Workflow Inbox to be cleared

Hello All,
I need to delete Workitems from the Portal Iview of a particular person. Now the problem i m facing is that Applications which i am able to view in the portal inbox, do not have any record in R/3 system. there is no data pertaining to those applications in the tables PTREQ_ATTABSDATA, PTREQ_ITEMS, PTREQ_HEADER. But still those applicaitons are visible in the portal iview.
Portal Iview used is standard one.
Now, I need to clear the inbox of the approver by any means.

But I strongly believe that this is case is a "one time" type of case. The user has now unneeded work items, but after they are deleted, the situation is cleared. I see no point of creating&sheduling a program of deleting work items from user's inbox. If user gets unnecessary work items (or he has some kind of ghost items) there is simpy something wrong in the workflow or in the business process itself (=somebody is doing something in a wrong way, or forgets to do something that he/she should do). Deleting work items with a custom report should never be necessary (unless it is some sort of a case of clearing of test data or clearing some bad production data (but in this later case the workflow itself should be fixed in order to avoid this happening again)).

No, SWI5 will not fail. Deleting the work item with your program and deleting it with SWI5 is the same thing. Both of them set the work item logically deleted. If the item does not disappear from UWL even if being completed, there is something wrong in the UWL (cache/refreshing problem?).

Yes, I am sure. And this is the correct way to delete complete workflows. When you delete the whole workflow, all the active (=ready, in process, etc.) child work items get deleted. If you delete just the child work item, the workflow gets never completed/deleted, and stays in status in process. This will have an effect for example to work item archiving (these workflows will never be archived) and reporting (if you want to report some average completion times, etc.).

    Hi all,
    Im having problem with our workflow. Below are the details
    SCENARIO:
    User A creates a PR. The PR is then forwarded to user B for approval. Once the PR is approved by user B, it is forwarded back to user A for notification purposes. User A then executes the PR and it is automatically forwarded to user C for processing.
    THE PROBLEM:
    When user B approves the PR, his/her inbox should be cleared once the PR is forwarded to user A. The problem  is that, out of the 45 line items present in the PR, only 38 lines were cleared from the inbox. The remaining 7 items were retained. However, when we try to view the PR from user A, there are 45 line items and they are complete.
    QUESTION:
    What causes the 7 line items to be retained in user A's inbox? How do we clear them?
    Any output will be highly appreciated.

    The user B approved the PR accessing the transaction SBWP or via PR transaction directly?
    If via PR transaction directly, then your workflow needs a Wait Event step.

  • Stoping subscriptions to go to Workflow inbox

    Hello experts,
    In our system, all subscription emails are going to the workflow inbox in portal.
    Also, any email from the document approval process is going to the workflow inbox in portal.
    therefore, the inbox is getting very big. The items ander the tab "Tasks" can even not be deleted.
    I need to stop these emails from going to the workflow inbox.
    Can anyone please piont me to the right document to start with.

    Hi Sabbir,
    Goto Content Management --> Repository services -->Subscription service . Deactivate that is set the parameter "Send notifications to action inbox" to 'No'.
    By default it ll be activated as a result notification ll also be send to UWL.

  • Extended Notifications - Workflow Inbox link not working

    Hi,
    I have configured SWNCONFIG to send Extended Notifications. E-mails are being sent but the link for Workflow Inbox (configured in Subscription Settings - SHOW_INBOX_AS = LINK1) only takes to the enterprise portal home page not the inbox. I have search to have this fixed but with no luck. Does anyone know how to solve this?

    I have follow the configuration in this links:

    Subscription (SAP Library - Embedded Processes (SAP Business Workflow))
    It does not refer any specific link to the inbox. Only to activate the service: default_host  → sap  → bc  → workflow → shortcut
    And to use SHOW_INBOX_AS = LINK1 and define the portal url in parameter WG_HOST in General Settings. In addition the url while navigating in the portal is always the same (e.g either on the home page or in the workflow inbox), so I guess its the system job to re-direct to the Workflow Inbox, but this does not seem to be happening for some reason. 

  • Weird User error - Items disappear from Workflow inbox when refreshed

    Hi All,
    One of our end users gets this error -
    He logs into business workplace, and clicks on one of the items and exits without doing anything - on refresh the item vanishes from his workflow inbox - not visible in any sub folders or Outbox (Work items exceuted by me).
    Same thing occurs when he clicks on the "Reserve" or "Replace" icons for an item and does a Refresh. The item disappears from Inbox.
    Tried to swtich off the Preview pane and refresh - same occurence.
    Tried to refresh / reserve from another computer and the same thing occurs.
    Is this a problem with the GUI / user profile?
    Any pointers highly appreciated.

    Welcome to SDN Forums!!
    Is the user in question a selected agent for the work item(s)? Does this happen only for a specific user? If so, it could be an authorization issue. Check for any failed authorizations (SU53) for the user. What is the status of the WI when it disappears from the inbox? If in error, check for error messages in the technical display of the WF log.

  • Delete Workflow items from workflow inbox.

    Hello All,
    We are using workflow in MSS for Compensation Management. As part of this an email will be sent to the managers when a compensation needs an approval. There are some workflow items under workflow inbox ( SBWP ) . How can I delete emails which I don't want to execute. I don't see any delete button. I can see delete buttons for the documents under inbox, but these emails that I want to delete are under workflow in Inbox.

    You are refering to the emails in the inbox ( SBWP ) where I can delete my emails with the help of a delete button. But I am referring to the workflow items that are present under INBOX -> WORKFLOW. There is no delete button on these workflow items. If we execute these workflow items then they will be deleted automatically. I am looking for a solution by which I can delete (clean up) all the workflow items that are not executed from last year so that we can be ready for our compensation for this year.

    The extract of IDOC list with status 51 from WE02 transaction is not matching with Workflow inbox column "object", some of the idocs which are errored are not showing in the workflow inbox. Here we are in need to get all the errored idocs into the inbox. Please suggest me to proceed further.

    I have maintained the suggested role SAP_GRC_SPC_SCHEDULER in backend for an user id and i can able to see a job is getting completed in SM37.
    However, the task in the inbox hasnt come yet.Any idea you may have as to how much time it will take for task to come into inbox.Or is that i need to do any more extra task.

  • Item does not move from Workflow Inbox to Work Item Executed by me

    We have implemented workflow inbox for invoice payment. After archive document in OAWD, we will do posting through Workflow inbox. After posting, the item should go to 'work item executed by me' folder. But the problem is the work item is still in the workflow inbox. What should we do? Pls help. This is urgent.     Hi Arianie,
    First check the status of your WORK ITEM ID. You can check it in SBWP or in SWI6 transaction.
    If your work Item ID still remains in the SAP Inbox & does not move into outbox i.e. "work Item Executed by me" then it may happened that your workflow is not triggered after users/responsible agents action completion. You can check the graphical status in SWI6 transaction itself.
    Also check whether your Work Item ID's status is not "ERROR" . If it is "ERROR" then you need to resume the work item ID (Whose status is Error) to start/recall the workflow.

    I am a workflow guy and was asked by my client to configure the workflow inbox to portal via UWL.
    I assume that this is a portal admin or basis admin work to be done. Pls confirm..

  • Forward button not appearing in the workflow inbox

    We have an issue where a user says that the forward button is not appearing in the workflow inbox . This is happening only for one user. Is there an way through which we can add the forward button?

    Hi Archana,
    If Basis have confirmed that the user has the authorization, then the user should be able to forward tasks.
    Right click on a task in the inbox, it should allow the user to forward the task.
    If the user does not have the authorization, then a message will appear that user does not have authorization to forward tasks.
    Immediately after that take a screen shot of SU53, which will show you why task forwarding is not possible.

    Transaction SWL1 only provides Six columns as dynamic columns for workflow inbox. But we need to use 7 to 8 dynamic columns. How to add these two extra columns into workflow inbox?

  • Decision Step in Workflow inbox in NWBC

    Hi All,
    As of now when I click on any task in my Business workflow inbox then it takes me to a Decision Step in workflow but this screen is displayed as GUI , but need to find a Webdynpro replacement for this Decison Step.
    This is a standard Decision task step with minimal configuration, so want to know if there is any standard SAP provided Web dynpro to replace this.

    It would be better to use the custom webdynpro application.
    Please follow the below steps...
    Create a Separate Webdynpo Application ( WDA ) where you need to put all the option as SBWP by coding.
    After that you need to configure the SWFVISU.
    Run Tcode SWFVISU.
    here, select "Task Visualization' and maintain your standard task ( TS ) with ABAP web dynpro option.
    Now selct your entry and click on Visualization Parameters as mentopn below.
    APPLICATION ( WD application name )
    DYNPARAM
    NAMESPACE
    SYSTEM_ALIAS
    Second, ask Portal team to chagne the XML code for the above standard task and application ( i.e. WD appilcation which will be launced on clicking the task ).
    From the next run of the workflow, WD applcitoon will be lauched from the protal.
    for the old workitem this will not work.

    I search the correct RFC to read the Workflow Inbox. I would like to develop a JAVA Class to connect the Inbox and then to show the workitems on a web screen. I use the SAP JCo to connect the SAP System. But until now, i don't found the correct RFC to connect the Workflow Inbox in the Workplace.
    Can anybody help me or know anybody the correct RFC?

  • Workitem not receiving in workflow inbox

      Workflow working fine in Dev110(development system), but not working in DEV130(Unittesting) . In Dev 130, once workflow is triggered through background proces(WF-BATCH), workitem is showing up in WF outbox... but not showing in WF inbox.
    Please suggest if you have any idea with detialed steps.

    We currently experiencing some users when they access the Workflow inbox, they get the options of Work On: My Items, Items on Behalf of Lastname, Firstname and All Items.
    The default selection of the option is "My Items".  Just wondering if anyone know how we can set this to "All Items"
