled and make a excel template for the easy upload of the data.
Use only the FB01 T.Code for the upload data like Open Item - Vendor, Customer, and all other GL Accounts apart from these.
Give that SHDB program to the ABAPer they will be creating a program and the T.Code for the same and u can use that for the upload.
Here you also need to take a special care for the transactions with the posting keys depending on a posting keys the coming up next screens will be depending on and normally for the 40/50 GL Account transaction same fields will be appearing for the 29/39 for the SPL GL transaction a different and like wise for the 01/11, and for the 21/31 for Vendor Invoice, 09/19 SPL for the Customer Advances
But any where the offsetting account to be the same GL hitting where it will be nullifying at the completion of the all the upload transaction of the tallied trial balance.

  • G/L open items upload

    Dear All,
i am uploading G/L open items, but here some gl master tax code is required, and some or selected as "post automatically" check box , in this case how can i proceed...
    Suresh patipati.

Remove the post automatically check box for now and activate it after uploading.
Regarding tax code is required, create a tax code for '0' tax( if you don't have it) and then try to upload it.

  • Carry forward of Open Items - FMJ2

    Hi,
We are using BCS in EHP 7.0. i am trying to carry forward the open items with FMJ2 and Availability control is "Update without check". When i execute the transaction, system is carryforwarding to next year without any errors.
How ever, if i see the availability report FMAVCR01  for 2015-
Budget for 2015 is 0 - Consumable budget - 0, Consumed Budget is 20000$ and available amount is -20000$.
Where if i add the budget for 2015 of 50000$, then consumable budget - 50000, Consumed is 20000 and available amount is 30000$. it is consuming from current year.
    Please help me on this.
    Regards
    Sam

    Hi Eli,
    Thanks for your reply
When i carry forward the open item, and runs the FMAVCR01 report, it is deducting last year open items budget from current year. As i stated above, Consumable amount is 0 and consumed amount is 20000$ and available amount is -20000$.
Is System should carry forward the consumed budget along with consumable budget?

  • Deletion of parked invoices after carry forward of open items in FM

    Hi,
We have Funds management activated in our client. The MIRO invoices are parked for the year 2008.We follow calendar year.Open item are carried forward to 2009 without posting/deleting  the parked invoices. We are now unable to delete the parked invoices. We get the following error message while trying to delete the invoice:
Posting in fis. yr 2008 is not possible; in FM open doc. 5000005928 in fis. yr 2009
    Message no. FMCF102
    Diagnosis
It is not possible to change document 5000005928 in fiscal year 2008 because the document was updated as open commitment in fiscal year 2009 in Funds Management.
    System Response
The posting is not carried out.
    Procedure
    To change the document
If the fiscal year 2008 is later than 2009:
Carry document 5000005928 forward to fiscal year 2008 using program Closing Operations: Carryforward of Open Items (RFFMCCF1).
If fiscal year 2008 is earlier than 2009 and document 5000005928 was carried forward already:
Reset the commitment carryforward using program Closing Operations: Reset Carryforward of Open Items (RFFMCCFR)
Then you can make the change to document 5000005928.
I tried to undo Carry forward using FMJ3,but I get a message "There are no items to be reversed"
    Please guide me,
    Thanks in advance

    Hi,
Please, check note 1285456. The CF of parked invoices was apparently performed with discrepancies in the tables.

  • LSMW upload for Vendor and Customer Open items

    Hi Experts,
    1. I wanted to use to use LSMW to upload through FB60 for Vendor Invoices through recording, but the problem is Amount in Document Currency is 'USD' and Amount in Local Currency is 'INR'. While recording it is not allowing to input values in Amount in Local Currency while my upload file has values in both Amount in document currency as well as Amount in Local currency. Any help with this regards?
    2. Do i need to open the all fiscal years which are there in upload file?
    3. Any better option to upload the Balances with LSMW?
Any useful information will be Highly appreciated.
    Thanks in Advance

    Hi Rajkumar,
To upload Open items of Vendor and Customers, in LSMW, you will have two files header and line items with  a link linking both the files.
Now, Suppose if you have to enter an amount in USD, then in the header file, enter USD in the currency field and give Exchange rate also in the header file and give the exact exchange rate which should be the value of your Amount in Local Currency INR.
In such cases, you do not enter directly the amount in local currency field.. It is a calculated figure..
Yes, depending on the posting date, all those fiscal years need to e open for which you are posting the data.
LSMW is a tried and tested method for uploading open items.. Simple Go Ahead...

  • Impossible to delete an item number of a PO of the previous year

    Hello,
    I have a question.
Closing Operations (Carryforward of Open Items) were not made yet.
We want to delete in 2011 an item number of a purchase order (created in 2010 with doc date of the year 2010).
The System informs us that  It is not possible to change document in fiscal year 2011 because the document was updated as open commitment in fiscal year 2010 in Funds Management.
    System : SAP ERP 6.0 /7.0 - EHP 4 - FM BCS
In our old  system SAP 4.7 enterprise (FM) , It was possible to delete an item number of a purchase order of a previous year (when Closing Operations (Carryforward of Open Items) were not made yet).
Isn't it possible any more to delete in 2011 an item number of a purchase order created in 2010 before Closing Operations ?
    Thanks for your answer.
    Fabian

    Hi,
I believe, you have PBET activated. In this case, modification of the commitment should be indeed made in the same year.

    Eli
