Vendor name & Reference field to be copied to payment document

Hi Gurus,
I am doing vendor paymen by t.code F110 .   I want to copy vendor name and reference field to be copied from original booked billing document to payment document TEXT Field and Reference respctively.  How do i do the same ??  pleae advise.

  • Reference field value in the F110 Payment document

    Dears
    We are running the automatic payment run for the vendor invoices posted.
    In each vendor invoice, we have filled the reference field, text field, etc.  However, while running the payment in F110, the system does not reproduce this reference field value in the payment document.  Hence we are not able to match the items for comparison.
    Have we left out any setting in FBZP or somewhere ?

    Apart from above suggestions, you can check linked invoices to payment document through below option.
    Open payment document in FB03, go to Menu->Environment->Payment usage
    This will list all invoices cleared through that payment document.
    If you are looking for tables, Pass payment document number , company code, year, account type and account to AGKO table and get the clearing date. Pass these details to BSAK and get list of cleared documents.
    AUGDT = Clearing date from AGKO
    AUGBL= Clearing document from AGKO
    and other details passed earlier.

  • Reference field is missing on partial payment.

    When creating a partial payment the value in the reference field is automatically transffered to the screen - and cant be changed. But when I look at the customer line item display the reference field is empty so I cant see to which payment it belongs.
    I have searched the net but to no avail - hope you can help.

    Probably there might be a substitution which is replacing the value in background. Just check to see substitutions.

    Hi,
    The user complains that the item 1 of 4 items in one document type AB, although it had the Credit memo and the Payment Ref. fields filled with the invoice number 9054525892 it was not cleared by the customer payment. They usually work with an automatic process to clear the documents.
    The customer pays an amount (he already knows the net amount) for the bank and by the return file, according to the original invoice it makes the clearing if all the documents have the same due date and Payment reference correctly filled.
    I would like to know why the item 1 of the document type AB was not considered even with the paymennt reference field filled.
    Does SAP recognize the payment reference just if it is a document type debit 40 / credit 11 or is it smart enough to find an ITEM inside a document to clear just it?
    I believe the user created a wrong document to give a discount.... but I would like to know how SAP works with the payment reference field.

    Combining FI Documents Using a Payment Reference Number KIDNO.
    In some countries you may be required to combine receivables, linked liabilities or cancellations in the same payment program.
    This combination is carried out by filling field KIDNO in the billing header with the following values:
    F2 billing documents (customer invoices) with the billing number
    S1 cancellations using the reference to the corresponding F2 billing document to be canceled via the VBRK-KIDNO from the F2 billing document.
    If a reference for the credit memo request exists for a billing document, then the VBRK-KIDNO value of the reference billing document is copied.
    If there is no reference, then the KIDNO is given the current billing document number.
    When the customer pays the invoice, it quotes the payment reference number, which enables the vendor to match the payment to the invoice more quickly.
    The payment reference number consists of a sequential number and a check digit. Each country has its own rules as to how the check digit is calculated.

  • F110 Sort by Vendor Name

    Hi all,
    I would like to sort my cheque proposal by vendor name. I have gone into FBZP>payment methods by company code>form data> and created and new variant with the field Name1.
    When I went to do a new proposal it did not work, it still sorted by vendor number. I have read most of the earlier posts is there something I am missing? It seems like it should be a pretty straight forward fix.

    The sort variant in (Correspondence or line items) under payment method by company code (Form data) controls how payment advice lines are sorted. Correspondence sorts the payment advice notes (or check) and line items sorts lines in a payment advice. This is payment media sorting.
    The default proposal is sorted by vendor number. For proposal lines sorting, try this: Financial accounting (new) -- AR/AP -- Business Transactions -- outgoing payments -- automatic outgoing payments -- payment proposal processing -- make settings for displaying line items -- select sort fields for line item display.
    But I doubt if Name1 can be added as a field to sort proposal. It has a list of standard fields to choose from.

  • Reference field-xblnr

    Hi Friends,
    In FI, Invoice document is generated with doc type RV. When invoice is done for a service order the system is copying the “invoice number” in reference field[bkpf-xblnr] of the RV document. However, when invoice is done for a delivery related order the system is copying the “Purchase order number” in reference field[bkpf-xblnr] of the RV document.
    The requirement is that ‘Reference’ field should always get updated with the “invoice number”.
    How does Sap populate the ‘reference’ field. Why and how  is it picking up different values for different billing types?
    Is there any config in spro where we can mention which field has to be picked up in reference field?
    Is there any other oss note or exit in this regard?

    Check the settings in VTFA thoroghly....based on billing type copy control will be set.

  • Reference field in the smartform

    hello,
    can you help me to specify reference field in smartform.
    That means,
    i had created the structure in which there is a field VEMNG for which the reference field is VEMEH from reference table VEPO.
    Then i had written the program and created the internal table of type that structure and call the functional module which is calling the smartform by passing the internal table.
    Now after executing it is giving runtime error as VEMNG is not present in the smartform. That means we have to specify the reference field in the smartform for that field.
    i had specify in the smartform-global defination-currency/qty field as
    VEMNG  VEMEH   QUAN as field name, reference field and data type.
    But the error has come while doing syntaz check in smartform and the error is :- Global Definitions:Field "BRGEW" is unknown. It is neither in one of the specified tables nor defined by a "DATA" statement . . . . . . . . . .
    Please help me to resolve this error in the smatform.

    If you r passing quantity and currency fields to smartforms then in
    Globaldefinitions-> currency fields
    u have to specify the fields as well as its uniot field .
    For example u r using field erfmg or menge then u have to use
    fieldname = it_itab-erfmg   and reference field as   it_mseg-erfme
    field name = it_itab-menge and reference field as it_mseg-meins
    and change the data type to curr  or  quan  as required .

    how can i see this report with reference.   • Possible to clear vendor open item against already posted payment document?

    Hi
    Can you advise if it is possible to clear an open item against already posted payment/clearing doc? Here is the background to the scenario:
    An invoice was posted with transaction FB60. This was subsequently picked up in the payment run F110 and cleared by payment document number 200005678. The item went to the bank on the paymnet file and was paid out to the vendor. The transaction reference, which appeared on the incoming bank statemnet was the payment document number 200005678.
    Subsequently it was discovered that the original invoice should have been posted with reference to a PO using MIRO. The requirement now is to reverse the paymnet documnet 200005678 in SAP, then reverse the document that was posted using FB60. After this the invoice will be posted using MIRO. This will create an open item on the vendor account.
    This item will not be piad out again. Therefore the requirement is to try clear that open item against the previously posted payment document 200005678.
    Is there any way to clear this vendor open item against the originally posted payment document 200005678?? Or any other advice on how this scenario can be handled in SAP?

    Hi,
    I tried that option in our test system. I ran FBRA and entered Paymnet Documnet Number (+Clearing Doc Number), Company Code, Fiscal Year.
    Then chose menu option Clearing -> Reset Cleared Items.
    The system pops up a window asking for a reversal reason and reversal date.  I use 01 and posting date of today.
    The system now posts another cleared document. That document places the invoice as an open item on the vendor account. It does not place the Payment Document as an open item on the account.
    When I go to F-44 only the open vendor invoice is showing there. There is no open paymnet document.
    Is there perhaps some configuration setting that stops the placement of the paymnet document as an open item when reset?

    When i use F110 to do auto payment run for one vendor, each item is paid by each payment document although the document currency is the same, do you know why it appear like this, by right, all the vendor open items should be paid in one payment document, what is the possibility for this scenario, how to check it.

    There are things that you should check which may be causing this:
    (1) In the vendor master (FK03) go to the section "Payment Transactions Accounting" and see whether the box "Individual Pmnt" has been selected. If it has, then deselect it.
    (2) In transaction FBZP go to the "Payment Methods in Company Code" section, double click on the relevant payment method, and check whether the box "Single Payment for marked item" has been selected. If so, deselect it.

  • Populate header text with reference number and vendor name

    Hi Experts,
    My client wants to populate the line item text field - SGTXT in MIRO / FB60 with the reference number field XBLNR and the vendor name.
    Is it possible to do it before the invoice get posted?. Like, just after the user entered the vendor account number and the reference number in FB60 system picks the vendor name against the vendor number from LFA1 table and the reference number entered in FB60 screen and populates them in text field ?
    Similarly in MIRO - before the invoice get posted is it possible to pick the reference number from MIRO screen and pick the vendor name based on the PO number entered on the MIRO screen.
    Please advise how to do this.

    This can be achieved by using a User Exit in Substitution rule. This is done through GGB1. Define the rule

  • Payment Reference Field KIDNO Not apprearing at the time of Vendor Payment

    When we are making the Vendor Payment thru F-53, we are not able to see the Payment Reference Field KIDNO there. But when the payment document is posted and we see the line items then this field KIDNO comes there as non-modifiable field. We want to fill some information there in that field for some report purposes. Can you please help me, how can I see this field as changable field at the time of making vendor paymnts thru F-53.

    Hi Senthilkumar,
    Change the field status for the 'payment reference field' to optional or required, based on your requirements. You can do this in T.Code - FBKP.
    Do this:
    a) Check the field status group maintained in the master data of the Reconciliation account of the vendor.
    b) In t.code - FBKP, click on 'Field Status Groups' and enter the variant created for your company code
    c) Now from the resultant entries, double click on the field status group which has been maintained in the master data of the Reconciliation account of the vendor.
    d) Double click on 'Payment transactions', you would see 'Payment Reference' there which would be having its status as 'Suppressed'. Just change it to Optional or Required!!

  • Vendor name field in FBL3N report

    Hi Experts,
    Requirement : In Fbl3n report Vendor name required for vendor code in vendor field and not in offseting account field.
    Action taken : Through spro vendor field has been added to fbl3n report.Now BTE 1650 has been activated.In function module ZF_INTERFACE_00001650 in importing parameter i_postab there is no field for getting vendor codes that are displayed in vendor field in FBL3N report.So i cannot get not get name of vendor codes.
    One option i know is i am getting PO no from i_postab,so from PO NO i can get vendor code and hence vendor name.
    Is there any other way of getting vendor codes in function module mentioned above.
    Please suggest.

    speaking of XK03 -- even if you allow fields NAME3&NAME4, in XK03 they are displayed if and only if they are filled with some value; so first lets try to add something there, and then see.
    Otherwise, the status of the field is determined as combination of statuses for account group, purchasing organization and transaction (see SPRO -> Logistics - General -> Business Partner -> Vendors -> Control); please note that combination of "optional" and "suppressed" on any of those levels will result in "suppressed" status.
