Workflow Single Email Notifications

Hello all!
We have a custom workflow that sends an email notification based on list data in two fields MATCHING up
SEID (employee ID) and SEID of Shipping POC.
The employee that correlates to the SEID of Shipping POC
field will receive an email notification. However,
there are cases where there are multiple orders (SEID) for a single Shipping POC
(SEID of Shipping POC) aka the two fields data do not match. We need to figure out a way to only send 1 email out per bulk order so the Shipping POC
(SEID of Shipping POC) does not receive a bunch of emails for each SEID on an order. The notifications have to be sent based on the data in the
SEID of Shipping POC field.
Any suggestions would be greatly appreciated!

detail about your list. Such as the columns and their type.

    I made a workflow straight from my SharePoint site--NOT from SharePoint Designer. (My computer is still running on Windows XP, so I can't download Designer until my boss upgrades me to a newer system.) When creating the workflow, you have the option to include

    Please check if the http://www.w14spw-po-b1.com/sites/ is the url of default zone of the web application where this site resides.

  • Can workflow extended email notification setup be transported?

    I am creating the setup for extended email notification of workflows using transaction SWNADMIN.  Can this be transported from DEV to TST and then to PRD and if so, how do I attach it to a CTS?

    Yes, you can. Use SWNCONFIG instead to transport. From the menu options.

    But i can not use this table to pass th value in BDC as i am using standard report RFBIKR00 to create BDC session which takes values from structures only like BLFA1,BLFM2,BLFB1 etc.
    I need such structure for email id field.

  • Email notifications not working correctly in Mavericks

    Is anyone else suffering from problems with their email notifications in Mavericks? I have got a mid 2011 21.5 " iMac which previously had Mountain Lion and before I updated I would get every single email notification without fail. Since I I updated to Mavericks though they generally do not work and I am lucky if I see even 1 notification per day. This includes iCloud, Gmail and 5 private company pop3 accounts. I have tried deactivating the accounts in system preferences and then activiating the accounts again in the Mail app but it hasn't changed anything.
    I am aware that the Mail app is far from perfect with various problems and I read today on another website that Apple are currently testing a new build of Mail which I hope will be made available soon. The Mail app is my only big problem with Mavericks so far and I am generally happy (apart from missing a very useful "window on top" feature for FaceTime which needs to be added in the same it is already available in Skype!).

    I have been waiting for a response on this issue since yesterday. I work in a consulting agency, and it is prudent that my mail app work correctly on my macbook pro! I get at most, 1  notification per day if I'm lucky. I can't keep opening the app to make sure I have mail! Someone help us! (Not to sound desperate)

  • How to prevent specific email notification in document library?

    I've got the following scenario:
    If metadata is changed for a document in my library I want email notifications to be send out. If the document itself is changed (which happens by a background workflow) the email notification (for changed elements) shouldn't be send out. When I'm talking
    about notifications I mean user alerts which have been created for personal use.
    When you use SPListItem.SystemUpdate() you can prevent the update mechanism to be executed. Is there something similar for SPFolder.Files.Add()? 
    I've looked into writing an SPAlertHandler like this but I don't know how to catch this specific case.
    If I execute Folder.Files.Add with DisableEventFiring, will the notification be send out anyway? I would be very thankful for any advice.

    you can have one record per affiliate in the custom table with Standard Text name and no of days and in your program based on the text name and no of days you should able to send notification also for locking the PO from approval the work item can be deleted(by program) so that the approver can no longer approve the PO.

  • Ical Server Snow Leopard email notification: just a clarification question.

    I succesfully installed my mac mini snow leo server.
    Our scenario: icalserver calendar is used by 4 clients in our network.
    ical server is running fine, but there is one thing I
    do not understand: the workflow of email notification.
    On the server I enabled email notification and set up an email adress [email protected] in Server Admin / Emailnotification.
    Then I created a test event in ical. I did not use the local calendar,
    I used the caldav calendar.
    Then I was wondering: why did mail start on mini server to send the invitation ?
    Email data is still stored in Server Admin / Email notification, so I assume email is sent independently in the backgound from any mail programm !??!
    It would be nice if anybody could give me any advice.

    Invitations are sent to external email recipients directly by the server posting them to a known mail queue, (probably in your case on the same mini). There is a calendar server manual online which explains, and calendarserver.org where the project is based. I was only able to make it work using the internal account names, not a friendly one I set up for the purpose.

  • Test an Oracle Event Alert in a Dev instance - email notification disabled

    Hi All,
    My client is on Oracle 11.5.10.2 and I have a requirement to develop an Event Alert. Problem is, in our development instance, client has disabled the email notification functionality, so I am really not able to check if the alert is sent/received and the format of the alert being sent. I checked the trigger on the table on which the event alert is created and confirmed that the trigger is created and also confirmed that on updating on the table from the form - a concurrent program '<table_name> (Check Event Alert)' is getting called by passing the table name and the ROWID of the row that got updated. Now, is there anyway I can check if the alert is working correctly?

    The reason that the email notification is disabled is, the dev instance is a copy of prod and there are a bunch of notifications being sent to multilple people in PROD, so enabling email notification in DEV would create problems as it would sent notifications to people which is not intended.The work around would be little tricky but if you think you can give a try.
    Step 1. Disable all the workflow related email notifications

  • Approval workflow - email notification

    Hi,
    I was run out of idea how to complete my assigned job, need oracle expert to help on email notification workflow.
    Currently I am working on workflow enhancement with oracle application E-Business Suite for our company.
    My job is to add in new approval process to approve Bank Details transaction through AME.
    For this Bank Details transaction, the existing approval process is will only route to HR.
    Now my job is to add Admin & Manager approval, which mean once the transaction is submitted and the approval processes are as below:
    Admin --> Manager --> HR
    But this approval process will fall into 2 scenarios as below criteria.
    Scenario1: If the selected Bank Name from List Of View (LOV) not "Other Bank" then the approval process is Manager --> HR
    Scenario2: If the selected Bank Name from LOV is "Other Bank" (once Other Bank selected, user will need to enter the new Bank Name) then the approval process is Admin --> Manager --> HR
    Once Admin approve, Admin will add the new Bank Name into LOV.
    Both scenarios will auto trigger email notification to the approver once there is pending for Admin and Manager approval.
    For scenario1, our email process package able to send out email notification to the manager.
    But for scenario2, email notification not send to Admin. FYI, our Admin is a group of persons assigned to Admin group.
    My doubt here is how to let this email notification able to send out to Admin group?
    Hopefully anyone of oracle workflow expert could help me as soon as possible.

    According to your post, my understanding is that you wanted to use workflow to send emails to the approvers when a task process completed in SharePoint Designer 2010.
    First, when you add the “Start Approval Process” action to create the workflow in SharePoint Designer 2010, you can click on “these users” to set the task process participants and you can choose “One at
    a time (serial)” or “All at once (parallel)” to set how the tasks will
    be created.
    Then, if you want to send an email to the approver when a single task process completed, you can click on “Approval” in the
    “Start Approval Process” step to edit the task process and click on “Change the behavior of a single task” in the “Customization”
    to add the “Send a Task Notification Email” action in “When a Task Completes” section as below:
    And if you want to send emails to the all approvers when all tasks are completed, you can click on “Approval” in
    the “Start Approval Process” step to edit the task process and click on “Change the behavior of the overall task process” in
    the “Customization” to add the “Send an Email” action in “When the Task Process Completes” section as below:

  • Workflow to send email notification to the assigned person using Sharepoint Designer 2013

    Hi,
    The requirement is whenever the assigned to Field is changed to someone, the assigned to person should get an email notification saying that the item has been assigned to you.
    I created a sharepoint designer List Workflow to send an email notification, below are the steps,
    1. Log workflow to the workflow history
    2. then Wait for Assigned to be not empty
    3. then Email currentItem:AssignedTo
    4.then stop the workflow
    But the thing is whenever any field is changed in the particular item this email triggers, I want to send email only when Assigned to Field is changed and not any other field. how do i write the condition to check only if the assigned to field is changed
    or not and and how i trigger the email.

    Hi,
    According to your post, my understanding is that you want to send email via workflow while the assigned to field value changed.
    We can create a helper field
    which will store the previous value of the Assigned To, then you can compare the current value with previous value of assigned to and send an email accordingly.
    I have made a simple workflow demo below, you can refer to it.
    I have created a new single line of text type field AssignedPerson in the list, then use the workflow below to achieve your scenario.

    I have inherited an EPM implementation that has EPM Workflow Email Notifications. The email text is not very informative and I want to customize this text to something more meaningful. I have been told this cannot be done, but find this very hard to believe.

    I am assuming these email notifications are sent when the project moves between workflow stages, approval etc.? The short answer is: yes, the text of the email notifications can be updated. However, it depends on how your workflows have been built, which
    tools have been used  (e.g. SharePoint Designer, Visual Studio, 3rd party tool etc.) and the project server version - 2010/2013.
    If you are using project server 2013, check if the workflows have been built using SharePoint Designed (open the PWA in SharePoint designer and check the site workflows)

    Hi,
    An option would be use Oracle Alert. Create an event based alert on the table where you have order approvals or rejections. This alert will be raised after inserting or updating this table. Create an action linked to this alert, and choose message as action type.
    This setup can be done under Alert Manager Responsibility.

    How to send email notification in different languages in Workflow? Can anyone send me some useful guidelines or link where it is mentioned.

    There is no profile option available to specify whether send or not send email notification.
    But after login, in preferences youcan set the notification preference value by which you can configure whether to send or not
    to send email notifications.
    If you select ''Do not send me mail' or 'Disabled' it will not send.
    For other values it sends the notfication in different formats like text, html, attachments etc...

  • Help needed in Workflow Email Notification

    I am new to workflow. I am creating a notification process in Oracle Apps 11i to send an email notification to users who registered for some training. Now how can I send an email notification to each user as the list of users can be huge i.e. > 200 . Do I need to loop through and send a notification to each user one by one or is there a way to achieve this by just sending one notification to all the users and if I send one notification to all the users how can I make sure when a user gets an email he/she don't see other users email addresses.

    Thanks can you please tell me what will be the datatype of l_user_list.
    It's a VARCHAR2 list of users, separated by a space or comma.
    Now before creating AdHocUser do I need to check in WF_USERS table if the user with the same email address is already there then don't create that user and just add it to a l_user_list.
    Yes - you will need to have a user record first before you can add them to the role.
    If adding user to l_user_list how to make sure I am adding the right user to send notification to as there may be some other user with same name but different email that I don't want to send notification to. I only want to create a AdHocUser only if name and email address both are not already in the WF_USERS. e.g. lets say if there is a user John Doe with email [email protected] who previously attended some training. Now comes another user John Doe with email id [email protected] and is attending the current training. How do I make sure notification only goes [email protected] as he registered for this training not to [email protected] who previously attended some other training.
    How do you identify which user has registered for training - you could check email address, or use the Apps user name which is unique. Whatever you are using to determine who is registering, you will need to determine what the link is back to the user record in WF_USERS.
    Now as this procedure runs every 24 hrs then everytime it runs do I need to create a new AdHocRole and what should I name it as it can't be hardcoded. As I only want to send an email to the users registered in the current training how do I make sure notification does not go to some other user with the same name with different email who is not registered in the current training.
    If the job runs once every 24 hours, then you could use the same role each time, and clear out the users in the role before repopulating them. If not, when you create the new role (which is what I would do) every time the job runs, then store the name of the role in an item attribute, and then reference that in the notification so that the new role is notified each time. Don't forget to set an expiration date for your ad-hoc roles, though, and run a purge job periodically to get rid of the old roles that are no longer required.
    Also wf_directory.CreateAdHocUser and create a user list should be in a loop and create an adhoc role and notification will be outside the loop.
    What are drawbacks of if in a loop I just create a AdHocUser and then send notification one by one to each user rather than creating a role and in the end send one notification. Basically if there are 200 hundred users loop runs 200 times and each time notification goes.
    If you notify each individual user, then you will have a large number of notifications that are being sent - extra records in the WF_NOTIFICATIONS table, extra records on the queue which the mailer uses etc. etc. If you notify a role, then there is only one record to process.
    If it were me, I would build an ad-hoc role each time, and populate that role with the correct users, and notify the role. I would NOT be sending 200 separate notifications when one would suffice.

    I'm trying to send email notification to the assigness from workflow. If I use the weblogic users with email attributes, Its sending mails. But once I switch to AD and use the AD users it's not. I have made the AD provider to be the first in the list and also able to login to the worklist app using the same user. Problem is that it's not sending mails.

    Can you explain what are AD users and how they are created(APIs)?
    Please check that the user exists in wf_local_roles table.
    select name,notification_preference, email_address from wf_local_roles where name = <AD Username>
    In order to send email notification, the user/role should have the proper email addresses and notification preference set to MAIL* i.e MAILHTMl, MAILHTM2, MAILATTH, MAILTEXT..etc
