Workflow mail to external mail

We are able to receive mails in the SAP IN BOX & external mail when workflow event is triggered. ie. when we create material master or customer master we are able to receive mails in SAP INBOX and our Outlook. But when we are using Receipient email address in send mail step of workflow, we are not receiving the external mail.Please help

Make sure you have used 'U' as a recepient type.
Check SOST entry for any errors, also check the SCOT configurations with your basis team.

'SO_DOCUMENT_REPOSITORY_MANAGER' with method 'SEND' is being used for my case.
but I don't know what field of structure RECIPIENTS (Table parameter of this Func. Module) that used for define recipient's E-Mail Address.
Does anyone know the field or Have any method to solved my case?

Hi,
Fairly simple. You need to implement the interface IFRECEIVE in a business object. Add your code to the Receive method (it has all the necessary parameters defined). In SO28 you can set up inbound distribution for received emails, under New Recipient you can specify that business object - just select "SAP Object Instance".
You can also use inbound processing exits - tx SO50 - which is much the same thing but based on ABAP classes and is a little more work and less workflow-specific. Works as above but use interface IF_INBOUND_EXIT_BCS.

Triggering multiple mails for external Mail id when PO is created

Hi,
I configured PO workflow and i used a standard program to send the mail to the external Mail id's of the users.
The thing is when a PO is created the user whos has to release the PO is getting a Mail in Business Workplace through work flow and simoultaneously a mail will go to his external mail with a message that So and so PO is created please release it.
As he cant keep on monitor his SAP Business workplace,whenever he get a mail to his external id,he will login to SAP and approves or rejects the PO.
Here the probelm is the external mail is keep on triggering for every 15 min as we scheduled the Job for ever 15 min.
So for the same PO number it is giving multiple mails to the external id until it is released.
It should be like one mail should trigger for one PO number instead of multiple mails for the sam PO number.
I'am unable to find the solution.
Please guide me with a solution.

Hi Praveen,
1> Goto transaction SWO1.
2> Enter Object/Interface Name as BUS2012 and click on Create Subtype.
3> Enter the required values (you can give ZBUS2012 everywhere....only give Application as R). Place cursor on methods and click on create. Enter details and finally give name of your function module (which you would be creating with the logic of sending mails to selected users) in ABAP tab.
4> Place cursor on method name and click on parameters and create the required parameters. These parameters would receive value from task container.
5> Finally goto transaction SWO6 and delegate this BO to parent BO (which is BUS2012). This would enable the methods of child BO to be available to the parent one.
Try the steps and let me know wherever you get stuck.

How to send "SPOOL" on SAP MAil or external mail in background???

I tried using 'SO_DOCUMENT_REPOSITORY_MANAGER' function but it failed when I run it in background. I learned that it calls a screen at the middle of the process which needs user input to go on with the process.
Is there other way that I could send spool on SAPMail or external Mail in background??? Any suggesstions will be greatly appreciated.. thanx...

I want to send mail from SAP to External mail ID's for multiple Users.The program is ok.
But I want to send this to Multiple external Mail id's. Where should I assign this receivers list. Pls advise.

IT_RECEIVERS parameters needs to be passed as shown below.
    wa_receivers-receiver = "..........External mail id".
    wa_receivers-rec_type = 'U'.
    wa_receivers-express = 'X'.
    APPEND wa_receivers TO lt_receivers.
    CLEAR wa_receivers.
Once mail is triggered to the external mail id's, check the mail is transferred from SAP or not using the tcode SCOT.
In SCOT,follow the path UTILITIES-> Overview of send orders.

Internal mail size, External mail size

Hello,
I am using JMS 6.3!
One of my customer has 2 requirements
1. Can we have mail users who would be allowed to send mails internally only and some users allowed to send internally as well as externally
2. Can we have, users sending mails to have different message size limit to one sending externally. Ex: Internal mail size 5mb and External Mail size 2mb

If you wanted to apply the internal/external limits globally (as in the limit applies to everybody but certain users could 'override' with source-limits) you could to this by setting the default quota to 5MB (so this would apply to internal emails for example) and then set a 2MB blocklimit on the tcp_local channel so that 'external' bound emails get a greater restriction.

Workflow Forwarding to external mail help.

Hi All,
We use to use SO12 in our previous projects to forward workflow items to SAP outlook inbox. It was integrated with outlook, as users were able to approve or reject the same through the outlook inbox. So that means that they had some integration tool like Duet and stuff.....?
Because by using simple forwarding using report RSWUWFML2 and SWADMIN ..... few more t-codes i guess its just the notification that is getting forwarded to the outlook mail and not that its integrated? So its like one way communication? Please correct my understanding!

Shoppin Cart Approval Mail to external mail box

I want to send a mail to outlook inbox once Shopping Cart approval was completed by all the approvers.
For this do we need to set any configuration settings.
I found "RSWUWFML" program, is this program to send EMail to outlook for all the notifications created in SAP Business workplace.

To display the workflow notification, the variables for processor, scenario etc. are determined dynamically during the runtime. One of the sources consists of the settings you make in this IMG activity.

How to receive mails from External mail ids to SAP SBWP

I have requirement like suppose say I have my company mail id for eg: abc<AT>xyz<DOT>com and also have a gmail ID. My login ID in sap is say BASIS. Normally, if I configure SMTP with our exchange server then I can send mails from SAP to my company ID and also gmail ID.
Similarly, I want to know like what needs to be configured for receiving mails in to SAP if I send mails from my compnay ID or gmail ID. To be more precise...my interest is mostly from Gmail i.e., if I send a mail from my Gmail ID, I should be able to see the mail in SBWP of my BASIS login.
Please suggest how this can be acheived.....

Generally it is not recommended to configure income mail on SAP.
as it increase heaby memory utilization as well as it make big impact on sap database. i.e it is unwanted increase the databse of sap.

Problem assigning an account for sending mail from external mail app

Good morning , i have an IPhone 4s 16gb with IOS 7.0.6 and even in setting-mail and calendar i have setup the default account to use for sending mail outside mail app it use ICloud mail account.
if i select Icloud account and then my gmail account sometimes works but after some days it start again to use the other account...i don't know if it is when i power off the IPhone...if i look into settings-mail and calendar account selected is gmail even the account used is the ICloud.
i think is a IOS bug.

now this screen is comming in SAP Business inbox at started workflow tab.
but this FBV0 screen should go as attachment in mail for external mail id.

Hi,
To send it as attachment, bind the standard Business Object FIPP to the custom container of your activity in workflow. This will automatically give you the attachment as Display is the default method set for this BO.
