Which Chart of Accounts to be followed

One of my cleints want to get sap business one installed in  African country.  i have  implemented  as per indian localization. this is the first time i am implementing  for some african country.  my question is :
1. Can I use indian chart of accounts.
2. does licensing allow me to do so ?

Please see the 'Availability by Country' page on the SMP (SMP-> Channel Partner Portal -> Business Process -> SAP Business One -> Product Availability -> Availability by Country.
Your channel manager will be able to indicate whether using B1 in this African country can be supported & if appropriate put you in touch with the relevant contacts.

                 I have queries on following :
    1) what is difference b/w Forex gain loss account & Exchange Rate difference on Foreign Currency account .
    2) Under which Heads in Balance sheet they should come as per Indian Accounting Standards.
    3) Are these accounts common for Vendor & customers or different.
    4) they record FI data at Company code level or at sub-ledger level first (Vendor /Customer) .
    4) Is it advised to use same Chart of Accounts to two companies in same country by using different GL's with different FSV?

    Please note the answers below:-
    1. It is one and the same thing. When you say forex gain/loss account, it means a GL account and exchnage rate difference means, the difference in rates at which you purchased/sold and the rate at which you made paid/collected.
    2. Ask Client where they want to show these GL's in Financial statement Version.
    3. The configuration setting is in OB09 and SAP allows you to keep same or diff GL for both realised Exchnage rate gain/loss. It depends on how you want to see. technically it is possible.
    4. The Valuation is done at company code level, but individual records are picked up at vendor/customer level. It means that the revaluation gain/loss adjustment is not given to each individual Vendor/Customer, rather it is posted to a GL - Balance Sheet adj.
    5. Yes, you can use same chart of accounts and you do not need to create separate GL's at the company code level for two company codes. Same GL's can be used as the posting is made at Co. code level.

    Can someone solve my problem. I have created an expense account in my Chart of Account (FSP0) and the same COA is assigned to my Co.Cd in OBY6. When I tried to post to this G/L account ( FB60 - Vendor Invoice posting ),  I got the following error.
    G/L account  is not defined in chart of accounts INT
    Message no. F5507
    Diagnosis
    The general master data of the G/L account  is not maintained in the chart of accounts
    INT.
    System Response
    Error.
    Procedure
    Please correct your entry or create the master record.
    I am not sure if I am missing anything.  Is there anyway to extend the G/L account that is created in COA to company code level apart from assigning the COA to company code in OBY6.
    Any help will be duly rewarded and appreciated.

    A single chart of accounts can be used by multiple company codes.
    If I have 20 company codes using the same chart of accounts in the system for which i need to create GL accounts. Instead of creating the GL accounts for 20 company codes individually  at COA level and Company code level, I can create at company code level only. The COA level will remain similar/constant for all the company codes.

  • Error FF5507 in MIRO G/L Acct 211000 not defined in chart of account INT

    Good Afternoon SAP Gurus-
    I have a mystery.  We are using standard preconfigured SAP test scripts and we are following the procedure for procure to pay.  We are getting the error below when entering MIRO
    G/L Account 211000 is not defined in chart of accounts INT
    Message No.  FF5507
    The general master data of the G/L account 211000 is not maintained in the chart of accounts INT.

    I did check a table and confirmed that 211000 does not exist for chart of accounts INT.  When I check with the FI guy, he tells me that when he looks in FS00, it tells him that 211000 is created in company code PS01 however when he tries to change it, it tells him that it is not created in chart of accounts INT for company code PS01. 
    What on earth is the problem?  I would think this could be simply corrected by extending 211000 to PS01.  We know that is chart of accounts INT.

    sounds like the account number is exisiting on comp. code level (table SKB1) but NOT on chart of accounts level (SKA1) a situation that can not happen regularily... Check both tables if the account number is there.
    If its there only in SKB1 try to
    create it in chart of accounts INT using FSP0 T-code or (if thats not possible)
    remove it from SKB1 (guess your ABAP-guys no what to do) and create it new using T-code FS00 (which creates chart of accounts and comp. code data at once).
    I assume that there is no document posted using this account number and that you are able to try in test-system what I've suggested.

    Definition
    This is a list of all G/L accounts used by one or several company codes.
    For each G/L account, the chart of accounts contains the account number, account name, and the information that controls how an account functions and how a G/L account is created in a company code.
    Use
    You have to assign a chart of accounts to each company code. This chart of accounts is the operating chart of accounts and is used for the daily postings in this company code.
    You have the following options when using multiple company codes:
    You can use the same chart of accounts for all company codes
    If the company codes all have the same requirements for the chart of accounts set up, assign all of the individual company codes to the same chart of accounts. This could be the case if all company codes are in the same country.
    In addition to the operating chart of accounts, you can use two additional charts of accounts
    If the individual company codes need different charts of accounts, you can assign up to two charts of accounts in addition to the operating chart of accounts. This could be the case if company codes lie in multiple countries.
    The use of different charts of accounts has no effect on the balance sheet and profit and loss statement. When creating the balance sheet or the profit and loss statement, you can choose whether to balance the company codes which use different charts of accounts together or separately.
    Structure
    Charts of accounts can have three different functions in the system:
    Operating chart of accounts
    The operating chart of accounts contains the G/L accounts that you use for posting in your company code during daily activities. Financial Accounting and Controlling both use this chart of accounts.
    You have to assign an operating chart of accounts to a company code.
    Group chart of accounts
    The group chart of accounts contains the G/L accounts that are used by the entire corporate group. This allows the company to provide reports for the entire corporate group.
    The assigning of an corporate group chart of accounts to a company code is optional.
    Country-specific chart of accounts
    The country-specific chart of accounts contains the G/L accounts needed to meet the country's legal requirements. This allows you to provide statements for the country's legal requirements.
    The assigning of an country-specific chart of accounts to a company code is optional.
    Integration
    The operating chart of accounts is shared by Financial Accounting as well as Controlling. The accounts in a chart of accounts can be both expense or revenue accounts in Financial Accounting and cost or revenue elements in cost/revenue accounting.     Please pardon me for posting such a long mail :) If you could help me address these concerns, we would really appreciate it.
    This is regarding Financial Accounting Hub implementation for an Investment Company. There is a requirement (details mentioned below) at my client site wherein they wish to evaluate 'Currency' as a segment in their Chart of Accounts structure.
    Requirement:-
    There are two source systems wherein all transactions are already accounted for; henceforth, we have suggested a 'pass-through' approach to the client. The scenario is that, these source systems have transactions (in different Quotation currencies for each Investment they make) which needs to be captured in Corporate General Ledger financial reports (in Balance Sheet, the client wishes to have columns for Currencies to which the Investment has been exposed, along with functional currency, USD balances).
    Am seeking your help/insights on the following points:-
    - What could be repercussions of having 'Currency' as a segment in Chart of Accounts.
    - Can we capture static*** (additional) information from these source systems in 'Supporting References' and could we generate reports for the same (I mean, there is standard functionality in FAH to attach supporting reference to the journal lines; having said that, could we capture the balances of 'Supp. Refs.' in any report).
    - What are the pros and cons of having Multiple General Ledgers and finally consolidating them into one ledger. What is the best practice followed in the industry?
    - Pros and cons of having single Chart of Accounts and Multiple Chart of Accounts.
    - Which reporting tool could be used for developing Financial Reports (like B/S, P&L, Cash Flows) and monthly reports (like reports as per static/additional data)?
    I would appreciate if any document/insights pertaining to the same could be shared. Also, if any requirement definition document (RD50) , for a Financial/Investment Company (*which invests its Govt.'s surpluses into asset classes across the world).

    Hi,
    While creating the Vendor master record i IDES i am getting an error .
    System prompts for the Reconciliation account.
    Prior to creation of vendor master record i already have done following configurations
    1.I CREATE COPY OF CHART OF ACCOUNTS from INT1 to create my COA..( As country is india any suggestion which reference COA i should select to copy from)
    2. Assigned new COA to my company code.
    3 I also maintained controlling area which is my company code.
    When i click the Recon field in XK01 i found no possible entries.
    Please guide me as without mentioning the Recon account i am not able to save the vendor master record.

    When u have created your company that time u should create with copy anuway
    but it's look to me your COA is not generated with depending accounts

  • Edit Chart of Account

    Hi Experts,
    I want to shift one GL account from assets to liabilities.
    The account which I want to transfer is a control accunt & also used in GL account determination, during implementation this account was wrongly placed in liabilities however this has to be placed in asstes drawer.
    when I try to relocate the account there is a message as follows
    Cannot transfer reconc. account to another group  [Message 750-21]
    So, need your help how to resolve this issue.

    This is the solution proposed by SAP Support...
    The issue is reproducible in a India demo DB for both versions 2005B PL45 and 2007B PL11.
    Currently this is the current system behaviour for both versions as the account Goods Received not invoice clearing (GRNI) has been defined under GL Account determination-stock tab and also WH account ing tab .
    Nevertheless after further investigation we managed to move the account to the expenditure drawer. Find below a workaround which allow the system move the account to the expediture drawer.
    1.Remove the account 208040 from GL account determination - stock tab and also from any Warehouse definition
    2.Go to Edit Chart of account and select Liabilities and Expenditure drawer.
    3.Set the account 208040 as Level 2 and update
    4.Move the account to expediture account
    Please be aware that this change will have accounting consequences (e.g P&L report...) therefore makes sure customer accountant agree about this change. Please check the attach note 812315.

    In  a productions environment, we have a requirement as follows:
    For the company code in Spain as per the new legal requirement, we need to change the alternate chart of accounts.
    The client has many company codes and use Group chart of accounts also.
    Is there any specific SAP patch available for this ?

    Hi Suresh,
    you mean the country chart of accounts assigned to the company code in field T001-KTOP2 (not to mix up with the operational CoA T001-KTOPL).
    If you are using a country CoA, field SKB1-ALKT alternative account number in the GL account master record is checked against that CoA. If you want to change it, you may have a current country CoA with plenty of GL accounts, assigned to your operational accounts.
    To change the country CoA is an easy task in transaction OBY6. (first you have to create the new CoA, specify at least 1 account group and a retained earnings account for the start).
    Then you have to create new accounts in your new CoA (FSP0 only, no FS00 or FSS0).
    Finally, and this is the main point, you have to change the current assignments. The issue is that if your have a country CoA assigned to the company code, a change of the alternative account is only possible if the account has no balance. To remove the current balance to another GL and reverse this afterwards is not so easy for some type of accounts (post automatically only, reconciliation accounts, etc.) So you have 2 options for this change:
    1. Write a custom ABAP which will update your SKB1 records without checking the balance.
    2. Create the country CoA but do NOT assign it to your company code yet. (Remove any existing assignment). Now you can do a mass change using transaction MASS or manually account by account, regardless of the balance. Make sure you enter alternative accounts only that are created in the country CoA.
    3. Finally, assign the country CoA to the company code.
    After this, the line items posted before the change are not in sync with the master record's alternative accounts (BSEG-LOKKT <> SKB1-ALTKT), but as most standard reports are reading the CURRENT alternative accounts from the master records anyway, that should not be a problem.

    After selecting the reason I got the message: "Acct determination not defined for trans. ZDI in chart of accts XXX", but I already define the GL accounts in OBXL for each difference.
    What is still missing?

    Check if the same are maintained for the Chart of accounts that the system is prompting for.
    If these are maintained, check the parameters for which these are maintined like-
    - Debit/Credit
    - Reason Code
    - Tax Code
    One of these is missing.

  • Solution for copying individual chart of account segements betw. clients

    Hi all,
    I'm facing the problem, that we we have three clients setup on one system. Within the leading new group chart accounts have been added which also need to be added in the other two clients.
    Is there anything like ABAP programs RFBISA10 and -20 which can support me in doing so. To prevent unclarity:
    The respective accounts only exist in chart of accounts segment and i don't want to copy the whole chart of accounts via IMG.

    This was an overly-long post with a lot of irrelevant details and lacking some of the important ones. So I am inferring the following:
    • You are connecting to your mail server via POP
    • You are leaving Mail running on the machine at the office
    • You have the machine at the office set to delete mail from the server
    • At the shop, Mail is set to leave mail on the server
    If any of this is incorrect, please correct me.
    Now, there are several easy solutions. The easiest, if your mail server supports it, is to switch from a POP connection to IMAP. POP was designed around downloading mail from the server one time and deleting it from the server, leaving you with only a local copy. IMAP is designed to leave mail on the server and synchronize local mailboxes with the server. So with IMAP, you could have exactly the same mail in the mailboxes on both machines. Of course, that means the mail takes up space on the server, which could eventually fill your allocated space and prevent you from receiving further e-mail, which means you've got to be aware of the limits imposed by your server and manage your e-mail accordingly.
    If your server doesn't do IMAP, then you can still use POP... you just need to leave it set as is and make sure that you quit Mail on the office machine. You'll be able to download new mails from the shop, and since the shop machine is leaving mail on the server, you'll still be able to download them on the office machine later so you have all your e-mails in one location.

  • Sudden change in structure of Chart of Accounts

    Hello ...
    One case has been presented in more than one occasion. It is as follows:
    The accounts of Level 5 of the Plan of Accounts overnight changed to level 2 staying active. The origin of this event is unknown, it speaks in other posts that the case has been reported to SAP but without a definite answer about the why it happens and how to fix it.
    In fact, the solution is to re-offered to manually update the accounts to Level 5 ... which in cases where the Chart of Accounts has many quite conflicting accounts.
    The questions are: there will be some way to get a little more detailed answer to why this occurs? ... And is it the only option to reorganize the entire Chart of Accounts (Chart of Accounts Edit option), the manual mode?

  • Consolidation multiple  operational chart of accounts

    am on a consolidation project and I have the following scenario.
    There are about 25 companies spread across the globe.
    The requirement is only legal consolidation.
    But unfortunately they dont use global chart of accounts. Out of 25 company codes 20 companies use CoA A and the rest of the CoA B. Had it been a single CoA it would have been a straight forward implementation. SInce it involves two CoAs I would like to know how to go further on this. I know BIW based BCS can handle this. But when it comes to the question of real life implementation every one is tight lipped. Appreciate if anyone could throw some light on this.

    Yes. It is not a straight forward implementation but not too complex. There are more than one way to tackle this issue. But my solution is based on maintenance perspective since there will be regular addition of GL accounts. You have also not mentioned whether your client has Group chart of accounts in place. I assume that you dont have group chart of accounts and only operational chart of accounts in place for these two sets of companies.
    Solution 1. At the time of extracting the data from R/3 table you can map it to a group chart of accounts in transfer rules.
    Solution 2 You can also do a mapping between operational chart of accounts and group chart of accounts when you are mapping between source data basis and data basis.
    Solution 3 You can create look up table (Ztable) separately containing the following fields
    name of the chart of accounts, operational GL accounts and group chart of accounts. When the data extracted from R/3 data will look ino this table and group account number will be populated based on this mapping table.
    I would recommend this since this easier to maintenance since users need not go into BIW or SEM whenever a new account is added into R/3 side.
